PowerPoint Add-Ins

PowerPoint offers the user to install additional components that allow for accomplishing specific tasks. For this handout we will look specifically at the add-ins that
will help with using YouTube videos in your class presentations without having to download, yet avoiding the YouTube website to appear when presenting.
The add-in we will first look at is the “YouTube Video Wizard.” This can be obtained from the following website:
http://skp.mvps.org/youtube.htm

The image to below this text shows you where you are to click in order to download the “YouTube Video Wizard” file:

These instructions are applicable to the 2007 version of PowerPoint as the Lee campus has moved in the direction of having Office 2007 on office computers.

Once you have downloaded this file to a location that you can recall, such as your desktop, open your PowerPoint 2007.

With PowerPoint opened, minimize it and go to the location of the file you downloaded.

It should appear similar to what you see in the following screenshot:

Right-Click on the zipped file and “extract” all files. When the files have been extracted, you will see there are
three files within, as the image below indicates:

After selecting “Add-Ins” go

and follow directions shown in
the screen short to the right,
then click the “Go” button.

You will see a Warning Notice appear on your screen after you completed the add-in process. Click on the “Enable Macros” button.

When you have PowerPoint opened, go to the toolbar and click on “Insert”; this changes the toolbar environment and “insert” type tools appear.

As you look across the top of the PowerPoint toolbar and you will see at
the end a button entitled “YouTube Video.” A screen image of what you
should see is provided below:

In the next section, we will go to the YouTube website and obtain the necessary information to make this work properly.

Inserting YouTube Video
Now you need to visit http://www.youtube.com/ on this site you will see a search box to insert keywords to use for searching the desired
video as demonstrated in the following screenshot.

Once you have found the video you want to use in your presentation, click on it so that it is opened in your web browser and playing. We will be coming back to
this page where your video is playing soon, so please do not close it.

With the URL copied using either Ctrl+C or right-click and copy, you now are ready to return to the PowerPoint presentation.

Within the presentation, add a new blank screen for your YouTube video.

Go to the newly added tool under “Insert” that we know as YouTube Video.

As you click on it you will see a welcome screen as presented in the following image. Simply click on the “Next” button to move on to the more
important part of this add-in.

After you press “Next” there is the most important screen of all of them. This one is where you will insert the webpage URL for your
YouTube video. So, the next step would be to go to YouTube where your video has been playing, and copy the URL You can do so by right-
clicking on the URL and then select “Copy” as seen below in the screenshot:

In order to paste the URL into the dialogue box, you will have to use the keys Control+V (which is Paste). You should then have a screen that looks similar to the
following screen shot. If this is so, click on the “Next” button.

Configuring YouTube Videos

Upon going to the next dialogue box you will see that there are some options from which you can select in order to configure your YouTube videos to play as you
would want them to in the presentation. The first option boxes are for “Play” or “Loop” – if you simply want to present the video and do not want it to repeat,
select the “Play” option.

The next set of options while still on the #2 step of the configurations offers a variety. I personally like to use “Exact Fit” so that I do not lose quality or gain
distortions within my videos. This can be seen in the #2 screenshot below and to the right.

For the #3 dialog box, you have another two options to select from.
The first of these options is the percentage of the PowerPoint screen you want to
use for this particular video. I leave this one at the 50% as I may want to add content.

The second option within the #3 dialogue box is the position of the video. Again,
I leave it at the default setting of “Center of Slide” as that is how I usually do my presentations.

The final dialogue box you will see after completing #3 from the previous page, is #4 (obviously) and will offer a button called “Finish”
Click on the finish button and you are done with this portion. After doing so, save your PowerPoint again.

You will see your PowerPoint screen will have a large white box with an X through it.
Do not be concerned, this is what you should see at this point.

To make sure this works as you anticipate, you can try it out. If you are on a PowerPoint screen that contains your video, press “Shift+F5” and you PowerPoint
will play, that combination of keys is for “Play from current screen.”

You should see your video with a “Play” button in the middle as demonstrated below in the screenshot of the presentation.

At this time there is not an auto-play option for the YouTube videos.
