Event Design Pitch BAJCs goal is to reach out toward non-profit organizations and assist them with their professional experience in public relations. Seeing the community work together helps them grow as individuals and it also increases their companys growth. With the goal of contacting a wider audience, BAJC employees know that they are prepared to succeed. Getting your name out there is the largest asset in the public relations field and opening a new business firm can relatively be a difficult task to perform it takes a unique plan and set of guidelines in order to create public awareness. BAJCs number one ambition is to be different from the other firms. On Saturday, June 16, from 7:00 p.m. to 10:00 p.m. BAJC is sponsoring the non-profit organization the Make-A-Wish Foundation in order to help raise awareness of the new public relations firm. Located at the Summerfest Marcus Amphitheatre grounds in Milwaukee, artists like Taylor Swift, Rascal Flatts and Lady Antebellum will join together and perform some of Americas favorite music as part of the Summer Kick Off event. Even though these artists wont be making any money in return, they are all happy to perform and help the Make-A-Wish-Foundation in addition to creating awareness for BAJC. By throwing a concert that has music for an audience whose preferred taste is country, proves that BAJC is not afraid to take risks. Although this firm is starting from scratch, it plans on relating to as many audiences as possible with the creative ideas that are being distributed. This event is essential for the company because it not only allows the audience to become aware of BAJCs excellence, but it also gets others to recognize their company. BAJC is not only offering their expertise to the public, but they are also giving back to the community as well. BAJCs firm launch at the Summer Kick Off event will serve as an essential element for getting this firm connected to the public. The firms connections with the radio station FM 106.1 will help make the public aware about the event because it will be discussed on the air. In addition, BAJC will get Carroll Universitys media students to film the event and have it sent out to all the local news stations

the day after the big event. At the opening for BAJC, they will display everything that the firm would like to be known for. The event will have many employees give presentations so that the public can get a feel of the values that BAJC stands for. For this event to be a success a few things will be needed; employees from BAJC, the volunteers from the Make-A-Wish Foundation and also volunteers from Carroll University will help as staff to assist in hosting the event (a one hour training session will take place the morning before to review everyones specific duties). All employees goals that night will be to talk to as many people as possible and get familiar with non-profit organizations in the area. BAJC will send out personal invitations to non-profit organizations these will mention all of the popular music being performed and the purpose of sponsoring the Make-A-Wish Foundation. This will be a fun, up-beat event in the hopes of getting everyone attending to feel the same way. BAJC hopes to change the attendees attitudes of PR firms from manipulative and glamorous, to more personal and down-to-earth emphasizing the fact that public relations employees are real people that care. The whole event will be casual and interactive. The stage where all the country stars are to perform will be circular and revolving as a way to make the audience feel like they have the best seat in the house the stage and sound equipment will be provided by the Summerfest grounds for free to help the fundraiser. Summerfest will provide a small booth where formal donations can be made to the Make-A-Wish Foundation. These donations are allowed through credit cards, debit cards or cash. There will also be a t-shirt booth featuring all three bands the first 100 individuals will receive a free t-shirt after this, t-shirts will sell for $20.00 and the money gained will be donated to the Foundation. Each country star performing will sign a poster of theirs and it will be auctioned off to the highest bidder, which will then be donated to the Make-A-Wish Foundation. With the hopes of non-profit organizations in attendance and in donating all money raised to the Make-A-Wish Foundation, BAJCs public relations should broaden, as well as peoples general attitudes of the PR firm.

This event is going to create awareness of BAJC and create a good image for the firm. A big banner will welcome in the attendees made with neon colors with both BAJCs and Make-A-Wishs logos on it. BAJC plans on showing the public that public relations is an important aspect and that BAJC supports non-profit organizations like the Make-A-Wish Foundation. From this event, BAJC hopes to see other non-profits be attracted to their firm as well.

Non-Profit Organization Launches Opening (Waukesha, Wis) A new, local firm plans on reaching out toward non-profit organizations and assisting them with their professional experience in public relations. With the goal of contacting a wider audience, BAJC employees know that they are prepared to succeed.
It is not extremely common, when it comes to public relations, to allow a non-profit organization to launch a new service. BACJs number one ambition is to be different from the other firms nonetheless. BAJC is not only offering their expertise to the public, but they are also giving back to the community as well. In order to help raise awareness, BAJC is sponsoring the non-profit organization called the Make-A-Wish Foundation on Saturday, June 16, from 7:00 p.m. to 10:00 p.m. located at the Summerfest Marcus Amphitheatre grounds in Milwaukee. Artists will include Taylor Swift, Rascal Flatts and Lady Antebellum. These three groups are joining together to perform some of Americas favorite music as part of the Summer Kick Off event. Tickets are available any time after June 1, 2012, after 10:00 a.m. on Ticketmaster. BAJC specializes in professional public relations with several prestigious connections they plan to use in every aspect of their business. For instance, BAJC has relatively easy access to the radio because of their contacts with local FM radio stations connecting them to mass media. The collaboration of both networks provides a large reach for the public. BAJC stands for caring and productive work in the field of public relations. Basic attributes include accurate work, consistent delivery of messages, creative programs and working within your budget. Most importantly, BAJC offers a high quality staff with five years of experience: Becky Domina has a solid grasp on written and verbal communication skills; in addition to her outstanding organizational expertise. She has a major in public relations and a minor in graphic design. Amanda Carlsen specializes in direct, verbal communication with the public as well as proficient writing skills. She has a major in public relations and a minor in sociology. Jeanette Land is a well organized enthusiast who works hard enough to make sure everything is done professionally and effectively; she believes failure is not an option. She has a major in public relations.

Carly Bolli has experience working with people and studying their behaviors and attitudes; this brings a strong understanding toward all the different groups of people who may be a part of BAJC. She has a major in sociology.

BAJCs employees are still expressing their desire to continue learning in this particular field.

Background of Companies: The BAJC firm is a local, Waukesha Public Relations firm made up of four enthusiastic and new Carroll students. BAJC has some professional experience that they will use to focus on non-profit organizations. The four employees are Becky Domina, Amanda Carlsen, Jeanette Land and Carly Bolli. Domina and Carlsen have strong speaking and writing skills, Land has strong organizational and professional skills and Bolli has strong people skills. The firm has connections to the public radio, campus security and Make-A-Wish Foundation. Make-A-Wish Foundation is the company that this event is all about. Since 1980, the Make-AWish Foundation has enriched the lives of children with life-threatening medical conditions through its wish-granting work. The Foundation's mission reflects the life changing impact that a Make-A-Wish experience has on children, families, referral sources, donors, sponsors, and entire communities. The Make-A-Wish Foundation was founded in 1980 after a little boy named Chris Greicius who realized his heartfelt wish was to become a police officer. Since its humble beginnings, the organization has blossomed into a worldwide phenomenon, reaching more than 250,000 children around the world. Although it has become one of the world's most well known charities, the Make-A-Wish Foundation has maintained the grassroots fulfillment of its mission. A network of nearly 25,000 volunteers enables the Make-A-Wish Foundation to serve children with life-threatening medical conditions. Volunteers serve as wish granters, fundraisers, special events assistants and in numerous other capacities. As the Foundation continues to mature, its mission will remain steadfast. Wish children of the past, present and future will have an opportunity to share the power of a wish. There are four steps to granting a wish. Each step builds on the next to help create the amazing experiences that delight wish kids and their families. A wish experience is frequently a source of inspiration for children undergoing difficult medical treatments and a positive force that helps them overcome their obstacles. A wish experience is often more than a dream come true: Its the catalyst that

rekindles their belief in themselves and the promise of their future. The steps of the foundations process starts with referral from places such as hospitals, then medical eligibility of a life-threatening condition, next finding the true wish and finally creating joy for an entire community. Make-A-Wish America is proud of the way it manages and safeguards the generous contributions from individual donors, corporations and other organizations. Make-A-Wish America supports chapters in their day-today work granting wishes. This includes helping chapters develop resources, administer programs and referrals and navigate policies and guidelines. Press List:

For our event, we are holding an occasion to raise awareness for non-profit organizations. To do this, we decided to have a concert series that consists of the country genre held at the Marcus Ampitheater at Summerfest. The press list that will be sent out will consist of media-related companies such as newspapers, radio stations, and television stations. Here is a list of the companies that we would like to have attend this event: The Journal Sentinel 103.7 KISS FM FM106.1 o 106.1 will hold a surprise contest before the concert begins. The winner will have a chance to meet and greet the bands performing. 99.1 WMYX WISN 12 FOX 6 CBS 58

Each radio station in attendance will be giving away memorabilia at the event including bumper stickers, key chains and beads

Security and Liability: Summerfests normal staff will be the security for the event. Total there will be 40 people located at several locations. There will be five people located all around the concert stage, three people backstage with the artists in addition to their own security, five people by the food and drink station, ten people in the parking lots, five people by the shirt station and seventeen people scattered within the crowds. The security staff will be obligated to arrive two hours before the events starting time, 3p.m. and two hours after the event, midnight. The security staff will assist, along with other volunteers present to clean up the event and provide food and drinks during the event. All security personnel are CPR certified and have been taught the hemlock maneuver in the case of a medical emergency. Liability insurance is taken care of in case of any accident that occurs during the event. BAJC firm has a blanket liability policy. The Make-A-Wish Foundation has liability insurance as well since they are raising money at this event. Parking permits are obtained in order to have all the parking for the event. A permit from the Milwaukees Fire Department has been obtained for the safety of the concert stage. Parking permits for the employees have an example attached to this document. All other cars will have a parking permit included their event tickets. There is plenty of lighting provided by Summerfest that can be controlled behind the stage with a lighting system. One of the volunteers from Make-A-Wish will control them throughout the night. A free-lance photographer who is part of the Make-A-Wish Foundation will be taking and supplying the photographs for the event. A release of liability and photography release waiver has been filled out.

This inspection does not alleviate the owner/managers ongoing obligation to locate and correct safety hazards. Parking: When thinking about parking for this event, we are focused on reserved parking. We are going to split the press and the performers so that there is less chaos. The performers tour buses will be parked in the driveway next to the stage while the press will be outside of the stage and also near the entrance; both the tour buses and press will have parking passes to assemble onto their vehicles. These two will have reserved parking. The parking for the grounds currently will stay as is for the audience attending this event. There will be a city bus to take people to and from the event as they do during the normal days of Summerfest ($10.00 a person) the basics of the parking will revolve around how it is usually done for Summerfest. Budget: Since BAJC is holding an event to help the Make-A-Wish Foundation, they have received numerous donations and discounts off of their needed materials because several people are in favor for their Summer Kick Off event. The following will be the list of materials needed: With a total of 75 staff members, BAJC employees, and volunteers we will need 75 passes to be worn around the neck Summerfest will provide these when we arrive for only $20.00 total Summerfest will provide the parking passes for the tour buses, press vehicles and staff member vehicles - $20.00 Summerfest will provide the t-shirt tent and tables/chairs for the follow-up survey free of cost Volunteers from the Make-A-Wish Foundation is bringing their own tent for the donation stand free of cost BAJC employees are treating the staff with beverages, snacks and lunch before the concert - $350.00 limit

Qdoba has offered to cater for an extremely low amount of money because they are huge fans of the Make-A-Wish Foundation; they are providing all of the needed materials (cups, lids, straws, utensils, napkins, etc, as long as we set it up ahead of time) - $150.00

There will be four Carroll University students who have agreed to video record the whole event. We will pay each of them $100.00 in addition to a free concert and food $400.00 total for four students

Summerfest stage crew has generously offered to work for an inexpensive cost $200.00

Summerfest security crew has generously offered to work for an inexpensive cost $200.00

Summerfest has generously offered BAJC to utilize the buses they use throughout the summertime - $300.00

All three bands initially agreed to perform for free, but BAJC wanted to give them a little something to thank them. Each band will receive $500.00, but they all have concluded to donate the money to the Make-A-Wish Foundation after the concert - $1,500 total

T-shirts will generously be provided from all three bands - $300.00 The signed posters from each band will be provided by the bands themselves free of cost

To rent the assigned Summerfest Marcus Amphitheatre grounds, including all of the equipment needed for the concert, and the assigned parking - $2,000

BAJC employees have saved up a little extra cash if needed prior or during the event itself - $1,000

The success of the event will be measured in multiple ways. Speaking Points Speaking points to help guide BAJCs firm when asked in an interview about sponsoring the event: BAJC is honored and excited to take on their first big task and in a big way. BAJC is humbled that they got the chance to sponsor such a known foundation and put everything they had to make sure tonight was a success. BAJC is looking forward to the future in their partnership with Make-A-Wish Foundation, a reciprocal relationship that will benefit both parties. This Summer Kick-off Event is all about good food, good music and good people. BAJC completely stands by the Make-A-Wish Foundations whole mission and what they stand for. BAJC would like to thank everyone who has been so involved in tonight, the artists, Qdoba, the volunteers, Summerfest and of course the Make-A-Wish Foundation.

Speaking points for the Make-A-Wish Foundation discussing the event: Tonight is a chance for the foundation to make a big number of donations, in addition to making a huge impact toward what we do, making it even more possible. We are so thankful for the artists, BAJC firm and everyone who made this event so spectacular. The foundation has plans to keep in close contact with these people and companies after the event, possibly putting together more events together down the road. To have such huge artists here tonight out of their goodness of their heart shows that there are great people out there. Tonights music will truly be from the heart. The Foundations goal for tonight is to payback all the generous volunteers with a night to remember. Everyone who has shown their kindness is what makes the profits from tonight possible.

Tonight is really all about the children, their hopes and dreams and what is a better way to do that than through music.

June 16 Agenda: 7:00 a.m. All staff is to check in and receive their passes to be worn around their neck. After everyone is situated, we will proceed with training assigning people to different locations to get started with the days work. Set up booth with T-shirts featuring all three bands that are performing. Set up booth where formal donations will be made. Walk through of the whole stage and audience seating we will be inspecting for garbage and anything that looks out of place. Mini recess. Drinks and snacks will be provided from BAJC. Prepare the concession stands with utensils, napkins, cups, lids, straws, etc. Get everything organized before the Qdoba catering arrives LUNCH BREAK Carroll University media students will arrive to set up their cameras and computers so they are ready to film the event. The stage crew will arrive to start preparing the sound equipment, lights, sound, etc. Another staff meeting will occur to talk about the nights line up and any other concerns or questions that may come up. Mini recess. Qdoba catering will arrive and begin to set up their service inside the concession stands. Food and beverages will be served at 4:00 p.m. All three bands are expected to arrive between 2:30 and 3:00 p.m. Staff will escort them to their private parking lot for the tour buses. We will help in any way to get them situated and organized for the show. Security staff will arrive at this time. The doors open to those who purchased tickets from Ticketmaster. The first 25 individuals will receive a free t-shirt this will be a complete surprise to them. FM 106.1 music will be turned on and played on the loud speaker until the concert begins. Qdoba catering is open for business. All staff will attend to their given position for the concert. Members from FM 106.1 will enter the stage to perform their surprise concert the winning member will get to meet and greet the bands.

Staff will make their rounds and keep their eyes out for any trouble that may need a security mans assistance. Sound check will be tested. Carroll University media students will begin filming. All audience members will be informed from the loud speaker to return to their seats by 6:30 p.m. BAJC employees will take the stage and provide an opening speech thanking everyone for helping the Make-A-Wish Foundation and introducing the performing bands. Lady Antebellum opens up the concert. Security guards on duty around stage. Taylor Swift will perform. Security guards on duty around stage. Qdoba catering, t-shirt booth, and donation booth will close down. Rascal Flatts will finish up the last hour of the concert. Security guards on duty around stage. Concert is officially finished. BAJC employees will return to the stage to auction off the three posters each band signed to the highest bidder. The money will then be donated to the Make-A-Wish Foundation. Assigned staff members will make their way over to the assigned tables for the follow-up survey to be given to the audience members. CLEAN UP! Staff will escort the audience members out of the Summerfest Marcus Amphitheatre grounds. The stage crew will clean up the stage and pack everything away. Staff will help them bring all of the bands belongings to the tour buses we will help the band members onto their assigned buses. Staff members will return to the concert grounds to pick up trash throughout the seating area. Concession stands and bathrooms will be picked up as well.
