Illuminations 2014 HANDBOOK


Greetings School POCs, Thank you for your willingness to be part of the Illuminations team this year. We will have a wonderful experience to look forward to as we work together to make it possible for DoDDSEurope students to see their work produced in a truly professional online publication. These are exciting times for how DoDDS-E student work is being shared with the global community, and you are a vital part of the success of this new endeavor. As we evolve with the 21st Century, so must the manor that we publish and share student creative work. We will work together to construct a professional online portfolio to emphasize the highest quality audio, visual and written works of art. 2. School POC
DUTIES:

1. Promote awareness of ILLUMINATIONS and the submission process for student work among the faculty, staff, and students at your school. 2. Communicates regularly with educators in your school to: share information regarding how art, photography, music and literature submissions should be sent to you, answer questions. Distribute submission guidelines available in this handbook.

3. Communicate with the Illuminations Project Managers if you have questions or concerns. Please contact your school ET first if you have technological problems. 4. Collect submissions throughout the school year. All submission information needs to be verified and submitted electronically by February 28, 2014, Close of Business. 5. Ensure that the submissions match the guidelines below. Note that the number of works is based on total K-12 school enrollment. Enrollment numbers are based on the data collected by the DSO at the begining of the year. EHS schools are encouraged to ensure that work is submitted from elementary and secondary students, but the total number of pieces submitted should match the guidelines: Total school enrollment of 500 or less = up to 5 art, 5 photography, 5 music and 5 literature submissions. Total school enrollment over 500 = up to 10 art, 10 photography, 10 music and 10 literature submissions. 6. Organize and facilitate/chair a school screening committee to select outstanding works to be submitted to your Project Managers. It is highly suggested that your school screening committee be comprised of 3 to 5 individuals. The screening committee members could be classroom teachers, the art, music and or English teacher, students or parents. Names of students submitting work should be kept secret during the selection process. Screening committee should ensure that there are no more than 2 submissions in total from a single individual within the school. A single individual may turn in multiple submissions for review, but the selection committee must accept no more than 2 submissions from 1 individual. For example, 1 student may have 2 art pieces selected or 1 art and 1 music piece, but no more than 2 submissions from any of the 4 categories (music, art, photography or literature)

7. Work with your committee to ensure that literary submissions are edited for proper grammar, spelling and mechanics.

8. All submissions must have a signed parental/guardian release form. In addition to keeping a copy of the media release form on file for your records, you will need to scan a copy of each release form and upload a copy on the submission website. A copy of the release form is found at the end of the guidelines handbook. 9. All artwork/photography submissions must be in .jpg digital format. Contact your ET for support. 10. All music must be recorded and submitted in .mp3 format.

11. All literary entries, including K-2 inventive spelling, must be saved in Microsoft Word as a docx. You do not need to put the text in any special format, font or size. 12. Once you receive all of the submissions, student information, media release forms, and verify that the information is correct, please do the following: make sure the literary submissions have correct grammar, spelling and mechanics, you will input the information into the online registration form and electronically upload your submissions. Directions on how to access the online submission forms and upload submissions will be forthcoming. 13. Each submission must be placed within a category. The categories are found on page 2 of each of the Music, Literature, Photography & Art submission sheets. 14. Send a final email to the Project Managers at illuminations@eu.dodea.edu when all of the above tasks are completed. 15. When ILLUMINATIONS is available for public viewing, arrange an appropriate local celebration in a public forum to present a certificate.

3a. GUIDELINES FOR ART SUBMISSIONS


Accepted Works:
Original artwork of any medium that is suitable for our K-12 public school audience. Select the highest quality student work. DO NOT submit an entire class set. A maximum of two pieces from the same art project may be submitted.

Artwork must not be directly copied from a published source. If a published source is used, it must be considerably revised or altered, and credit must be given to the original source on the back of the work. For example: "Taken from a photograph in LIFE Magazine, November 1994." Artwork that was completed the previous year after the ILLUMINATIONS deadline may be submitted even if that student has graduated.

Works NOT Accepted:


Matted work, class sets, work covered in plastic or acetate, slides, low contrast pieces, folded artwork, or artwork on lined paper

Suggested Artwork:
Prints (linoleum, styrofoam, wood block, stencil, gadget prints, etchings, silk-screen, etc.) Drawings/paintings/cartoon strips Calligraphy/illuminations/commercial art (dark pencil, crayon, marker pen, ink, ink wash, oil paint, airbrush, watercolor, tempera, scratchboard, mosaic, chalk, oil pastel, yarn painting) Cut or torn paper (strongly contrasting colors, black and white, dark and light, and glued well) Computer graphics (particular attention to contrast): Images or compositions must be the student's original work Mixed media/collage (any combination)

Taking Digital Photos of Artwork


Set digital cameras to 5 megapixels You accomplish this on the Canon Power Shot SX20 (every Art Teacher was given), by: 1. Turn on camera 2. Press FUNC. SET in the middle of the backside Multi-Function wheel. 3. Press the edges of the wheel to select M2 and the bottom of the screen. 4. Press FUNC. SET again to confirm Use any photo-editing software that you are familiar with to crop out extraneous backgrounds. o See your school ET for assistance Save your files at highest quality resolution levels.

3b. GUIDELINES FOR LITERARY SUBMISSIONS


Type of Work Accepted:
1. Original prose 2. Original poetry 3. Original poetry and prose in a second language (English translations must be included.) 4. Unique writing from any subject 5. Literary subject matter and language acceptable for our K-12 public school audience

PLAGIARISM is a serious problem with student publications and has legal implications. A student editorial board at the school can help. Students know what other students are reading and hearing. They know what books and magazines are available. Please take all responsible precautions to prevent submitting anything copied from a published source. Remind students that their work will be submitted to TurnItIn.com. Please Note: Project Managers reserve the right to edit works to bring them into line with normal conventions of written American English. Additional Information: 1. No class sets Submit only the most outstanding work. A maximum of two pieces from the same assignment may be submitted. 2. Literary work needs to arrive for review PUBLICATION READY. It must be correct in spelling, grammar and mechanics (capitals, punctuation, etc.). 3. If an authors work intentionally takes liberties with any aspect of normal written conventions or is written in a dialect for artistic or literary reasons, that fact should be indicated in a note attached to the work. 4. Writings from grades K-2 may include inventive spelling. Such entries should be typed to retain the inventive spelling, with a note to indicate that the spelling is invented. 5. Written work must be saved as a Word file (.docx) using the ILLUMINATIONS file naming conventions. Make sure the authors name and title of the work is typed at the top of the manuscript. 6. An INDIVIDUAL SUBMISSION FORM must accompany every entry. 7. Literature that was composed or performed the previous year after the ILLUMINATIONS deadline may be submitted even if that student graduated.

3c. GUIDELINES FOR MUSIC SUBMISSIONS


Type of Work Accepted:
Original music or lyrics that are suitable for our K-12 public school audience. Select the highest quality student work. DO NOT submit an entire class set. A maximum of two pieces from the same music project may be submitted. Music that was composed or performed the previous year after the ILLUMINATIONS deadline may be submitted even if that student graduated. Music must be submitted in .mp3 file format. If needed, ask your ET for help.

Works NOT Accepted:


Previously copyrighted music that was written or performed formerly.

Additional Information: 1. Music work needs to arrive for review PUBLICATION READY. It must be a high quality recording of the music and it must be in .mp3 format. If the music performance quality is not acceptable, then it is possible that the project managers will have to ask you to re-record the music. 2. An INDIVIDUAL SUBMISSION FORM must accompany every entry (submission forms can be found at the end of this guidelines handbook). Suggested Directions for Recording Music: The following programs may be used to record music. If you need assistance, the people listed beside the listed tool may be of assistance to you at your school. If you need further assistance, please contact your school ET. 1. Audacity ET (*need Lame encoder for audacity to export .mp3 file format) 2. Adobe Sound Booth - ET 3. Sibelius - Music Teacher

3d. GUIDELINES FOR PHOTOGRAPHY SUBMISSIONS


Accepted Works:
Original photography that is suitable for our K-12 public school audience. Select the highest quality student work. DO NOT submit an entire class set. A maximum of two pieces from the same art project may be submitted. Photography must not be directly copied from a published source. If a published source is used, it must be considerably revised or altered, and credit must be given to the original source on the back of the work. For example: "Taken from a photograph in National Geographic Magazine, November 2003." Photographs in their original state or work that has been photoshopped Photography that was completed the previous year after the ILLUMINATIONS deadline may be submitted even if that student has graduated.

Works NOT Accepted:


Photography that contains material that is inappropriate for a Kindergarten through 12th grade audience. Work that is matted or covered with glass, plastic, etc. and results in a diminished copy of the photograph. Photographs that are not submitted in .jpg format.

Suggested Artwork:
Digital or print photographs Photographs can be submitted in their original state or photoshopped.
