The possible benefits of installing and


maintaining the present technology systems of
Central Employment
This report is for Central Employment. It is being written to show the current
status for the two systems and the possible benefits of installing and
maintaining the hardware.
Please see the table below for clarity on the status of your two systems
The benefits of installing and maintaining hardware in both the systems will
mean

You can increase the performance of your pcs


It will be reliable because some applications might not work with your
old hardware
Your pc will run smoother than before
Extend your memory to store more
Maintenance can stop the pcs from overheating and causing glitches
The scanner will allow you to save hand written material on to your
database

Various hardware components can help to run existing systems


more effectively
Two types of hardware components exist.
Internal components
External components
RAM (Random access memory) is a internal hardware component that allows
you to work with information thats on your computer. The more RAM you
have on your PC, the more information will be accessed. Because of this it will
increase the performance of your PC.
A hard drive (HDD and SSD Storage) is a disk drive that reads and writes
data. It is commonly used to store information on your personal computer,
like photos, videos, music, documents and many other things. The more Gb
(giga bytes) or Tb (tera bytes) the hard drive has, the more things you will be
able to store in it. The hard drives can also help with the speed your systems
work in.
A video card (also known as graphic card) is what is used for displaying what
is going on inside your PC on a screen.
A NIC (network interface card) helps connect you to a computer network
Optical drives (also known as DVD or CD drives) are used to retrieve and
store data on optical disks like CD, DVD, and Blu-Ray.

You can also improve your security system in your Personal Computer (PC)
which means you are less likely to get a virus on your system.

Implications of installing and maintaining


hardware
This report is written to clarify the implications of installing and maintaining
hardware on the CEOs system at Central Employment

Training
After you have upgraded your personal computer, you should train to use the
new system. The implication of this is that you have to spend more time
training to use the new system instead of getting any actual work done. But
your system will be better than before and possibly easier to use if upgraded.

Compatibility
Your personal computer might not have certain parts that are up to date. For
example you might not have enough RAM (Random Access Memory) so
maybe some software might need to use more RAM than what you have, or
you might need more storage in order to download some software because
your storage is full, or you might not have a CD drive so you cant use CDs or
DVDs on your computer which can be an implication because it can cost a bit
of money and some time. But can also improve your personal computer
more.
Decommissioning
Decommissioning hardware components is where components that are not
needed anymore are stopped being used. These hardware components need
to be destroyed and terminated. You should never dispose of these hardware
components by putting them in the bin because there is an electric current
running through the hardware component that you threw in the bin. This can
be dangerous for the environment. And you might have some private data in
that hardware component that someone else can access by getting hold of
the hardware component that you threw away. In order to dispose or destroy
your hardware you could hire a professional to do it for you so you can get rid
of your data and destroy your hardware component properly. The implication
is that this can cost some money and time. But at least you get rid of your
data without having to worry about the information stored in your hardware
being accessed by another person if you threw it in the bin and you save the
environment at the same time.

Risk
Every hardware upgrade comes with risks as the computer hardware
components are very delicate and if not handled appropriately can very
easily be damaged for example if static electricity is not managed with a
antistatic wrist strap. There are also data risks to consider. Before an upgrade
it is essential to backup all your data. If the work is carried out during office
hours then that could impact your clients if your system is unavailable to you.

A service level agreement is an agreement that gives peace of mind to our


clients and they get to choose the level of service they need for their unique
circumstances. The average system gathers dust and dirt daily and to keep it
functioning in top condition so it does not have glitches or weaken the
components it is prudent to have some sort of maintenance on your system.

I hope this report is of help to understand a little deeper the issues involved
however as many businesses find out it is definitely worth it in the long run.

Subject: Client-Central Employment requests and requirements for their
system

Dear Manager,
Our client Central Employment have a number of problems and requests.
Here they are for your consideration:

Technical difficulties- CEO unable to log on, CEO needs RELIABILITY, SPEED
& CAPACITY improved and his optical drive is faulty as it is unable to read
data from any disk

Wish to upgrade their systems so they can scan hand written documents
into their computer database

Network requirements as company expanding geographically thus need to


upgrade ability to communicate via email (The CEO has commissioned a
3rdparty to install Ethernet cabling through their offices and to connect
cabling to a switch and router

They want to be able to copy data from one optical disc to another to
allow data to be transferred to clients without excess paperwork

The client stresses that if the upgrades we do for the CEOs system are
successful then other machines will be upgraded in due course too.
We have a tight timeframe as they wish the job to be completed by

A wireless router is not going to be installed at this stage. All internet


communications must be cabled

The CEO is concerned that that confidential client data could be lost
during the work and will not allow any machines or components to be
taken off site

The hardware costs MUST remain within an overall budget of 250.00

The scanner purchased should be capable of optical character recognition

I think we can do a good job here. I suggest we do a good maintenance


procedure and upgrade their system with a suitable scanner, 2 optical drives
to ensure their requirements are met, extra RAM and hard drive capabilities.

Action Plan for Installation and Maintenance
First check area for safety. Overloaded power sockets, trailing cables, food
and drink can hinder your safety. Disconnect PC from electric supply. Then
proceed:

Use antistatic wrist strap when opening computer


Use appropriate tools to remove dust and dirt carefully
Replace RAM
Replace optical drive
Replace HDD
Install NIC

The hardware components, devices and s/w resources required for the
upgrade are:

RAM (random access memory) electronic memory inside a computer.


As it has no moving parts, it is very fast, working at the speed of
electricity. RAM is used to hold programs and data when a computer is

running, usually copying them from the hard disk. Anything in RAM is
lost when the power goes, so data needs to be saved to hard disk or
other storage before the computer is switched off. As software gets
more sophisticated greater demands are put on RAM so upgrading it
can help.
OPTICAL DRIVE ( CD DVD writer) As this is broken we need to install a
new one
HDD and SSD (hard drive) are both memory components which need
upgrading to achieve the purposes client has requested
NIC ( Network Interface card/controller)

Fault Finding Tools and Techniques

As a general guide the noises a computer makes can alert you to internal
problems as can excessive heat levels around it when it has been used for a
few hours.
If the computer has not had regular maintenance then a good service level
contract including monthly maintenance can be suggested to the client to
keep their system in good working order. Dust and dirt collect quickly in
electrical devices and can damage the delicate internal system.
Other fault finding tools include:

P.O.S.T This is a basic Power On Self-Test


Windows Memory Checker (WMC) is used for checking RAM
Crystal Disk Information (CDI) finds faults in hard drives
IFIXIT is an essential tool kit for computer hardware that comes with a
antistatic wrist strap

Listen to the purring of the computer, should sound quieter
Use the computer to check its speed, capability, booting up time

Subject: Justification of my final decisions for Client
The client in their brief had a number of specific purposes and client
requirements. I have tried to deliver exactly what they want given the
constraints they gave.

Scanner was a must. And they wanted one that should be capable of
optical character recognition
The optical drives were a must especially as the one they had was
completely broken so were putting 2 in to ensure disk to disk copying
can take place which was one of their requirements
The RAM was a must as their system was very slow. The CEO only had
3Gb RAM on his PC which is not ideal in business presently
The NIC was essential too for network efficiency purposes
The hardware costs must remain within a budget of 250.00 and that
has been ensured
The CEO was concerned that the confidential data could be lost during
the work and would not allow any machines or components to be taken

off site I have ensured that CNN honour that by going to the client site
to do all the work there
The client stressed that if the upgrades we do for the CEO are successful then
other machines will be upgraded in due course too. To ensure we get the
contract for this I have been as thorough as possible to ensure the clients
needs are met on their terms.

Now before we uninstall some of the hardware, we have to back up our files so
that you dont lose any of your important documents and work.
Get to your documents then select all your documents and then CTRL+C them.
After you do that you want to do the following picture instructions that are
provided for you. This is how you backup your files with a LAN

Go to your network settings then double click on BACKUP


And should come up with the screen bellow

After you have backed up your files it is now safe to uninstall your
hardware.
Here are some of the tools you might need but in this case I am not going
to need any of these tools. No pun intended

Here I am about to take the case of the computer by pressing 2 buttons on the
side at the same time

After I open the case I am about to use an antistatic wrist strap to avoid
antistatic discharge to avoid damaging the hardware component that I am about
to install into the computer

After I put my antistatic wrist strap on I start to take of the old


NIC out and replace it with a newer NIC with IGBPS

Here I am uninstalling the graphic card that has can have 10/100 mbps and then
I am going to replace it with a VGA-DVI with 1gbps card

In the list of available printers, select the one you want to use and then click
Next in the bottom right corner

Once you have chosen whatever printer that was in the list you can then give the
printer a name (this is optional so you do not have to do this) and then you can
click next.

After you click next it should come up with this screen

I am turning my printer sharing off so that nobody can acces my printer through
any other device but the one that I am using. But if you want to share the printer
so that others on your network can find and use it you are going to have to put in
a share name and your location

And there you go! Now if you want to print a test page just click on the Print a
test page button on the bottom left corner of the page. Once you have done
that you can click Finnish to complete the installation of the printer.

Evaluation, Justification and 3 further
Improvements of the Modified technology System
This report is to show Mr Manager the Evaluation/Justification of the modified
technology system and suggest three further improvements that can be done
to benefit our client Central Employment.

Evaluation and Justification


Looking at the review from our client we can see that the modifications have
been successful. As they are happy with each of the requirements they had
from us in the initial brief. Please see below
Recently the company has encountered some technical difficulties:

The CEOs machine had developed a fault and we are unable to log-on
to it.
Prior to this the optical drive had developed a fault and it was not
possible to read any data from any disc that was inserted.
The CEO is unhappy with the time it takes for his machine to boot-up,
open applications and complete jobs. He would like to improve this
performance.

We would also like to upgrade our systems as follows:

We would like to be able to scan hand-written documents into our


computer database.
We want to expand geographically and therefore need to upgrade our
ability to communicate to allow use of the internet for communications
via e-mail and also the establishment of a company web-site.
The CEO has commissioned a third-party company to install Ethernet
cabling throughout the offices and to connect the cabling to a switch
and router.
We want to be able to copy data from one optical disc to another to
allow data to be transferred to clients without excess paperwork.

If the upgrades to the CEOs system are successful then other machines will
be upgraded in due course.

As you can see all their issues and constraints were addressed. Thus we have
a satisfied client.

3 Improvements
Further improvements are possible and desirable.

I suggest a MONTHLY Service Level Agreement (S.L.A) so that we can


ensure there Technology System is maintained and kept in top working
order. This will minimise any breakdowns, glitches, speed problems
saving their company time, cost and reputation
I would like to investigate on how we can improve their security
I was concerned about the internal cooling system and I have a hunch
that the FAN may need replacing but we can wait and see if there are
any problems with the CEOs machine over the next few days.

I hope this report shows clearly the excellence of the work and our standing
with our clients Central Employment.
