Dear Hilburn Academy Parents & Guardians,

On behalf of the entire staff of Hilburn Academy, it is my pleasure to welcome you to the 20152016 school year! As we approach the First day of school for Grades One through Eight on
Monday, August 24th, I hope you will find the enclosed information very helpful in preparing
your family for an exceptional academic year. Whether you are a new Hawk or returning to our
school this year, I hope you will take advantage of the many opportunities Hilburn offers your
family so you may continue to be actively engaged in your childs education.
Please reserve Thursday, August 20, 2015 from 5:00-6:30 p.m. for Open House for PreKindergarten and Grades 1 through 8. (Mrs. Burnettes, Mrs. Hills and Mrs. Hummels special
programs classes will host Open House from 4:30-6:00pm.) At this informal, drop-in event,
parents and students will have an opportunity to visit their new classrooms and meet their
teachers. Please note that teachers will not be available at other times before the first day of
school as they are participating in professional development workshops and preparing for the
arrival of our students. As is the tradition at Hilburn, class rosters will be posted at 5:00pm in the
main lobby just before the doors are unlocked for Open House. PTA representatives, faculty and
support staff will be located throughout the building to help you find your new classroom and
other destinations throughout the evening.
Parents will also have an opportunity to pick up a copy of the bus schedule, acquire a carpool
number, set up a lunch account, speak with the nurse, register or renew registration to volunteer
in our school, and join the PTA. The PTA has a one-stop shopping center that will assist you as you
navigate all that our active team of parents and staff has to offer.
KINDERGARTEN OPEN HOUSE will be held on Friday, August 28, 2015 from 1:30-2:30
p.m. following the staggered entry assessment days. Special information about the
Kindergarten program and staggered entry schedule may be found in the Kindergarten
Supplemental Information Guide posted to our website. Paper copies are also available in the
main office.

School Instructional Hours

Arrival & Dismissal

Our instructional school hours are 8:15 a.m. to 3:00 p.m. We ask that you please have your
child at school by 8:05 a.m. since students must be in their classrooms at 8:15 a.m. This allows
enough time for you child to prepare for the start of the instructional day without feeling stressed.
Please note that students should not arrive at school before 7:45 a.m. since there will be no staff
yet on duty to ensure their safety. If you are interested in Hilburn Academys after school
program, please visit our school website for details and helpful information.

Cafeteria Information
Our cafeteria manager, Mr. Nelson, will be available at both Open House events to
answer questions you may have regarding lunch funds. We encourage you to
deposit money into your childs account at these times. Parents also have the
option of participating in an automated program where payments can be made
online at www.MySchoolBucks.com or by calling 1-855-832-5226. Many parents
use this third-party service to deposit funds into their childs lunch account, check
balances and monitor and limit their childs lunchtime purchases. Please check the
WCPSS Child Nutrition website for further details.
When making lunch account deposits by check, please make checks payable to: Hilburn
Academy Cafeteria. Be sure to include your childs name, teachers name and your childs lunch
number (the NCWISE number) in the memo portion at the bottom of the check.

Lunch Program, you may have already received a form from Child Nutrition Services.
Additional copies are available in the main office. Please complete the form and return it
immediately to our student data manager, Mrs. Tonya Sturdivant, so it can be processed
as soon as possible. Students who received free/reduced price meals last year
must complete a new application each year. After the first 10 days of school,
parents who have applied to the program should still send their child to school with
lunch or money to buy lunch until they are notified of the applications approval for the
new school year. Per School Board policy, student who do not bring a lunch or money
will be given, at no charge, fruits and vegetables for lunch. Our very supportive
Hilburn Academy PTA also maintains a lunch money fund which allows students to
borrow money in the main office on a limited basis.

Bus Transportation

Bus routes are created at the district level and will be posted to our school
website as soon as we receive them from WCPSS Transportation
Department. Paper copies will also be available at Open House and in the
main office. The district operates transportation on a hub system, where
schools are assigned to a regional bus transportation center (usually at a
high school) that coordinates all aspects of bus transportation. Hilburn
Academy is part of the Sanderson regional hub. Questions or concerns related to routes, schedules
and bus stops should be directed to the Sanderson transportation supervisor by calling 919.8053030. If you need other transportation support regarding circumstances such as special
education transport and behavior issues on a bus, please contact Mrs. Amy Flaim, Assistant
Principal, at 571-6800.

With regard to busing, we ask that students/parents allow 15 minutes before and after the
assigned time for pickup and drop off during the first few weeks of school. This will allow bus
drivers time to make whatever route adjustments necessary to maximize their route.
If your child normally rides home on the bus in the afternoon and will not do so on a particular
day, please inform the school/teacher of this change in writing or by calling the main office by
2:00pm. For safety reasons, we cannot honor transportation changes made through students.

Carpool Transportation
If you wish to pick up your child in carpool at any time during the year, you
will need to display a Hilburn Academy carpool tag from your rear view
mirror. Carpool tags will be available during the Open House events and
anytime during main office hours. Tags may be purchased for $2, and duplicate tags may be
ordered for $2 each. Tags can be issued to a family at anytime during the school year. If your tag is
lost or damaged during the year, make sure to notify the main office so we can provide you with a
new tag ($2). Please help your child memorize their carpool tag number right away to help with
the loading process. For obvious safety reasons, we thank you for refraining from talking on the
phone or texting while operating a vehicle on campus.

Dropping off Students : To drop off students before school, parents will enter the carpool
lane in a single file line and drop them off in front of the school between 7:45 and 8:05 a.m. When
pulling out, make sure to look to your left for vehicles driving past you. For safety and efficiency of
the process, parents should remain in their cars during this time. Hilburn Academy staff and
student Safety Patrol officers will help your student(s) exit your vehicle.
Picking up Students : To pick up students at dismissal, parents should drive around the
carpool lane in a single file line through the parking lot. Colored traffic cones will be set up daily
to guide students to meet the drivers at each of the cones. Please pull all the way up to the next
available cone. Staff members and safety patrol will monitor the process. Students will be called
by their assigned carpool number as the parent approaches the building. Students will board their
vehicles from the right side only. Parents are to remain in their cars at all times during the carpool
process. Carpool dismissal time begins around 3:10pm. Please help us have all students loaded
promptly by being on time for carpool. Once the end of the carpool line has been reached, staff
will go inside and parents will need to come into the office to sign out their child(ren). Arriving on

time helps everyone! However, should circumstances occur that you know you will be late, please
call the main office and let us know. Thank you.
Volunteer Information
There are many ways to support learning and teaching at Hilburn
Academy! In order for you to be able to volunteer in the school,
classroom, or on a field trip, the school district requires that you
complete an online registration application on any school computer. The district contracts with an
outside vendor to run criminal background checks on all volunteers in order to ensure a safe
school environment. Please let your childs teacher know if you would like to help in the classroom.
Students and staff need and appreciate parents and community members who volunteer in our
classrooms. Teachers and our PTA will share many opportunities to volunteer during Open
House and in the first weeks of school.
School Supplies: Classroom supply lists are posted on our school website and paper copies
are available in the main office. Your childs teacher may also share additional supply needs
during Open House and in the first weeks of school.
Due to changes in student assignment and students enrolling or withdrawing after the first day of
school, classroom assignments are always tentative until the 20 th day of school. Your childs
classroom assignment will not be changed unless it is absolutely necessary, and your support and
understanding is necessary if such changes become unavoidable.
We will let you know
immediately in writing if such a circumstance arises.
Parent Night is an important opportunity for parents to visit with teachers in classrooms, learn
about your childs daily schedule, grade level curriculum standards, expectations, and
opportunities to stay actively involved with your childs education at Hilburn Academy.
Because there are significant differences between the elementary and middle grades programs
and also to help ease limited parking conditions, we host separate events for each program. We
hope to see you there! Please see the calendar below for details.

The 2015-2016 school year promises to be our most exceptional ever! With so many exciting
things happening, your child will experience instructional excellence within a safe climate of high
expectations. With our experienced staff and the generous support of our school community
partners, Hilburn Academy will surely see our Hawks soar to new heights in the year ahead. As
with any effective partnership, good communication is essential for success. Please call us
