INTRODUCTION
This document details all security tokens which affect the Front of Hosue application.
Please be aware of the following:
if a token is referred to as enabled then the box next to the token name is ticked in Security Management;
if an option is referred to as greyed out the user will be unable to select the option, preventing them from
proceeding;
if a token is referred to as historical it no longer applies to Legend these tokens can be selected or not selected
without any change to the users permissions;
tokens are grouped according to their prefix in security management.
1. BK_ SECURITY TOKENS

1.1.
BK_CAN_ADD_MEMBER_AHEAD_OF_WAITING_LIST
This token controls the users ability to add a member to a class ahead of other members in the waiting list.
If the token is selected the user can add a member ahead of other members in the waiting list to a class (once a space has
become available) by searching for a member and browsing to the class in the usual manner. When the user attempts to
add the member to the class they will see the screen below. The user will be able to select the Add Member to Class
option and the member will be added to the class.
If the token is not selected the user will receive an insufficient permissions error message when selecting Add Member to
Class.

1.2.
BK_CAN_REFUND_CUTOFFTIME_BOOKING
This token controls the users ability to refund a booking after the configured cut-off time has passed, under Bookings >>
browse for the appropriate booking >>
icon >> select booking >> Cancel Booking. The user will be prompted to enter
their credentials when clicking Cancel; if the token is disabled for the active user, another user with the token can use
their credentials to authorise the refund.

1.3.
BK_CAN_SELECT_RANDOM_WAITINGLIST
This token controls the users ability to move a random member (i.e. any member who is not at the top of the waiting list)
from the waiting list to the activity by browsing to the waiting list and selecting Move to Class. The user will be prompted
to enter their credentials when clicking Move to Class; if the token is disabled for the active user, another user with the
token can use their credentials to authorise the move.

BK_COURSE_ALL_FUTURE_SESSIONS
This token controls the users ability to select the All Future Sessions option when enrolling a member on a course, under
Bookings >> Courses >> course name >> Enrol Member. If the token is disabled the option will be greyed out.

BK_COURSE_CAN_MOVE_MEMBER
This token controls the users ability to select the Move Member option when viewing course, under Bookings >> Courses
>> course name >>
icon >> Move Member. The user will be prompted to enter their credentials when clicking Move
Member; if the token is disabled for the active user, another user with the token can use their credentials to authorise the
move.

BK_COURSE_CAN_OVERRIDE_MOVE_CHARGES
This token controls the users ability to select the Remove Price Difference option when moving a member between
courses in the Front of House, under Bookings >> Courses >> course name >>

BK_COURSE_CAN_OVERRIDE_PREREQ_MISSING
This token controls the users ability to override missing Sports Course prerequisities and enrol the member. If the token
is enabled the user will be able to book the member in without being prompted to enter their credentials. If the token is
disabled for the active user they will be promoted to enter credentials when clicking either Mark As Passed or Book
Anyway; another user with the token enabled can use their credentials to authorise the change. If the active user enters
their credentials they will receive an Authentication failed message.

1.8.
BK_COURSE_SELECTED_SESSIONS
This token controls the users ability to select the Selected Sessions option when enrolling a member on a course through
Front of House, under Bookings >> Courses >> course name >> Enrol Member. If the token is disabled this option will be
greyed out.

BK_COURSE_SINGLE_SESSION
This token controls the users ability to select the Single Session option when enrolling a member on a course, under
Bookings >> Courses >> course name >> quick booking button. Note that the Single Session option will only be available
on the day of the course. If the token is disabled this option will be greyed out.

1.10. BK_COURSE_WHOLE_COURSE
This token controls the users ability to select the Whole Course option when enrolling a member on a course, under
Bookings >> Courses >> course name >> Enrol Member. If the token is disabled theis option will be greyed out.

1.11. BK_ISSUECREDITNOTE_OVERRIDE

1.12. BK_OVERRIDE_ADVANCELIMIT
This token controls the users ability to override the booking advance limit as set in the Bookings application.If the token
is enabled the user will be able to book an activity outside of its configured advance limit without issue. If the token is
disabled the user will receive the message This resource can only be booked x day(s) in the future, where x is the
configured advance limit.

1.13. BK_OVERRIDE_DOUBLE_BOOKING_RULE_MEMBER
This token controls the users ability to override the Disallow double Booking (members) setting, which prevents
members from booking in to two classes at the same time. If the token is enabled the user will see a message similar to
the one shown below; they will be able to select Yes and book the member in to the activity.

1.14. BK_SETLOCATION
This token controls the users ability to change location from the workstation club to any club they have access to, by
clicking the club name in the bottom left, and clicking Change Booking Club. If the token is disabled this option will be
greyed out.

1.15. BK_TICKET_PRICE_OVERRIDE
This token controls the users ability to override the ticket price associated with an event by browsing to the event,
selecting the appropriate pricing band and clicking the +/- button next to either the standard or total price. When clicking
the +/- button the user will be prompted to enter their credentials. If the token is enabled for the active user, they can

use their own credentials to authorise the change; if the token is disabled another user with the token can use their
credentials to authorise the change.
2. FOH_ SECURITY TOKENS

2.1.
FOH_CAN_CONFIG_MEMBER_P_A_ELIGIBILITY
This token controls the users ability to access the Configure Behaviour option, under Member Control >> Member Info >>
Eligibility >> Configure Behaviours. If the token is disabled this option will be greyed out.

2.2.
FOH_CAN_MODIFY_VOUCHER
This token controls the users ability to see the

icon, which, when clicked, allows the user to modify the Remaining
Quantity and Valid Till date of the voucher. This is accessed through Member Control >> Loyalty Vouchers.

2.3.
FOH_CAN_EDIT_SMALL_BAG
This token controls the users ability to edit a Small Bag, through Cash Management >> Shift Bag Management >> Edit
Selected Small Bag. If the token is disabled the user will see an insufficient permissions message when click Edit Selected
Small Bag.

2.4.
FOH_CAN_OVERRIDE_ARCHIVE
This token controls the users ability to access the Override Archiving option when sending a new message, through
Messages >> New Message.

2.5.
FOH_CAN_PERFORM_FLOAT_TRANSACTION_ON_EXPIRED_SHIFT
This token controls the users ability to remove a float from, and close, a shift that has expired. If the token is disabled the
user will receive the Invalid Shift error when attempting to take the float out of and close the shift.

2.6.
FOH_CAN_RECEIVE_GROUPMESSAGE
This token controls the users ability to receive messages sent to their user group in their Messages folder. If the token is
enabled the user will receive messages sent to their user group; if the token is disabled the user will not receive messages
sent to their user group.
2.7.
FOH_CAN_RAISE_INVOICE_AS_PENDING
This token controls the users ability to access and amend the Pending flag shown when raising an invoice through Front
of House. Note that this token overrides FOH_MUST_RAISE_INVOICE_AS_PENDING.

2.8.
FOH_CAN_RESOLVE_EVENT
This token controls the users ability to resolve events by clicking the
icon next to the appropriate event in Member
Control. This token overrides FOH_CAN_RESOLVE_INDUCTION_REQUIRED_EVENT and
FOH_CAN_RESOLVE_PHOTO_REQUIRED_EVENT. If the token is enabled the user will be asked whether they would like to
resolve the event when clicking
; if the token is disabled they will receive an insufficient permissions message.
Please note, this token does not affect the users ability to resolve events in Membership Management.

2.9.
FOH_CAN_RESOLVE_INDUCTION_REQUIRED_EVENT
This token controls the users ability to resolve the Induction Required event, by clicking the
icon next to the event
in Member Control. If the token is enabled the user will be asked whether they would like to resolve the event when
clicking
; if the token is disabled they will receive an insufficient permissions message (see screenshots for
FOH_CAN_RESOLVE_EVENT above).

Please note, the user will also require the token FOH_CAN_RESOLVE_EVENT in order to resolve the event.
2.10. FOH_CAN_RESOLVE_PHOTO_REQUIRED_EVENT
This token controls the users ability to resolve the Photo Required by clicking the
icon next to the event in Member
Control. If the token is enabled the user will be asked whether they would like to resolve the event when clicking
the token is disabled they will receive an insufficient permissions message (see screenshots for
FOH_CAN_RESOLVE_EVENT above).

2.11. FOH_CAN_SEND_CLUB_MESSAGE
This token controls the users ability to send messages at club level, through Messages >> New Message >>

2.19. FOH_CONTACT_GROUP_ADD_MEMBER
This token controls the users ability to add contacts to an existing group, through Member Info >> Groups >> Contact
Groups >> Add to Group. If the token is enabled the user will be able to add a member to a Contact Group without being
prompted to enter their credentials. If the token is disabled for the active user they will be promoted to enter credentials
when clicking Create Group; another user with the token enabled can use their credentials to authorise the change. If the
active user enters their credentials they will receive an Authentication failed message.

This token controls the users ability to create a contact group, through Member Info >> Groups >> Contact Groups >>
Create Group. If the token is enabled the user will be able to create a Contact Group without being prompted to enter
their credentials. If the token is disabled for the active user they will be promoted to enter credentials when clicking
Create Group; another user with the token enabled can use their credentials to authorise the change. If the active user
enters their credentials they will receive an Authentication failed message.

2.21. FOH_CONTACT_GROUP_REMOVE_MEMBER
This token controls the users ability to remove a member from a contact group, through Member Info >> Groups >>
Contact Groups >> Remove from Group. If the token is enabled the user will be able to remove the contact without being
when clicking Remove from Group; another user with the token enabled can use their credentials to authorise the
change. If the active user enters their credentials they will receive an Authentication failed message.

2.22. FOH_MUST_RAISE_INVOICE_AS_PENDING
This token controls whether invoices raised by the user are in a Pending or Unpaid state. If the token is enabled the
Pending flag will be ticked when the user raises an invoice, if the token is disabled the flag will not be ticked. Note that
this token is overridden by FOH_CAN_RAISE_INVOICE_AS_PENDING.

2.23. FOH_PAYMENTCARD_REGISTER
This token controls the users ability to access the Register Payment Card button, under Options. If this token is disabled
the user will receive an insufficient permissions error message when clicking Register Payment Card.

2.24. FOH_RUN
This token controls the users ability to run the Front of House application. If the token is enabled the user will be able to
open the Front of House application by clicking the icon on their desktop. If the token is disabled the user will receive an
insufficient permissions error message when attempting to open the Front of House application.

3. IG_ SECURITY TOKENS

3.1.
IG_MEMBER_ADD
This token controls the users ability to add a member to an Interest Group, through Member Info >> Member Interest
Groups >> Add. If the token is enabled the user will be able to add a member to an Interest Group without being
when clicking Add. Another user with the token enabled can use their credentials to authorise the change; if the active
user enters their credentials they will receive an Authentication failed message.

4. POS_ SECURITY TOKENS

4.1.
POS_BANK_BIGBAG_AMEND
This token controls the users ability to edit/seal an existing Big Bag, under Cash Management >> Big Bag Management >>
highlighting the appropriate Big Bag >> Next >> make any appropriate changes >> Next >> Finish. The user will be
prompted to enter their credentials when clicking Finish. If the token is enabled for the active user they can use their own
credentials; if the token is disabled another user with the token can use their credentials to authorise the amendments.
4.2.
POS_BANK_BIGBAG_CREATE
This token controls the users ability to create a new Big Bag, under Cash Management >> Big Bag Management >> Create
New Big Bag. The user will be prompted to enter their credentials when clicking Create New Big Bag. If the token is
enabled for the active user they can use their own credentials; if the token is disabled another user with the token can
use their credentials to authorise the creation of a new Big Bag.

4.3.
POS_BANK_BIGBAG_UNSEAL
This token controls the users ability to unseal an existing Big Bag, under Cash Management >> Big Bag Management >>
highlight the sealed Big Bag >> Break Big Bag Seal. The user will be prompted to enter their credentials when clicking
Break Big Bag Seal. If the token is enabled for the active user they can use their own credentials; if the token is disabled
another user with the token can use their credentials to authorise unsealing the Big Bag.
4.4.
POS_BANK_OFFSITE
This token controls the users ability to complete the banking process, through Cash Management >> Banking Wizard >>
Next >> selecting the appropriate sealed bag(s) >> Next >> Finish. The user will be prompted to enter their credentials
when clicking Finish. If the token is enabled for the active user they can use their own credentials; if the token is disabled
another user with the token can use their credentials to authorise completing the banking process.

4.5.
POS_CAN_DELETE_TRANSITEM
This token controls the users ability to remove items from the basket by highlighting the appropriate item in the basket
and clicking Remove From Basket. If the token is enabled for the active user they will be able to remove the item without
being prompted to enter their credentials; if the token is disabled a prompt will appear, and another user with the token
can use their credentials to authorise removing the item from the basket.

4.6.
POS_CAN_REFUND_TRANSITEM
This token controls the users ability to refund POS items, under Options >> Refund. The user will be prompted to enter
their credentials when clicking Refund. If the token is enabled for the active user they can use their own credentials; if the
token is disabled another user with the token can use their credentials to authorise the refund.
4.7.
POS_CAN_VOID_TRANSITEM
This token controls the users ability to void a transaction, under Options >> Clear. The user will be prompted to enter
their credentials when clicking Clear. If the token is enabled for the active user they can use their own credentials; if the
token is disabled another user with the token can use their credentials to authorise voiding the transaction.

This token controls the users ability to enter a price for an open price inventory item. Please note that Open Price
Authentication Required will need to be enabled in Control Panel >> Global/Group/Club Settings >> FOH tab.
If the token is enabled for the active user they will be able to select an open price inventory item and access the Specify
Price window without being prompted to enter their credentials; if the token is disabled a prompt will appear, and
another user with the token can use their credentials to authorise access to the Specify Price window.
4.9.
POS_OVERRIDEMAXVARIANCE
This token controls the users ability to override the Maximum Variance Exceeded warning, which can occur when a user
cashes up a shift and exceeds the maximum variance configured against the workstation in Control Panel. If the token is
enabled for the active user they will be able to click Accept Variance and proceed without being prompted to enter their
credentials; if the token is disabled a prompt will appear, and another user with the token can use their credentials to
authorise accepting the variance.

This token controls the users ability to access the Create Shift option. If the token is disabled the user will receive an

This token controls the users ability to access the Add Stock button under Options. If the token is enabled for the active
user they will be able to click Add Stock and proceed without being prompted to enter their credentials; if the token is
disabled a prompt will appear, and another user with the token can use their credentials to authorise adding stock.

4.18. POS_STOCK_REFUNDRESTOCK
This token controls the users ability to authorise restocking items which are being refunded. If the token is enabled the
user will be able to select Yes when given the Restock message (this will appear when refunding a stock controlled item).
If the token is disabled a prompt will appear, and another user with the token can use their credentials to authorise
adding stock.

appear, and another user with the token can use their credentials to authorise the change.

4.25. POS_VERIFYLIFT
This token controls the users ability to authenticate the cash up of a shift after it has been closed and reconciled. The
user will be prompted to enter their credentials when clicking Authenticate. If the token is enabled for the active user
they can use their own credentials; if the token is disabled another user with the token can use their credentials to
authorise the amendments.
