Minimums
(a) Historical Restaurant Sales
a. Compared date or previous years sales based on where this date falls in
the calendar (example- guests wants January 4 th, 2014 that is the first
Saturday of January. Look back at previous First Saturdays in January
from 2013, 2012, and 2011)
(b) Historical Private Dining Sales
a. Indicated on the f&b sales calendar in red- look at how much came out of
private dining
(c) Whats going on in the area
a. Check the Outlook Calendar to see what conventions are happening in the
area the BCEC and Seaport Conventions often bring a lot of business to
us making these dates more competitive = higher f&b minimums
(d) Holidays
a. Quoting for the month of December is different than other months
b. Some holidays impact f&b minimums: NYE, Valentines Day Weekend,
Thanksgiving
(e) Size of the Party
a. A balance when quoting food and beverage minimums the balance
between a minimum that is profitable for us, but wont seem ridiculously
high or low to the guest (sometimes this is unavoidable so there are
suggestions that can be made to encourage the guest to book)
i. Small party needs private space- suggest menu enhancements,
give examples of previous parties like this that had Champagne
Welcome Drinks or a personalized menu from the Chef with menu
enhancements- let the guest know we want them to get the most
out of what theyre paying for so we will work with them as well as
our Chef and Sommelier to ensure that this happens)
ii. Encourage the guest to expand their party size which lowers the
price per person- Often with social events the booking contact
might not have thought of inviting more friends or encourage
friends to bring their spouse
iii. You dont want to quote a minimum thats too low either because
the guest will be surprised at the final bill.
iv. Providing a breakdown of how the guest will meet the minimum: On
average beverage spend is ~$35pp and food for a reception is
~$65-$100pp and dinner is $75-$120pp.
(f) Repeat Party
a. Check in CE to see what they previously did for an event and the
minimum they were quoted
(g) Look in the CE Calendar
a. If youre trying to get a better ballpark sense of a minimum for a particular
day, look at other days that month (ex- Saturday January 4 th- look at other
Saturdays) to see what the quotes are. Even though quotes need to fall in
line with historical sales, this gives a better sense of what the rest of the
team is quoting
