COMPANY PROFILE

This chapter presents the History of the Company, Geographical Jurisdiction,


,Nature of the Company, The CORE VALUES of the Company, Critical Business
Management, Strategic Concert to IT use, Duties and Responsibilities, The
Organizational Chart of the Company , Scope and Delimitation.

History of the Company

Skin Sciences Laboratory Inc., was founded in 1979 by Dr. Vermen M.


Verallo-Rowell, M.D. and Glendon Rowell, Ph.D. as a manufacturing company to
make skin care, cosmetics and selected dermatological pharmaceuticals.
The company was started from a small clinic of Dr. VMV in Yage Makati
City where she used for patient consultation. Due to the demand of her own
creation of skincare health products, she expanded the business by establishing
a manufacturing plant which continuously grows now a day. From a small house,
the company move from Makati to Central Business Park in Manggahan, Pasig
City.
In 2006, Dr. VMV handover the business to her daughter Laura Verallo de
Bertoto who stands the CEO of VMV group company. She began to change the
model of the business by establishing new set of goals and new manufacturing
management. She enhanced the product marketing and move on a large scale of

selling and tolling. This is where the company started to reach its full potential as
a manufacturing firm.
Today, SSLI is one of the most reliable cosmetic manufacturers in the
country receiving valuable awards here and abroad. With over 70 employees,
direct and outsources and 45 selling boutiques across the country.

Nature of the Company

Skin Sciences Laboratory Inc. is a manufacturing company of Skin Care


products, cosmetics and dermatological pharmaceuticals. It has the first
formulation patented; service beyond manufacturing includes research and
development, filling + packing of cosmetics, conceptualization, design, and
testing. Clients included the VMV HYPOALLERGENICS (which is the brand
name of the company), Sanofi-Aventis, United Laboratories, Splash Corporation,
Natasha, Discovery Group of Hotels, Schering Plough and Leo Pharmaceutical
(for clinical studies), to name a few. It has the largest personal care and
pharmaceutical organizations as well as niche companies.

The company has no mission and vision, thus they have the CORE
VALUES which resembles the image of the business. The company follows the
US model of modern management.

The CORE VALUES of the Company

Critical Business Management

General Problem

The Warehouseman is the one who is handling the inventory of supply


material. Every now and then, whenever in need for the inventory of one item,
the Warehouseman must go through the stock room to look for the item and
physically count the item one by one. During inventory counts, over looked
errors cannot be avoid by the Warehouseman. There are times that the officer
gets error in manual updating. One scenario is that, instead of the quantity
supposed to be lessening into the stock on hand, it was added on it. Another
thing is wrong inputs involved because miscomputation in adding of stock or

computing the stock being out from the inventory cause by manual computation
according to the TAP officer. There are times that the stock record is not tally in
the actual item stored in the stock room. Because of these occurrences, there is
a high rate that the data in the inventory is inaccurate.
Thus upon receiving deliveries from the suppliers, the process is manually
encoded to the computer excel file. The Supply Chain Associate find difficulties in
handling the deliveries stocks file, sometimes overlook the same stock item and
quantity that overdue for processing.
And lastly, the Training Admin and Personnel Jr. Officer has only an excel
file for the record of their employee. Thus finding the record makes them difficult
since there is no computerized system intended for the information of their
employee.

Skin Sciences Laboratory Inc. is using a manual inventory system in


monitoring of supplies needed by their company.
In this company, the Training Admin and Personnel (TAP) officer handles
the employee record. They use the manual recording of their employee which an
Excel file was kept on a computer server. Once an employee was hired, they
encoded the information and basic requirement on the excel file and generate a
hardcopy for 201 filling.
Thus, upon receiving of the item goods from the supplier, the
Warehouseman shall receive the actual item and call for Quality Assurance to
inspect the incoming delivery. Then after it, they will hand over the delivery
receipt to the Supply Chain Associate to record it on a excel file and process the
delivery for payment.
The Warehouse Man does the physical counting of their supply material to
know the exact value of their inventory. They go to the stock room where the
supply materials stored and count all the supplies one by one and
record the data gathered on a spread sheet. Checking of the supply material if it
is in good condition is being considered as the physical counts takes placed.
After getting the data gathered from the physical count, the record will now place
in a folder and forward it to the Supply Chain Associate.
By the time where the supply material is need to be out from the inventory,
the Warehouse man goes again to the stock room, bringing the inventory list and
manually calculate the supply being deducted from the supply material and
record it, in order to update the inventory. If the Supply Chain Associate noticed

that the supply material has low quantity or zero availability, it is the time where
the supply material will place the order for replenishment.

Duties and Responsibilities of the Employee

CEO the owner of the company.CEO acts as a direct liaison between the Board and
management of the Company and communicates to the Board on behalf of
management.
Managing Director, PLANT - the one that manage the manufacturing firm and has the
highest position in the PLANT.
Training Admin and Personnel Jr. Officer- the one that is responsible for managing
and monitoring PLANT polices and human resource recruitment and employment.
Assistant Production Manager the one that manage the production department as
well as the warehouse department. Direct reporting to the Managing Director, leads the
meeting for production and materials, the highest position in production.
Supply Chain Supervisor the one that responsible for managing the supply needed
by the PLANT including Packaging and Raw Materials. Manage both warehouse and
monitor the inventory level, the highest position in warehouse.
Packaging Materials Supervisor the one that supervise the movement of the supply
from the packaging material warehouse. Procure and purchase order from the supplier
for stock replenishment. Also the direct superior of the warehouse man.
Supply Chain Associate the one that make orders from the supplier, records the
receiving transaction and makes the Purchase order to the supplier. Also responsible for
forwarding delivery receipt to accounting for payments.

Production Jr. Officer the one that is in-charge in the production proper. Monitors the
output and handles the Production Team leader and staffs.
R & D Assistant Supervisor the highest position in the Research and Development
.The direct superior that manage the new development on the market.
Research and Development Jr. Officer - the one that is responsible for developing
new products and discoveries of new item as well as innovation of the existing goods.
Quality Assurance/ Control Supervisor - the highest position in the QC department
which manages and monitors the QA and QC staff.
Quality Assurance/ Control - The one that is responsible for assuring the products/
items that is produced or received from the supplier. The primary function is to assure
that the product being produce is in high and good quality.
Production Team Leader the one that is responsible for managing the production
proper base on the schedule that is being produce.
Production Staff the one that is responsible for producing the product in terms of
compounding, filling, molding, and packing assembly.
Warehouseman the one that is responsible for receiving deliveries from the supplier
and the one that dispense the packaging material as well as the raw material need by
the production.

The primary objective of this proposed system is to create a computer


based system that is secure, reliable and manageable. In order to access the
features of the system, a user should have to register first in order to have an
account username and password that is required in logging into the system. The
system is intended for use of the Skin Sciences Laboratory, Inc. employees and
administrators for the purpose of viewing, processing, storing and managing
employee informations, receiving transactions and packaging warehouse
inventory stocks.

Delimitation
The proposed system is only for the company used. The system can only
process off line. The Information system can only manipulate by the TAP officer.
Any employee from the HR can be authorized by the TAP officer. The Receiving
system can be only process by the Sourcing associate since they are the one
who handle the transaction. Lastly the Inventory system is managed by the
warehouseman. Each user will be given a secure username and password that
they may use. Any wrong inputs and transaction during the process is out reach
by the system. Thus user will intend for proper training before handling the
system.
