Guidelines for Report Writing
Final Year Project

In fulfilment of the requirements for a graduate degree:

FORMAT GUIDELINES OF THE REPORT


Format refers to the overall appearance of the report. Its structure must contain the
following features to maintain the INTEGRITY and facilitate the reading of the text:
1. Text must be typed on single sided paper only using a font size of twelve (12) points of
Times-Roman typeface.
2. Font:
12 pt size; tables, figures, and appendices may be smaller font, if viewable
Standard proportional fonts, such as Times New Roman or Arial
Same font used throughout thesis text (tables and figures may differ)
Font style: Regular
Heading font size: 14 pt
Subheading font size: 12 pt
3. Format refers to the Margins:
Set margins for the text according to the following specified distance from the edge of the
paper:
Top margin: 30 mm

Bottom Margin: 25 mm

Right margin: 25 mm

Left margin: 38 mm (to allow for binding)

3.1. Page Numbering:


Page numbers should be placed at the top right corner of the page.
Number the pages consecutively with Arabic numerals (1, 2, 3, ) in the text.
Use lower case Roman numerals ( i, ii, iii, refer APPENDIX A for guideline) for the
preliminary pages (beginning with the Title Page and ending at
Nomenclature/Abbreviations and Terminology).
Page number should NOT BE SHOWN on the first page of the preliminary (Title
Page) and the first page of each chapter ( e.g. Chapter I ).
NOTE THAT : ALL TITLES except title of the report, references and appendices MUST
BE TYPED 50 MM FROM THE TOP EDGE OF THE PAPER.

3.2. Spacing and Typing:


The report must be typed DOUBLE SPACING on quality A4, 80gm papers.
Single spacing is permitted for Declaration, Dedication, Acknowledgments,
Abstract, Table of Contents, List of Tables and Illustrations, Footnotes and
References.

3.3. Paragraphing
No indentation is necessary when starting a new paragraph.
Separation of paragraphs is effected through 1 line (double) spacing.

4. ORDER OF SECTIONS OF THE REPORT:


The contents of the report are ordered according to the following sections:

DEDICATION (OPTIONAL)
ACKNOWLEDGEMENT
ABSTRACT
TABLE OF CONTENTS
LIST OF TABLES
LIST OF FIGURES

REFERENCES
APPENDICES
4. Front Page - Cover page
This page must contain department name, project title, student name and year
submitted.

Page vi - Abstract
It should not be more than one page and the this page contains the
synopsis of the report. Its length is normally between 150 and 250 words
and it must contain the following information:
1. The aims and objectives of the research project
2. Research methodology such as methods, techniques and their
application
3. New findings such as improved solutions, invention, new
theory, interpretation or accurate reevaluation of old ideas or
concepts Somebody unfamiliar with your project should have a
good idea of what it's about having read the abstract alone
and will know whether it will be of interest to them.

6. Table and Figures:
- All table and figures need to be numbered according to chapters.
For example, the second table in chapter one should be numbered as
Table 1.2.and so on for the figures.
- Must fit within the margins of a project
6.1. Format for figures:
- The title of the figure is placed below the figure using a font size of
(12pt) size and also it must to be of good quality.
