For Hotels, it is designed and developed to help hotels work in a smart manner. It is a
comprehensive software system consisting of integrated modules for various fields of hotel
management. It includes Reservation, Front Office, housekeeping, and basic details of hotel. It
is an ideal software solution for Hospitality Industry that can be used at hotels, motels, inns,
resorts, lodges, hostels, guest houses, suites etc.
PURPOSE:
This project will provide the management of hotel and its operation with an easy-to-use tool for
guest reservations, guest information, and payments part etc with the help of computerization.
The primary focus of this software is the reservation and the room management. Customers will
be given a way of creating reservations through our software.
There many drawbacks of manual system like they are not accurate and reliable; it is difficult to
manage large number of registers etc. These drawbacks can be removed by providing quicker
and up-to-date information in online manner, better file management, reduce dependency on
manually prepared documents, provides a user-friendly system so that even a non-technical
person can operate, only authorized person must be given an access to data etc.
SCOPE:
Today, a vast number of hotels are still using manual working system for the reservation and
other management works. This system of working makes the task very bulky, inefficient, and
time consuming and unsecured. Thus, to maintain the hotel management system efficiently, user
friendly and highly secured, this software has been developed. This finds vast applications in all
small to medium scale hotels to maintain the customer records.

COMMUNICATION INTERFACE:
The client and server communicate through TCP/IP (Transfer Control protocol / Internet
Protocol).
The Tcp/Ip protocol architecture is a result of protocol research and development conducted on
the experimental packet-switched network,ARPANET,funded bybthe defense advanced research
projects agency (DARPA),and is generally referred to as the Tcp/Ip protocol suite .This protocol
suite consists of a large collection of protocols that have been issued as internet standards by the
internet architecture board(IAB).
In general terms,communications can be said to involve three agents:applications,computers
and networks.examples of applications include file transfer and electronic mail.the applications
that we are concerned with here are distributed applications that involve the exchange of data
between two computer systems.these applications,and others,execute on computers that can often
suuport multiple simultaneous applications.computers are connected to netwotks,and the data to
be exchanged are transferred by the network from one computer to another.thus, the transfer of
data from one application to another involves first getting the data to the computer in which the
application resides and then getting the data to the intended application within the computer.
PRODUCT FUNCTION:
reservation of room. All the details are registered and further processing is done.
The hotel management system has to maintain complete room details and services to
attract more customers.
USER CHARACTERISTIC:
The users of any system are the persons who are going to use that software. The software
must have something in itself, which makes the users of it to shift from their existing system
to the newly developed system environment.
CONSTRAINTS:
1GUI (Graphical User Interface) should be in English.
2Server should be one.
3Login facility should be there.
USECASE DIAGRAM:
This involves the management of small and medium sized hotel properties. It will allow
check-ins, check-outs, and reservations, retrieval of guest information/history, simple billing,
and accounting. User types are: Manager and Guest. A user accesses the system by entering
his/her user name and password which were previously defined by the hotel owner/manager.
The manager uses the system through a Graphical User Interface (GUI). The Manager has a
personal user name and password to access the system. He uses all features of the system.
The guest provides information to the manager and does not use the system.
MODULE SPECIFICATION:
The module used in our project is “DATA BASE”. The front end of the application of this
module is Visual Basic and the back end is in MS Access. The connectivity used will be
ADODB which reduces the database connectivity and also makes the connectivity simple.
