INTRODUCTION

TIME MANAGEMENT
Time management is the act or process of planning and exercising conscious control over the amount of time spent on specific activities, especially to increase efficiency or productivity. Time management may be aided by a range of skills, tools, and techniques used to manage time when accomplishing specific tasks, projects and goals complying with a due date. This set encompasses a wide scope of activities, and these include planning, allocating, setting goals, delegation, analysis of time spent, monitoring, organizing, scheduling, and prioritizing. Initially, time management referred to just business or work activities, but eventually the term broadened to include personal activities as well. A time management system is a designed combination of processes, tools, techniques, and methods. Usually time management is a necessity in any project development as it determines the project completion time and scope.The thought of approaching death overwhelms us all. When we push Mondays through to Fridays, we are left with a feeling that our times rushing out. Even if we are overwhelmed at the tasks facing us, we get a rude shock. There arent enough hours in the day! If you too get that chill down your spine, knowing how to make most of your time will set you easy. These are challenging times for many who feel that they are busier than ever before or that there is too much to do and not enough time.If you are like most people looking for a time management solution, you may be struggling with one or more of these challenges: Feeling overwhelmed I feel overwhelmed by all the demands from my job, my boss, my family, and my personal life. I am constantly busy and cant seem to get a handle on all the things I have to get done. My lifestyle is very stressful." Wanting to be more productive I want to be more productive so I can accomplish more and get an edge. I want to be able to complete all that I have to do at work and still have time for a personal life. Feeling out of control I feel like my life is out of control. At work I seem to jump from one crisis to the next, and my projects run late. I am too busy to take care of the things that really matter to me, and I dont know when or how things are going to get better. Not having enough time I feel like I dont have enough time to do all the things I need to do, let alone what I want to do, but what can I do about it? Procrastination I am a big procrastinator. I know that I should spend my time working on more important things, but Im easily distracted with trivial matters. Because of my procrastination, I keep finding myself under time pressure, and the quality of my work is suffering. Feeling out of balance I know I am neglecting certain areas of my life, yet I don't seem to have enough time to devote to them.

Not feeling fulfilled I have accomplished many things and have a successful career, but I have this nagging feeling that something is missing. Why dont I feel fulfilled with all that I have accomplished? Not being able to achieve important goals I have always wanted to accomplish certain goals, but I never seem to have the time to get around to them. I am afraid that if things continue this way, I will never achieve my important goals and end up regretting it. Not making enough progress I feel like Im busy during the day, but when its time to head home, I realize that I havent really accomplished what I set out to do. Why am I not making any significant progress? If you identify with one or more of these challenges you are not alone. These are common ailments afflicting millions of people from all walks of life including working parents, students, managers, entrepreneurs, secretaries and executives. The reason they all struggle with these challenges is that time is the great equalizer: we all get the exact same amount of time as everyone else. Time is also unique in that you cant save it, store it, borrow it, or lend it. The one thing you can do with your time is change the way you use it. The good news is that not everyone is struggling with time challenges.There are highly productive people that have a good handle on all the things that they need to get done, know how to tackle big projects without feeling overwhelmed, have a sense of fulfillment and balance in their life, and are setting and achieving their most important goals..Let's start with a picture, which is always nice and polite. From Life Management to Personal Productivity to Time Management


The following picture gives an overview of our basic stance:

Life management
All people manage their life in one way or another. We have split life management in five areas: personal productivity, physical training, social relationships, financial management, and eating habits. The split above reflects our view, that we have a head (A), a body (B), and in addition to that, an environment (C) where we live in, and in which we influence. As we all know, we have to take care of our body. At its core, this is done by some kind of physical exercise, and by striving for balanced eating habits. If there isn't enough physical exercise, our body may suffer. If we eat wrongly for a prolonged period of time, our body may suffer. If we don't focus on these areas at least somewhat, we seldom do them right. Sooner or later our doctor will also verify this, as we develop our modern western lifestyle diseases. Then we have our environment. We interact with our surroundings via social interactions. This might mean meeting with friends, living everyday life with our partner, using Facebook, or chatting to our local store clerk while looking for the right credit card. Workplaces are also an important place to mingle with people. People who are too much alone often become unhappy. It is important to plan enough time with your friends. Sports often combine both physical exercise and socializing.

As our society is built today, money is important. This is why we need financial skills too. There exists a plethora of advisories and methods for that. Some are rip-offs, others could benefit you. Only the people in the know survive in the long run. Last but not least we have personal productivity, which is key for doing and achieving.

Personal productivity
We have discussed personal productivity in a separate post. To put it shortly, we define personal productivity as a set of skills. These skills are time management, learning, personal organization, mental control, creativity, and decision making. As we have a separate post on the subject, we leave personal productivity here, and go on to the beef. Here it comes, time management, give it to me baby!

Time Management Definition


So, whereas personal productivity is an important component of life management, time management is THE part of personal productivity that we are mostly interested in here at Timemanagement-solutions.com. The six skills of time management, according to our time management definition, are as follows: 1. Managing goals is important because if we don't know what we strive at, we are lost like elks in thick fog. Yes, we may still be doing all kind of things with our sleeves wrapped and sweat pears on our forehead, but if it is the wrong thing we are doing, we are not getting towards our true goals. In that case, we might as well lie on the couch chilling. Instantly when we define a goal, we know our direction. The doing then automatically starts to focus at the right direction. 2. Managing tasks is also needed, as we always end up with many goals and too many things to do. That is why we need a system for storing these tasks, and as a place to jot down our "AHAA! This is what I should do" moments. If we don't manage our tasks, we forget important things, and miss deadlines. 3. Prioritizing complements task management, because time is limited. Prioritizing means putting things in an order of importance, and taking this importance in consideration when making decisions. Many times your prioritizing is simple as you only need to look at deadlines. Other times you might need to ask for your bosses opinion (if you have one), or rely on your gut feeling. The bottom line is that prioritizing skills help in situations where we have several things we should start doing. It answers the questions: what is most important to me, and what should I do next? 4. Calendar utilization. As a platform for managing appointments, we all need a calendar. It may be in a classic paper form, your mobile phone, or your Outlook calendar (ideally the two latter are synchronized). The best solution for you is one you feel confident using. But don't think you can manage without one. You cannot. Trust me.

5. Managing procrastination. We all know the situations when we just can't bring ourselves to start something. This is called procrastination, and it is a complicated, yet very important subject. The reasons for procrastination are often rooted deeply in our souls, and some people have a stronger tendency toward it than others. That is why you actually know who these people are at your work. It is the ones that activate themselves just before important deadlines. The good news is that there exist methods for managing procrastination. The tips for beating procrastination are basic time management skills. Any good time manager should have these skills in their skill set, and use them when needed (I know I have to, sometimes). 6. Follow-up systems. Finally, we need some kind of follow-up systems for ensuring that things get finished. Many times, especially in work life, projects are started, and in the beginning they are also closely monitored. A little later, new projects are started. The old projects are forgotten. Most often, they are left undone, for good. With proper follow-up systems this can be avoided. At least the old projects should be closed, or be put on hold consciously. So, above we have the areas we feel are key for a proper time management definition. Now, let's look at some other views, and ways to exercise time management.

The important thing to remember when talking about time management techniques is that everyone develops their own favorites. There is no right or wrong system for managing time, and no single, one and only time management definition. One has to use what works for them.

GOALS OF TIME MANAGEMENT Time Management Goal # 1 - Gain a Sense of Control over Your timeEffective time management enables you to gain control over your time. The goal is not control for the sake of control, but in order to become more effective, reduce your stress, increase your self-esteem and gain a sense of inner peace.

Time Management Goal # 2 - Increase Your Productivity-Effective time

Time Management Goal # 3 - Achieve Your Goals-Effective time management

You cannot hope to achieve any level of success in your personal or professional life without devoting some of your valuable time and effort to your goals.

Time Management Goal # 4 - Find Fulfillment-People are beginning to realize


that achievement does not automatically lead to fulfillment. Effective time management can lead to fulfillment by helping you realize what is truly important, rewarding, and valuable in your life and making sure that you set your goals and priorities accordingly.

Time Management Goal # 5 - Find Balance-Effective time management enables


you to lead a more balanced life by helping you find the time and energy to devote to all the important areas of your life. Most people think of time management as a tool to save time, get organized, or get more things done. While time management does address each of these things, I like to think of time management as a tool for improving the quality of your life.

Levels of Time Management


Time management is a very broad subject that touches many different areas of your life, ranging from your daily activities to your long term goals. Rather than tackle it all at once, Ive found it useful to divide time management into nine levels.Each level presents a different view or perspective of time management and provides its own unique challenges and opportunities; each has its own set of best and worst practices and contributes to the time management goals in different ways.The various levels represent a different mindset or level of awareness about what we are doing, why we are doing it, and how we can make the best use of our time.These levels present a natural progression through the time management practices from the short-term tactical practices to the longer term strategic practices. The levels also serve as a roadmap for incorporating the best practices in a way that will give you the most benefit.

Action/Work Level-This is the level where the rubber meets the road, where you
actually do the work and get things done. The "work" could involve preparing a marketing report, developing a presentation, running an errand, doing research, writing a proposal or making a phone call. Time management at this level involves learning how to focus and concentrate on the task at hand so you can perform at a high level without getting easily sidetracked or distracted.This includes managing your energy levels throughout the day, focusing and concentrating on specific tasks, handling interruptions and meetings effectively, and overcoming procrastination. Getting stuck at this level without using the perspectives and insights from the higher levels is the single biggest cause of time management challenges and obstacles that people are facing today.

Task Management Level-This is the level where you decide what to do next.
People stuck in the Action/Work level spend very little time at this level; they usually jump from one thing to the next based only on what grabs their attention first and what they can remember off the top of their head. There is often very little consideration for what might be the best use of their time or what would be the best thing to work on next. Effective time management at this level involves making a conscious decision of what to do next based on a clear understanding of all the things you could be doing, what you are trying to accomplish and what is most important.Often, it involves deciding not to do something that is clamoring for your attention because something else is more important in the long term. This level helps you answer the question What is the best use of my time right now?

Project Management Level-This is the level where you manage all the projects
you are currently working on, as well as the ones you may be undertaking in the near future.At this level, a project is any result or outcome that you want to accomplish, whether it involves a single or multiple steps. This definition means that a lot of things that we normally would not consider "projects" may fall under this category. In my estimation, we all have between five and fifty active projects. Effective time management at this level requires identifying all these active projects and tracking them to completion.You need to set priorities and make important decisions about which of your projects really deserve your time and energy and which ones should be abandoned. Planning at this level allows you to make better choices at the task management level because it helps you understand all the different things you are working on and their importance and urgency.

Teamwork Level-At this level you stop seeing yourself as just an individual and
you start seeing yourself as part of one or more teams.I use the word team here rather loosely because I am not just referring to teams related to work or sports. What I mean by a team is any group of people bound together by a common goal or purpose.By this definition your family, your church, your neighborhood or the group where you volunteer could all be considered one of your teams. Effective time management at this level requires us to stop looking at just what we do individually and to start looking at what we do together as a group.It involves areas such as effective delegation, communication, teamwork, relationships, managing others, synergy, and teambuilding. If you are responsible for leading or managing a group, it is the collective work and results generated by your team that are truly important; while increasing your individual performance and contributions is valuable, your ability to lead your team to exceptional performance is even more important.

Systems and Processes Level- Unless you come from a manufacturing or


engineering background, this level may be new to you. This level deals with all the systems and processes that you and your teams use to produce results. Effective time management at this level can provide huge productivity gains for yourself, your teams, and your organization as you improve and enhance the systems and processes you use to do your work.This level ties all the other ones together working as a harmonious whole and allows you to accomplish more by working less.

Strategic Planning Level-At this level you start thinking more strategically than
tactically; looking at the big picture over the long term rather than the short term low-level details. Strategic planning involves the establishment of major goals and objectives, choosing appropriate strategies, and creating plans for their achievement. Management consultant Ben Tregoe said that The very worst use of your time is to do very efficiently what need not be done at all. Effective time management at this and the higher levels help you avoid falling into this common trap.

Result Areas/Responsibilities Level-This level involves all the different areas


in your life that you are either responsible for or in which you play an important role. This could be areas related to your work such as being in charge of a critical client project, being the lead of a team or a department manager, or being responsible for the establishment of a training program for new professionals; or it could be areas in your personal life such as being responsible for your finances and your health, being a good parent or spouse, or serving as a board member in your church. Effective time management at this level involves a clear understanding of all the areas that you are responsible for and all the important roles that you play..For each of these, you need to identify the results that you want to achieve and to make sure you are setting your goals and priorities to achieve them. All these activities lead to long term balance and fulfillment in your life.

Enlightened Leadership Level-There is a clear distinction between


management and leadership. Management is about doing things the right way, while leadership is about doing the right things.

All of the previous levels have mostly dealt with the management aspect of time, but at this level you start seeing yourself as the true leader of your life; in the end, you are the one that decides what is truly important, what really matters, and where your life should be headed. If you dont choose for yourself, others will choose for you. Effective time management at this level requires you to establish priorities and a direction for your life based on what matters most to you. It also means understanding when there is a problem and making the appropriate changes to correct it, as well as assuring that you consistently follow through on your chosen direction at all the other levels. On a different note, this level also involves being a good leader for all the various teams in your life.

Dreams and Vision Level-This level is where you start asking and answering the
tough questions: What is the mission of my company? Why am I here? What should I do with my life? Each of these questions has a profound impact on all the other levels because it matters little how well your projects are managed or how well your goals, strategies, and plans are laid out, if in the end they are all leading you in the wrong direction. Effective time management at this level involves finding your own answers to these important questions by identifying and connecting to your true self, recognizing your true purpose and passion, discovering your mission and dreams and establishing a vision for your personal and professional life. As you can see, these levels provide a natural division of time management into more manageable parts. Using these levels as guides you can begin to create a plan for incorporating the best practices into your daily life starting with the levels that will give you the most benefit.

Effective time management benefits


Skills show you how to utilize your time and get a list of things done in a scheduled time frame. People who are able to accomplish all tasks on a list in the given time, they are known to have good time management techniques. So, how to develop good time management skills so that your hours are not wasted and you are ahead of the feeling of failure! Weaker time management means more worry and more tasks on your back. You can see the problems it would cause if you lack those skills. It could impact your job if you fail to realize goals. There are emotional impacts when we have the feeling of failure, and that we have wasted away a day when we could have been doing something else. Good time management skills start with a planner. It keeps heed of your everyday activities. Before you start planning in a day to day planner you have to examine the things you are doing to waste time, and eliminate them. Realistic goals are easy to achieve if you know a project is going to take you 20 minutes, dont write 15 minutes down. Employers value people with better time management skills. A squanderer of time is profitable to the workplace, and the boss is not likely to be happy with that outcome. People with poor time management skills are usually deemed lazy and unproductive. Its hard to hold fast to a job with those qualities on your resume. Dont you long for a better life, productive and more rewarding! Consider adopting good time management techniques to reap more time and downsize clutter. Make sure you first start with a goal in your mind and then set off materializing them. This is called procrastination, and it is a complicated, yet very important subject. The reasons for procrastination are often rooted deeply in our souls, and some people have a stronger tendency toward it than others. That is why you actually know who these people are at your work. It is the ones that activate themselves just before important deadlines. The good news is that there exist methods for managing procrastination. The tips for beating procrastination are basic time management skills. Any good time manager should have these skills in their skill set, and use them when needed (I know I have to, sometimes). 6. Follow-up systems. Finally, we need some kind of follow-up systems for ensuring that things get finished. Many times, especially in work life, projects are started, and in the beginning they are also closely monitored. A little later, new projects are started. The old projects are forgotten. Most often, they are left undone, for good. With proper follow-up systems this can be avoided. At least the old projects should be closed, or be put on hold consciously. So, above we have the areas we feel are key for a proper time management definition. Now, let's look at some other views, and ways to exercise time management.

You cannot hope to achieve any level of success in your personal or professional life without devoting some of your valuable time and effort to your goals.

Time Management Goal # 4 - Find Fulfillment-People are beginning to realize


that achievement does not automatically lead to fulfillment. Effective time management can lead to fulfillment by helping you realize what is truly important, rewarding, and valuable in your life and making sure that you set your goals and priorities accordingly.

Time Management Goal # 5 - Find Balance-Effective time management enables


you to lead a more balanced life by helping you find the time and energy to devote to all the important areas of your life. Most people think of time management as a tool to save time, get organized, or get more things done. While time management does address each of these things, I like to think of time management as a tool for improving the quality of your life.

Levels of Time Management


Time management is a very broad subject that touches many different areas of your life, ranging from your daily activities to your long term goals. Rather than tackle it all at once, Ive found it useful to divide time management into nine levels.Each level presents a different view or perspective of time management and provides its own unique challenges and opportunities; each has its own set of best and worst practices and contributes to the time management goals in different ways.The various levels represent a different mindset or level of awareness about what we are doing, why we are doing it, and how we can make the best use of our time.These levels present a natural progression through the time management practices from the short-term tactical practices to the longer term strategic practices. The levels also serve as a roadmap for incorporating the best practices in a way that will give you the most benefit.

Action/Work Level-This is the level where the rubber meets the road, where you
actually do the work and get things done. The "work" could involve preparing a marketing report, developing a presentation, running an errand, doing research, writing a proposal or making a phone call. Time management at this level involves learning how to focus and concentrate on the task at hand so you can perform at a high level without getting easily sidetracked or distracted.This includes managing your energy levels throughout the day, focusing and concentrating on specific tasks, handling interruptions and meetings effectively, and overcoming procrastination. Getting stuck at this level without using the perspectives and insights from the higher levels is the single biggest cause of time management challenges and obstacles that people are facing today.

Task Management Level-This is the level where you decide what to do next.
People stuck in the Action/Work level spend very little time at this level; they usually jump from one thing to the next based only on what grabs their attention first and what they can remember off the top of their head. There is often very little consideration for what might be the best use of their time or what would be the best thing to work on next. Effective time management at this level involves making a conscious decision of what to do next based on a clear understanding of all the things you could be doing, what you are trying to accomplish and what is most important.Often, it involves deciding not to do something that is clamoring for your attention because something else is more important in the long term. This level helps you answer the question What is the best use of my time right now?

Project Management Level-This is the level where you manage all the projects
you are currently working on, as well as the ones you may be undertaking in the near future.At this level, a project is any result or outcome that you want to accomplish, whether it involves a single or multiple steps. This definition means that a lot of things that we normally would not consider "projects" may fall under this category. In my estimation, we all have between five and fifty active projects. Effective time management at this level requires identifying all these active projects and tracking them to completion.You need to set priorities and make important decisions about which of your projects really deserve your time and energy and which ones should be abandoned. Planning at this level allows you to make better choices at the task management level because it helps you understand all the different things you are working on and their importance and urgency.

Teamwork Level-At this level you stop seeing yourself as just an individual and
you start seeing yourself as part of one or more teams.I use the word team here rather loosely because I am not just referring to teams related to work or sports. What I mean by a team is any group of people bound together by a common goal or purpose.By this definition your family, your church, your neighborhood or the group where you volunteer could all be considered one of your teams. Effective time management at this level requires us to stop looking at just what we do individually and to start looking at what we do together as a group.It involves areas such as effective delegation, communication, teamwork, relationships, managing others, synergy, and teambuilding. If you are responsible for leading or managing a group, it is the collective work and results generated by your team that are truly important; while increasing your individual performance and contributions is valuable, your ability to lead your team to exceptional performance is even more important.

Systems and Processes Level- Unless you come from a manufacturing or


engineering background, this level may be new to you. This level deals with all the systems and processes that you and your teams use to produce results. Effective time management at this level can provide huge productivity gains for yourself, your teams, and your organization as you improve and enhance the systems and processes you use to do your work.This level ties all the other ones together working as a harmonious whole and allows you to accomplish more by working less.

Strategic Planning Level-At this level you start thinking more strategically than
tactically; looking at the big picture over the long term rather than the short term low-level details. Strategic planning involves the establishment of major goals and objectives, choosing appropriate strategies, and creating plans for their achievement. Management consultant Ben Tregoe said that The very worst use of your time is to do very efficiently what need not be done at all. Effective time management at this and the higher levels help you avoid falling into this common trap.

Result Areas/Responsibilities Level-This level involves all the different areas


in your life that you are either responsible for or in which you play an important role. This could be areas related to your work such as being in charge of a critical client project, being the lead of a team or a department manager, or being responsible for the establishment of a training program for new professionals; or it could be areas in your personal life such as being responsible for your finances and your health, being a good parent or spouse, or serving as a board member in your church. Effective time management at this level involves a clear understanding of all the areas that you are responsible for and all the important roles that you play..For each of these, you need to identify the results that you want to achieve and to make sure you are setting your goals and priorities to achieve them. All these activities lead to long term balance and fulfillment in your life.

Enlightened Leadership Level-There is a clear distinction between


management and leadership. Management is about doing things the right way, while leadership is about doing the right things.

All of the previous levels have mostly dealt with the management aspect of time, but at this level you start seeing yourself as the true leader of your life; in the end, you are the one that decides what is truly important, what really matters, and where your life should be headed. If you dont choose for yourself, others will choose for you. Effective time management at this level requires you to establish priorities and a direction for your life based on what matters most to you. It also means understanding when there is a problem and making the appropriate changes to correct it, as well as assuring that you consistently follow through on your chosen direction at all the other levels. On a different note, this level also involves being a good leader for all the various teams in your life.

Dreams and Vision Level-This level is where you start asking and answering the
tough questions: What is the mission of my company? Why am I here? What should I do with my life? Each of these questions has a profound impact on all the other levels because it matters little how well your projects are managed or how well your goals, strategies, and plans are laid out, if in the end they are all leading you in the wrong direction. Effective time management at this level involves finding your own answers to these important questions by identifying and connecting to your true self, recognizing your true purpose and passion, discovering your mission and dreams and establishing a vision for your personal and professional life. As you can see, these levels provide a natural division of time management into more manageable parts. Using these levels as guides you can begin to create a plan for incorporating the best practices into your daily life starting with the levels that will give you the most benefit.

Skills show you how to utilize your time and get a list of things done in a scheduled time frame. People who are able to accomplish all tasks on a list in the given time, they are known to have good time management techniques. So, how to develop good time management skills so that your hours are not wasted and you are ahead of the feeling of failure! Weaker time management means more worry and more tasks on your back. You can see the problems it would cause if you lack those skills. It could impact your job if you fail to realize goals. There are emotional impacts when we have the feeling of failure, and that we have wasted away a day when we could have been doing something else. Good time management skills start with a planner. It keeps heed of your everyday activities. Before you start planning in a day to day planner you have to examine the things you are doing to waste time, and eliminate them. Then only go to the next step. Stick to the golden rules of effective time management and good old common sense. Dont try to over-plan or achieve

something unrealistic. You shouldnt plan over 168 hours of your week. Make sure you eat and sleep well, and have time for other necessary activities. Realistic goals are easy to achieve if you know a project is going to take you 20 minutes, dont write 15 minutes down. Employers value people with better time management skills. A squanderer of time is profitable to the workplace, and the boss is not likely to be happy with that outcome. People with poor time management skills are usually deemed lazy and unproductive. Its hard to hold fast to a job with those qualities on your resume. Dont you long for a better life, productive and more rewarding! Consider adopting good time management techniques to reap more time and downsize clutter. Make sure you first start with a goal in your mind and then set off materializing them. Stick to your game plan you have designed for each day. Developing effective time management skills takes some time. Thats why you will need to organize your habits to discard the unproductive ones. When you use your time effectively, you will find yourself feeling less stress, and having more time to enjoy your life, your work, your dreams and desires.
