Mtima Woyera Catholic Parish MINUTES OF A JOINT MEETING BETWEEN EXECUTIVEAND TECHNICAL COMMITTEE OF 20TH JULY 2012 MEMBER

OPENING PRAYER The meeting starts as we start good thing with a prayer and was given by Mr Rajabu as the time striked 6:15 pm

OPENING REMARKS Mr Tembwe chaired the meeting , therefore in the first place he thanked each and every single person who attended the meeting and encouraged them to be vibrate to contribute views that will be add something to the church project

1. MATTERS ARISING FROM THE PREVIOUS MEETING It was so worthy to look into some of the assignment that was so far discussed on 15th July and observed that the following have been done

Mtima Woyera Catholic Parish 1. The list of items to be purchased has been obtained from the Contractor. 2. Measurement of the crane has been done and it noted that, the height of the crane is 3.7m while the passage proposed that the crane would been used is 3.5m. And the conclusion is that its not possible to use a crane. 3. Mr Ngoma and Mr matambo worked on Tuesday the 17th as proposed to find more mistakes previously made. Mr Ngoma reported that more work has not been done. 4. Mr Matambo identified his casual labours and worked on Tuesday and they were paid K 7, 000. The bad part was that one of the casual labour got injured and one of the parish watchman was asked to work on behalf of that injured person. 5. Mr Mpekamsambo was informed not to report for work.

2. MATTERS DISCUSED IN THE MEETING i. After Mr Dzeredzere confirmed that, the methodology of crane can not work. He propose that his next method is to use a pulley. Therefore the previous quotation of K 2, 500 000 needs to be revised. As more mistakes have been identified, the meeting with Mr Kajanga should be as quick as possible because this is a critical issue that needs an immediate reaction. It was agreed that there is no harm to forward a report to Mr Kajanga on what has been identified. Time frame to complete the work in progress is two to three weeks if resources are made available. In the meeting it was concluded that Mr Mpekasambo has been giving the parish executive false hopes on how the project has been managed. As it is difficult to tell Mr Mpekasambo to terminate the contract, therefore member agreed to communicate this issue with Mr Kajanga. The meeting that Mr Kajanga will schedule to meet with Mr Mpekasambo should also give a room for the parish executive, Technical team and parish team to be available Mr Ngoma was asked to talk to Mr Kajanga thing to do with how drills might be. Mr Chisenga the parish Chairperson suggested that the

Mtima Woyera Catholic Parish sloting of the drills were meant for the reason that there is need for smooth movement on trusses as already there is a crake. viii. Mr Tembwe suggested the need for costing purpose on the given item list to be purchased. Therefore Mr Chisenga accepted that responsibilities and promised member to collect quotation by 21st July.

3. ANY OTHER BUSINESS i. ii. iii. Mr Yona made a no turning point, so that Mr Kajanga must put pressure on Mr Mpekasambo and tell him frankly that he has failed the work. Mr Chisenga pointed out we should not do things by force but rather to make sure that the work is perfectly done. We should work hand in grove to move forward with the Church project, failure to do so, will pressurize the parish priest to do things that will not be good as a whole.

4. CLOSURE REMARKS Mr Chisenga the parish chairperson thanked Mr Tembwe for chairing the meeting and thanked every member for the free deliberation discussion and again for attending the meeting. The meeting was closed with a prayer and it was given by Mr Kuphunda at 7:32 pm. Next meeting will be as soon as possible.
