Blackberry Migration from Lotus Notes to Exchange/Outlook with a Backup and Restoration of Contacts

Prior to your Blackberry Migration to Exchange, you must have the following steps done: Your mail file must be setup on the Corp Exchange Mail Server. Your Outlook account must be enabled. Outlook must be setup and fully working on the PC you intend to use for the Desktop Manager application. You must be connected to your domain -- domain Your Lotus Notes address book should be backed up via the Desktop Manager. You must have the Blackberry USB cable with you to perform a successful Blackberry backup and if required to activate. The Blackberry migration to Outlook is a multi-step process and includes a wipe and reactivation of the handheld -- the applications can remain. All Lotus Notes Blackberry data and services MUST be removed in order for the Outlook data and services to function correctly. The Desktop Manager will need to be installed for a backup of the device and reinstalled after the move to Outlook.

The morning after your conversion, please perform the following steps below:

STEP 1 -- Install Outlook Desktop Manager for Backup of Device


1. Download the Desktop Manager at: http://us.blackberry.com/apps-software/desktop/ then click on PC or Mac. 2. Click on the Download Today button, and on the next page, click Download. 3. Save the file to your desktop or click Run 4. The file will extract itself and begin to run, on the first panel ensure English (United States) is selected, and click Ok 5. The next panel will say Welcome to the installation wizard, click Next. 6. Make sure the country says USA (English) and click Next. 7. Accept the License Agreement and click Next. 8. You can change location, or just click Next. 9. Check or uncheck Create a Shortcut 10. Click on Install.

STEP 2 -- Blackberry Data Backup


Before connecting your handheld to the computer, turn off Wireless Synchronization for Contacts on the handheld. Wireless sync must be off to allow the backup/restoral process to complete successfully. Open the contacts on the device, then click the Full Menu, then click Options and under Desktop, change the option for Wireless Sync from Yes to No. Save and then Exit. Repeat this process for the Calendar. 1. Attach your device to the PC via the cable. Click Start, then Programs, then Blackberry and then Desktop Manager. You will be prompted for your handheld password when the device is detected. 2. Click on Device\backup and choose full backup. 3. Choose the default file name and location (current date with .ipd extension. Example: Backup-(2010-03-15).ipd 4. It will then backup your device to the desired location. Make sure you note where the backup is located, so you can easily find it during the restoral. The program will tell you the Backup was Successful 5. Click Ok when prompted and the backup is complete. Then close out of the Desktop Manager.

STEP 3 -- Perform a Security Wipe on your Handheld (All Blackberry Models)


1. Depending on your Blackberry model , go to Options/security options/ security wipe or Options/Security/General Settings, then hit the BB Menu key and choose Wipe Handheld rd Select Emails, Contacts, etc only, do not wipe out 3 party applications. The handheld will then prompt you to enter blackberry to confirm handheld wipe. Type in blackberry and click the track wheel or the menu key. The handheld will state Erasing Information. Once the device has been erased, the Handheld will prompt you for a new handheld password and confirmation of the new password. The password must be six characters and the six earlier passwords cannot be reused. You may also get prompted that the application permissions on the device have become more restrictive - - just acknowledge and continue. You may also get prompted about SMS Messages, just "allow" and continue. Newer devices will then bring up the "Setup wizard", just close out of these prompts and continue with Step 6. Make sure that you turn your Handheld Wireless Radio on after the Security wipe. This may be located under Manage Connections on Mobile Network or from the front

display panel. The device wipe will default the Wireless Radio button to off. The Date/time will be set upon activation.

STEP 4 Restoring Contacts to Outlook


After you have performed the wipe of your device. You will need to restore the contacts from your backup copy.

1. Connect your blackberry to the desktop manager. At the top of desktop manager click on device and then go to device options. 2. From device options, select Enterprise Mail. In the Email System box select Microsoft Exchange Outlook Client for mail. 3. For Profile, click change to select your email address for Outlook: example tom.jones@xxmm.com, or Outlook if that is the only profile present. You can also add your signature block here as well. Click ok to get back to Desktop Manager. 4. In the Desktop Manager, select Device and then restore. Select your most recent backup file to restore. 5. Check the box that says Select Device Data and Settings. 6. Check the box that says Address Book All and then click restore. 7. After the restore, disconnect your blackberry and go into your Blackberry address book and set Wireless Synchronization back to Yes.

Before you activate your blackberry, make sure you have performed steps 1 through 4 in the migration document.

STEP 5- Is To Do An Enterprise Activation

Hello xxxxx, I have set you to do an Enterprise Activated you Over the Air. Please read the email carefully to determine where to find the enterprise activation feature. If you have a newer version of a blackberry, look under the setup icon, then go to email and then select enterprise activation. In the Email field, type email address@xxmm.com For an older blackberry device, . On your handheld, go to Options > Advanced Options > then Enterprise Activation. In the Email field, type email address@xxmm.com In the password field, type the letters zz. Then click the menu key and click "Activate". You will see the Activation process begin. It will inform you when service books begin to arrive and give you a percentage complete. Please allow the activation to complete. If, for some reason, the activation gets hung - remove the battery and start the process again.
