Q. Departments in a Newspaper Agency. A newspaper agency has many departments which contribute in the making of one complete newspaper which consists of reports, features, advertisements, opinion, etc. Every department have certain functions and role in the making of the newspaper. It cannot function without the division of work and labour. The departments are as follows: o Editorial department o Advertising department o Circulation department o Printing department o Marketing department o Accounting department o Administration department o Morge or Library Editorial department This department is headed by the Editor or Editor in chief He is assisted by the team of reporters, sub-editors, assistant editors, managing editors, residential editors, senior correspondents, photographers, cartoonists, feature writers, reviewers, etc. This department is responsible for the o Collection of News o Selection of News and Features o Editing News and Features o Interpretation of News There are on field and desk correspondents who report about the event. Though these days the ratio of news to advertising is 40:60, still this department contributes the major content of the newspaper. Its main goal is to report the news accurately and in a reader-friendly way. They are also responsible for handling the public views, opinions and editorials.

Advertising department It is headed by the Advertising Manager who is assisted by the artist, graphic designer, managers, etc. This department is very important source of collecting revenue for the agency. An advertising department for a newspaper is responsible for generating revenue for the business by selling advertising space to local or national organizations. To sell advertising space, the department carries out a number of functions, including accepting and processing orders from advertisers, creating advertisements, providing media information to advertisers and advertising agencies, helping businesses develop advertising plans and working with editorial teams to develop features that will attract advertisers. There are two types of advertising: o Display: A display advertisement is a written message, often accompanied by an illustration or photograph, which can be placed in any section of the newspaper. These are basically to attract the viewers attention, so, are generally very colourful and elaborate. o Classifieds: A classified ad refers to those advertisements that are separated into specific classifications and located in one or more sections of the newspaper. These are the need of the people, so, are very simple and in small fonts. The cost of the advertising depends upon the circulation of the newspaper, size of the ad, place of the ad, frequency, day of the ad, language of the newspaper, etc. If the circulation of the newspaper is above 50,000, the newspaper has ratio of 60:40 of advertisement and news and the cost of advertising is also high while it is wise a versa in the newspaper below the circulation of 50,000. Advertisement contributes up to 75% of the finance to the agency. Circulation department It is headed by the Circulation Manager who is assisted by the sales people, distribution team, etc. This department also collects revenue for the newspaper. The remaining 25% is contributed by this department of the organization. The main responsibilities of the circulation department are: o Selling the newspaper

o Delivering the newspaper o Collection from the subscribers They are also the department responsible for encouraging people to start or keep reading the publication. As circulation is the life blood of the newspaper, this department assumes to be of great importance. Printing department This department is concerned with the technical aspect of the newspaper: printing of the newspapers, its machinery, arrangements of the papers, etc. It looks after all the work of printing including installation of machines, plant layout, composing, processing, loading, scheduling, maintenance of machines etc. Administration department This department looks after the general administrative work pertaining to personnel their selection, training, promotion, allotment of work, maintaining leave record, liaison with government departments, general facilities and all such work that facilitates working of other departments. In the absence of a separate legal department the administrative department also handles the work pertaining to legal matters. Accounting department This department looks after all the accounting work like maintaining books of accounts, preparing balance sheet and other financial statements, payment, receipt, preparation of budget, financial planning, cost control etc. Morge /Library/ Stores department It is charged with the responsibility of proper storage of raw material (newsprint) and other materials used in the newspaper office. They are also responsible for keeping a record of the edition of all the competitive newspaper. Marketing/ Promotion / Research department At some newspapers, the marketing/research department is a big department, but at others it's a one man show or even a job responsibility of your ad director or general manager.

The marketing/research department works with the circulation and advertising departments to help them market their products better. At most publications, this is the department that was in charge of the market and readership surveys (more on these later). The information from these surveys will be very useful when making a case a customer that your publication reaches enough of the right people in the right places. This department is responsible for advertising about the newspaper through events, campaigns, sponsorships, concerts, etc. These work as the public relation department of the newspaper and develop the connection with the crowd and convince them to read and buy their newspaper. These are the main departments of a newspaper agency while some big dailies can have further sub-departments to distribute the work: data processing manager, computer supervisors, computer operator, key punch supervisor, programmer, systems analysts and control clerk. . The smooth functioning of all these departments, results in the formation of a complete newspaper on time.
