Mastek foundation is the CSR arm of Mastek Ltd.

Currently of the 3000 employees of Mastek Ltd, only 500 employees are actively a part of the activities of Mastek foundation. Problem Definition:The main reason we found was the lack of contact and lack of participation in the foundations activities by the employees. Thus we proposed a year round activity plan for Mastek foundation to undertake for the betterment of its employees as well as the society at large. Suggestions:During our first 2-3 days of internship we found that people wanted to donate for a social cause but the awareness level of Mastek foundation was low. It was necessary to increase the visibility of Mastek Foundation amongst the employee so that they can come forward to contribute for a good cause. Hence we suggest some activities which will be vital in increasing the visibility of Mastek Foundation. The Suggestions given are targeted to increase the visibility of Mastek Foundation by some activities. The activities are planned to increase the employee engagement in social activities and thus sensitize them with the ground reality of the social needs. This is very important to urge more and more employees to come forward and donate in Payroll Giving (PRG). Mastek Foundation has shortlisted 16 NGOs which they will support for the year 2012. The list of which is attached in the annexure. Mentioned below are the various activities suggested by us to increase the connect with the employees are as follows: 1. Birthday Greetings Mastek Ltd. has a norm of wishing its employees on their birthday by cards having a message from Mr. Ashank Desai, one of the founders of the organization who is also actively involved with the activities of Mastek foundation. So we proposed that instead we could have greeting cards prepared by the handicapped children supported by the NGO we have partnered with. In this way we could continue the birthday greetings to the

employees as well as support the handicapped children simultaneously. Also in the birthday greetings we could have a small message appealing to the employee to do something for the society on this special day of his/her life. 2. Forms and donation boxes available in each office Following the message in the birthday card and through various other communications from Mastek foundation, we believed that if any employee wants to donate for the good cause, we should be available within arms reach. So we proposed that in addition to having an option to donate on the mastek intranet website we should also have a standee describing the foundations activities in the reception area of each building of mastek ltd. along with the standee we should also have some forms of PRG (Pay Roll Giving) and a box to put them in at every reception area. This would make donating accessible to each and every employee and also if the employee wants to donate he would not have to search for a way to donate but can easily and readily donate in the reception area of his office. This would also increase the visibility and recall of Mastek foundation as each employee will see the standee and donation box on his way in and out of the office. 3. Volunteer visits every month While campaigning for the PRG programme, we found that many employees were skeptical about the usage of funds for the NGO concerned. So we felt that we should increase the transparency of the application of the funds as well as increase their involvement with the NGO activities by organizing a visit to the NGO. The NGOs partnered with by Mastek foundation are all located in and around the Mumbai and Navi Mumbai area. So it would be very helpful to organise visits of Mastek employees to the respective NGOs. We could organise a visit per month to the NGO, asking the interested employees to volunteer for the visit. In this way, the employees could see how their funds are being applied and at the same time be sensitized to the problems of the less fortunate people and see how a small donation from their side helps someone live a better life. So it would be a win win situation for both the NGOs as well as the employees as it would help a continuous evaluation of the NGOs activities in addition to the involvement and participation of the donors i.e. the employees.

4. Celebrations of international days round the year The NGOs shortlisted by Mastek foundation to be partnered with almost covered all the known causes ailing the society at large. Each NGO celebrated the day relevant to their cause to generate awareness among the society about the importance of supporting their cause. Thus Mastek foundation could actively partner with the NGOs to exhibit their cause at their offices during these days. For example, on the occasion of the world youth day, we could invite Yuva, an NGO associated with the problems and upliftment of the uneducated and unemployed youth of our countrys rural and tribal areas. In this way we could make the employees aware of the problems facing each of the cause supported by Mastek foundation and also give the NGOs a chance to show case their efforts to its target audience i.e. potential donors. 5. Organization of sports events Mastek foundation could organize sports events among its employees like cricket or football tournaments to bring its work force together and use these tournaments as a platform to promote its community development initiatives. Being an IT company the workforce is relatively young which would be interested in sports activities. It could also act as a potential fund raiser event wherein the entire workforce comes together irrespective of their positions and seniority. 6. Appreciation week Mastek ltd has an appreciation week wherein each employee and anonymously appreciate any other employee by giving a appreciation card. We looked at this activity as an opportunity to promote NGOs efforts and support the NGO financially too. We thought we could have cards made by the handicapped children trying to earn their living by such handicraft and other such activities. So we could have a stall having the NGO selling these appreciation cards to the employees. This would incur no extra cost to the employees as even now they do purchase the appreciation cards from professional card makers. But if the NGOs cards are sold it would be a huge advantage for the NGO to get financial support with dignity as well as showcasing its activities to its donors.

7. Wall papers and screen savers Each and every employee uses the computer in Mastek ltd. we could leverage this resource to increase the visibility and awareness of Mastek foundation activities. What we thought of was, we could design a wallpaper having the months calendar along with some photographs of the activities conducted by Mastek foundation in the preceding month. This would serve a double purpose of helping employees have the months calendar on their desktop as well as showcasing the activities of Mastek foundation like the volunteer visits to the NGO or the celebration of an international day supporting a cause. This would make Mastek foundations activities more visible and appreciated and looking at their peers photographs for volunteering to visit and help an NGO would encourage other employees to participate in the foundations activities. 8. Managements involvement We also proposed that the CMD in his quarterly address to all the employees about the companys progress and direction should include an appeal to all employees to participate and support the activities of Mastek foundation and do their bit towards the society. It would have a resounding effect on the employees knowing that their leaders also support community development activities. Also coming from the senior most person in the organization the employees would at least give it a thought to participate in the CSR activities of the organization.
