Payroll is the total amount of money paid by an Organization (Business) to its employees over a set amount of time. Payroll is the sum of all financial records of salaries, wages, bonuses and deductions. The administration of employees salaries, wages, bonuses, net pay, and deductions. Payroll is administered on the monthly basis and annual basis. The Payroll System is used to maintain a list of employees names, addresses and employment information and is used to interactively calculate and print Payroll Checks. Some employee may be paid a steady salary while others are paid for hours worked or the number of items produced. All of these different payment methods are calculated by a Payroll Specialist and the appropriate Pay Checks are issued. Companies often use objective measuring tools such as Timecards or Timesheets completed by Supervisor to determine the total amount of Compensation due each pay period. After a Payroll Accountant multiplies an employee s hours by his or her pay rates, the Gross Income Amount is entered into a calculator or computer program. Regular deduction such as tax with holdings, medical insurance, union dues, charitable contribution and so on are then categorized and subtracted. The remaining balance is then converted into pay checks or electronic deposit and become the employees net pay for that time period.

Project Objective
The purpose of this project is to put into practice what we have learnt so far in our software engineering class. We spent most of the semester studying extreme programming. With extreme programming, the client knows how far he or her software is coming and knows what to except at one particular time or the other. The software is built exactly the way the client wants it to be built. We have to design and implement a payroll system that should accept employee hours worked compute net pay and record all the payroll data for subsequent processing. The system should prepare pay checks and a payroll ledger, and maintain data on a sequential payroll file. Nonstatutory deductions such as union dues and pension plans to be made. The payroll data are employee number, employee name, pay rate, and union member flag. The year-to-date total should contain earnings, federal tax, pension plan, and union dues. To accomplish these tasks, we had to meet with the client to find out exactly what the program is meant to do. Here are the sub stories that we were able to get from the client: The program accepts employee hours worked The program computes net pay The program record all the payroll data for subsequent processing The program should prepare pay checks The program should prepare a payroll ledger The program should maintain data on a sequential payroll file Non-statutory deductions such as union dues and pension plans to be made Year-to-date total should contain earnings, federal tax, pension plan, and union dues

Limitations of the existing system The institute doesnt have any software application which maintains data of the employees. The record keeping is done manually. This leads to great difficulty when certain needs arrive of looking into employees past data. The institute uses a payroll application which has limited features and doesnt work efficiently and effectively. It doesnt fulfill many requirement of the administrative department. The application just keeps very trivial information of the employees and doesnt facilitate with any kind of analytical ability. FEASIBILITY ANALYSIS We have analyzed the feasibility of the system in terms of following spans: 1. Technical Feasibility 2. Operational Feasibility 3. Economical Feasibility 4. Scheduled Feasibility Technical Feasibility: The development process of Payroll Management System would be advantageous to the organization because we would make use of only the currently available resources of the organization. All the tools needed for the development are already available with the organization and the organization does not have to acquire any new resources. The technical feasibility is also attributed to the fact that the system does not make use of any

additional or external third party components which can lead to increased load on the system. Operational Feasibility: The Payroll Management System is intended to provide a very user-friendly and easy to use interface which is beneficial for both the visitors as well as the operators who help in providing support for the system. This system would also be easily acceptable among the visitor and administrator, as there is no need of any special skill set for using the application. This system also benefits the users as they do not have to download anything on their terminals increasing their efficiency and ease of use. Economic Feasibility: The Payroll Management System has a very low development cost. The low cost is attributed to the usage of the existing resources of the organization. As the website is very user friendly and easy to use, there is no need to provide special training to the users of the website, thus saving valuable time and money. Scheduled feasibility: Projects are always given deadlines. Every project is completed in a specific duration. I was the only working on the project and I had the project duration of two months only. So i have tried our level best to fulfill each and every requirement. I had to complete the project in time and if it is not possible to complete the software in time then I would try our best to fulfill client requirements.
