Preface
The field of the computer has witnessed a sea of changes since the discovery of simple calculating machine by Charles Babbage. The present era is confronting with the speed and mind of computer, i.e., the speed and intelligence have become vital. At one end they are competing with each other but at the same time both are useless without each other. Not only this computer has immensely benefited the mankind in the field of planning, designing and effective use of resource but also by helping the paramedics and diagnosis. The wheel of progress is rolling with much faster speed that it used to be a decade ago; thanks to the revolution ushered in by computers. But all this havent come as easy as it appears to be, rather it requires planning strategy and a lot of brain storming before a package is developed or a language is honored. For many organizations computer information systems are now at the heart daily activities and a major consideration in corporate decision-making. With the use of automated system time must be save and also the work of organization is done quickly & accurately. To take this aimed, we developed an automated system for our organization.

The system has been developed to very user friendly to any person, rather entirely unacquainted to the computer can also work with this system. With this only view the present work has been carried out with at most dedication. We hope that this work of ours will go a long way in facilitating to the organization.

PURPOSE
Several departments of a Collage had to perform too many tasks. It is required to pertain meaningful information from stored data. Very vital decisions are taken by the Management based on this information. So the information must be very accurate and must focus the perfect status of the entity. All the data is kept on hard copy by manual data entry, so it is quit cumbersome and time consuming to process these data.

Need for computerization


Large number of data regarding to the customer are easy to capture and manipulate. If customer comes after long period of time, the syatem is able to find customers identity. In manual system sometimes it is not possible to do so. High quality of information becomes most useful in some critical situations. The information should be accurate, timely, clear and relevant.

Most of the times the decision making for some important issues becomes risky, if the decision is taken without any reliable information. As and when the workload increases, it will be very difficult for the shopping mall to remember the details of customer. In such situation the all shopping malls can have all the detail about the customer, and get proper decision in that particular matter of that customer. The functionality to perform financial activity is very efficient and helpful. The automatic generation of Indoor and Outdoor Registers avoids the tedious task of writing down each and every detail for the same. The reports generated by the system will help a lot to the management of the school. The statistically analyzed reports help the managements to include better premises for most frequently coming visitors. The reports on fee payment detail of the customer, helps the management to find the paid and outstanding payment details. The reports help management to take appropriate steps to recover the outstanding amount. The report on collection of various particulars helps in preparation of final accounts. The main drawback of the existing system is that manual work leads time consumption. It affects the all person of management and also the department. There is number of day-to-day transaction and hence the large number of documents are in circulation, which have to be stored. Also large numbers of register have to be kept to the store. This documents is required more storing space, more manpower and job become tedious. Some time gathering of all documents is a tedious job. In this system process of summary reports is main part, using the computerized system this process is become simple and small. You can immediately getting the report for the query. You can get this all report or summary for the previous year. Various details have to be providing to the management at any time.

Front End Tool


Features of Visual vb.net:
1. The programming Language:
Vb.net is a windows application program. We can load and work with Vb.net like any other windows program. Vb.net is also a window development tool. It provides a graphical environment, that is a point and click environment. That is a very simple, English-like language. It is compiler based, has on-line help and provides for sophisticated error handling.

2. Development Interface:
Visual Vb.Net has an integrated development environment under (IDE). An integrated development environment is an environment that integrates all aspects of programming required by the programmer. The IDE of Visual Vb.Net comprises of the menus, the form window, the code window, the project explorer window, the project window and the toolbox window.

3. Tool Box:
Most features of Vb.Net revolve around the toolbox. Vb.Net has a highly useful toolbox that contains an array of essential array of controls. The toolbox is highly customizable as any number of extra controls can be added to it. These extra controls, called custom controls or Active X controls, are available as add-ins from various software companies. These controls greatly enhance the capabilities of Vb.Net and can perform a variety of tasks like, handling Email, making web pages and creating spreadsheets. The toolbox that comes in-built with Vb.Net also has an array of important controls like text box, picture control, data control, timer control and button control among others.

4. Functions:
Visual Vb.Net comes with some built in functions. These are functions that perform oftenrequired actions. For example avg() to calculate average, data type conversion and date and time functions. Vb.Net also supports user-defined functions.

5. Object oriented approach:


Vb.Net is one of the best Object Oriented Programming Language.The Vb.Net environment is one of the best examples of object oriented development environment. All Vb.Net elements (be it window, a button or a menu) are examples of objects. Object oriented approach establishes one to one relation between entities and promotes reusability of code.

6. Database Jet Engine:


Database engine is responsible for maintaining the data in the database. It also keeps a check whether the new data that is filled is related to any of the existing data or not. In Vb.Net there is built-in database engine called the Jet Engine. The Jet Engine can store and retrieve data in formats that are compatible with wide variety of databases. Hence the popularity of visual Vb.Net as Front-End for developing windows based database applications.

Back End Tool


Ms Access 2003
In todays information age there is a need to manage information effectively. Computers satisfy this demand and the market abounds with numerous database managers which all claim to be highly effective and offer various add-on facilities. Microsoft Access is one such package that has increasingly gained acceptance as a DBMS. Starting with small database features, one can create complex data-handling application. MS Access is a powerful multi-user DBMS developed by Microsoft Corp. It can be used to store and manipulate large amounts of information and automate repetitive tasks, such as maintaining an inventory and generating invoices. Data in Access is organized in the form of tables. Within a table, records are arranged according to a common reference value, known as the primary key or the key field. The value in the key field is different for every record and thus helps in uniquely identifying records. A combination of two or more fields can also be used as the primary key. Such a combination is called a composite key.

Since a value in one table can be replicated across other tables, there should be a way to maintain a relation between the two tables. This relation is implemented through the concept of a foreign key. A foreign key in a table is a field, which links that table to another table. Access also maintains index files for tables. An index is an internal table of values that Access maintains to store the order of records. Index objects thus provide efficient access to data.

Features of Access-2000:
Access is a multi-featured, DBMS that can be used by both beginners and those who have previous DBMS experience . Windows-based Application Large Data Management Capacity Importing, Exporting and Linking External Files Built-in Security Windows-based Application Access is windows based application and therefore has an interface similar to windowsnt . you can cut ,copy,and paste data from any windows application to an from access. Large Data Management Capacity Access maintains a single disc file for a database and its associated objects.the maximum size of this file can be 1 GB. Access allows a maximum of 32,768 tables and

objects in a database. However access can create links to data tables in any other DBMS like Foxpro. Therefore the maximum size of tables and objects is limited only by the amount of storage space that the users have. Access can also support a maximum of 255 users at a time. These features make accesss a powerful DBMS capable of handling large volumes of data spread across several databases and users. Importing, Exporting and Linking External Files Access lets you import from or export to Foxpro, Excel, Oracle and other data formats. Importing creates an access table; exporting an access table creates a file in the format that you are exporting to. Linking means that you can use external data without creating an access table. You can link to Foxpro,excel and asccii data. Built-in Security Since access is a multi-user database , security features are built into the dbms. You can enable database security at various level. You can assign a password for loading access so that, only the authorized users can use it. You can encrypt a datbase to prevent unauthorized access. Selective hiding of database objects such as reports, macros and forms is also possible. You can also hide selective fields in a form or report to protect sensitive data.

Definition of database:
A database is a collection of interrelated data that are to be stored together in a single location. It enables sharing of data among various users as and when required. A Database Management System is system software with capabilities to recognize, manipulate and manage data.

The need for DBMS:


Commercial data processing involved storing and retrieving voluminous data. Typically, this involves developing many management concepts were popular till recently. Now, the need for On-line systems with easy retrieval mechanisms and maintenance procedures are gaining importance.

Data Redundancy:
In traditional file management systems, data redundancy arises due to the fact the same data has to be stored in data inconsistency, apart from the wastage of disk space. A DBMS overcomes this problem of data redundancy by allowing the users to share data. Since data is centrally located in the database , all changes are automatically reflected to all applications using the data

Data Integrity:
In traditional file management system data redundancy arises due to the fact that the same data has to be stored in physically separate locations. This also results in data inconsistency, apart from wastage of disk space.

A DBMS overcomes this problem of data integrity by allowing the user to share data. Since data is centrally located in the database, all changes are automatically reflected to all applications using the data. A DBMS handles this by allowing integrity constraints to be specified along the data items. These constraints are also stored in a data dictionary along with the definitions. Access makes it easy for users-even beginners-to work with databases. You can create tables, edit data, and use queries to find the data you want with very little effort, and Access includes wizards that can do the work of designing data entry forms, reports, and mailing labels for you.

Need for System


Our system is related to management information system with use of SDLC step by step method, we can develop a flexible and understandable system which will meet with the managers requirement in a satisfactory fashion. The SDLC is classically through of as the set of activities that analysts, designers and users carry out developed and implemented i0nformation system. Existing manual system is very time consuming and not accurate.

Existing System or Manual system:


OVERVIEW OF THE EXISTING SYSTEM

The existing system is manual. The existing system maintains all the records like Customer Information, Customer database and Sales Product. All the certificates are given manually. The manual system is very slow and time consuming. The existing system contains

large number of errors due to manual system. So, we decided to make a computerized system, which is less time consuming and error prone. The current system is developed in Visual Vb.Net and Access 2003. Visual Vb.Net is used as a front end and Access as Back-end. As Vb.Net provides better GUI and easy, fast and logical coding we have used Vb.net as front-end. The Current System is powerful and it consists of all types of information required. We have tried to make almost all the Data computerized. We have generated the computerized reports for the Customer Information, Customer Bill Information and sales product. So this system is more powerful than the existing system. The current system is user friendly. So, it is easy to operate. Therefore the Current System is capable of handling all needs of the present scenario. It has more advantages over existing system.

Manual System Features


In existing system is a manual system where the Mall handle for keeping information on Bill. In manual system the Save, Delete of the record on the Bill. System based on Bill information. Manual Save, Delete of the record on the paper Voluminous registers are maintained for different type of record. Search of particular information is done through scanning every page. Report of information of room occupied or not occupied is not prepaid. Calculation of bill is done manually.

Manual System: Problems


System is time consuming and complex. Many registers have to be maintained. Save, Delete of record is timed consuming. Search for any information is done manually, So it is time consuming and tedious. Different reports may not be up to date always. Human error in calculation and other task make the information improper. As a result the system becomes complex.

The Proposed System


The system will handle the data capturing and processing. The system should be flexible. The system should be such that in future updating becomes easier. The system should meet standard defined by management Technologies. The system should produce maximum information with minimum inputs.

Feasibility Study:
An important outcome of the preliminary investigation is the determination that the system requested is feasible. The feasibility study is carried out to examine the likelihood that the system will be useful to the organization. There are three aspects in the feasibility study namely,

Operational Feasibility:
Its main aim is to find out whether the system will be functional after its development and installation? The outcomes of the operational feasibility are as follows: The management fully supports the new system. The current system is fault-prone so the users will definitely use the new one. Since the users had active involvement in the system study so the chances of the resistance are very less. The new system will lead to good image building and reputation of the organization so it will be definitely used extensively.

Technical Feasibility:
Its main aim is to examine whether the current technology is sufficient for the development of the system. The outcomes of the technical feasibility are as follows: The organization has a very well integrated Systems department with the requisite technology to cater to the needs of the proposed system. Any additional requirements can also be satisfied. The system is very much open by nature and can easily expanded in the near future to satisfy newly emerging needs.

The usage of a reliable RDBMS like MS SQL along with Web Security, stringent design and coding standards followed guarantees accuracy, reliability, ease of data access and data security.

Economic Feasibility:
Its main aim is to examine whether the financial investment in the system will meet the organizations requirements? The cost of development of the system is quite less, as the only special requirement is of hardware. It provides improved ability to meet users requirements timely and efficiently.

Data Dictionary
Features:
The volume of data inmost information systems applications is substantial-more than a single analyst can easily keep track of. When teams of analyst work on a system the task of co-ordinating data definition becomes more complex. Individuals depend on the definitions others establish and

assumptions they make about data specifications. Yet unless they meet almost daily, it is virtually impossible to have accept table data co-ordination. Data dictionaries are an integral component of structured analysis, since data flow diagrams by themselves do not fully describe the subject of the investigation. The data dictionary provides additional information about the system.

What is a Data Dictionary?


A data dictionary is a catalog- a repository of the elements in a system. As the name suggests, these elements center on data the way they are structured to meet user requirements and organization needs. In a data dictionary you will find a list of all the elements composing the data flowing through a system. The major elements are data flows, data stores, and processes. The data dictionary stores details and descriptions of these elements.

If a analysts want to know how many characters are in a data item, by what other names it is referenced in the system, or where it is used in the system, they should be able to find answers in a property developed data dictionary.
