JOB DESCRIPTION Job title: Reports to: Hours: Location: Job Purpose: To assist the Media and Public Relations Team in raising public awareness of XXX and to help raise the profile of The XXX Charity and its work, with efficient administrative support and some media relations duties. Team

The Media and PR Team (currently six members of staff) works to raise awareness of XXX, as well as the profile of The XXX Charity. The team shapes and delivers creative PR campaigns for events such as XXX. It also manages the busy Press Office, taking numerous calls each month from the media, from national newspapers to regional radio stations and online consumer sites. The Media and PR Team has worked hard to ensure the Charity is the first port of call for journalists wanting a comment about XXX and to ensure that XXX remains firmly on the agenda. The team also manages the Charitys relationships with VIPs and celebrities, ensuring they add value to the Charitys media and fundraising activity. 2. Organisation chart

Duties and key responsibilities

Media and PR Activity To manage, with support from the Media and Public Relations Officer, Media and PR activity surrounding individual fundraising events and the Charitys XXX awareness project, researching and writing news releases, articles and briefings, as required.

To assist with preparations for media campaigns and events, including press conferences and XXX, as well as running and challenge events. Attendance at events such as XXX Run and the XXX Marathon, and occasional weekend work, may be required. To respond to media enquiries, queries and complaints in a timely manner, where necessary researching information to enable responses and referring more complex or sensitive issues to the Head of Media and Public Relations and others, as appropriate. To maintain professional relations with a wide range of media contacts and other external individuals and organisational contacts.

Press Office Duties To support the Media and Public Relations Officer in maintaining relationships with media talkers, including updating of records as necessary To maintain the library of media resources, including press cuttings and broadcast coverage, news releases, comments, publications and images to ensure all information is up to date, effectively referenced and easy to find. To contribute to evaluation of the Charitys media coverage including producing monthly reports on activity for the Chief Executive each month. To research media coverage and compile and send out daily news briefings to ensure the organisation is aware of any media activity which may affect the organisation or individual departments. To develop and maintain efficient and effective administrative, filing and other office systems, identifying and implementing opportunities for improving systems to ensure the Press Office runs efficiently. To support maintenance and development of the Media Teams contact mailing lists and other databases. To support updating media information on the Charitys website, liaising with the Website Editor and Head of Database and ICT as necessary. To help update and maintain the PR diary and to ensure the Out of Office file is updated each week for the duty Press Officer on call. To produce letters, invitations and reports, drafting own correspondence, as required. To report regularly, as required, to the Head of Media and Public Relations on progress against objectives The post holder will be working in a developing environment and he/she will therefore be required to undertake other appropriate duties as necessary for the efficient operation of The XXX Charity

Supervision To provide support and day to day guidance to media volunteers as necessary.
