9HEALTHFAIR TRAINING VIDEOS MANAGEMENT REPORT

Introduction We have heard it often said, get screened!. Well, how many of us take this seriously? Some of us cant remember to get it done; some dont care to remember to get it done; others of us do get it done; yet there are others who wish that they could afford to get it done. Healthwise (2011) noted that the earlier a disease is diagnosed, the more likely it is that it can be cured or successfully managed. For those who cannot afford to pay for screening, this hope appears hopeless. Since 1980, 9HealthFair have been encouraging individuals to assume responsibility for their health and offers free and low cost screenings to residents of Colorado. Fairs are held in schools and other public building throughout the state. This give low income families an opportunity to get their screenings at affordable rates. How are they able to do this? 9HealthFair accomplishes this by inviting persons in the medical and non medical fields to lend their services to a worthy cause. They do this in conjunction with sponsors like Quest Diagnostics, King Soopers, Colorado National Guard, Lions Club, Comcast Dream Big, and others. They employ a few paid personnel for the major administrative functions. Problem situation This project came about because the leaders saw that there was a need for some flexibility with volunteer training and wanted to get some online based training to do so. Volunteers can review these resources at their own convenience to give them an idea of how the fair is run and what is expected of them. Objectives The objectives of the project were as follows. - Produce a series of instructional videos 5-10 minutes long and in some cases 1, 3 and 10 minutes long of various screening task associated with the fair. For example, volunteer registration, blood draw, cashiering, vision, etc. These were to be captured in realtime. - Videos needed to be edited to provide titles and a brief intro to be posted on the 9Health YouTube site.

- Videos should covering the paperwork used by 9Health to document medical protocols. - The resources needed to be achieved at a low cost. - The videos should be appealing and contemporary, Youtube style. - The nuance of the fair needed to be captured. Contraints I took this project on short notice and started working on it before I had learned much about the company. The project was not specifically defined and it took two redesigns before settling on the third presentation format. Working an additional 90 hours with a full-time job as well as completing other classes was a constraint in itself. I was happy that I was allowed the time to get it done without it becoming a crisis.

Role and participation The internship requirement for the course INTE 6930 was 90 hours of service in some area of Instructional Design. I had from late fall to the end of spring to complete this. My role as Instructional Designer for this project was to observe, take video footage, design and produce three videos. I worked with Pam Mayhew - Director of Volunteer Engagement and Monique Rock, an Instructional Designer volunteering with 9HealthFair. Shortly after agreeing to do this project, I was invited to attend a training session at the Adams City High School to observe what was being done. This was held in the evening at 6 p.m. At this session, a presenter went through what was required of volunteers at the fair, how traffic (people) would flow through the building, where each screening site would be located, arrival and training time. Volunteers where also briefed on where the emergency areas would be, check-out, cashiers, nourishment, break room and general information regarding who to contact for what and age limit requirements for the various screenings. After this open session I took video footage of a couple mock training sessions and of facilitators explaining what takes place at their station. Later, I attended two Fairs; one at the Palmer Ridge High School and the other at the Adams City High School. These fairs were held during the weekends. One was on Saturday only and another was on Saturday and Sunday. I participated on the Saturday sessions and took video footage of some of the training, screenings and screening areas. Video footage was taken by myself, Monique and Pam. Description of work processes After taking the footage, I sorted and organized all the footage based on what area they covered for easy use in the video production. For example, blood draw, vision, wellness, general, etc. The footage were taken with a 9Health camera and my personal camera.

I designed the 1st video using Abelas S.Co.R.E. (Situation, Complication, Resolution, Example) (p. 75) design method learned in the creative design course INTE 6710. I used self-created slides for the background instructions and submitted it to be reviewed. The format was not liked. With new suggestions I re-designed the video with the video clips in the background and putting titles like 9HealthFair on the video and different task labels being scrolled on the screen. For this review, I was told that the 9HealthFair logo needs to be on there as well as the sponsors. I was given a storyboard template. This had a background with 9HealthFair logo at the top and sponsors logo at the bottom. On this template were slides outlining how a storyboard design method should flow. For example, the script, whether it is narrator, voice over or text only and the production notes. The template also had some titles and questions that the presentation should answer. With this in hand, I began my third design format. I redesigned the 1st presentation using the storyboard format I was shown and continued using that format for the remaining presentations. The new designs were preferred. The feed-back I received after using the 1st presentation with the new format was incorporated into the remaining videos as well. The 1st, 2nd and 4th steps of Gagnes nine events of instruction as noted by Edutechwiki (2007) was also incorporated into these video productions. Step 1: Gain attention - present a good problem, a new situation, use a multimedia advertisement, ask questions. This helps to ground the lesson, and to motivate. Step 2: Describe the goal - state what students would be able to accomplish and how they will be able to use the knowledge, give a demonstration if appropriate. This allows students to frame information, i.e. treat it better. (Edutechwiki, 2002). Step 4: Present the material to be learned e.g. text, graphics, simulations, figures, pictures, sounds, etc. Chunk information (avoid memory overload, recall information). Putting these videos together involved the use of these presentation applications on the Mac, Keynote for slides, Pages for storyboarding, iMovie for video and GarageBand for podcasting.

Descriptions of accomplishment I was assigned three areas to cover for the instructional videos, Volunteer Registration, Phlebotomy (blood draw) and Cashier. These were areas of priority at the time. It was later decided that the cashiering should not be done because of having to put it on the internet. I replaced this with a video targeting blood screening participants. The Registration Volunteer video is targeting the people who would be registering new volunteers or checking in volunteers who have registered online or through the mail. The Phlebotomy Video is for volunteers performing the phlebotomy and centrifuge

processes at the fair. Some of the footage was not focused adequately and as a result not much of it could be used. The final video targeting would-be participants outlines the reason to be screened the types of screening available and how participants can track their screenings. There were more hours spent getting comfortable with the various applications used in the production of these videos, but those were not included. Recommendations I was told to put together some notes so that anyone taking over after me can have a road map to follow. As such, I assembled some examples of the documents e.g storyboard that I used, the organized list of all the footage taken at the fair and a document explaining the methods and applications used in the production of the video. I also recommended a number of other areas that instructional video can be made because of the great footage that was taken. I placed these documents on an 8G flash drive and gave it to the Director of Volunteer Engagement. Reflections/lessons learned I totally enjoyed this internship. More so because of the opportunity it presented to low income families in helping them take responsibility for their health. The production of the videos took longer than it should. This was partly because of the other classes I was doing and taking a long vacation during the summer immediately after summer

class ended. I managed the entire design and production of the videos with some in-put from the project coordinators. This showed great leadership ability as well. The resources used, except for the 9Health camera was my personal property. I am happy for the flexibility I had in completing this project. The most meaningful and beneficial experience I had for this internship was learning the storyboard method of design. When I heard about storyboarding, I looked it up on the internet but could not find something concrete. The template I was given was a map to follow and I can taylor to fit whatever I was designing. The storyboard method takes the S.Co.R.E. one step further by outlining what should be done in the production stage of the product. Thus synchronizing the design with the production. I have also learned that in designing, two or more redesigns might be required before the product design aligns with the stakeholders desires. Related to this is the requirements regarding project time which at times may not be practical. For example, on the video projects specification sheet, It was mentioned that some of the training clips where required to be 1 minute long. This did not seem very practical to me. Another thing I learned was that it is more effective to design what the instructional product should be before taking footage. In this way, you would know exactly what you are looking for and would take the necessary steps to get it. The production part would be smoother as well. Taking video footage before the actual design is guesswork and place you in a position where you have to make the footage work for whatever you choose to design. Being in this situation gives you the opportunity to be creative, but at the same time, make things more difficult. I did another video project after this one and I did all the designing first. I then made a list of all the things that I needed to get for the production side of things and went out and get them. The process went much smoother.
