Emma has advised Sarah Richards. New Parents Evening 9 July ET has kindly offered to promote SCPA. Change of Roles Early AGM at School 3 July @7.30 to allow handover before year end. Roles to be filled: Chair & Vice or joint Chair Treasurer Secretary EK to make sure this goes in Newsletter & on board Sports Day 21 June EK to discuss poster with SG & create a few A4 to go around school Bacon butties 8.30am onwards (Set up 8.15 or earlier if IC and AK can do) ED & CD to deliver bbqs on Thursday evening Coffees/ Teas/ Squash/ Water/ Scones/ Cakes Donations of Cakes for Sports day and Fete AC kindly offered gazebos, put up Thursday evening if needed. Emma to get confirmation from Shaw if the school wish SCPA to buy lollies for all school children (as we have done in past years). Fete 22 June 11am 3pm Raffle tickets already given to Sarah & going into book bags on Friday 24th. Emma has provided Sarah Jones with some extra tickets + has the rest of the stock, if any members need more (just call on Emma 07717 149888). Sarah has provided scanned copy of poster to Emma. 300 to go in Newspapers (Saturday 2 weeks before event) IC & AK to put up boards (PG also offered to help) EK to email poster to everyone. Everyone else put around villages, Broadshires, Carterton Library (FC) etc Ask Mr Watt if he is able to put details on website Emma has emailed Shaw to check details are going to new parents Are we too late for Parish Pump EK to check with Ros/ St Filica with Anneka Stalls: SG to find out how many staff volunteers we will have on the day (+ to provide shortly to enable us to confirm which activities we can go ahead with). Shaw confirmed he and his lovely wife will be there. Splat rat Janets nature stall (Janet). EK supplying cut bay & sage. Face painting SR plus other volunteers needed ED to ask Mrs Woolaston Shove Hapenny & Pony Race Game Chrissie to try and source Decorate a vegetable newsletter 1 bucket (if enough volunteers) Lucky Dip Chrissie sorting (could use black bin at school) School photos of staff Stall prizes Chrissie & Catherine to talk to Governors about sorting this (maybe chocolate?) Governors to set up display of old school photos and documents as well as kids & adults quiz. Other suggestions: Fair rides done in past, didnt make any money Pony Rides - 70 insurance, plus issues with allergies Refreshments BBQ Teas & Cakes (incl scones to buy) Ice creams LP to ask Ice cream van in Filkins (and share profit), ED has old freezer and we could do ourselves?

ED has table cloths EK to ask Helen Dunmall about using crockery from Filkins Village Hall. Lisa to find out if we can borrow Filkins bunting Prizes to be discussed next time Chrissie to look in 1 shop in Witney Entertainment Cotswold singers 1.45pm to 1.45 (raffle being held at 2.00) Busking/ open mike donations in box time table to be put up and kids to put names in time slot when they would like to perform. EK can add info to Newsletter but a committee member needs to run with this. Helpers Ask for volunteers in next newsletter (to call Emmas mobile if interested). Could also put a list of activities on blackboard to advertise event + ask for volunteers. To be added after half term. Rota to be put together at next meeting. It will need to cover 9.30 to 4.30/5 to cover setup and clean up. Collette to organise floats for each event Barn Dance Had been discussed for October, but Felicity from Fiddles & Feet has a special caller available on 21 September. Agreed this would be a great idea to welcome new parents however, this would need to be organised and communicated before the end of the school year. Information could go out at end of term but might not get to new parents. Bearing in mind new committee, should this be left for them to decide? Emma has emailed Felicity to double check if this date is available. SG still needs to confirm maximum numbers in the school hall (to ensure this is a viable event)
