Guidelines for preparation of project report/dissertation


Scope This document applies to faculty members, students of UG and PG studies of the department. The purpose of this document is to ensure that after the project work, students prepare and submit a good project report/dissertation. Date created Friday, 25 July 2008 Date updated Thursday, 04 June 2009 Pre-requisites The students are expected that they have very good skills on basic word processing including formatting, editing, table handling, etc. and ability to make attractive Power Point presentations, that may include clear and concise slides containing a number of images, diagrams, flow charts, tables, graphs, etc. Objective Dissertations are undertaken by students to develop in them the ability to apply theoretical and practical knowledge to solve real life problems related to industry, academic institution and research laboratories. Students are advised to choose areas relevant to the needs of IT Industry. The student will submit a synopsis at the beginning of the semester for the approval from the project committee in a specified format. Synopsis must be submitted within two weeks. The first defense, for the dissertation work, should be held with in two months time. Project Report/Dissertation must be submitted in a specified format to the project evaluation committee/dissertation evaluation committee/faculty board at the end of semester.

Format for Preparation of Dissertation 1. ARRANGEMENT OF CONTENTS The sequence in which the dissertation report material should be arranged and bound should be as follows: Sl. The table and figures shall be introduced in the appropriate places. 2. 2.1 PAGE DIMENSION AND BINDING SPECIFICATIONS Dimensions The dimension of pages for the dissertation report should be A4/legal size. Use of any other size of page size such as foolscap, custom size, etc. should be avoided Sheets Coloured sheets and transparent sheets of varied colours should not be used. Binding All project reports/dissertations shall be hard-bound, and at least four copies shall be submitted by each student on completion of the project, one each for self, the supervisor, department library and central library. The colour of the binding for B.Tech. students shall be chocolate brown, M.Tech. students shall get the binding in deep blue/navy blue and PhD scholars shall make it in maroon. The contents of cover page shall be embossed or screen printed on the binding. In case the student intends to attach

CD containing the software, data, demo/simulation, he/she shall attach a sealed CD holder at the back side inner cover of the dissertation. 2.4 CD/DVD Softcopy of the project report/dissertation, sample datasets used, outputs, screen shots, user manual (if any), safety guidelines (if any), source code, papers and other publications brought out and all references may be written on to the CD/DVD and affixed at the back inside cover of the project reports binding. FORMATTING INSTRUCTIONS Cover Page and title page A specimen copy of the Cover page and Title page of the report are given in Appendix 1. Bonafide Certificate The Bonafide Certificate shall be in double line spacing using Font Style Times New Roman and Font Size 12, as per the format in Appendix 2. The certificate shall carry the supervisors signature and shall be followed by the supervisors name, academic designation (not any other responsibilities of administrative nature), department and full address of the institution where the supervisor has guided the student. The term SUPERVISOR must be typed in capital letters between the supervisors name and academic designation. 3.3 Certificate of Authentication The Certificate of Authentication is a certificate from the students/scholars side mentioning that the work is original and that it has not been submitted elsewhere for consideration. The certificate shall be in double line spacing using Font Style Times New Roman and Font Size 12, as per the format in Appendix 3. Abstract Abstract should be at least one page synopsis of the dissertation typed double line spacing, Font Style Times New Roman and Font Size 12. Table of Contents The table of contents should list all material following it as well as any material, which precedes it. The title page, Bonafide Certificate and Certificate of Authentication will not find a place among the items listed in the Table of Contents but the page numbers of which are in lower case Roman letters. One and a half spacing should be adopted for typing the matter under this head. A specimen copy of the Table of Contents of the project report is given in Appendix 4. List of Tables The list should use exactly the same captions as they appear above the tables in the text. One and a half spacing should be adopted for typing the matter under this head. List of Figures The list should use exactly the same captions as they appear below the figures in the text. One and a half spacing should be adopted for typing the matter under this head.

List of Symbols, Abbreviations and Nomenclature One and a half spacing should be adopted or typing the matter under this head. Standard symbols, abbreviations etc. should be used. List of Publications Listing of various papers/publications brought out by the student/student group/scholar should be placed here in the format as applicable for References. Sections and Chapters Include Sections only if required and the document becomes very long. Otherwise, the layout of 07 chapters may be as follows: 3 To be coined What should it contain Introduction/background of work Objective Layout of chapters Different parts of this chapter will cover details of work done by scientists in the chosen area. Ensure that the references are properly connected to the text of this chapter These three chapters will be based purely on the main theme of the project work. Work should be comfortably divided into three manageable portions. It should be original work and description related to the work only should be given. Do not give lots of background/ introduction material to fill up the page. Do not give make it too long beyond 34 pages. Hardware, software, and other items used, along with the description of datasets used and their source may also be given in these chapters Detailed description of the experimental setup, no. of experiments conducted, etc. should also be part of these chapters The highlight of these chapters are the design and development work The outcome of the work, its analysis, graphical layouts bringing out the comparison of experiments, and thereafter discussions/analyses of those results obtained should be written in this chapter Conclusions Future Scope

The Chapters 3, 4 and 5 form the most crucial part of any project report/dissertation. The main text of the chapters will be divided into several divisions and sub-divisions.

Each chapter should be given an appropriate title. Tables and figures in a chapter should be placed in the immediate vicinity of the reference where they are cited. Footnotes should be used sparingly. They should be typed single space and placed directly underneath in the very same page, which refers to the material they annotate.

Appendices Appendices are provided to give supplementary information, which is included in the main text may serve as a distraction and cloud the central theme. Appendices should be numbered using Arabic numerals, e.g. Appendix 1, Appendix 2, etc. Appendices, Tables and References appearing in appendices should be numbered and referred to at appropriate places just as in the case of chapters. Appendices shall carry the title of the work reported and the same title shall be made in the contents page also.

List of References The listing of references should be typed 4 spaces below the heading REFERENCES in alphabetical order in single spacing left justified. The reference material should be listed in the alphabetical order of the first author. The name of the author/authors should be immediately followed by the year and other details. There should be at least 75 references in all under this head for B. Tech. students and 125 for M. Tech. students. There shall be separate listing for papers, technical reports, PPT presentations, masters and doctoral thesis, books and websites. Ensure that there are no missing links and that all references are properly connected to the text of the project report/dissertation. A typical illustrative list given in Appendix 5 relates to the citation example quoted above.

Table and figures - By the word Table, is meant tabulated numerical data in the body of the project report as well as in the appendices. All other non-verbal materials used in the body of the project work and appendices such as charts, graphs, maps, photographs and diagrams may be designated as figures. TYPING INSTRUCTIONS The impression on the typed copies should be black in color. One and half spacing should be used for typing the general text. The general text shall be typed in the Font style Times New Roman and Font size 11 or 12. There should not be any type of page bordering in the project report/dissertation on any page.

The entire document should be made in past tense and neutral gender. Since the project work/dissertation would have been completed at the time of submission, it is necessary that the document is prepared in past tense. Words referring to personification such as I, we, he, they, our, their, etc. should be avoided. The student/student group/scholar shall also ensure that the copyright protection of the technology/concept/software, etc. from where the idea/motivation has been derived have been adequately acknowledged. It is of utmost importance that the scientific work done by others should be respected. LIMAT has been accorded the status of Deemed-to-be-University and hereafter known as Lingayas University, but all B. Tech. students passing out till Jun 2012 and M. Tech. students passing out till Jun 2010 shall mention the name of Institute only as Lingayas Institute of Management & Technology. The usage of language constructs for developing the project report/dissertation should be crispy, straight, and free from all ambiguities. For better document, try avoiding terms such as probably, possibly, likely, may be, etc. which bring in the essence of inaccuracy in scientific/technical work. Also, try not to use is as far as possible. All B. Tech. students shall submit at least three copies at the time of obtaining signatures. Additionally, one copy for each student in their group, and one for each supervisors, if needed. All M. Tech. students submitting their dissertation to M. D. University, Rohtak shall ensure that they print the project report on both sides of the paper. They shall submit at least four copies at the time of obtaining signatures. Only the Ph.D. scholars can use the term Scholar in certificates and at all other places instead of student. *****
