Packing list utilisation

Function: The objective of the Packing list is simply to extend the Delivery Note. The packing list is used to detail the contents of a parcel in order to facilitate the checking. A Packing list has to be considered as an annex to a Delivery Note. A Packing list cannot replace a Delivery Note.

Instructions for a correct use of the Packing list

The packing list will save time when the number of products is important and packed in parcels, such as deliveries of drugs and office equipment. With a Packing list the Delivery Note will only indicate the total number of boxes, the weight and if needed the volume. Example : Weight KGVolume (M3) Parcel N 1 : Medical supplies 60 1 Parcel N 2 : Medical supplies 10 Parcel N 3 : Spare parts for vehicle 80 Parcel N 4 : Stationeries 5 The Packing list will indicate the content of the parcels: Parcel N1 Quinine tablets 500 mg Folic Acid 5 mg 2000 Sterile Gaze 10x10 Amoxicillyn 250 mg 5000 tab tab 1000 pces 5000 tab

If a parcel contains sub parcels, its important to code them: N of the box (from 1 to 2 digits) -N of order (letter alphabetically) Example : Parcel 1 Medical supplies Parcel 2 - A Medical supplies Parcel 2 - B Medical stationeries Parcel 2 - C vaccines Parcel 3 Medical supplies The packager prepares the parcels and the Packing lists. Then, the parcels are closed and the packager signs the Packing lists. The packager must

indicate on each parcel its number in order to identify the parcels easily. To avoid the opening of the cartons the parcels are sealed. (ACF tape, signature and seal) If an efficient sealing of the boxes is not possible the driver has to verify the content of the parcels before signing the Delivery Note. The use of the 3 sheets of a Packing list is similar to the use of the Delivery Note. When receiving a consignment with Packing lists: The consignee has to verify that all the parcels mentioned on the Delivery Note are present and that they are properly closed If a parcel appears to have been or is damaged its content has to be verified and a remark will be mentioned on the Delivery Note. The content of a parcel has to be controlled systematically if the parcel appears to be torn or opened.
