ABOUT THIS HANDOUT


This handout gives curricular and professional advice for not only meeting the requirements of industry internship but also for the student to maximize the ensuing benefits. Every student is expected to follow these instructions scrupulously (a professional practice). Additional instructions, if any will be sent via the e-group. Formation of e-group.

3.

CURRICULAR REQUIREMENTS
IIP201 consists of two parts, viz., Industry Internship and Colloquium. A student who successfully completes the internship can continue to do Colloquium. Industry Internship of at least 10 weeks (50 days) in an industry or research organization is a mandatory degree requirement. Prerequisites for being eligible to undertake IIP201 is accumulation of 75 credits (as of end of monsoon semester proceding the summer when Internship is to be done; typically end of 5 th semester).

4.

REGISTRATION
In the semester before the summer when internship is undertaken, every student must register for summer course IIP201. On successful completion of the internship, (duration and quality based on continuous assessment and viva immediately on return to IIT), a grade will be awarded: (i) Satisfactory completion of Internship gets Continuation grade; student continues to Colloquium and the student will automatically be registered in IIP201 for the following monsoon semester. A student who has completed internship for 31 to 49 working days, or the quality judged to be below expectations, then he/she will be required to undergo additional internship in the following winter/summer for at least 20 working days. The Continuation grade will be awarded and student can continue for Colloquium. In case the duration shortfall is more than 20 days, the student will be awarded Unsatisfactory grade and he/she will have to repeat the entire internship. Such a student will not be permitted to continue with IIP201 in the monsoon semester following the summer and will have to complete the Colloquium in a later semester after completing the 50 days requirement.

- - - - - INDUSTRY INTERNSHIP - - - - 5. OBJECTIVES


The primary objective of internship is to get a first hand exposure to the working of an industry. Industry's attitude to you (the student) varies from indifference to rigorous time-bound projects with clear deliverables. As an intern, it is therefore, very important to be systematic and rigorous in your approach. (This could be an experience). Besides giving you new knowledge, training is expected to link knowledge gained from IIT courses with applications. Exposure to industry operations is another primary objective where you get to experience how industries organize and execute work (this aspect can only be experienced in an industry).

For many of you, this summer is going to be your first exposure to industry. Industry looks upon you as a mature adult and a student of engineering if not almost an engineer. Feedback from alumni of IITRPR indicates that this experience is taken seriously by organizations, and students have found it to be a very enriching experience that they cherish. Students who made full use of this opportunity have experienced benefits in their career. Besides the technical aspects you may or may not learn, you will be exposed to important professional issues, such as, standards, procedures, hierarchical functioning, team-work, interacting with people of different backgrounds, and problem setting, besides meeting deadlines, facing intangibles, and perseverance. In this regard convocation addresses have valuable advise that you can benefit from. You will also experience first-hand, what constitutes professional practices. Although much less academic in their approach, workers, engineers, engineer-managers, managers and senior executives have a wealth of experience. IITians usually scoff at their viewpoints, the argument being "I cracked JEE, now I am in IIT, I am superior to these people ". Feedback from other older IITs and industry has convinced us that this superiority feeling is grossly misplaced because most of you at the best have a somewhat shaky understanding of subjects that you have studied. And, at this point in time, most of you have forgotten what was taught last semester, not to mention what was taught in the 1 st and 2nd years, as also the faculty who taught you. So, it is time to revise and become a willing learner.

INDUSTRY INTERNSHIP COMPONENTS


Observational training and project-based training are the two broad components of training. A desirable mix of these would be 15-20 days for observation and the balance for project activity. Where there are two or more students in the organization, the projects must be distinct. Towards the completion of the internship, you must make a presentation to your host organization. These requirements should be reflected in the training programme that the organization prepares for you at the beginning of the training. If the host organization gives you a schedule with only observational training and does not allocate a project to you then it is your responsibility to study the operations, make a project proposal, convince the organization that they can benefit from it and then execute it. This aspect is a must. In case of difficulties, contact your boss (or his/her boss) or coordinator immediately on commencing internship. Sometimes, observational training has been interpreted by students to mean seeing things much like a tourist to Qutub Minar. Some typical responses indicative of this attitude have been the machine was very huge, the process was very sophisticated, or it was very high tech. Such statements are expected from 1st-yearites, illiterates, semi-literates and not from a student of technology and that too after 6 semesters of education. So, as you see the operations delve into the technical details of the products, machines and processes, and correlate them with IIT courses. Ask yourself Why? How? What if? Get a feel for order-of-magnitude values and perform analysis based on what you have learnt, if not something better. Remember that all products/devices, how so ever practical they may be, must obey the laws of nature (physics) that you have learnt in various courses.

IN CASE OF DIFFICULTIES
In case of unforeseen circumstances, such as, illness, family emergency, late commencement of training, organization related disruptions, power cuts and floods, amongst others, immediately contact Also, inform him if the training plan is being changed or whether there is training related travel.

SAFETY
Please abide strictly by the safety norms practiced by the organization. Your safety is one hundred percent your own responsibility . We want you safe. (shoes, eye wear, gloves, etc.).

INTERNSHIP LOG
Diary: A daily log of activities in the Diary is mandatory. The Diary should be a hard cover notebook with two facing page for each working day with date and training day number clearly written on each page. Number each page at the start of the training. More exhaustive workrelated details may be maintained in a separate register or file; these too should be submitted with the diary on return to IIT.

Get the Diary signed by your training supervisor at least once a week this is a must.
If the Diary is not submitted on the stipulated day or the entries are judged by the training coordinator to be trivial, you will be de-registered from IIP201. The training will have to be done all over again in the following summer. Web-log: You have to maintain a web log, details will be given to you shortly. You must update it at least once a week. The faculty and training coordinator will monitor it regularly

Complete the feedback form and share experiences with juniors and with faculty.

Dates to be announce later

Latst date for internship and return to IIT Ropar : In the semester following internship, you must register on the stipulated date, 24thJuly, 2013. Strict action will be taken against those reporting late. The last day of training has to be on or before 24 th July 2013.; you MUIST be present in IIT on 24th July 2013. Internship must not be continued beyond the stipulated last date. Missed deadlines: Late submissions will get no credit. Unprofessional reports, and reports without name or entry number will not be evaluated (i.e. zero marks).

SUBMISSIONS
Every report is to be prepared and submitted individually. The following submissions are mandatory:

Personal Information Form: Complete the online form and submit it online to training coordinator. Give a filename that is IIP201_PIF_yourfirstname_yourlastname.doc. Interim Report Hard copy: Limit 10 A4 pages, excluding drawings/figures. Contents: (a) (b) Hard copy of the PIF form with your supervisors business card and bio-data. Brief information about the organization Outputs (products, services, capacity, annual turnover). Management structure and employee strength. Brief history and future plans. Plant layout. Inputs (raw materials, power, water, and consumption rates). Technical

collaborations. Worldwide (includes India) competition. Innovations and organizational strengths. Major pollutants and pollution control measures employed. (c) (d) (e) (f) 12.3 Your training program, project details (problem origin, objective & deliverables). New knowledge and experiences gained so far. Journals, trade magazines & newsletters related to the company's line of work. Ten professional practices that you have come across, difficulties you are facing in adhering to them and how they are practiced at IIT.

Final Report hard copy: Limit 25 A4 pages, excluding drawings. Organize the final report in a professional manner, just like a project final report. Refer to Guidelines for Project Activity. The page limit per report will be double, triple or quadruple if the number of students in the organization is two, three or four, respectively. (a) (b) Hard copy of PIF form. Details of all work done by you during the entire internship period, organized in two sections (i) observational training, and (ii) projects. Project details should be presented in a professional format. Your evaluation of the organization professionalism, ethical conduct, award-reward, and promotion schemes, VRS history/plans, innovations, potential employer. Five new technical aspects you have come across and their unique features. Five examples of applications that can be used as illustrations in core courses. Five suggestions for improving any five courses (one suggestion per course). A minimum of two engineering drawings from the organization (could be layouts, flow diagrams, component drawings, assembly drawings, process sheet, electrical, etc.) IT applications including hardware & software used (esp. engineering packages, management packages), computerization and networking. Three problems worth solving. Prepare a one page project brief. Time management by a junior/senior engineer and by a manager: From observations/discussions with them, give an activity-wise break-up of time spent (percentage) in a day or a week on tasks, such as, technical work, analytical work, computer work, people management, discussions and meetings (technical or otherwise), time spent working in a team/group, repetitive/innovative work, amongst others.

Posters hard copy: Complete the posters using 4 chart papers (size 0.6 x 0.9 m) as these have to be displayed at the Industry Internship Open House - 2011. Preserve the soft copy. For details refer to Guidelines for Preparing Posters. CD containing soft copy: On a CD, store the PIF, interim and final reports, presentation, response sheet, and posters, in .pdf format. Also save the web log. Diary: Daily log of time-activities carried out by you. Get cover and certificate forms from Coordinator before leaving along with an introductory letter (follow the instructions) . Paste original Certificate of Internship 2011, signed by the representative of the organization. Web log hard copy: Web log of your experiences during practical training.

NET-BASED MONITORING
The instructions will be sent to the e-group. Once posted, we expect you to see it within 48 hours, and act on it by the stipulated deadlines.

EVALUATION OF INDUSTRY INTERNSHIP


You will be awarded 'S' or 'Z' grade in IIP201 based on the following: PIF: Non-receipt of Personal Information Form would mean non-commencement of training and Z grade will be awarded. Viva voce: In the first week of the semester, you will have to report for a viva voce with a faculty evaluation committee who would examine you in-depth on the technical understanding of the work done by you. Diary: Assessment of Diary and web log. If the entries are trivial or irregular, or the Diary is not signed by supervisor at least once a week, then it will mean that you did no training that day/week; additional training will be required in such cases. Reports: Reports will be assessed for completeness, clarity and professionalism. Poster session: Poster get-up, technical content and your ability to generate interest. Submissions: Absence or incompleteness in any of the items listed at 12 above. Acknowledgement: Send a letter of thanks to the organization and/or individuals who contributed to your internship; with a copy to IIT coordinator.

If you are found to be lacking in any of the above, you will be so informed. If you satisfy the above minimum requirements, then we expect that:
(i) You are thorough about the work done and understanding of related courses; if you worked in a press shop, you are expected to be thorough with metal forming, solid mechanics and material science even if all you did was a time & motion study and line balancing (or inventory management) during training. if your training project was on quality analysis or TQM in a wire manufacturing factory, you should be thorough about wire drawing processes, die design, materials, process parameters, dimensional tolerances, etc. if your training is in an automobile factory and your project is on layout or on developing an ERP system, you are expected to be thorough with engine thermodynamics, testing procedures, on-board electronics, parameters controlled during assembly, gears, kinematics, structural aspects, amongst others. (ii) (iii) The output claimed by you reflects at least 50 days of full time effort per student (this is a substantial time and a lot can be achieved); and You are able to answer questions related to what is in the report - you must be able to defend what you write, else your written claims have no credibility.

- - - - - COLLOQUIUM - - - - 15. COLLOQUIUM


The objectives of the Colloquium are to (a) make presentation about the internship to the class for enhancing the learning and exposure, (b) to learn to make, and then make presentations. The colloquium will give each student to make one presentation of 30 minutes on their internship and another presentation of 2 presentations of 15 minutes each (here the student will present a product patent and an industrial product.

- - - - - OPEN HOUSE - - - - 16. OPEN HOUSE


It is important that the industry internship experience be shared with a larger audience consisting of junior students and all faculty. The Open House provides this platform as a Poster Session. Each student will be given a display board where they will put up their poster highlighting their internship details; details are given in the Poster Preparation Guidelines. The session will last for one evening after classes or on a Saturday. This will also give impetus to inter-disciplinary learning. Every junior student has to see the posters, talk with the seniors; and every 3 rd year student will have to fill-in a questionnaire about at least one poster-student-organization.

- - - - - MENTORING - - - - 17. MENTORING


An important aspect of all professional life is to help juniors. A good boss or manager would be good at this aspect; a manager or GM must necessarily be very good at this aspect. In the semester after your internship is done, you have to assist juniors and faculty with arranging internships for the next batch. Please participate willingly and with enthusiasm to build a strong tradition of professionalism.

All internship information listed above will be captured in a data base, and finalized at the Open House which will also kick-off the internship process for the next year. This will also be the record of internships for future use. Details will be given at a later date.
