Assignment No. 3 Q3. What are the steps for sorting the text data and numeric data?

Sorting data based on Text Values

SORT OPTION A-Z Z-A

ALSO CALLED ASCENDING DSCENDING

DESCRIPTION Value close to A are displayed Value close to Z are displayed

Step 1.Click on the dropdown field that you wish to sort.

Step 2. When the menu appears select Sort A to Z or Sort Z to A. Depending upon the selection the results are sorted and displayed.

SORTING ON NUMERIC DATA SORT OPTION Smallest to largest Largest to smallest ALSO CALLED Ascending Descending DESCRIPTION. Value close to 1 are displayed Value furthest from 1 are displayed

Step 1. Click on the dropdown of the field (numeric) to be sorted.

Step2.Click on the option either Smallest to largest.

To Clear Sort. Step 1. Click on the clear sort command in Sort and Filter group of the ribbon.

Q4. What are the steps for filtering the records. Filter Records.

Search all the records in one table Find every record in that table that meets the criteria you set Display the results for you in the table by hiding the records that do not meet the criteria
Method Description

Filter by Field

Lists all of the values that have been entered in a specified field, so that you can choose which value or values you want Access to find. Filter by Selection Offers the ability to search records based on the value that is currently selected in a table. You can ask it to find records that: Equal the value

Do not equal the value Contain the value Do not contain the value

Advanced Filter

Narrows filtered results further by performing additional filters or sorts

Filter by Field.

Step 1. Click on the filter option in the ribbon.

Step 2. Either click on select All to select all the values or Blank to select empty results or values that you wish to see in the results.

Click on Ok Button

It is a Filter option because a filtered option is available in navigational bar and at the field. To Toggle Between Filtered and Unfiltered Results.

Use the label that appears in the navigational bar. Use the Toggle filter option in the ribbon. These options will restore the old values again that were filtered.

An unfiltered option is displayed which shows that the results are unfiltered. FILTER BY SELECTION Step 1. Place the cursor in the filed to be filtered. Click on Selection command in the ribbon. Choose one of the option .

ADVANCED FILTERS Step 1.Click on advanced option in Sort and Filter group of the ribbon.

From the menu that appears click on Advanced Filter/Sort option.

A design pane is available at the bottom to sort and filter fields. To view results click on Toggle Filter button in the ribbon.

To save the filter.Right click on Advanced filter Design tab and click Save option.
