WILDFIRE Council 2014 Call for Nominations


Here weve got some information about the positions that you can apply for on the WILDFIRE Council. Weve included both the official responsibilities of the positions and where possible, a more informal overview that our 2013 reps have written to give you an idea of what the positions actually involve. The positions available for 2014 are as follows:

PRESIDENT
The duties of the president shall be to:

(i) (ii) (iii) (iv) (v) (vi) (vii)

preside as chair over Council meetings and GMs; attend meetings of the C&S Council, vote in the interests of the club, and report outcomes to the Council, or nominate a proxy to do same; co-ordinate the activities of the Council; represent the club, and act as its spokesperson, to the C&S Council, MSA, the University and other bodies, as appropriate; submit reports to Council meetings, as appropriate; submit reports to RUSC and the NRHSN with the assistance of the Secretary and NRHSN Senior Representative; and submit an annual report to the AGM.

As president, your job is to make sure all the work the Council is doing fits together so WILDFIRE continues to operate smoothly. Although lots of things will come up that you cant predict, heres a few responsibilities that Ive had this year Communication, via email, phone and meetings in person. Many students, whether they are members of WILDFIRE or not will ask you questions about placements, conferences, grants or about the club in general. In addition you are answerable to the School of Rural Health, the Faculty and the NRHSN who send out a plethora of emails. This takes up most of your time as president but you also get to meet lots of great people along the way. Ensuring reports about WILDFIRE activities and information about the club is passed on to the people that need them (the people providing our funding) Providing support and guidance to students running WILDFIRE sub-committees Chairing monthly teleconference meetings for the WILDFIRE Council. These meetings usually take around 1-1.5 hours. Representing the interests of the club to relevant organisations

VICE-PRESIDENT
The duties of the Vice President shall be to:

(i)

attend Council meetings and GMs;

(ii) preside as chair over Council meetings and GMs, in the absence of the President; (iii) assist the President in her/his duties; (iv) perform the duties of the President if that office is vacant; and (v) perform other duties, as the Council may resolve.

The Vice-president has a similar role to the President and you will be important in making sure the executive isnt overworked. Your job is to work behind the scenes and help out anyone, but particularly the president, with any jobs that need doing. This year I also organised the Clinical Skills Weekend for pre-clinical students and the Rural Careers Day, the joint rural health day between Monash, Melbourne and Deakin University and you can expect to be involved in at least some way with organising these events next year. Due to the rather ambiguous wording of the constitution, this role can entail as much as you would like it to, it is a great opportunity to work with all other members of council and those on subcommittees to organise and help out as much as you can. TREASURER
The duties of the Treasurer shall be to:

attend Council meetings and GMs; keep the clubs financial books in order, in accordance with the requirements of the C&S Council and SRH; prepare a club budget, at least annually; Collect budget proposals and reports from all sub-committees biannually; submit a financial report to the AGM; and liaise with the C&S Council on any financial requirements.

The treasurers role is primarily to keep track of the finances. This includes approving budgets for the sub-committees, keeping records of money passed in minutes and then recording what is actually spent. While this sounds like a lot of work it actually just involves showing up to the meetings and keeping your books up to date. Your role also includes assisting the treasurers at the subcommittees when they need it. You will also need to submit financial reports to NRHSN. This includes the initial budget for the club and then an update in June and the final report at the end of the year. Mandy Law Wildfire.treasurer@gmail.com

SECRETARY
The duties of the Secretary shall be to:

attend Council meetings and GMs; prepare agendas and minutes, and serve notice as prescribed, for GMs and Council meetings; act as Returning Officer for club elections, as appropriate; regularly check the clubs mail boxes and electronic mail accounts, supplied by the C&S Council & SRH, for incoming correspondence or nominate a Clayton Sub-committee representative that may assist; ensure that an up-to-date membership register and membership form is maintained; ensure that inwards and outwards correspondence for the club is handled correctly and in a timely manner; and submit an annual report to the AGM.

My job is basically an administrative position. Its ideal for people who are organised and enjoy doing paperwork! Each month I send out a meeting reminder and ask for agenda items & apologies. I then make the agenda for the Council meeting, as well as write meeting minutes. I also receive a lot of email correspondence for WILDFIRE, which I reply to/filter/forward as appropriate. This can take up quite a lot of time. Other minor duties involve approving members on the WILDFIRE membership database, making room bookings for events and liaising with Clubs & Societies on behalf of WILDFIRE. As part of the Executive, you may also attend extra meetings with the School of Rural Health and other parties. All in all, its a fairly easy job but one that requires a considerable time commitment. (That being said, Ive managed to squeeze it into 4th year!) Its also quite rewarding, as you are involved in pretty much everything that WILDFIRE is doing. NRHSN SENIOR REPRESENTATIVE


The duties of the NRHSN Senior Representative shall be to:

attend Council meetings and GMs; represent the club, and act as its spokesperson, to the NRSHN providing reports where appropriate; ensure that the club has Council representative/s at NRSHN conferences and face-to-face meetings; attend Council meetings and GMs; coordinate all attendance and participation at Conferences of National Significance (CoNS); ensure follow-up reporting from all CoNS activities is completed. submit NRSHN reports to Council meetings; liaise with other rural health clubs; submit an annual report to the AGM.

The Senior NRHSN Representative role is the second part of a 2 year job, beginning as Junior NRHSN Rep. It is a really fun job, and a great way to network and see how WILDFIRE fits in on a national level. Some of your major roles include: Attending NRHSN Face to Face meetings twice a year. These are always great fun, and very social, as well as an insight into policy making and what other clubs are doing. Submitting our demographic report to the NRHSN twice yearly. This is basically a breakdown of our members. Advising and helping the Junior NRHSN representative with their role Passing on the relevant details from the NRHSN weekly update so that they can be publicized to our members, or acted on by council Coordinate and promote WILDFIRE attendance at CoNS. This is also a great opportunity to attend some conferences yourself, such as NURHC and NRLDS Write WILDFIREs articles for COOEE, the NRSHN publication get your journalistic skills going! This year, I wrote our submission to the Monash School of Rural Health for additional funding. While this was a huge job this year, its done now, and may just need to be updated for following years. Attend all WILDFIRE Council meetings and WILDFIRE Exec meetings, as well as relevant meetings with the school of rural health.

Assist with other WILDFIRE events, or run some of your own. Review and respond to WILDFIRE grant applications after they are voted on by council. Liase with the NRHSN on relevant matters as they arise.

Please note that you cannot apply to this position directly this is part of a two year role beginning as the Junior NRHSN representative.

NRHSN JUNIOR REPRESENTATIVE

The duties of the NRHSN Junior Representative shall be to: (i) (ii) (iii) (iv) to attend Council meetings and GMs; assist the NRHSN Senior representative in his/her duties; develop, co-ordinate and conduct all RHSVs; and coordinate and conduct participation in Indigenous festivals.

Note that this is a two year role, as it is assumed that if you are the NRHSN Junior Representative in 2014 you will become the NRHSN Senior Representative in 2015. The Junior NRHSN Representative is a great fun and very manageable role. It involves: Running Rural High School Visits (RHSVs) at least one per semester. These involve contacting careers coordinators, organising students to attend, planning a program, and when the visit is completed, submitting reports to the WILDFIRE council. As schools can be slow to respond, I would advise beginning early!! RHSV reporting - twice yearly, you are required to submit a report based on WILDFIREs RHSVs for the semester. One will be due in July, the other in December. These reports are ~600 words in length and are easily written based on the guide on the NRHSN website. Indigenous Festivals You will need to lodge preferences on location of the indigenous festival on behalf of WILDFIRE. Once they have been allocated, you need to liaise with the WF council and relevant sub-committees for getting attendees and their paperwork sorted. Also you will need to attend several teleconferences with other Rural Health Club Indigenous Festival participants. Roles include arranging/providing activities and supplies (from the IF kit provided), attending or ensuring attendees do. Indigenous Festival Reporting after the IF, you need to submit another report to the NRHSN based on a pro-forma on the website. It also includes a ~500 word report and some more focussed questions. Attending Face to Face meeting in September of 2014. Attending all WILDFIRE Council meetings and completing tasks as requested. Assisting with WILDFIRE events, or planning and running your own (perhaps with subcommittee support)

ATSI HEALTH JUNIOR & SENIOR REPRESENTATIVES


The duties of the ATSI Health Representative shall be to:

attend Council meetings and GMs; co-ordinate the Matthew Campbell Memorial Evening activities; assist in facilitating any additional activities, events or advocacy programs concerning Indigenous health; liaise with the NRHSN Indigenous Health Advisors; and represent the club in all Indigenous matters.

In 2014, WILDFIRE is trialling the creation of Junior & Senior ATSI Health Representatives. The Junior ATSI Representative will be a two year role, as it is assumed that the Junior Representative in 2014 will be the Senior ATSI Health Representative in 2015. The Junior Representative will assist the Senior Representative with the following responsibilities: You are in charge of organising the Matthew Campbell Memorial Evening. This includes: o Choosing a theme o Finding speakers for the night o Choosing a charity o Organising their travel o Keeping in contact with the Campbell family o Promoting the event o Keeping in touch with Teresa in terms of catering o MC the night o Writing Reports o Organise filming, recording, photos, poster, thankyou letters etc You also need to keep in touch with the NRHSN who need help with their Indigenous projects There are a range of Indigenous events, festivals and lectures on in Melbourne and surrounds. Try to advertise them to students via Blackboard. An idea for next year is to get in contact with past students who have undertaken an Indigenous placement and compile a database of where they went, where they stayed and who to contact to assist other students in organising their own Indigenous placements. You need to have a good relationship with your Clayton Sub-committee ATSI rep that can help you promote and organise on campus events.

PUBLICATIONS REPRESENTATIVE The duties of the Publications Representative shall be to: i) attend Council meetings and GMs ; ii) collect event reports from Council and sub-committee representatives; iii) produce the quarterly club newsletter Firefront; and iv) submit an annual report to the club in consultation with the Council; This is a great position if you are excited about writing and advertising! It is also fantastic experience working within a committee. The role of the publications representative is to: Compile articles & produce the quarterly Firefront magazine Write MCME publications Write the annual report Help Promotions representative with advertising events

Some tips: Tell people early & make deadlines for articles to be sent to you for Firefront Encourage everyone to take photos at events & immediately write up the event reports Distribute Firefronts across all rural sites & on the web

IT REPRESENTATIVE
The duties of the IT Representative shall be to:

attend Council meetings and GMs; create promotional videos promoting club membership and major events; and develop and maintain the club web site and club Facebook page; and assist the secretary in maintaining the WILDFIRE member database.

The primary roles of the WILDFIRE IT representative are to assist in the creation and maintenance of the WILDIFRE website, management of the WILDFIRE Facebook page, and the administration of other IT services, such as the WILDFIRE TryBooking and DropBox accounts. The role also involves assisting the promotional officer in designing promotional materials, such as posters and videos, to promote the club and its events. The IT representative must also be available for Council Meetings and be contactable for IT related enquires, troubleshooting and technical support. Luke Fletcher Wildfire.infotech@gmail.com

MEMBERSHIP REPRESENTATIVE The duties of the Membership Representative shall be to: (i) (ii) (iii) attend Council meetings and GMs; organise the purchase of club merchandise; Liaise with all subcommittees regarding ideas for events, and how to organise and execute these events. Provide support and guidance to these subcommittees; and (iv) co-ordinate the promotion of club membership to the student body

Some other information about what the role involved: Organise appropriate merchandise for the club in time for the beginning of the new academic year 1. USB lanyards were purchased this year 2. 50 tshirts for council members were purchased to help identify WF council/committee at events for the next 2 years or so 3. SPONSORSHIP REPRESENTATIVE The duties of the Sponsorship Representative shall be to: (i) (ii) (iii) (iv) attend Council meetings and GMs; seek sponsors for the club and/or club events; provide feedback to sponsors regarding the events for which the sponsor/s contributed; and submit reports to the Treasurer where appropriate

The role of Sponsorship representative offers a lot of freedom and allows you to pursue sponsors according to your own preferences. The role involves creating a sponsorship prospectus and then approaching organisations to procure money so that WILDFIRE can continue to run amazing events. The ideal candidate would be determined, on the ball, and comfortable with rejection from sponsors. In practice, the role involves contacting a lot of sponsors over summer and then regularly liaising with the partners who choose to support WILDFIRE. The role requires a lot of communication with both the sponsors and the event organisers to ensure that the sponsors needs are met and that they receive good exposure. While the role of sponsorship representative involves a lot of work over the summer and around the time of the events, the work is extremely rewarding and allows you to get involved in all of WILDFIREs activities. LIAISON REPRESENTATIVE
The duties of the Liaison Representative shall be to:

ALLIED HEALTH REPRESENTATIVE WILDFIRE recognises the importance of the allied health sector across all fields of healthcare. An allied health representative position was trialled by WILDFIRE this year, and will be continued into 2014. As a new position, there is a lot of flexibility as to what you can do. As a club, WILDFIRE has struggled to engage allied health students. The role of the allied health representative would be to increase the involvement of allied health students within the club and to advocate for ways that WILDFIRE can better meet the needs of allied health students interested in rural and Indigenous health. GIPPSLAND REPRESENTATIVE The Gippsland Representative role will be trialled in 2014. WILDFIRE recognises the large number of health students based in Gippsland and the relative lack of WILDFIRE presence. Your role would be to increase WILDFIREs presence in Gippsland and assist the Gippsland subcommittee(s) to run events. The WILDFIRE Council has traditionally failed to provide adequate support to the Gippsland subcommittees, and a Gippsland Representative may provide the additional support needed. MEMBER WITHOUT PORTFOLIO


The duties of the Member Without Portfolio shall be to perform such duties as the Council may resolve.

So you want to be next years MWOP? This is a flexible position which allows you to be involved in a range of Wildfire activities run throughout the year. What to expect: two major events in the MWOP calendar are organising the Indigenous Mental Health First Aid sessions (a variation on Mental Health First Aid, which better equips people with vital practical skills for dealing with mental health crises in the Indigenous population), and organising Wildfires Annual Dinner. While these might sound like light duties, both involve a lot of organisation, so if youre taking on the role make sure youre up for the time commitment. As MWOP, youve the scope to help out with any number of additional projects, and/or come up with your own ideas of events to run as a club! If youre a first-timer on the Wildfire committee, the role of MWOP is a great initiation on how Wildfire runs, as well as giving you the chance to be involved in future direction of the club.
