EMPLOYEE DETAILS This screen is used for upload/entry of the details of the members as required for filing the

Return in Form 5, Form 10, for International Workers and for Disabled Workers. The data that are required for the Form 5 are mandatory. In case a member has exited, you can enter the date of exit and in such case the reason for exit will become mandatory. There are some additional details which also can be filled up. These details may become helpful later when member applies for claim. However they are not mandatory. Some of the details collected in this screen also help in the calculation of the dues in respect of each member. These details are: a) The date of birth: When any member is over 58 years age, the software will divert the Employees Pension Contribution amount of such member to the employer share, since after the age of 58 years he does not remain a member of the Pension Fund. b) Whether contributing on more than wage ceiling: i) In case of EPF (Employees Provident Fund): By default it is displayed as N (for No). In such case the software will calculate the EPF Contribution for both, employee and employer shares on the wages up to the applicable wage ceiling (at present 6500). In case it is changed to Y (for Yes) both the shares will be calculated on any wage entered or uploaded irrespective of the wage ceiling. Note: In cases where the employee (member) contributes on his full wages but the employer restricts the employer contribution to wage ceiling, please let the field show as N. The members share above the wage ceiling or at a higher rate is handled through VPF-Voluntary P F and is explained in the function related to wage entry. ii) In case of EPS (Employees Pension Scheme) : Here also the default value is N. This should be changed to Y only if Pension Contribution is being remitted on the wages above the ceiling from the date the member crossed the wage ceiling. [Please refer to the relevant rules of the EPS 1995].

c) If the member is shown as International Worker, by changing the N to Y, then the contributions are calculated on the wages irrespective of the wage ceiling. For such member the EPS Contribution is also calculated on the wages above wage ceiling from 11.09.2010. [Please refer to the notification in this regards].

UPLOAD OF DATA THROUGH CSV FILE: The better way to update the employee details in the software is through upload. A csv file is to be used for uploading the data. Example csv files are available on the epfindia website and they can be used. However if you want to prepare the file on your own, you can use the following process: Open a Microsoft Excel file and in the first row enter the field names of the 24 fields as has been listed in the User Manual. You can also click the ? on the screen to view the field names and the maximum field length. The dates should be in dd-mm-yyyy format. Since csv file is a file with comma separated values, please ensure that none of the fields such as address etc are having any , otherwise the upload will fail and error will show that the number of fields is more. Once you have entered the data in the excel file and saved it, click SAVE as. In the box for save as type select CSV (Comma delimited) (*.csv) and save it. This file can be used to upload the data. Important: 1. Do not enter any , in the csv file. 2. No special characters in the Name or fathers name fields. 3. The date format in the csv file should be dd-mm-yyyy 4. At least the mandatory fields should be filled in. 5. In case of the following fields, if left blank in the csv file, the values are taken as follows on upload: a.) EPF Higher wages : N (contributions restricted to wage ceiling) b.) EPS Higher wages: N (Pension contribution restricted to wage ceiling).

c.) Marital Status: M (married) d. Father/Husband: F (Father) To check that your csv file has been correctly created, right click the file to open it with Note Pad. In such case it will show one line for each member and all the data entered will be separated by ,. Number of , in each line will be 23 to act as separator for the 24 fields. Deleting any members data The data entered in respect of any member should be edited if case so arises. Against the PF number all data that has been entered can be edited. However in case there is a need to delete the members details, the software will allow only when the data of the member is also deleted from the Wage data function.
