S ARD OPERATING PROCEDURES Title: Room & Board for AMPATH Residents visiting Eldoret Objective: To provide fiscal

and financial continuity and consistency for all AMPATH residents visiting Eldoret. Overview: AMPATH member schools send medical residents to facilitate the various programs vital to the continued partnership with Moi University and Moi University School of Medicine. IU House Room & Board Logistics

1. The IU Kenya Partnership office is responsible for maintaining a schedule of all travelers from North America to the IU-Kenya Partnership in Eldoret. 2. All personnel wishing to visit and stay at IU House in Eldoret must contact the Kenya Program Administrator (iuadmin@iukenya.org) and the Program Manager (rpettigr@iu.edu) to ensure that adequate housing and transportation is available. Initial contact should occur at least 4-8 weeks prior to any anticipated travel. All correspondence with Kenyan travel agents arranging in-country transportation should be copied to both the administrator and program manager. Copies of passports, itineraries, dates of arrival in Nairobi and Eldoret, copies of US Department of State registration, Emergency Contact information, etc. should all be forwarded to the Program Manager. 3. Room & Board Fees should be paid in advance to the Program Manager, if possible. 4. Residents from AMPATH schools will pay $38 per day full room and board to cover incidentals and logistical expenses. 5. All room & board fees are expected to be paid to the Program Manager prior to the residents departure for Kenya. 6. Significant Others (SOs) are encouraged to share in the Kenya experience for either a short visit or the entire duration of the medical residents stay in Kenya. 7. Information concerning any SOs visit to Kenya must be communicated to the Program Manager well in advance of any rotation to Kenya. 8. Non-medical SOs sharing a room with a medical resident will pay $20 per day full Room & Board in addition to the resident rate of $38. (Total fee for two persons is $58 per day). 9. Meals are available at IU House according to the following schedule: a. Breakfast (on your own in the IU House dining room) Sunday-Saturday b. Lunch M-F c. Dinner Sunday-Tuesday, Thursday 10. Some Wednesday evening dinners at a local restaurant are provided as part of the Room & Board Fee; however, all persons are expected to cover the costs of any alcoholic

beverages purchased during the Wednesday evening experience. IU House cooks do not prepare meals for Friday evening dinner, Saturday lunch or dinner, or Sunday lunch. a. Food is available in the IU House kitchen and may be prepared by each individual for meals that are not prepared by IU House cooking staff . i. Specific foods may be requested for self-preparation by contacting the Program Administrator with at least 24 hours notice. ii. Requested food will be purchased and made available for any meals not prepared by IU House cooking staff. b. Due to the availability of food for self-preparation, any meals eaten away from IU House at any time (other than the Wednesday evening meal) are not included in the Room & Board Fee. Local transportation is NOT included in room & board fees. MTRH is within easy walking distance. a. Visitors must arrange for their own transportation to venues outside of Eldoret. b. IU House staff will provide names of acceptable taxi drivers if requested. c. Rates for taxi use is negotiated by the use not IU House personnel. A safe is provided at IU House to keep valuables for guests. Each room has at least one lockable drawer, but the visitor must determine whether or not the value of an item requires keeping in the IU House safe or in the lockable room drawer. a. Visitors must arrange for their own transportation to venues outside of Eldoret. b. IU House staff will provide names of acceptable taxi drivers if requested. c. Rates for taxi use is negotiated by the use not IU House personnel. A safe is provided at IU House to keep valuables for guests. Also, each room has a programmable room safe large enough to hold most laptop computers, but each guest must determine if valuables should be stored in the room safe or in the IU House office safe.
