Job Description Influencing Development Actors and Practices for Womens Rights - Program Associate (Revised August 2010)

Overview of the Strategic Initiative: Launched in 2008, AWIDs strategic initiative, Influencing Development Actors and Practices for Womens Rights (IDeA) advances feminist understandings of the relationship between development and womens rights with a particular focus on the aid effectiveness agenda and the Financing for Development process at the UN. The initiative produces and disseminates knowledge on development issues with special emphasis on womens perspectives and aims to connect theoretical debate on development and the need for alternative models or paradigms with concrete experiences, lessons learned and analysis from womens rights perspectives. Overview of the Position: The Influencing Development Actors and Practices for Womens Rights (IDeA) Program Associate is a fulltime position, reporting to the IDeA Manager, that provides research support, coordinates the production and dissemination of IDeA materials, including updates to awid.org, and provides logistical support for initiative events and meetings. QUALIFICATIONS Experience: 2-4 years experience: - working in a non-profit organization - providing administrative and logistical project support - preparing and editing documents or reports for public distribution - developing and adhering to production schedules and communications protocols - with project design, coordination and evaluation Experience working in a multi-cultural team Academic Qualifications: University degree or college diploma in social sciences Expertise & Skills: Ability to plan, organize, implement, monitor and evaluate multiple projects with multiple deliverables and deadlines Excellent written and verbal communication skills in English, as well as in Spanish and/or French Strong editing/proofreading skills Keen attention to detail and quality control Excellent organizational skills Able to multi-task, and willing to perform diverse tasks as needed in a timely manner Works collaboratively as part of a team Able to work independently, asks for directions as needed Strong computer skills, including word processing, MS Excel, presentation packages (Power Point), databases (Filemaker, Access, etc.) Internet, and email Able to manage conflict effectively Proactive and is able to take initiative

Able to work virtually, using communication technologies Support production of communication tools and products Provide input to the communication strategy and able to adapt reports to different audiences, processes and needs

Knowledge & Other Requirements: Demonstrated interest in womens rights and gender equality work Some knowledge of development and economic rights frameworks Able to travel internationally (approx. 2-3 weeks per year) Committed to the principles and values of feminism, anti-discrimination and anti-oppression Assets: Courses or certificates in women's/feminist studies, political economy or human rights Familiarity with international and regional womens rights organizations and networks working on financing for development and economic rights Experience working with non-profit, non-governmental organizations based in the Global South and/or CEE/CIS Trilingual (English-Spanish-French) RESPONSIBILITIES Knowledge Building and Research Uses priorities identified by IDEA Manager to source existing research, articles, and other resources on key themes related to the initiative and documents results in clear, easy to use formats Conducts fact-checking, obtains approval for quotations to be published and provides other similar supports for IDeA research products Liaises with research stakeholders (other staff, consultants, product co-authors or contributors) as required to obtain approvals, ensure timely delivery of research products Capacity Building and Strategic Convenings Drafts invitations and logistics communications to internal and external stakeholders for meetings and other activities related to the IDeA SI Assists with preparation of other meeting-related correspondence (drafting letters, organizing and compiling the appropriate email lists, sending approved correspondence to participants) Participates in regular coordination meetings with Forum & Events Team (for events where this team is supporting logistics) Makes travel and hotel reservations for AWID-sponsored participants (for IDeA events not supported by the Forum & Events team) Makes travel and hotel reservations for IDeA staff for SI-related travel and meetings Coordinates other required logistical arrangements for IDeA meetings (such as participant visa, airport/hotel transportation on site, and responding to other participant concerns as they arise) in collaboration with the Forum & Events team Compiles required meeting materials, including participant packets (submitting purchase request in line with approved budgets, photocopying or coordinating copies/printing of required materials) Acts as room attendant on-site at meetings, checking equipment in advance of meeting start, passing microphones as needed, trouble-shooting interpretation or other technical problems. Contributes to note-taking of meeting proceedings (as other logistical duties permit) using guidelines established by IDeA Manager Calculates required reimbursement or per diem amounts for meeting participants, in line with AWID Financial Policies & Procedures, submitting calculations for IDeA Manager approval Information and Communications Compiles, edits and proofreads SI internal information products, including but not limited to: IDeA inputs for donor, Executive Director, and annual reports, membership communications

Helps to prepare detailed production scheduleincluding timing of consultant/author contracts, draft reviews and comments, final editing and proofreading, translation, design, printing, and disseminationfor the initiatives information products Coordinates all stages of IDEA publication processes (from translation, proofreading, design, printing, dissemination), in accordance with established timelines, including requesting quotes from appropriate vendors, submitting quotes to manager for approval and liaising with selected vendors Proofreads and copyedits documents and forwards documents to the manager for approval Translates short (under 3-page) documents (AWID works in English, French and Spanish) Serves as the central point of contact with the Information and Communications unit and translators working on IDeA materials Facilitates regular updates to the IDeA section and systemic crisis portal on awid.org by assembling information from team members, external consultants, preparing complementary information and submitting for Manager approval Posts approved materials to IDeA sections of awid.org in English, Spanish, and French. Ensures that IDeA-related web links on awid.org and key partner sites are valid and operational Compiles publication distribution lists, drawing on IDeA contacts database, for Manager approval Disseminates IDeA publications and resources (by post and electronically) to the appropriate internal and external stakeholders based on approved distribution lists and in accordance with dissemination strategy and schedule Occasionally participates in relevant external meetings, taking notes and reporting back to team members Coordinates the production of regular IDeA-related Friday Files based on established production schedule Administers the IDeA google group Updates and maintains the IDeA contacts database

SI and Organizational Processes Works with the Manager and team members to prepare a work plan and meeting/production schedule for the initiative. This work plan will include all meetings and the corresponding schedule which will document internal and external dates and meeting requirements, as well as dates for the production of all reports and information dissemination requirements Develops and monitors an individual work plan, following established AWID workplan formats Active participant in IDeA team planning and coordination meetings Provides logistical coordination for IDeA team and committee meetings (organizing conference calls, reserving meeting space as required, troubleshooting) Drafts and disseminates team meeting minutes Follows IDeA and Advocacy Team monitoring & evaluation plan to track and record relevant evaluation data, including but not limited to webstats of hits to IDeA landing page and systemic crisis portal in three languages (English, Spanish, and French) and to publications posted; tracking of venues attended by IDeA and Advocacy staff and numbers of hardcopies of products disseminated, tracking of partners' electronic dissemination of IDeA products, feedback received from external stakeholders to products/initiative in general Liaises with other SI staff as needed to effectively advance cross-SI deliverables Actively participates in staff and office meetings as well as committees (with IDeA Manager approval)
