Chapter 1

Installation
This part of the manual describes the installation of the InterCafe 2010 software and the supported hardware.

1.1
1.1.1

System Requirements
Hardware requirements

The Server and Client at least need to meet the following system requirements:
IBM compatible PC with 1 GHz (1,6 GHz recommended) 512 MB main memory (1 GB recommended) Screen resolution of 1024x768 Pixel Internet access at Server (Service)

Depending on the operating system, the number of Clients and the area of application (e.g. games) it might be necessary to use hardware with higher requirements. Please note: The computers need to meet current safety requirements and need to be CEcertied.

1.1.2

Software Requirements

The Server and Client at least need to meet the following system requirements:
Windows 2000/2003, Windows XP (32 bit), Windows Vista (32 bit) Internet Explorer 6 or hogher (Internet Explorer 7 recommended for Client) Microsoft .Net Framework 2.0

You do not need a Server version of your operating system (e.g. Windows 2003 Server) to use the InterCafe 2010 software. Please note: In order to garuantee an unobstructed operation of the program the software always needs to be closed properly and the operating systems always needs to be shut down properly.

1.1.3

Microsoft .Net Framework

To run the InterCafe software the Microsoft .Net Framework 2.0 needs to be installed on all computers. If this program is not yet installed, please download it from our website www.cybercafe-software.com from the download area.

1.1.4

Crystal Reports Drivers for Statistic Reports

To run the InterCafe software the Crystal Report drivers need to be installed on the Server. If this program is not yet installed, please download it from our website www.cybercafesoftware.com from the download area.

1.1.5

Network Requirements

To operate the InterCafe software as a Server-Client-System a local network (LAN) is required. The conguration of the network should be done by a network expert. The setup of the network can use static (xed) IP addresses or a DHCP-Server for automatic IP addresses. When using automatic IP addresses please note the following: Unless you received public IP addresses from your provider you should only use IP addresses from the private range. Private ranges are 10.0.0.0 to 10.255.255.255, 172.16.0.0 to 172.31.255.255 and 192.168.0.0 to 192.168.255.255. The most common range is 192.168.0.0 to 192.168.255.255.

1.2

General Setup of InterCafe 2010

The InterCafe 2010 software is based on the following software parts:

1.2.1

Server

The Server software is installed on the main computer (e.g. the reception desk / cash desk). All general operations are made in the interface of the Server software (e.g. settings, starting and settling of clients, billing, booking of items, printing of statistic reports etc.).

1.2.2

Client

The Client software is installed on the customer computers and includes the Client Conguration software for settings and the Client interface, which the customers see at the customer computers.

1.2.3

Service

The Service is automatically installed on the main computer together wit the server (e.g. on the computer at the reception desk / cash desk). The Service saves all the data (Settings, Member data, statistics etc.). The Serivice runs as windows service in the background. In special cases the Server may be installed on a special computer in the network (e.g. on a seperate Server-PC in the network), but this is not obligatory. Please note: When installing a kiosk systems (single computer station) select Kiosk as type of installation. Server, Client, Service and PrintServer will then be installed on the same computer.

1.2.3.1

IC Service Controller

The IC Service Controller is used to congurate the InterCafe Service. To start the IC Service Controller, click on Start Programs InterCafe 2010 Service InterCafe Service Controller. If the service is already active, the IC Service Controller can be started by clicking on the according symbol in the windows bar next to the time.

Change language To change the language click on File Change language. Settings In System Settings you can enter the path for the databases. You only need to make changes to this setting if the databases are removed from their original storage. The option Automatically compress and repare data bases before program start assures that the databases will not get too big. Change password You should always secure the IC Service Controller with a password to avoid access of unauthorized persons. Click on System Change password to enter a new password or to change the existing password. Start Service / End Service You can start and end the service of the program (IC Service) by clicking on System Service. Service Manager With System Service Manager you can install or uninstall the service of the program (IC Service) or change the type of start. For the daily use it is recommended to install the service and select automatic as type of start. This way the service is automatically being started with every reboot of the computer. Usually the type of start is being set to automatic when installing the sofware. 1.2.3.2 Databases

The databases of the InterCafe Software are automatically being saved to the program folder of the Service (in My Computer Programs InterCafe 2010 Service ). The following databases hold the most important data of the software and backups should be made in regular terms as well as before reinstalling or updating the software:
systemdata.mdb - including member data, tari information, general settings

journaldata.mdb - including billing transactions and statistics pricelistdata.mdb - including Softphone and Callshop price lists

1.2.3.3

Remove Databases from Regular Storage

To remove the databases from the regular storage please do the following: Deactivate the Service (End Service in the Service Controller). Copy the databases (systemdata.mdb, journaldata.mdb and pricelistdata.mdb) to the new storage folder and enter the new path for the databases in the IC Service Controller in System Settings. Restart the Service (Start service with the IC Service Controller).

1.2.4

PrintServer

The PrintServer is needed for the billing of printouts with InterCafe 2010. Install this program on the same computer where the printers are installed (usually the main computer at the reception desk / Server). The PrintServer needs to be activated in order to bill for the prints. The printer does not need to be setup as a shared printer (in Windows). You can nd more detailed instructions in the Print Manager Manual.

1.3

Installation of InterCafe 2010 Server

For the installation of InterCafe 2010 Server it is necessary to have Windows Administrator rights. Double check if the Microsoft .Net Framework 2.0 and the Crystal Reports drivers for the statistic reports are already installed on your computer. If not, download these from our website and install them before installing the InterCafe software. Download InterCafe 2010 Server from our website www.cybercafe-software.com from the download area. Start the installation of InterCafe 2010 Server and Service by executing the downloaded le InterCafe2010.exe.

When the installation has been started the welcome window will appear. Click on Next. Read the licensing agreement in the next window. Only click on I accept the licensing

agreement and then Next if you fully agree. If you do not agree you need to cancel the setup at this point! Destination folder You now see the selection for the program folder (destination folder). The following folder is already preselected: C:\Programs\InterCafe 2010. This preselection should not be changed. Click on Next to continue with the installation.

Type of installation Please select Server as type of installation. With this option you will install the Server with the Service and PrintServer (no Client). Click Next to continue.

Settings Select the option Install InterCafe Service as System-Service so that the service is being started automatically. Then select the program components of InterCafe (Service / Server / Print Server) which you wish to install. Usually these components are being installed on the same computer (the main computer at the main desk).

Click Next to start the installation. The program will now copy the necessary les to your hard disk. The installation should be completed without any error messages. At the end of the installation you will get a conrmation message that the installation has been successful. Click on Finish to close the installation window.

1.3.1

Using Several Servers

The InterCafe 2010 software provides the opportunity to use more than one Server (Billing terminal). For every additional Server you need to have the Special module 2.Server/Additional Server. On the Additional Server install the Server software only (no PrintServer or Service). The Service only needs to be installed on the main computer (1. Server) or a designated Server computer in your network. Settings All settings (such as taris etc.) that have been made at the Main Server (main computer) are also valid for the Additional Servers and can also be reset or changed at the Additional Servers. Only the settings of the Local Conguration have to be made seperately at every Server. Thus you can have dierent local settings for POS printers, sound settings and the software interface for each Server.

1.4

Installation of InterCafe 2010 Client

For the installation of InterCafe 2010 Client it is necessary to have Windows Administrator rights. Double check if the Microsoft .Net Framework 2.0 is already installed on your computer. If not, download this program from our website and install it before installing the InterCafe software. Download InterCafe 2010 Client from our website www.cybercafe-software.com from the download area. Start the installation of InterCafe 2010 Client by executing the downloaded le InterCafe2010.exe. Please note: For the installation on more than one computer you should share the downloaded le in the network, burn the le on a CD or save it to a USB-stick to avoid multiple downloads of the same le from the internet.

Windows System Start The next window shows the compnonents of the InterCafe software. Select the components which you wish to be started automatically with the start of the Windows System. It is recommended to use the option Start InterCafe Client automatically.

Click Next to start the installation. The program will now copy the necessary les to your hard disk. The installation should be completed without any error messages. At the end of the installation you will get a conrmation message that the installation has been successful. Click on Finish to close the installation window.

1.5.1

Software Update at Server and Client


Perform an Update

To download and perform an update of the InterCafe software go to the Server and click on ? Search for updates....

On the left side (Local ) you see the version numbers of the software that is currently installed on your computer. The right side (Internet ) shows the newest available version from the internet. To perform an update of the InterCafe software click on the button Perform update. The update will automatically be executed for the Service and the Server at which you are downloading the update. To perform the Client update you need to follow the instructions given in this manual in the section Client Software Update.

1.5.2

Client Software Update

After the update has been successfully performed at the Server you can now start the Client update. Go to Settings Machine Settings Client software update. Please note: Please make sure that all recovery systems such as DKS Software, HDGuard or PS Sheri have been deactivated on the Client before you start the update so that the changes to the client computer can be saved.

This list shows the all Client computers, the software version that is installed on each computer and if an update is possible at this moment. For example, an update is not possible if the computer is currently being used by a customer. In that case this Client will be marked in RED, the column Update possible will show No and the option box cannot be checked. It is recommended to perform the update for one Client computer rst. Select a computer where the update is possible, activate the option box and click on Perform update. If the update was successful you may update all other computers. The messages will help you to see which Client computers have been updated successfully. You can also select several Clients at one time. With the Button the selection can be reversed. If an update could not be performed (e.g. error message Timeout during le transfer) you can perform the update manually. To do so go to the Program folder of the InterCafe Service, to the folder Update and copy the update_xx.exe (on the computer where the Service runs). Save the update le to a USB stick or transfer the le to the client by using the local network. Execute the update le at the client and perform the update.

1.6.1

Installation of Hardware
Installation of a Chipcard Reader

InterCafe 2010 supports chipcard readers with chip systems of SCM, Towitoko, ACS and Omnikey/Cherry. The installation of the chipcard reader may dier depending on the operating system and the type of hardware (serial or USB). Please refer to the instructions of the manufacturer. Connect the chipcard reader to your computer. If the drivers already exist on your computer you can start the installation with the Windows Hardware Assistant.

Installation of drivers If you do not have the drivers you can download them from the website of the manufacturer or from our webseite www.cybercafe-software.com. Start the installation of the drivers for the chipcard reader. The installation routine will install all necessary drivers on your system. Restart the computer to assure a correct identication of the new hardware. If you have problems with the installation of the hardware you should be able to download a diagnostic program from the manufacturers website for error search. Settings in the software After the new hardware has succesfully been installed you need to make the settings in the Local Conguration of the Software (see Conguration of InterCafe 2010 Server Local Conguration in this manual for instructions).

1.6.2

Installation of a POS Printer

InterCafe 2010 supports all Windows printer. Special features such as the autmatic opening of the cash register are supported for EPSON, Star, Samsung and Bematech printers. Connect parallel printers to the parallel port (LPT 1) and USB printers to the USB port of the Server computer. The printer will automatically be identied with the reboot of the system and the installation of the drivers will be started. Installation of drivers for EPSON printers Start the le APD_400E.exe on your computer. The installation will copy all drivers for the EPSON POS printer to the hard drive. Install the drivers by clicking on Add in the printer section of the Windows system control. Select local printer and the corresponding port (LPT for parallel printers and USB for USB printers). Click on Next and select the driver. Select the directory APD_400E.exe as data storage medium. Select the type of EPSON printer from the list. Even if the printer has a cutting unit select the driver with the no cut since the cutting unit will be directly controlled by the software. Installation of drivers for other printers Please donwload the drivers from the manufacturers website and follow the instructions given in the manual that comes with the printer. Settings in the software After the new hardware has succesfully been installed you need to make the settings in the Local Conguration of the Software (see Conguration of InterCafe 2010 Server Local Conguration in this manual for instructions.

1.6.3

Installation of a Cash Drawer

Connect the cable of the cash drawer to the back side of the POS printer. Open the cash drawer with the keys and then smoothly close the drawer so that the magnetic lock keeps the drawer closed. The drawer will automatically be opened by the software with every billing transaction. The keys are only needed for emergency cases. If you do not have a POS printer you need a RS-232 or USB Interface to connect the cash drawer to the the computer. Settings in the software After the new hardware has succesfully been installed you need to make the settings in the Local Conguration of the Software (see Conguration of InterCafe 2010 Server Local Conguration in this manual for instructions).

1.6.4

Installation of a Customer Display

Before connecting the customer display to your computer you need to shutdown your computer and unplug it from the power. connect the provided plug to the power supply unit of the computer and x the slot bracket with the power plug to the case of the computer. Connect the serial plug to the serial port of your computer. There are dip switches on the bottom of the customer display. Switch dip switch No. 4 to ON. You may now turn on your computer again. Special drivers for Windows are not needed. Settings in the software After the new hardware has succesfully been installed you need to make the settings in the Local Conguration of the Software (see Conguration of InterCafe 2010 Server Local Conguration in this manual for instructions).

1.6.5

Installation of a Waiter Key System

InterCafe 2010 supports waiter key systems of Jarltech and Addimat. The connection is either PS/2 or RS-232. Additional settings Before using the Jarltech waiter key system it needs to be programmed. Please download the following tool: http://www.intercafe-software.de/InterCafe2010/download/tools/JT1300.zip In OnRemove characters enter the following: OUT. Click on Save Settings To JB-1300. Settings in the software After the new hardware has succesfully been installed you need to make the settings in the Local Conguration of the Software (see Conguration of InterCafe 2010 Server Local Conguration in this manual for instructions).

1.6.6

Installation of a Coin Acceptor

For the installation of the coin acceptor please refer to the InterCafe 2010 Coin Acceptor Manual.

1.6.7

Installation of a Remote Plug

InterCafe 2010 supports Allnet remote plug systems. Connect the plugs and the network master as described in the manual of the manufaturer. Assign an IP address to the network master if it is not automatically assigned by the DHCP Server.

Settings in the software After the new hardware has successfully been installed you can add the network master as a control unit in Settings Machine Settings Control Units (see Conguration of InterCafe 2010 Server Dene Control Units in this manual).

1.6.8

Installation of a CompuLAB USB Unit

InterCafe 2010 supports CompuLAB control units of the company ModulBus. Connect the control unit to the USB port and install the drivers. You can download the driverf from our website www.cybercafe-software.com from the download area.

Settings in the software After the new hardware has successfully been installed you can add the control unit in Settings Machine Settings Control Units (see Conguration of InterCafe 2010 Server Dene Control Units in this manual).

Chapter 2

Conguration of InterCafe 2010 Client


For the conguration of InterCafe 2010 Client it is necessary to have Windows Administrator rights at the Client computer. Otherwise the changes will not be saved. Please note: The Windows user name must be dierent than the Windows computer name! Otherwise errors in Windows may occur when transferring policy settings. If the two names are the same you need to change the Computer name, not the user name. Start the Client Conguration at the Client computer by clicking on Start Programs InterCafe 2010 Client Client Conguration.

Select thge language for the Client Conguration when starting the conguration for the rst time. Select English to start the program in English.

2.1

General

Service The Service (part of the InterCafe software that holds the databases) is usually found automatically by the software in the local network. Alternatively you can enter the IP address or the computer name of the computer on which the service runs. This may be necessary if the Server cannot nd the Clients automatically. Password Make sure to enter a password for the Client Conguration so that unauthorized persons cannot close, access or make changes to the software. Language If you want to change the language for the Client Conguration you can click on the button Change language and select the desired language.

2.2

Start Options

Client Software Start Options To start the Client software automatically with every new start of the computer you need to activate this function by clicking on Activate. The status bar always shows the current status. Deactivate the automatic start of the software by clicking on Deactivate. Windows User Login Enter the login data for the Windows User which shall automatically be logged in with every new start of the computer. Select an available Windows user and enter the according password (password as saved in the Windows user account of this user). If you wish that the user shall be assigned to a domain every time he is logged in you can enter the domain here (only if using a Windows Server). The status shown here will be updated with the reboot of the computer. Start Windows Explorer Use this option if you are using a Client with Wireless LAN interface (e.g. laptops) and if the interface needs the Windows Explorer to establish a connection to the network. The Windows Explorer will run in the background and will not be visible for the users,

Login Screen

2.3.1

Standard Login Screen

Enter the path to a picture or HTML le which shall be displayed at the Client as Login Screen, Pause Screen or Busy Screen. If using a picture le please consider the correct size of the picture (screen resolution) to avoid a distortion of the picture. Please leave enough space for the login column on the left side. If you do not want to use the regular login column you can create your own HTML-le for the login. To dene the settings go to General Options Client Login Screen Individual Login Screen at the Server. Also please read the Manual for Individual Login Screen.

2.4

Policy Settings

Remove policy settings The policy settings are being created at the Server and transferred to the Clients. If necessary you can remove the policy settings in the Client conguration. The current Windows user needs to have administratior rights for this action. Select the Windows user for which you wish to remove the policy settings (e.g. Guest user) and click on Remove policy settings. The policy settings will only be removed for the selected Windows user. If you do not select a Windows user the policy settings will be removed for the current user. To reactivate the policy settings you need to transfer the settings again from the Server to the Client. Delete directories Enter the directories of which you want to delete the contents at the end of each session. The directory itself will not be deleted. Restart computer The option Restart computer if Client software has been closed unauthorized enforces the computer to restart if for example a customer tried to manipulate the software or the computer by closing it in some way.

Programs

Automatic program execution Dene which program is to be started automatically for dierent states of the Client computer (at the beginning and end of a session, when paused or when in maintance). For example, if you wish to start the Microsoft Internet Explorer with every beginning of a session you need to enter the following: C:\Programs\Internet Explorer\iexplore.exe If an entry is displayed in red this means that the program cannot be found on this computer. In this case you need to double check the path. Start with system rights If you want the program to start with system rights you can activate this option here. If using Windows Vista programs with system rights can only be started without displaying the user interface (which means that the customer cannot see the started program). Wait for the program to shut down With this option the current action (e.g. beginning or end of session) can only be continued after the dened program has been closed. Use this option for example when you wish to execute programs at the beginning of a session which need to be nished before the session starts (e.g. the setup of network drives for customers). Transfer member data as parameter This option is only needed if you wish to transfer the nickname of members as parameter to the program which you wish to be started.

Warnings

If you wish to play a sound le instead of a displayed text warning (before the end of the credit or before the end of the opening hours) you can activate this option here and select the sound le which you wish to be played.

2.7

Other

Shut down Computer You can activate this option to enforce a shutdown of the computer if there is no connection to Server for a certain time after the startup. With this option you can avoid that customers seperate a Client from the network or somehow use the Client without being billed. Use this option with caution and allow enough time to be able to close

the InterCafe software in case of a total breakdown of the Server (set time to at least 120 seconds). With the option Restart Computer you can also enforce a restart of the computer. Client runs as Thin-Client Activate this option if you are using a terminal server or the n-computing Thin-Client hardware. Every client needs a separate Windows user. If you want to change settings for a client (e.g. conguration of the coin acceptor settings) you need to select the according Windows user when starting the Client Conguration. General settings, such as the connection to the Server/Service, can be dened for all Clients at the same time by using the default Windows user. Sound cards for VoIP Select the sound cards which shall be used for speakers and microphone when making VoIP phone calls at the Client computer. Standard user Enter a user name of a user from the InterCafe Server software. This user name will be shown as user when closing the Client software. This option is useful when using the InterCafe software as kiosk version. With this option the computer can be shut down by sta members by entering a password when closing the Client software. Create a user in the InterCafe Server software who can only close the Client software (disable all other functions in the user group, see User Manager in this manual). Enter the name of this user here. The user then only needs to enter the password for the shutdown of the computer. Restore Desktop shortcuts If the standard desktop shortcuts of the InterCafe software have been deleted (shortcuts for SoftPhone, SMS, MMS etc.) you can restore these shortcuts by clicking on this button.

Hardware
Coin Acceptor

If using a coin acceptor you need to activate this option here. Select the type of connection and the port. Click on Start Test to check if the settings are correct. If the coin acceptor

has been connected correctly and the right type and port have been selected the status bar will show OK. If an error message is displayed in the status bar you need to double check the connection and the settings. Try a dierent port and double check if the drivers for the coin acceptors have been installed. To congurate the coin acceptor insert the coins which you wish to accept one after another. Enter the value of each coin in the according box and activate the option Allowed. For a more detailed description of the coin acceptor setup please refer to the Manual for Coin Acceptor.

2.8.2

Banknote Acceptor

If using a banknote acceptor you need to activate this option here. Select the type of connection and the port. Click on Start Test to check if the settings are correct. If the banknote acceptor has been connected correctly and the right type and port have been selected the status bar will show OK. If an error message is displayed in the status bar you need to double check the connection and the port settings. To congurate the banknote acceptor insert the banknotes which you wish to accept one after another. Enter the value of each banknote in the according box and activate the option Allowed. Enter the following PIN as standard PIN: 123456. The PIN is also mentioned on the banknote acceptor. If the PIN mentioned on the banknote acceptor is dierent you need to enter this PIN here.

2.9

Copy/Import Client settings

the Client settings from one Client to another you can copy this le at one Client and enter it in the same folder at the other Client. This way you can save time with the conguration of the Clients. Databases for Thin-Clients If using Thin-Clients you have several databases mit the name config_USERNAME.dat. The username shows to which Thin-Client the le belongs. You can copy a le and rename it (enter the username of the new Client).

2.10

Client Conguration for Thin-Clients

Start the Client Conguration and activate the option Client runs as Thin-Client in Other. Conrm by clicking on OK and close the Client Conguration. Open the Client Conguration again to continue with the other settings. You need to select the user (Client) for which you wish to make the settings. Each Thin-Client needs to have its own Windows user. Select the Default user for general settings (e.g. the setting of the Service). The settings that are made for the default user will be used for all users (all Thin-Clients).

Additional settings

Coin acceptor/Banknote acceptor If using coin acceptors or banknote acceptors with ThinClients you need to make the settings for the coin acceptor and banknote acceptor for every Thin-Client separately. Select the according user when starting the Client Conguration. Start options If you want the Client software not to be started automatically for a certain user, you need to start the Client Conguration, select the according user and activate the option Do not start Client software for this user in Start options.

Chapter 3

Conguration of InterCafe 2010 Server


Start the InterCafe 2010 Server software by double clicking on the shortcut on the desktop or by using the shortcut in the start menu. A window with the language selection will be displayed. Select the desired language in which you want to operate the InterCafe 2010 Server. This option will only appear at the very rst start of the software. If you want to change the language later you can go to File Change language directly in the software. After having selected the language you will see the start screen of the InterCafe software, which will appear with every start of the software.

Test If you want to start the software as a trial version you need to click on Test. The trial version is valid for 30 days. After this time the software cannot be used as a trial version any more. Please remember to allow enough time to order the registration for the InterCafe 2010 software before the end of the trial version. Register If you already have registration data for the InterCafe 2010 software (e.g. after having reinstalled the program) click on Register to perform the registration. After the software has been registered this start window will be displayed with every start of the software but the software will then start automatically. Please note: If you wish to copy the old databases to the new system after having reinstalled the program you need to copy the databases before performing the registration of the software!

Close

If you click on Close the software will be closed.

No connection to Service The InterCafe 2010 Server software needs a connection to the Service. If this connection fails the InterCafe 2010 Server software cannot be started. If so, enter the computer name or the IP address of the computer on which the Service runs (usually on the same computer) and double check, of the Service runs (e.g. by using the Windows Task Manager). If necessary, start or restart the Service.

3.1.1

Import Data
Import datab from InterCafe 2004

Only member data, LoginCodes and cafeteria items can be imported from InterCafe 2004. To import this data the InterCafe 2004 daten.mdb needs to be saved an the same computer. Go to Programs InterCafe 2010 Service. Start the DataImport.exe. Follow the instructions given on the screen.

3.1.2

Import databases after new installation

The main databases if the InterCafe software are stored in the Service. Usually Service and InterCafe Server are installed on the same computer. If reinstalling the computer a backup of all databases needs to be made. If the Service runs on a separate computer and you want to reinstall the Server (computer where the Server software runs) you only need to backup the local databases and copy them back into the same folder after the new installation. 3.1.2.1 Main databases (Service)

After having reinstalled the Server (with the Service on the same computer) you can import the old databases. It is recommended to copy the databases to an external data medium (such as a USB stick) before reinstalling the computer. You can nd the databases in the program folder (Programs InterCafe 2010 Service ). Copy the following databases:
systemdata.mdb - holds member data, tari settings and other settings journaldata.mdb - holds sales data and statistics pricelistdata.mdb - holds Softphone and Callshop pricelists

Copy these databases back into the new program folder after the new installation of the computer. Please note that the software requires a registration after copying the databases! 3.1.2.2 Local databases (Server)

To save the settings of the Local Conguration and the Graphical Overviews of the Server you need to backup the local databases of the Server. You can nd these databases in the following folder: C:\Documents and Settings\All Users\Application Data\ blue image\InterCafe 2010 Server Copy the following databases:

Copy these databases back into the above mentioned folder after the new installation of the computer.

3.2

InterCafe 2010 Wizard

When starting the Software for the rst time the InterCafe 2010 Wizard will appear. The Wizard will ask for some necessary information for the correct display of date, time, phone numbers, currency and tax rates. These settings can later also be edited in Settings Options directly in the software. Country Please select your country from the list.

Prexes Enter the country prex (e.g. 001 for the Unites States), the area code (e.g. 202 for Washington D.C.), the prex for national calls (z.B. 1 within the United States) and the international prex (e.g. for calls from the United States to other countries 011). This is necessary for the correct billing of calls.

Currency Please select the main currency (e.g. US Dollar for the United States). The ocial currency code of the selected currency will automatically be displayed. Instead of the currency code (three-letter code) you can also enter the currency symbol (e.g. for EUR). The selected currency and the currency code or symbol will be used for all displayed amounts on the screen and on the reports in the software. The conversion factor for ShopPoints is also displayed automatically (you need to be connected to the Internet for this). This conversion factor is an approximate value based on information from the Internet. The correctness of the values cannot be guaranteed.

Tax rate Enter the current regular tax rate of your country (e.g. 19% in Germany). Reduced tax rates such as e.g the 7% tax rate on groceries in Germany is not being considered at this point. These reduced tax rates can be dened later on in the software when creating an item that has a reduced tax rate. Enter the the Name or the abbreviation for the name of the tax which shall be used for all reports (e.g. in Germany MwSt.).

In some countries there are additional taxes such as for example the Provincial Sales Tax (PST), the Harmonized Sales Tax (HST) or the Quebec Sales Tax (QST) in some provinces of Canada. Some of these taxes are already included in the regular tax (Goods and Services tax (GST)) and some are added separately to the net amount or on top of the net amount and the GST. In this case you can enter the tax rate and the name for the second and third tax. Standard texts The language for the standard texts depends on the language of the operating system (German operating systems: German, all others: English). If you want to reset the standard texts and change the language you can do so here. Start if shift After the InterCafe 2010 Wizard has been completed you will see the main screen of the software. Since you will start your rst shift now you have the possibility to enter the current cash position (e.g. the start amount in your till). You have now completed the basic settings. Available Client computers will automatically be found. Other settings such as tari and policy settings have already been preset so that you can start testing the software immediately. For more information on how to use the software please refer to the InterCafe 2010 User Manual.

3.3

Add Client

There are dierent types of Clients: computers, additional machines (such as billiard tables) and cabins. You can only add as many Clients as you have purchased your license for. There are dierent settings for dierent types of Clients which are described in detail in this manual. Rename Client To rename a Client, make a right mouse click on the Client in the list and select the option Rename. Try to name the Clients in a way to assure an easy allocation of the Clients (e.g. PC-01, PC-02 etc.). Delete Client To delete a Client, make a right mouse click on the Client in the list and select the option Delete from the menu.

3.3.1

Add computer

Available Client computers will be displayed at the Server automatically. Therefor the Client computers need to be switched on and the InterCafe software needs to be started. The computer name of the Client will automatically be used as Client name. If the Client computers cannot be found automatically please double check if the InterCafe Client software has been started on the Client computer (the Login Screen needs to be visible on the Client computer) and if necessary enter the computer name or the IP address of the computer on which the service runs in the Client Conguration at the Client. Please note: The Clients are displayed in alphabetical order. Therefor the Clients with the names PC-1, PC-2 and PC-10 will be displayed in the following order: PC-1, PC-10, PC-2. To avoid this you should rename PC-1 to PC-01.

3.3.2

Create additional machines

Go to Settings Machine settings Create additional machine. Additional machines are Clients on which you cannot installa Client software, such as billiard tables, game stations (e.g. Xbox, PlayStation etc.) and computers with operating systems that are not yet supported by InterCafe.

Enter a name for the additional machine. The additional machine will be added to the Client list with the status free. You can now start and bill this Client as any other Client. For more information please refer to the InterCafe 2010 User Manual.

Control units In addition you can use a control unit for the additional machine, for example to switch on/o the light for a billiard table. Select the control unit and the switch number. With the reverse function you can reverse the switch output. If you are using a control unit which can send signals to the software (e.g. the CompuLAB units together with billiard drawer systems), the billing can automatically be started upon the arrival of the signal (e.g. by pulling the drawer). If you want to give your customer some time (e.g. to walk to the table) before the billing actually starts you can enter a time delay in seconds after which the billing will start. Dene the basic settings for control units in Settings Machine settings Dene control units. Type of machine and tari Select the type of machine (e.g. Billiard, Gaming machine etc.) as which you wish the additional machine to be displayed in the Graphical Overview. If you want to use a special tari for this machine at all times you can select this tari here.

3.3.3

Create cabins

To create cabins you need to dene the settings for the phone system rst. For a detailed description on the conguration of a large variety of phone systems and VoIP routers please refer to the InterCafe 2010 Manual for Phone Systems. To create a cabin or telephone go to Settings Machine settings Create cabin.

Enter a name for the cabin. Try to name the Clients in a way to assure an easy allocation of the Clients (e.g. PC-01, PC-02 etc.).

Select the phone system to which the telefone is connected to. The phone system needs to be congurated in the software before (refer to Congurate phone system ). Extension number Enter the extension number of the phone (local extension, usually 11,12,13,etc.). If you do not know the extension number you can make a phone call from this cabin while this window is open. The extension number will be displayed automatically after the end of the phone call. Phone/Fax If you create a fax machine the prices will be based on the fax settings (e.g. price per page based on average duration per page) which you can dene in Settings Options Fax Settings. Please note: The Cabins are displayed in alphabetical order. Therefor the Cabins with the names Cabin 1, Cabin 2 and Cabin 10 will be displayed in the following order: Cabin 1, Cabin 10, Cabin 2. To avoid this you should rename Cabin 1 to Cabin 01. 3.3.3.1 Charges

Additional fee Enter the amount which you wish to be charged for every minute in addition to the regular call charges. Usage fee Enter the amount which you wish to be charged for every call in addition to the regular call charges. If the usage fee shall only be charged once a customer (nor for every phone call the customer makes) you an activate the option One-time usage fee. With this fee you can for example charge extra for certain telephones (e.g. portable phones, nice cabins etc.) or fax machines. Prepaid credit This option is only available if you are using the Provider Account Phone System. You can dene a prepaid credit for the phone. The customer can then only make phone calls up to this amount. If the prepaid credit is gone no phone calls can be made anymore. The prepaid credit is being reset with every new customer (after the calls have been paid for). Use this option to reduce the risk of people making phone calls at a high price and leaving without paying. If you enter a prepaid amount of USD 20.- this is the maximum amount that can be used for phone calls before the customer has to pay his bill. Established connections will be cut automatically when the prepaid credit is gone. Do not charge basic fee Activate this function if you do not want to charge the basic fee which was dened in the Callshop price list for calls from this phone. Do not charge for 0800-numbers Activate this function, if you wish to allow free calls to 0800-numbers (Service numbers in Germany). This option only works in Germany. If you want to allow phone calls to 1-800 numbers in the United States for example, you can add a new entry in the callshop price list (refer to Callshop price list in this manual). 3.3.3.2 Other

Private Usage If you want to allow the private use for this phone (e.g. for a special cabin which you use yourself sometimes), you can activate this option here. You will then need to select between normal use and private use every time you activate the phone in the software. If you select private use the phone call will not be billed. If you want to use a phone for

private use only (e.g. the main phone at the front desk) you can activate this funtion when creating the cabin. All calls will automatically be handeled as private calls in the statistic reports and will not be billed. Control Unit If you want to activate or deactivate the phone by using a control unit (e.g. to block the phone) you can select the control unit and the switch number here. Dene the control units before in Settings Machine Settings Control units.

3.4

Client Settings

Make a right mouse click on the Client computer to get to the computer specied Client settings. For additional machines you can change the settings of the control units in the Client settings and bind a tari to the machine. For cabins you can make changes in the cabin settings.

Data This box shows the MAC address of the Client computer. Amongst other things this MAC address is needed for the Wake on LAN command. Client Groups Here you can see and dene the Client groups to which this Client belongs.

Volume With this option you can reset the volume at the end of each session to a predened standard. Browers Settings Dene if the browser settings (e.g. homepage and proxy settings) which have been dene in the tari settings should be applied to this Client. Tari If you dene a tari here this Client will always be started with this tari, even for members who have a dierent tari dened in their account, unless the option not valid for members and LoginCodes is activated, too. DKS Enter the DKS password here. You need to have the DKS-Manager (Special Module) at the Server and the DKS Software at the Client to be able to use this option. Other Dene settings such as synchronize the time so that the Client always has the same time as the Server, empty recycle bin and restore desktop wallpaper at the end of each session. Design Here you can see which skin (design of the user interface) has been selected. To select a dierent skin, you can click on Select and dene a dierent setting. Please note that some skins are only valid for some Internet Explorer versions. If you select a dierent skin you need to restart the computer before you can see the changes.

Dene Control Units

In Settings Machine settings Dene control units you can enter the settings for control units (relay components) to control additional machines such as billiard tables, cabins, remote

plugs for PlayStation or XBox and others. Select the type of control unit and if necessary the port or IP-address. Enter a description or name which will be displayed when creating a Client. Select a Server at which you would like the messages about the status of the device to be displayed.

General Options

To get to the General Options go to Settings Options General Options.

3.6.1

Server

Time Server Dene if you wish to synchronize the Server time with a time server from the Internet. When activating this option, the local server time will be adjusted to the time of a German time server ((ptbtime1.ptb.de). This server can also be used outside of Germany since the time dierence wil automatically be calculated. If you wish you can enter a dierent time server. User Activate this option if you wish to login the Admin user automatically with the start of the software. In this case you cannot set a password for the Admin user (see User Manager ). Use of chipcards with PIN If you want to use cards with a PIN (e.g. SLE 4442) you can dene this PIN here. Usually the PIN is FFFFFF or 000000. All chipcards to to have the same PIN. If you do not know the PIN of your cards you should ask the manufacturer. If you are using I2C cards (which is the normal case for InterCafe ) you do not need to enter a PIN. Please note: After three attempts with a wrong PIN the card is permanently damaged. Service language Dene the language of the text data which is saved in the service. This text data is for example the parts of the receipt which cannot be changed, the names of the already existing product groups in the software, expressions used in the statistic reports etc. This language setting is independent from the language which is used at the Server! For

example, if you run your cybercafe in Germany but you are using the Server in English you should still select German as Service language to ensure that the receipts will be printed in the correct language.

3.6.2

Remote Help

Enter your service partner for Remote Help. The manufacturer (blue image) has been preset as standard. If you want to enter a dierent service partner you will need to ask your service partner to receive an identication. Enter the identication here. Click the Check -button to nd out if the data that you have entered is correct.

RemoteServer

Dene if you want to allow a RemoteServer to access this Server. You can enter several RemoteServer-IDs to allow access for serveral RemoteServers. The RemoteServer is a Special Module which you can purchase to access the local Server from home or from your oce to have complete control even if you are not on location. Please note: To use the RemoteServer you need to have a special license.

CustomerCenter

Dene if you want to send the data (status of the Clients, statistics) to the CustomerCenter. This allows you to see the data in the Web (password controlled) from home, oce or even on vacation from any computer that has Internet access. Besides your own CustomerCenter-ID you can add others of people who you wish to have access to your data (e.g. second owners, technicians etc.). Also dene which rights (authorization) you want to give to the user. Select from the following options:
Status only : The user sees that status of the computers (on/o). Status and revenue : The user sees the status of the computers and the revenue. Status, revenue and ShopPoint Journal : The user sees the status of the computers, the revenue and the ShopPoint Journal. ShopPoint Journal only : The user sees only the ShopPoint Journal.

Login

Dene the Login options for the customers at the Client computers.

Display tari information If this option is activated, the tari information will be shown on the Login Screen at the Client computers. Display inserted amount on Login Screen If this option is activated, the amount of the coins or bills that have been inserted to the coin or bill acceptor will be displayed on the Login Screen. Display warning The warning is a message that will be displayed at the Client shortly before the end of the session. Dene the text and the time for the warning. Instead of a message window a sound le can be played as warning. This is especially recommended if using games with DirectX technology because the display of a new window may interrupt the game. The settings for the sound le can be dened directly at each computer in the Client Conguration.

Client-Menu

General Here you can deactivate parts if the Client menu. The settings are valid for all Client computers. You can also dene the position of the Client-Menu or x it to a certain position so that it cannot be moved. Amount and time Dene which data (amount and time) you wish to be displayed in the Client-Menu. Usually both time and amount are being displayed.

End of session

Screen saver Here you can deactivate the screen saver to make sure that the customers always sees the Login Screen. Action If you want to shut down the Client or logo the Windows user after each session you can dene these settings here. You can also restart the Client computer which is recommended when using a recovery systems such as the DKS software to reset all changes that the user might have made to the system. The standard setting is Block computer which means that after the session the Login Screen will be displayed and the computer is ready for the next customer. You can also force the Standby-mode to be activated, the dial-up connection to be disconnected and the Windows Explorer to be closed. Programs If the option Close used programs at the end of session is activated all programs which the customers has used will be closed. With the button Additional settings you can make additional settings.

Enter the programs which you want to be closed in any case at the end of the session into the top table. In the bottom table enter the programs which shall in no case be closed, such as the antivirus program for example. 3.6.5.6 Welcome Screens

Dene dierent text messages which you wish to be displayed on the Welcome Screen for members, customers with LoginCodes and guests. The Welcome Screen will be displayed directly at the beginning of the session in a separate window. The customer can than close the window with OK. With this option you can make specied advertising for members, display information about the use of LoginCodes or point out special services like beverages or

snacks in your cafe. By using the text modules special data such as the current member credit or the local time can be integrated into the text. To use the text modules click on the text module you wish to use and then click the arrow-button. The text module will then be integrated into your text as a placeholder which will be replaced with the actual data from the software when displayed at the Client computer. 3.6.5.7 Login Screen Browser

Here you can activate the Login Screen Browser to allow your customers to visit free websites (e.g. websites with information about your company or products). Display InterCafe Login With this option you can dene if the InterCafe Login shall be displayed at the Client when using the Login Screen Browser. If the login is not visible, the customers can only use the websites which are accessible in the browser unless the Client is being started from the Server for further use of the computer with costs or a coin is inserted (if the inserting of coins is allowed). Display home page Use the option Dene home pages to dene websites which you wish to be displayed in the browser. Every home page will be displayed in an extra tab. Please note: If you want the customers only to use the websites which are dened here you also need to dene the necessary settings in Free websites ! Allow user to open new tabs With this option the user is allowed to open new tabs to access further websites, for example by clicking on a link or by entering a new URL in the URL bar. Please note: The customer may be able to access websites which you may not want to be used for free!

Display URL bar If this option is activated, the URL bar will be displayed in the browser and the user can enter any web address. Please note: The customer may be able to access websites which you may not want to be used for free! Display buttons Dene, if the buttons Next/Back, Refresh/Cancel and Print shall be displayed. Display Search If you want to allow the customers to search the internet you can activate this option and predene a search engine. Display Favorites Here you can dene standard favorites for the browser. 3.6.5.8 Free websites

After having dened the Browser settings you can dene the website settings in Free Websites. Allow all websites With this option the user can access all websites in the Internet for free. Allow all websites, dene exceptions Use this option if you want to allow surng for free but if you want to charge for a specic website. Disallow all websites, dene exceptions If this option is selected, the user can only visit the here dened websites. This is for example useful, if you want to charge for the Internet usage but allow the access to your own website for free.

Block screen Dene if you want to use the standard block screen that comes with the program or if you want to use an individual block screen if a customer wants to access a website which you want to charge for. You can for example create your own individual block screen in your own design and with your own information or message to the customer (e.g. To use this website you have to insert a coin in the coin acceptor....). The block screen can be saved as HTML le on the Client computers or provided on the internet. Enter the path or the webaddress so that the page can be found. Example: A cruise line oes an Internet terminal on a cruise ship. The website of the cruise line with information about the ship shall be accessable without any costs. All other websites shall only be accessable by inserting coins. Activate the Login Screen Browser in the Browser Settings, activate the InterCafe Login and the option Display home page and dene the URL of the cruise line (www.cruiseline.de) as home page. Select the option Disallow all websites, dene exceptions in Free websites and enter www.cruiseline.de as URL.

3.6.5.9

Time control

Automatic Logout With this option you can logout underage members at a certain time (e.g. if necessary by law). In Germany this is recommended to be used to meet the law regulations. Opening hours and lunch break Here you can dene the point of time (if the same every day) or the time before the opening hours (if the time varies on certain weekdays) at which you wish to start the Client computers automatically. For this option the network interfaces of the Client computers need to support the Wake-on LAN function. You can also send a

message to the Clients which will be displayed a certain time before the end of the opening hours to inform the customers about the closing of the Internet cafe and then shutdown the Client computers after the closing of the Internet cafe. The same settings can be made for lunch breaks, too. To be able to use these you need to dene the times rst in General Options Company data Opening Hours. 3.6.5.10 Other

Maintenance If this option is activated, the policy settings will be removed when putting a Client into maintenance mode. Disable CTRL + ALT + DEL This key combination should generally be disabled for more security at the Client computers. InterMessage With this option you can modify the functionality of the InterMessage system so that the sending of messages is only possible between Server and Client and not from Client to Client. Logout customer automatically be logged out at certain actions. These options allow you to dene that the customers will

Member data input If activating the option Customer can create a member account at the Client you need to select between the compete member data input (all elds dened in General Options Member Member Data and the basic member data input (just nickname and password). Check if a member with this name already exists that there are no identic member accounts. With this option you can make sure

Block member account after every session With this option you can automatically block member accounts after every session. You can also enter the time after which you wish the account to be automatically reactivated. This is especially useful for libraries where the usage is free of costs but limited to a certain time per day. This way the account can be blocked for a few hours after the usage. If the automatic reactivation of the account is not dened here the member needs to come to the main desk and ask the sta to reactivate his member account manually. Credit transfer With the option Allow credit transfer from and to Prepaid Cards and LoginCodes customers who are logged in with a LoginCode or Prepaidcard can extend their surftime by inserting the data of another LoginCode or Prepaidcard. If the option Members are allowed to tranfer credit to other members is activated, members can transfer their credit or parts of their credit to other member accounts. It is recommended to dene an amount that needs to remain in the account so that a member cannot transfer all of his credit and be logged out immediately. Password Dene the minimum length for the member passwords.

Transfer member Activate this option, if you wish to transfer the customer automatically if he tries to login at a second computer. If this option is not activated, the member needs to logout rst before he can login at a dierent computer. Alternatively the customer can be transferred from one computer to another by using the transfer function at the Server. 3.6.6.1 Member data

Backup
Automatic backup

InterCafe 2010 Server already inludes an automatic backup function. This backup function can be congured here. A standard backup to a program folder on Mondays at 8:00 has been preset, you can change these settings and/or add more. It is recommended to save the backup to a USB-stick or a second hard drive to ensure that the backup data is save and available in case of any hardware problems (e.g. hard disk failure). You can also deactivate the automatic backup and dene intervals (every x days) in which you want the software to display a reminder for a manual backup. Files Enter the names of the les of which you want to make a backup. The system les of the InterCafe Software have been preset as standard (SystemData.mdb, PriceListData.mdb, JournalData.mdb). Path for backup Dene the path to the folder to which you wish the backup to be saved to. You can also dene the time period in days after which you wish the backup les to be deleted. For example, if you enter 60 days as time period, all backup les that are older than 60 days will be deleted.

Times Here you can dene the times at which you wish the automatic backup to take place. Backups can be made daily, on specic weekdays and on specic times. Click on Apply to add a time denition to the list. You can add as many times as you wish. 3.6.7.2 Manual backup

A manual backup is made when reinstalling the software to enable that you can keep using the old data bases after reinstalling the software. To perform a manual backup you need to close the InterCafe 2010 Service rst. Dene a folder to which you want to save the backup (for example create a new folder) best on a USB-stick, a CD-ROM or an external hard drive. Go to My Computer and open the program folder of the InterCafe software (e.g. C:\Programs\InterCafe2010\Service). Select the main program les for the backup: SystemData.mdb, JournalData.mdb, PricelistData.mdb Please note: if you are using the Windows function hide common le extensions the les may only be displayes as SystemData, JournalData and PricelistData. Copy the les into your backup folder. You can than later (e.g. after reinstalling the computer or when needing a backup after a hardware crash) copy the les back into the new program folder.

Tax groups

Tax 1 Enter the abbreviation of the value added tax for Tax 1 (e.g. VAT in Great Britain, IVA in Italy or MwSt. in Germany). This term will be used in all reports in the software. If your cafe is located in Germany or a country where you only have one type of value added tax, leave Tax 2 and Tax 3 deactivated. Please note: Even if there are dierent tax rates (e.g. in Germany 7% and 19%) you do not need to activate Tax 2 and Tax 3 because these tax rates never apply to one item at the same time. Dene the tax rate for each item when creating an item (see Cafeteria Manager). Tax 2 / Tax 3 In some countries (e.g. Canada) two taxes may apply to one item at the same time (e.g. value added tax and state tax). If so, you need to activate this option here. Dene, whether both taxes are calculated separately or of one applies on top of the other. Display prices without tax If this option is activated you will see all prices as net prices (without tax) in the software. The tax will be added when settling a customers bill. This is used for example in countries such as Canada and the United States. If your Internet cafe is located in Germany this function needs to stay deactivated !

Here you can enter the dierent tax rates that shall apply for the Client usage, the Callshop and the Softphone price list. If your cafe is located in Germany you need to enter the regular value added tax rate of currently 19% for all areas. Owners of Internet cafes located in other countries can adjust these settings also with tax 2 and tax 3 to their countries regulations. Charge tax immediately at member credit deposit Normally the value added tax will apply at the moment when credit is being deposited in a member account. If you want the tax not to apply until the actual credit is being used you can deactivate this option here. Please consider the tax law and regulations of your country.

Cash report

Here you can dene which reports shall be created automatically with ever cash report. Add the selected reports from the right list to the left list by using the arrow buttons. To add all entries of one list to the other use the button with the double arrow. Dene, if you want the reports to be printed an/or sent by email. If using several email-addresses devide them by commas. Deactivate cash report option at Client The Client software oers a cash report option (double click on the little black dot in the top left corner of the Client Login Screen to access this option, you need to enter the password of the Client Conguration). This is especially useful for kiosk terminals to perform a cash report when collecting the coins. The cash report will then be sent as dened here. If you wish to deactivate the cash report option for the Client, you can do so here. Please note: If you do not collect the coins yourself and you do not want to give the password of the Client Conguration to your sta you can create a user in the User Manager who belongs to a group where only the option Client: Cash report is activated. The user can then perform the cash report at the Client by using his personal password.

Cafeteria

Activate extended stock arrival options Dene, if you want to use extended functionalities such as the combining of items in packing units when booking stock arrivals. Carry out incoming orders automatically If this option is activated, the order will automatically be carried out upon arrival without displaying a order window. Activate stock management as standard for all items With this option you can activate the stock management for all new items as default. You can change this setting individually for each item when creating an item. Items in the billing window Here you can dene if you want all items or just the items of the selected customer to be displayed in Items to be charged for. As standard setting all items of a customer will be displayed in Items to be charged for and will be billed. If you have several guests at one table and they want to pay separately, only the items that are listed in Items to be charged for will be billed (in the standard case these are the items of the selected customer only). You can always manually transfer items from one list to the other in the billing window. If you are using the option Transfer all items to Open Items you need to manually transfer the items you wish to charge for to the list Items to be charged for in the billing window. With the option Transfer all items to Items charged for you can charge for all items at the same time, even if they were ordered by dierent customers at the same table. Warning at low stock If this option is activated, the software will display a warning if the stock level of an item is low. The warning can be displayed as message or popup message at the Server. It can also be sent by email or text message (devide entries by commas).

If you wish to use the email function of the software we recommend to enter you own mail server account here. Enter the name of your Internet cafe as Sender so that the emails are easy to identify. As user name and password you need to enter the user name and password of your SMTP-account (usually your email-address). Double check your entries by using the Test button. A new window will open where you can enter an email-address to which you wish to send the test email. Codec

Select the Codec for the SoftPhone. Each codec needs a dierent bandwidth which aects the voice quality. The G.711 A-Law codec meets the best quality but needs the most bandwidth. The G.711 U-Law is recommended as a good compromise of quality and bandwidth.

3.7.3

Dialling control

This function only works for the SoftPhone and telephones which are connected to a Provider Account. If using other phone systems the prexes you wish to block need to be dened in the phone system itself! Add the prexes including ountry code (e.g. Germany 0049) to the list on the left side. 3.8

Local Conguration

In Settings Local Conguration you can make local settings for the local Server computer. If using several Server computers these settings are only valid for the computer at which they have been made. This is especially useful if a Server computer is being used for a special part of the business only, e.g. in a separate room just for the Cafeteria or billiard.

3.8.1

Server settings

Service Enter the IP-address or the computer name of the computer, on which the Service runs. Since this is usually the same computer with the InterCafe Server software you should not have to make any changes here. Server The software automatically shows the computer name of the Server as name. You can change this name if you wish. This name appears as indication for the Server on the reports, in InterMessage and on the receipts (optional). You can also dene the number of visible list entries in the tables for this Server. If using an older (slower) computer you should dene a smaller number of visible entries so that it does not take too long to load the list on the screen. InterMessage Activate this option, if you want this Server to be displayed in InterMessage.

End of shift Here you can dene the standard amount which for the new cash balance at the end of shift (the cash amount that needs to stay for change).

3.8.2

Chipcard reader

If you are using a chipcard reader at this Server you can dene the type of reader here. InterCafe 2010 supports card readers with chip technology of the brands SCM, Towitoko, ACS and Omnikey/Cherry. If a card readers is connected to the computer and you are not using it for the InterCafe software you should deactivate the option here so that the card reader does not get initialized with every start of the software.

3.8.3

Receipt printer

Receipt printer Select a receipt printer from the list, on which you wish you wish to print the receipts and dene which commands you wish to be used (e.g. if using an EPSOM printer

select EPSON compatible ). If you are using a Bematech printer you can also select EPSON compatible commands. Printer settings If your receipt printer has a cutting device you can activate the option here. If you activate the option Always print receipt a receipt will be printed whenever you settle a customers bill. This is only a default setting which means that it can be changed when settling a customers bill. If the option Always print LoginCode when sold is activated, the LoginCode will be printed on the receipt printer when being sold. This is also a default setting which can be changed in every individual case. If your printer has a Paper near end warning function you can activate it hear. You will then get a warning message at the Server telling you that the paper is about to run out. Proforma receipt If you want to use proforma receipts to collect the money at the tables you can activate this option here. The proforma receipt only shows the items and the amounts. The tax is not separately indicated since it is only a proforma receipt which shall help you collecting the money from the customers, espcially if you do not know yet who will be paying which items and how many dierent receipts you need to print. A receipt with tax information can then be printed considering possible split bookings between several customers.

3.8.4

Control printer

Select the printer from the list, which you wish to use for printing control prints and dene which commands you wish to be used (e.g. if using an EPSOM printer select EPSON compatible ). You can use two control printers at the same time (e.g. for the bar and the kitchen). When creating an item you can dene that a control print shall be printed and the printer, where it shall be printed, e.g. print control print for food on control printer 1 in the kitchen, print control print for beverages on control printer 2 at the bar. This way orders can be forwarded fast and easy to the sta in the kitchen or at the bar.

Cash drawer

If you are using a cash drawer that is connected via an adapter or the receipt printer, you can make the necessary settings here. Activate the cash drawer and select to either Send commands via receipt printer or Send commands directly. If sending the commands directly you also need to dene the COM-Port, to which the adapter of the cash drawer is connected and select the type of adapter: cash drawer with 8005/1A is the most commn one. If this does not work with your adapter please use the OpenCOM option.

POS display

If you are using a POS display (customer display at the main desk) you can activate it here. Select the type and the COM-port, to which it is connected. You can use POS displays of

If you want to display a standard text while the POS display is not being used for displaying prices you can dene the text here. Tab caption boxes Select the size of the tab caption boxes on the main screen of the Server (for General Overview, Computer Overview, Graphical Overview, Cafeteria etc.). If you are using the Standard size option the size will automatically be adapted to the length of the text. Row heigth Dene the height of the rows in the list of the Server overview (for General Overview, Computer Overview, Callshop Overview and Cafeteria Overview). If you select the Standard height if you want to use the standard size. To dene an individual height select the option Individual height and enter the desired number of pixels. Cash deposits/payouts Here you can dene if the reasons for deposits and payouts shall be displayed in a list or as buttons when performing a deposit or payout. PLU as standard If you wish to use the PLU (Price Lookup Code = an identication number for products) as standard you can select this option here. This is necessary when using a barcode scanner. Display Free item Deactivate this option, if you do not wish to use free items in the Cafeteria Manager. This way you can only sell items that have been predened in the software. The free item is used for a quick booking of an item or service that has not or not yet been created in the software. When Client activated open order window with double click With this option you can take an order by simply double clicking on an acitavated Client. Display numeric key pad To display a numeric key pad in the Cafeteria Overview (e.g. when using a Touch Screen) you can activate this option here. Close cash sale window after every sale If you deactivate this option the cash sale window will stay open for the next sale. Button sizes Dene the size of the buttons for product groups and items.

Sort items Dene if you with the items to be sorted in alphabetical order (by name of item) or manually. You can sort the items in the order window in the Cafeteria Overview by making a right mouse click on an item and selecting the option Change sorting order. Time span for PLU entry Dene the time in seconds for how long you wish the item to be displayed after it was scanned. Within this time you can book the item again by using the ENTER key (increase the quantity). 3.8.8.2 Procuct groups

If you are using the option Display all product groups all product groups will be displayed in the Cafeteria Manager at this Server. If you wish to display only some specic product groups at this Server (e.g. if this Server is only used for special products) you can activate the option Display selected product groups only and select the product groups from the list which you wish to be displayed. Please note: This is only possible if you have already created product groups in the software (see Create product groups ).

Sounds

Here you can dene wav-les which will be played for certain events at the Server. Select an entry from the list and dene the path to the desired sound le. You can select the le by clicking on the button next to the text box. By clicking on the button with the speaker the sound will be played. Click on the Add -button to save the settings to the list. There are already standard sounds saved in the list which can be changed.

Software for CustomerDrive Server The software for the CustomerDrive Server runs from a Live-CD (no installation needed). Download the le (ISO-le) using the following link: http://www.intercafe-software.de/InterCafe2010/download/ic_cd.iso Please note: If you are using both the CustomerDrives and the Wireless LAN module you can use this computer for both. These two modules are included in the download link and can be used on the same CD. When the download of the ISO-le was successfully nished you can burn the image onto a CD. Please be careful not to burn the le itself on the CD but the image of the le. Then insert the CD into the CD-ROM drive of the CustomerDrive Server and start the computer. Status In the CustomerDrive Manager you will see the current IP address of the CustomerDrive Server, the version of the CustomerDrive Software and the current status. If the status should show Sending request... this means that the InterCafe Service has no connection to the CustomerDrive Server. In this case please double check if the CustomerDrive Server has been started and if all cable are rmly connected. Check the settings of the rewall. When the connection is established the status wil show ON. Restart service Click on Restart service in the CustomerDrive Manager to restart the service on the CustomerDrive Server. Restart computer Click on Restart computer in the CustomerDrive Manager to restart the CustomerDrive Server. Shut down computer Click on Shut down computer in the CustomerDrive manager to shut down the CustomerDrive Server. 3.9.1.2 Drives

All existing drives of the CustomerDRive Server will be shown in the CustomerDrive Manager (e.g. hda, hdb etc.). The column Type shows the type of connection for each drive (e.g. IDE or SCSI. The table also shows the size of the drive and the status. Prepare drive Select the drive which you wish to prepare for theuse as customer drive. Click on Prepare drive. Please note: All existing les on this drive will be deleted! This process may take a few minutes. If the preperation was successful the InterCafe Server Software will show a message in the message board on the main screen. Activate drive Select the drive which you wish to activate as customer drive. Several drives can be prepared for the use as customer drive, but only one drive can be activated. The drive needs to show the status prepared. Click on Activate drive. Deactivate drive Select the drive which is activated as customer drive. Click on Deactivate drive. This process may take a few minutes. If the deactivation was successful the InterCafe Server Software will show a message in the message board on the main screen. The drive will then show the status prepared and can be reactivated. 3.9.1.3 Public drives

Dene the public drives which can be use by all customers. Enter the name (e.g. Customer data ) and select the drive (e.g. S: ) which you wish to be used as identication at the Client computers. Select a drive that does not yet exist on the Client computers because this would cause a conict. Activate the write access so that customers can save their data on this drive. Deactivate the write access, if customers shall only be able to read data from this drive but not save data. Allow access Dene which customers are allowed to use the public drives (Members, LoginCodes, Guests).

DKS Manager

Go to Settings Special Modules DKS Manager. With this Special Module you can control the DKS Recovery Software on the Clients. To do so, you need to save the passwords of the DKS software for each Client in the DKS Manager. Please note that you can only use the DKS Manager if the DKS Software has been installed on the Clients. Save DKS Passwort To save the DKS passwort of the Client in the Server software you need to go to the Computer Overview (not the DKS Manager!), make a right mouse click on

the selected computer and select Settings. Enter the password which you have entered in the DKS Software at the Client. Activate/deactivate DKS The DKS Manager shows the current status of all Clients. To activate or deactivate the DKS software on the Clients you need to select a Client and click on the button Activate DKS or Deactivate DKS. You can also select several or all Clients at the same time. To invert the selection you can use the button . Please note: When you enter a DKS Password in the InterCafe Software the password already needs to be dened in the DKS software at the Client. The InterCafe software cannot set or change the password at the Client for you! If you have entered a wrong password in the DKS Manager the InterCafe Server software will display an error message on the message board in the main overview. For a detailed description on the installation and conguration of the DKS Software at the Client please refer to the Manual for DKS Recovery Software.

Wireless LAN

If you are using the Special Module for Wireless LAN billing you can dene the welcome text here which will be displayed on the login screen at the customers laptop.

Enter the IP address of the computer on which the WebBlock software runs. The combination of InterCafe and WebBlock software allows quite ecient and age-related ltering for Internet cafes.

Taris for computers and additional machines

To dene the taris for computers and additional machines go to Settings Prices Computer/Additional machines Taris. InterCafe 2010 Server allows the use of any tari structure which you possibly need for running an Internet or Billiard cafe. Select an already existing tari or dene a new one. Create new tari To create a new tari click on New and enter the name for the new tari. The tari name should describe the tari (e.g. Student tari). Dene for which customers

you wish to use this tari as standard tari by clicking on Standard tari for.... You can select several options at the same time. The following options are available:
General: This tari is automatically used for each new. Member: This tari is automatically used for each new member. M unzeinwurf: This tari is automatically used for customers who login by inserting coins. Gastlogin: This tari is automatically used for customers who login as guest.

Admin tari If you are using the option Admin tari this means that this tari can only be used by the Admin (e.g. for giving free access to the computers for family members). Type of tari You can choose between three basic types of taris: Price per hour, Individual price and Flatrate. All three tari types are being described here in detail. For all taris you can dene additional settings such as program and website billing, text message service and network trac billing and many more. 3.10.1.1 Price per hour

With the Price per hour tari you can create taris that are not using a scale pattern. This is the most common used type of tari in Internet cafes.

Enter the price for one hour in the box Price per hour.

Minimum charge The Minimum charge is the price that the customer has to pay as soon as he is logged in, even if he is only using the computer for just a few minutes. The entry of a minimum charge is recommended in order to avoid customers from using computers for just two minutes to check e-mails and then leaving with just a small charge of EUR 0,05 .

Interval in minutes The Interval in minutes indicates the period for the billing. An interval of for example 10 minutes means, that 15 mintues cost as much as 20 minutes. The customer pays for every interval of 10 minutes he has started. Max. charge The Max. charge indicates the maximum charge that the customer will have to pay (e.g. if you want that customers can keep surng for free once they have reached an amount of EUR 10.-). Leave this eld empty (do not enter zero!) if you do not want to dene a maximum charge. By clicking on Apply this tari will automatically be valid from Monday through Sunday at all times. To dene prices for other days and times you can use the Happy Hour settings. 3.10.1.2 Happy Hour

If you want to use dierent prices than the standard price at some times or on some days you can use the Happy Hour settings. This way you can dene Happy Hours for certain weekdays. Enter the price per hour (as described in the section Price per hour ) and dene the time (Start/End) and the day (one or several weekdays) on which you wish this price to be valid. Add the entry to the list by clicking on Add. You can dene as many Happy Hours as you wish as long as they do not overlap. The Happy Hour function can of course also be used to increase the price per hour or the minimum charge e.g. for Saturday nights. Please note: If you want to create a Happy Hour e.g. from 11 p.m. to 2 a.m. you need to split the entries. Dene the rst Happy Hour from 23:00 to 23:59 and the second one from 0:00 to 2:00. Please note that after midnight a new weekday starts. 3.10.1.3 Individual price

With the individual price you can dene any tari using a scale pattern. The individual price is put together out of several sequently arranged intervals which you can dene here. Enter the start and the end of the interval (in minutes) as well as the price for this interval.

If the option Fixed price is selected, the price is a xed price for the total interval. If the option Price per minute is selected the indicated price is being used as a price per minute. Click on Add to add the interval to the list. Add more intervals until you have covered the maximum time period a computer can be used. It is best to dene minute 999 as end of the last intervall. 3.10.1.4 Flatrate

The atrage is normally being used for LoginCodes, Member accounts and for the Wireless LAN billing (also with LoginCodes). Enter the price and the duration beginning from the rst login in days/hours/minutes. This price is automatically valid on Monday through Sunday. Using the Happy Hour function you can dene additional prices for special weekdays or times. The rst login of the customer has to be during the Happy Hour in order to get the Happy Hour price. 3.10.1.5 Tari examples

1. You want to charge EUR 3.- per hour but the customer has to pay at least for the rst half hour. Dene a Price per Hour tari with a price per hour of EUR 3.-, a minimum charge or EUR 1.50, an interval of 1 minute and leave the Max. price eld empty. 2. You want to charge EUR 3.- per hour and the customer has to pay for every interval of 15 minutes he starts. Dene a Price per Hour tari with a price per hour of EUR 3.-, a minimum charge of EUR 0.-, an interval of 15 minutes and leave the eld Max. price eld empty. 3. You want to charge EUR 3.- for the rst hour, EUR 2.50 for the second hour and EUR 1.80 for every additional hour. Dene an Individual tari with the following intervals:

You want to charge EUR 3.- for each hour for the rst four hours, from then on the usage shall be free of charge. Dene a Price per hour tari with a price per hour of EUR 3.-, any minimum charge, any interval, and a Max. price of EUR 12.-. 6. You want to create a dayticket for Wireless LAN (with LoginCodes). The LoginCode shall cost EUR 12.- and be valid for 24 hours. On weekendes (Saturday and Sunday) the dayticket shall only cost EUR 10.-. Dene a Flarate tari with EUR 12.-, a duration of 24 hours starting from the rst login and a Happy Hour for Saturday and Sunday with a price of EUR 10.-. 7. You want to create a monthly atrate. The price shall be EUR 30.- and the login shall be valid for 30 days. Dene a Flarate tari with EUR 30.- and a duration of 30 days starting from the rst login. 3.10.1.6 Communication

Text messages/MMS Dene the prices for text messages (SMS) and video/picture/multimedia messages (MMS) for the selected tari. The standard price given by the program is EUR 0,15 for text messages and EUR 0,49 for multimedia messages. You can dene dierent prices for dierent taris (e.g. a reduced price in the member tari).

Example No. 1: For the oce programs WORD and ECXEL you wish to charge an extra amount of EUR 1,00 per hour (in addition to the regular tari charges): Enter the program name e.g. MS Word and the according le (winword.exe) Select the option Price per hour and enter the amount of EUR 1.00. Example No. 2: For the usage of a scanner you wish to charge a one-time extra amount of EUR 2.50: Enter the program name and the executable le (.exe) of the program that is necessary for scanning. Select the option One-time extra charge and enter a price of EUR 2.50. The customer can then use the program for scanning as long as he wants and make as many scans as he wants. Example No. 3: For the burning of a CD you wish to charge an extra amount of EUR 2.00:

Enter the program name and the executable le (.exe) of the program that is necessary for burning CDs. You might have to dene in the settings of that program that the program shall be closed after the burning of the CD has been successfully nished. Select the option Price per execution and enter a price of EUR 2.00. The customer will pay this extra charge every time he starts the according program. 3.10.1.8 Website Billing

With this option you have the possibility to charge extra amounts for the usage of predened websites. Enter the domain (the symbol * can be used as wildcard for subdomains) and select the price pattern you wish to use. You can select between a Price per hour (to the minute), a Price per execution and a One-time extra charge for the usage. Please note: If you are using Internet Explorer 7 it is recommended to enter the titel of the website instead of the domain (the titel is visible in the tab of the IE 7) to guarantee that the price is still being charged even if the customer switches to a dierent tab.

Network trac

With this option you can charge for network trac. If you want to allow a certain size of network trac for each customer for free you enter the limit in MB in the eld Free trac. To charge for the trac above that limit you can dene the size of the trac packages (e.g. 10 MB) and the Price per started trac package. 3.10.1.10 Computer settings

In the computer settings you can dene settings for this tari which will be transferred to the computer with the start of a session.

Dene homepage With this option you can dene the homepage for the MS Internet Explorer. Use this option to avoid that customers can change the predened homepage at the Clients. You can dene age-related homepages by using dierent homepages e.g. for Kids taris and Adult taris. Delete history, cookies and temporary Internet Explorer les If you activate this option, the user data of the last user will automatically be deleted with the start of a new session. Policy settings Only select a policy setting here if you wish to overwrite the existing policy settings on the Client every time this tari is being used. With this option you can dene an age-related access to programs and download possibilities. Select the - if you do not wish to make any changes in the policy settings when using this tari. Please note: If you are using this option the transfer of the policy settings before every session may cause a delay in the start of the session. Proxy settings in Internet Explorer If you are using a proxy server (e.g. the blue image WebBlock Software) you can dene the proxy settings here and the software will write these settings in the Internet Explorer of the Client-PC with every start of a session. Enter the IP address or computername and the port of the proxy. 3.10.1.11 WebBlock

Here you can dene if the WebBlock Content Filtering Software shall be activate or deactivated for this tari. The WebBlock software is a content ltering software that can be used together with InterCafe 2010. To use these settings here the WebBlock Software needs to be installed. If you do not have the WebBlock software yet you can download it from www.content-lter-software.com. Please note: The WebBlock software is an extra seperate product and is not part InterCafe 2010. Activate WebBlock If you select this option, the WebBlock will be activated and the selected contents will be blocked.

Deactivate WebBlock If this option is selected, all contents are visible. Unblock specic websites Enter all domains which shall be visible. If you are using this option the user can only visit websites from this list. If you want to import a list of websites as text le (*.txt) you can use the Import button. This option is also knows as Whitelist because it allows to display a selective number of website e.g. especially appropriate for children (perfect to be used with a Kids tari).

lter to a conguration where children can also use it (block adult contents). You can dene a special tari for adults where you can dene that adult pages can be visited. However please always consider the legal regulations of your country. In Germany there are laws that prohibit certain contents even for adults (e.g. glorication of violence, racism, right wing radicalism etc.). 3.10.1.12 Tari information

Enter the text which you wish to be displayed as tari information at the Client. This text can be edited with HTML. Receipt Enter the name that you wish to be used for this tari on the receipt. Print Activate the option Allow printing if you want to allow printing from the computer using this tari.

3.10.2

Tari for free internet usage

If you want to oer frer internet usage (e.g. in hotels or libraries) you can create a tari as described in Taris for Computer and Additional machines. Enter a price of EUR 0.00 as price per hour. Go to Settings Options General Option Client and activate the option Login as Guest so that the customers can use the guest login on the screen at the Client. 3.10.2.1 Restrict the surftime per user

If you are oering free internet usage (e.g. in hotels or libraries) it is recommended to restrict the surftime per user to a maximum of 30 minutes, so that customers cannot block a computer for hours. To do so, create an individual tari with the following intervals: Interval 1: Minute 1-30: EUR 0,01 Fixed price Interval 2: Minute 31-999: EUR 1,00 Fixed price

Create LoginCodes with a value of EUR 0,01 for this tari (see Create LoginCodes ) which you can hand out to your customers. Activate the option Login with LoginCode in Settings Options General Option Client so that the customers can login by entering the LoginCode. The customer will automatically be logged out after 30 minutes because his credit is not sucient to continue the session. 3.10.2.2 Special settings for libraries

Since the users in libraries are usually signed up as member of the library you can create member accounts for these users in the InterCafe Software (see Create Member account ). To ensure that each user can only use the internet for no longer than 30 minutes every day you can automatically add credit for 30 minutes to every member account every day using the Bonus Manager as following: Create a Tari with a price per hour of EUR 1.00. Go to Member Member Manager Bonus Manager. Enter the amount that the customer is allowed to use each day (for 30 minutes every day this would be EUR 0.50, for 45 minutes every day EUR 0.75 etc.). Select the option Usable for machine usage. Dene Every 1 day, select the option Reset and click on Apply. The users can now login with nickname and password and use up their daily credit. If you enter 1 minutes as interval in the tari the billing will be per minute, which means that the user can logout and login again later so that he can split his credit to several sessions. If you want that the user can only login once a day you need to set the interval to 30 (or 45 if using a tari for 45 minutes). The next day the credit will be reset to the credit dened in the Bonus Manager.

3.10.3

Print Manager

InterCafe 2010 has an intergrated Print Manager which allows you to charge for prints from several printers in your shop. Go to Settings Prices Computer/Additional Machines Print Manger to dene the prices for the prints.

Select a printer from the list. Activate the option Enable access to this printer at the Clients so that this printer is visible at the Clients. Activate the option use as standard printer if you want this printer to be displayed as standard printer at the Clients. Only printers that are marked available in the list will be displayed at the Clients. Please note: Do not set the Virtual Printer to available! The Virtual Printer is only being used as a system printer in the background. The customer always needs to select the actual printer at the Client. 3.10.3.1 Price

You can select between unit prices a s scale prices for the prints. Unit prices If you select the option Unit prices, you can dene the price per page for blackand-white and color prints. Scale prices If you select the option Scale prices, you can dene dierent prices depending on the quantity of prints (e.g. lower prices for larger quantities). Enter the quantity (e.g. 1-10, 11-50, 51-100, 101-999) and the price. The last interval should end with 999. Please note: Do not dene a price for the Virtual Printer! To ensure a correct setup for the Print Manager please refer to the Print Manager Manual ! This manual will give you a detailed description on how to install and congure the Virtual Printer and the PrintServer. The Print Manager cannot work without a correct installation and conguration of the Virtual Printer!

Please note: To block premium numbers you need to block these numbers in the hardware of your phone system! 3.10.6.3 Import price list

To import a callshop pricelist of your proder go to Settings Prices Callshop Import price list. The price list needs to be saved as text le devided by tabstopps. The order of the columns does not matter. Step 1: Select le Next. Select the le which you wish to import (*.cvs or *.txt) and click on

Import rst row Activate this option, if the price list that you are using does not have a description in the rst line but already holds the data you wish to import in the rst line. If you only select names for the purchase prices the software will automatically use the old sales prices in the price list. The sales prices will not be changed in this case. If you do not select the pulsing the software will use the standard settings (1 second for purchase price and 60 seconds for sales price). Step 3: Options

Add 00 as prex to all prexes (if not yet there) If the prexes (Area codes) of your price list are listed without 00 as prex you can activate this option. The software will then automatcally add the 00 as prex to all area codes that do not have the 00 yet. Tax If the prices in your price list are gross prices (including the sales tax) you need to activate this option. Step 4: Finish import This step shows what the price list will look like once you have nished the import. Double check the entries and the column names and click on Finish to complete the import. The entries can later be edited in the price list. After the import ist nished the price list will be displayed. Entries that show a negative prot will be marked in red. These entries need to be edited (see Edit price list. If you havent dened sales prices yet the complete price list will be red. To quickly dene sales prices you can click on the head of the column Prot in % and enter the desired prot (e.g. 40%). Click in ENTER to apply the changes. If necessary you can make changes to single entries, too. 3.10.6.4 Export price list

Go to Settings Prices Callshop Export price list to export the price list as CSV le. Selet the folder in which you wish to save the le and dene a le name.

3.11

User Manager

Go to Settings User Manager. The User Manager already holds two user groups (Admin and Sta) and the admin user. The admin user always has full rights and cannot be deleted. If you do not create other users the software will always automatically be started with the admin user. The main overview shows all user groups and all users. To edit an existing user group or user, double click on the according entry. To create a new user or user group click on Edit in the menu.

Create user group

Go to User Manager Edit User group Create. Dene dierent user groups (e.g. Sta, Assistants etc.). You can dene the rights for each user group individually. The settings of the admin group cannot be changed. Policy settings You can dene policy settings for the Server for every user group. Create your own Sta policy settings in the Policy Manager. If you dene a policy setting for a user group this policy setting will be active at the Server once the user logs in at the InterCafe Server software. With this function you can for example avoid that sta members make changes to the computer or use the internet during their working time. To remove the policy settings temporarily go to Policy Manager Server Remove policy settings. You need to be logged in as Admin to do so.

3.11.2

Create user

Go to User Manager Edit User Create. Enter the name of the user and select the group to which the user belongs. Dene a password which the sta member can use for the login. If you activate the option Password has to be changed with next login the user will have to change his password the next time he logs in at the Server. Login The standard login in the Server software automatically asks for user name and password. This means that the user will have to login with his or her user name and password when starting the software or at the beginning of his or her shift. Login with chipcards To simplify the login for users at the Server the login can be done with the help of chipcards. To issue a chipcard for a user insert a chipcard into a card reader which needs to be connected to the Server and click on Issue chipcard. The user can then login by inserting the chipcard into the reader when starting the software or at the beginning of his or her shift.Server!Login) The chipcard stays in the card reader until the user wants to logout. If a sta member wants to use the same card reader to issue a customer chipcard during his shift he can temporary remove his card and insert the customer chipcard without being logged out. Login with waiter key To simplify the login for users in gastronomic environments the login can be done with the help of a waiter key. To assign a waiter key to a user insert the waiter key into the waiter key docking station which needs to be connected to the Server and click on Assign waiter key. The user can then login by using the waiter key when starting the software, at the beginning of his shift or during the shift when he shares a shift with other sta members. This is especially useful if several sta members work together on a shift and each sta member has to login or logout for every booking.

Change admin password

To dene a password for the admin user or to change the admin password select the admin user from the list in the User Manager and dene a new password.

3.11.4

Automatic Login

If you wish to dene an automatic login of the Admin user go to Settings Options General Options Server and activate the according option. Please note that you must delete the password of the Admin user (if there is one) to be able to use the automatic login.

3.12

Policy Manager

The demo version already holds standard policy settings. If you want to use the same policy settings for all computers in your shop you can use these standard settings, make changes if necessary and then transfer it to all Clients. Using several policy settings You can also create several policy settings and transfer them to dierent computers (e.g. separate policy settings for gaming computers or oce computers). You can also create policy settings for certain customer groups (e.g. for Members) and dene and save them in the tari (e.g. the Member tari). If you do so members will get the policy settings from the tari once they log in at a computer no matter which policy settings were transferred to the computer before.

Go to Policy Manager Create. Click on New to create a new policy. Enter a name for the new policy setting (e.g. Member, Students, etc.). You can select a template if you want to copy the settings of an already existing policy setting and then make changes to it. Click on OK zu create the new policy settings. Transfer policy settings

To transfer the policy settings to one or several Clients go to Policy Manager Transfer. All available Client-PCs will be listed wby their computer names. Select the Clients to which you wish to transfer the policy settings. To invert the selection you can use the button . Select the policy settings you wish to transfer and click on Transfer policy settings. The policy settings will be saved on the computer until you remove policy settings or transfer different policy settings. If the Client is being used with a tari where dierent policy settings have been dened those settings will only be valid during that one session. After that session the policy settings that have been trasferred to that Client will still be valid.

3.12.3

Remove policy settings

To remove the policy settings on a Client go to Policy Manager Transfer and select the desired Client. Select Remove policy settings and transfer this information to the Client by clicking on Transfer policy setttins.

3.12.4

Policy settings for the Server

If you want to restrict parts of the software or the computer for your sta members you can create policy settings for the Server in the Policy Manager and activate these settings for certain user groups (in the User Manager). If a sta member logs in at the Server the policy settings dened in his user group will automatically be activated on the Server. The policy settings can only be removed by the admin user. To do so, click on Policy Manager Server Remove policy settings.

Member

The InterCafe Software oers program and Client groups. In the member accounts you can dene which program or Client groups a member is allowed to use. Here you can nd a description of how to create these groups. For the description of how to create member accounts please refer to the User Manual.

3.13.1

Program groups

Go to Member Program group. Here you can add programs to a list and dene to which program groups they shall belong. Enter the name and the path of the program and select the program groups. In the member accounts you can dene which program groups a member can use. 3.13.1.1 Dene group names

If you click on Dene group names you will get a list of the group names. You can change the names of the groups and dene a short description.

Example 1: Create a program group by the name Oce/Workstation and allow the access to this program group only for members using a special tari. Example 2: Create a program group by the name Network games and allow access to this program group only for VIP members using a special gamers tari. Example 3: Create a program group by the name Games 18+ and allow the access to this program group only for members who are 18 or older. Example 4: Create a program group by the name Training course and allow acces to this program group only for members who are participating in a special training course (e.g. used for computer classes, driving school classes, special training on Photoshop or Website programs etc.).

Go to Member Client groups. You will see a list of all Clients. Here you can dene to which Client groups a Clients belongs by activating the according check mark. A Client can belong to one or several groups at the same time. In the member accounts you can dene which Clients (depending on the Client groups) a member is allowed to use. The Client groups can also be seen and changed if making a right mouse click on a Client in the main overview. 3.13.2.1 Dene group names

If you click on Dene group names you will get a list of the group names. You can change the names of the groups and dene a short description.

Example: This example is based on three dierent Client groups in an Internet cafe: 1. Computers with oce programs and regular Internet (Group 1) 2. Gaming computers with games 16+ (Group 2) 3. Gaming computers with games 18+ (Group 3)
For a member who is younger than 16 years old allow the access to Group 1 Clients only so that he cannot use the gaming computers. For a member between 16 and 18 will allow the access to the Group 1 and Group 2 Clients so that he can also use the gaming computers for 16+ but not the gaming computers for 18+. For an adult (18+) member allow the access to all three Client groups so that he can use any Client in the Internet cafe.

3.14

Cafeteria Manager

The Software InterCafe 2010 holds a complete cafeteria management system including stock management. You can create any quantity of product groups and items which can then be sold through a cash sale function at the sales counter or with an order funtion at tables and computers. Customers can also send orders from the Internet terminals to the sales counter.

3.14.1

Product groups

To create product groups go to Cafeteria Product groups.

All existing product groups will be displayed in a list. 3.14.1.1 Create product group

Enter a name which describes the product group as good as possible (e.g. Coee & Tea). This name will be used on all reports in the software. You can enter any text you wish to be displayed on the button (e.g. C & T). This text will only be displayed on the button. Background color and font color If you want a visual dierentiation between the procuct groups you can dene individual background and font colors for every product group. All items of this product group will then be displayed with these colors in the Cafeteria Manager. You can also display an image on the button, such as a coee or tea cup for example. With the option Display picture only, the text will be hidden and only the image will be visible on the button. The preview button shows what the button will look like later.

Click on Add to add the product group to the list. The list also shows the number of items that belong to each product group.

Edit product group

Select a product group from the list and click twice to edit it. Conrm the changes by clicking on Add. To change the order of the product groups you can use the arrow buttons. The product groups will be displayed in this order in the Cafeteria Manager. You can also select a product group in the Cafeteria Manager, make a right mouse click on the entry and then edit the product group. 3.14.1.3 Delete product group

To delete a product group you need to delete or reassign all items that belong to it rst. The product group can only be deleted, if the number of items in the list shows 0. To delete the product group click on the button with the red X.

Stock Management
Stick units

Here you can dene dierent units for the stock management, since some items are bought in a dierent unit than in which they will be sold later. For example: You buy coke in bottle of 1.5 liters but sell it in glasses with 0.2 liters. For a correct stock management you should use the stock unit liter for this item. If you oer mixed drinks which hold certain portions of dierent items you should also go by liters (or gallons or . oz. or other units which may be more common in your country). Especially if you buy large units (e.g. barrels) or bottles in many dierent sizes you should use a liquid unit. If you only buy and sell complete bottles you can simply use bottle or piece as stock unit. You can dene several stock units. When you create an item you can dene which stock unit shall be used for this item (e.g. liter for beer, bottles for coke). Examples for stock units:

Packing units

Dene the packing units in which you get your items delivered (e.g. boxes, barrels, crates etc.) and how many stock units they hold. For example, if you buy crates with 6 bottles and crates with 12 bottles you could enter the size to the name to make it easier: Crate (6) and Crate (12). 3.14.3

Create item

To create an item, go to Cafeteria Item Create item. If you want to use the stock management for the items you should dene the stock units, packing units and booking units rst (see Stock Management in this manual). Item name Dene a name for the item rst, which describes the item concisely. This name will be used for all reports in the software. If you want to use a dierent name or an abbreviation on the button in the Cafeteria Manager you can enter it here in the Name on button textbox. If you are using long names you can hyphenate the text (e.g. Frappu-cino, Cheese-cake, bread-sticks, Appe-tizers), the button will then show the word split in two rows. PLU You can enter a PLU (optional). The PLU is an item number which allows a fast booking especially in large cafeteria businesses by using the special PLU interface in the Cafeteria Manager. The PLU is also necessary when using a barcode scanner (see Barcode Scanner in this manual). Product group Select a product group for the item. If you do not select an already existing product group from the list you can enter a new name and a new product group with this name will be created. Sales price and tax Dene a price and the tax for the item.

You can make additional settings for each item in General, Composition, Stock management, Bonus-LoginCodes, Loyalty Points and Supplier. These settings will be described in Special settings for items in this manual. Conrm your entries with OK. If you want to create further items activate the option Create further items before you click on OK.

Disbursement item A disbursement item is an item without tax. You can use this item if you hand out coins to a customer (e.g. so that he can use the coins to buy something from a vending machine). He will then later pay the amount together with his other expenses. This item does not hold any tax because it is just a disbursement, not an item that you sell. Example: Sta hands out coins to the customer so that he can buy cigarettes from a vending machine Item: Cigarette Disbursement; EUR 4,00; Disbursement item: YES, Tax: NO Book the disbursement item in the Cafeteria Manager when handing out the coins to the customer (e.g. add the item to his surfcosts). The customer will then pay back the amount together with his other expenses. Control Prints Dene if you want to print a control print on a POS printer when this item is ordered (e.g. if someone orders food a control print shall be printed on the printer in the kitchen so that the kitchen sta knows what they have to prepare). To do so select the according printer and dene the number of prints. If you activate the option Print seperate control print for this item this item will be printed on a separate control print even if the order includes other items. Display picture If you want to display a picture for the item you dene the settings here. The picture will then be shown on the button of the item in the Cafeteria Manager. If you want to display just the picture without the text on the button, you can delete the text in the eld Name on button. 3.14.4.2 Composition

Here you can dene the composition of items. This is especially useful for special oers (e.g. Cup of Coee with a piece of cake), for items with a refund charge (bottle of coke with refund charge) and mixed drinks (beer with coke, cocktails etc). To keep track of the stock level you can dene the settings for the items of the composition here.

Select the rst item, the quantity and if the item shall be displayed on the receipt or only booked in the stock management. Click on Add to add the item to the list. When entering the quantity regard the stock unit which you are using for the item. For example, if you are using the stock unit liter for coke and you want to create an item which is composed of 0.25 liters of coke and something else, you need to enter 0.25 as quantity for coke. If you are using Bottle 0.75 liter as stock unit and you want to create an item which is composed of 0.25 liters of coke and something else you need to enter 0,33 (1/3 of the bottle) as quantity. The item will be shown in the list on the right side. Select further items which you wish to be components of the new item and add them to the list. You can only select items which you have created before. For example for a mixed drink of beer and coke you need to create the items Beer and Coke before you can create the mixed drink. For a composition of Coke with refund charge you need to create the items Coke and Refund charge rst. In this case the items Beer and Coke are stock items only, this means you do not need to enter a price and you do not need to display the items at the Client or in the Cafeteria Manager because they are only used for the composition of new items which will then be displayed and sold. Display item on receipt Activate this option, if you want the item to be displayed on the receipt, e.g. if you are compining items with a refund charge (see example 1). Book item in stock only Activate this option, if you want the item not to be displayed on the receipt, but booked in the stock management. This may be reasonable if you are adding a free extra to an item (e.g. a cookie with every coee). The free item will then be booked in the stock management so that you know how many cookies you still have in your stock and when you have to order new ones (see example 2). In example 3 and 4 the items are only booked in the stock management and not displayed on the receipt. The receipt will then show the name of the composed item only. Loyalty Points

If you activate this option, the here dened quantity of loyalty points will be added to the member account when selling this item to a member. To dene the general settings for Loyalty points go to General Options. Example: 1 Cup of Coee = 10 loyalty points (for members only) 10 loyalty points will automatically be added to the member account. Add 10 as quantity of loyalty points. Please note: Loyalty points cannot be redeemed in the program itself (no automatical redemption). If a customer swaps his loaylty points e.g. for a gift you need to manually subtract the loyalty points from his member account.

Sort items Click on the head of the column to sort the items ascending and click again for a descending sorting. Edit or delete item To edit or delete and item make a right mouse click on the selected item or click on Edit Edit item / Delete item in the menu.

Cafeteria tables

Go to Cafeteria Cafeteria tables to see a list of all tables.

The list shows all existing tables. The tables will are displayed in the Cafeteria Manager, in the General Overview as well as in the Graphical Overview (optional). 3.14.6.1 Create table

To create a new table enter the name (e.g. Table 1) and optional a short description (e.g. table of 4, table by the window, table outside and so on). If you have more than 9 table you should use consider using numbers starting with 0 for a correct sorting (e.g. Table 01, table 02 and so on). Computers which are in use will automatically be displayed in the Cafeteria Overview, so you do not have to create tables for the computers. 3.14.6.2 Edit table

Select a table from the list and click double on the selected entry. Conrm your changes by clicking on Apply. 3.14.6.3 Delete table

Select the table which you wish to delete from the list and click on the red X.

3.14.7

Barcode Scanner

A barcode scanner simulates regular keyboard entries. To use a barcodes scanner install the device as described in the manufacturers manual depending on the type of connection (RS232 or USB). If you scan a barcode the barcode scanner will read the number combination and enter the barcode on the screen in the place of the cursor. To use the barcode scanner with the InterCafe software please follow these steps: 1. General Settings First you need to adapt the Cafeteria interface for the use of a barcode scanner. To do so, go to Settings Local Conguration View Cafeteria. Activate the option PLU as standard. 2. Item settings You need to save the PLU for each item in the settings of the item so that the software can identify the item by its barcode. Open the settings of each item (Edit item), click in the eld PLU, delete the entry and scan the barcode of the item with the barcode scanner. The barcode will then be displayed with a combination of numbers in the PLU eld of the item. 3. Sell item To sell an item using a barcode scanner select the customer in the Cafeteria Overview or go to Cash Sale. You will see the PLU entry as standard. Scan the item with the barcode scanner, the item will be displayed immediately on the screen.

Revenue Message

Go to Statistics Revenue Message to dene the settings for the revenue message.

With this option you can receive information about the revenue by email or text message at predifened times. The revenue will always count from the last cash report. The revenue of the payment deviceds (coin and bill acceptor) will be set back to 0 with every cash report. Time and type of message Select a time and a type for the message (several types of transfer can be selected at the same time) and click on Add to add the settings to the list. You can add several settings to the list. In the here shown example an e-mail will be sent with every closing of the software, a test message with every cash report and an e-mail and text message on every Monday and every rst day of the month. Please note: For text messages you need to enter the phone number including the country code (e.g. 0049-170-1234... for German mobile phones). To be able to send text messages you need to have sucient ShopPoints. Edit template Click on Edit template to edit the E-Mail and text message templates.

To edit the Graphical Overview , go to View Graphical Overview 1 Edit or make a right mouse click anywhere in the Graphical Overview and select the option Edit Graphical Overview. You will then see the settings on the right side.

Size of icons Select the size of the icons (in pixel). Activate grid Activate this option, if you want to align the position of the icons on a grid.

Background Select any image as background of your graphical overview (e.g. your logo or a oorplan of your shop). The grphic le should be .bmp, .jpg, .png or .gif. Font color Dene the font color for the information statet below the Client icons, e.g. if you are using a dark background picture you should use a bright font color. Display name Activate this option to display the name of the Client below the icon. If you are using a small size of icons the name of the Client may be cropped. If so, rename the Client or select a larger icon size. Display duration/price Activate this option to display the duration and the amount below the icon. If you are using a small size of icons the information may be cropped. If so, deactivate this option or select a larter icon size.

Registration
Why does the software need to be registered?

The version that you download and install from the internet is a trial version which will run for 30 days. After that time the program may not and cannot be used unless you register the software. For the registration you need to enter your Registration name, Softwarecode and Softwarekey. With this data the trial version will turn into a licenses version. 3.17.1.2 Perform registration

Start InterCafe 2010 Server from the Windows Start menue by clicking on Programs InterCafe 2010 or by using the shortcut on your desktop. On the start screen of the software click on Register to get to the registration window. If the software is already running you can go to ? Registration to get to the registration window. For the registration and the later use of InterCafe 2010 you need to be connected to the Internet.

Enter the Registration name, Softwarecode and Softwarekey which you have received from blue image or your dealer. It is recommended to use the Copy&Paste function of windows. To do so, for example the Softwarekey from the e-mail, copy and paste it into the according box in the registration. Fill in all three boxes of the registration and then conrm by clickin the OK button. If the registration was successful, you will see a message telling you that the Software has been successfully registered. 3.17.1.3 Possible Error Messages

The entered registration data is wrong. Please double check your entry. Double check your entry, especially the upper and lower cases, spaces and exact writing of the registration name. The registration data has been entered on dierent computers. Please contact your dealer or blue image to reactivate the software. There is a limit on how many time the registration can be used. If this limit has

been reached you need to contact your dealer or blue image for a recativation of the registration.
Please check your internet connection. Check your internet connection or re-establish the internet connection if necessary.

InterCafe 2010 Kiosk


4.1 Installation

To use the InterCafe 2010 software on a single standalone computer (kiosk system) you need to select the option Kiosk during the installation of the software. This ways the Server, Service and Client will all be installed on the same computer.

Conguration
Client Conguration

Start the Client Conguration by clicking on Start Programs InterCafe 2010 Client Client Conguration. Dene the regular Client settings as described in Conguration of InterCafe 2010 Client in this manual. Please remember to activate the Client software as service.

4.2.2

Start IC Service as service

If you are using the InterCafe software as kiosk version the IC Service needs to be activated as service. This setting is normally already preset. If you want to make this setting manually go to Start Programs InterCafe 2010 Service Controller. In the Service Controller go to System Service Manager. You will see the current status of the service. If you want to install the service click on Install service. The type of start should be set to automatically. If you make changes to the settings the changes will not be active until you have restarted the computer.

Congure Server

Start the InterCafe Server software and make the regular settings as describedin Conguration of InterCafe 2010 Server in this manual. Access Server software when Client is activated If the Client software has been congured correctly the Client login screen will automatically be displayed on the screen. To access the Server software doubleclick the little black dot in the top left corner of the screen. A new window will open where you can Close the Client software. You can then access the Server by clicking on Start Programs InterCafe 2010 or by using the shortcut on your desktop.

Shutdown kiosk systems

To shutdown the computer doubleclick the little black dot in the top left corner of the screen. Enter the password of the Client Conguration and select the option Shutdown Client. Alternatively you can enter the name and password of a user which you have dened in the User Manager of InterCafe. If you do not want to hand out the password of the Client Conguration to your sta members, you can create a special user in the User Manager (in the server software of InterCafe 2010). Allow this user only to shutdown the Client, dissallow all other functions. With this user name and password the sta member can shutdown the Client software. If you do not want your sta member having to enter the name every day you can dene this user as standard in Client Conguration Other.

5.1
5.1.1

Server
No connection between Server and Client

Double check the following settings:


Is the Client software running? Check if the Client software has been started at the Client. The Login Screen needs to be visible on the screen at the Client computer. If you do not see the Login Screen at the Client go to Start Programs InterCafe 2010 Client Client Conguration. In the Start options, check if the Client software is set to start automatically and if not you need to activate this option. The Client software is running but there is a message saying No connection to Server. Most likely the Service could not be found automatically. You can enter the IP address or name of the computer on which the Service runs in Start Programs InterCafe 2010 Client Client Conguration. If you do not know the computer name go the the computer on which the IC Service runs (usually your main computer). Make a right mouse click on the My Computer icon on the desktop and select the option Properties. Go to Computer name. Enter the here displayed computer name in the Client Conguratio. Does the rewall at the Server block the connection? Check the settings of the rewall at the Server. The InterCafe software needs to be dened as exception. The network trac should not be blocked and the option do not allow exceptions should not be activated. Is there a network connection between the Server and the Client? Check the network connection between the Server and the Client. To do so go to Start Run at the Client computer and enter the following: ping computer name of the Server (e.g. ping SERVER) or ping IP address of the Servers (e.g. ping 127.0.0.1) If you get a timeout as answer you need to check the network settings in windows and check all network cables. You may have to call for professional help in this case (e.g.

the technician who has setup the network).

5.1.2

Which ports need to be open for the use iof InterCafe 2010?

All necessary applications will automatically be added to the excemption list of the rewall during the installation of the InterCafe software. If this did not work for example if your rewall does not support this feature you have to add all .exe les from the InterCafe program foldes to the excemption list of your rewall. To close the Client software you need to doubleclick the little black dot in the top left corner of the login screen at the Client. You need to enter the password of the Client Conguration to close the Client (there is no password if you havent set a password yet).

Service
The service cannot be started. What can I do?

Double check the following settings:


Does the rewall block the Service or the Service Controller? Maybe the Service was started, but the Service Controller does not get a connection to the Service. In this case, double check in the settings of your rewall if the IC Service and the IC Service Controller have been added to the exemption list. Does the WMI service run? The Windows Management Instrumentation (WMI) is not installed or does not run. The event viewer shows the entry Windows Management Instrumentations Service not found. To install the WMI service go to the computer on which the service runs, go to Start Run and enter cmd. Enter the following commands: winmgmt /clearadap [ENTER] winmgmt /kill [ENTER] winmgmt /unregserver [ENTER]

winmgmt /regserver [ENTER] winmgmt /resyncperf [ENTER] The service should then be installed. If it should not be started, you need to restart the service again in the Service Manager.
