Activation
1. 2. Unzip the file EasyRate.zip. Double click on EasyRate application file: Enter Activation Code popup will appear on your screen:

3. Click on Copy to clipboard to copy Your Computer Code & then Paste it in your email to support@concretebasics.org ; you will receive Activation Code within 2 business days. 4. On receipt of Activation Code, enter it in Activation Code field & Click OK. This will activate the software on your computer:

Excel 2010 Version When you double click the software, a Security Warning (see yellow bar at top of screenshot) may be displayed (depending on settings of Excel 2010 installed in your computer). Click on Enable Content to enable the Macros:

1.0 Home Sheet

The Home Sheet shown above has Three Sections viz. Project Information Section, Menu Tabs Section & Define Section: (i) Project Information Section: Use this section to fill the Project Information

(ii) Define Section: This section has shortcuts to three sheets where basic inputs for Rate Analysis are defined:

Resource List: - Click this link to go to Resource List sheet where you can enter the data for basic resources (like Labour, Material, Equipment, Carriage & Others) required for undertaking various work items in the AOR Databases. Markup List: - Click this link to go to Default Markups sheet where you can define and enter the values of default Global & Local Markups to be used in rate analysis. Database wise & Estimate Markup List: - Click this link to go to Database-wise Markups sheet where you can enter the values of Database wise markups & Estimate Markups. (iii) Menu Tabs Section: This section has Four Menu Tabs:

Show Database (AOR): Click this button to view AOR database selected from the drop down menu in Select Database (AOR) field. Databases (i.e. Chapters/Divisions from Standard Rate book/Price book/Analysis of Rates book) are listed in drop down menu in the order in which AOR Database sheets are placed. Rearrange the order of appearance of worksheets in the workbook to have the desired sorting order in drop down menu. Prepare & View Rate Analysis/Estimate: Click this button to go to Estimate-Rate Analysis sheet where you can prepare/view Rate Analysis & Estimate and create various reports (for estimates, rate analysis & resources). Add Item to Database: Click this button to go to Add Item worksheet where you can add Analysis of Rate (or Direct Rate) alongwith item details to the desired database (i.e. Chapters/Divisions from Standard Rate book/Price book/Analysis of Rates book). Reset Data: Click this button to reset (or clear) all the data from your functional sheets. This does NOT clear the data from databases & markup lists.

2.0 Resource List Sheet When you click Resource List link on Home sheet, Resource List Sheet opens:

The various fields in Resource List Sheet are: Resource No: Enter the Resource Number here Sub Category: Enter the Sub Category under which you want to place the resource. Sub Categories are user defined; user can name these the way he wants to. Copy & Paste the name of Sub Category under Sub Category field for resources having same sub category. Description: Enter the description of resource here Unit: Enter the unit of rate of resource (e.g. day, no etc) Unit Factor: Number of units for which rate is entered. For example if rate for 10 hours of a resource is 200; then value of 10 will be entered under field of Unit Factor (hour under Unit, 200 under Rate). If rate of a resource is 500/day; value of 1 will be entered under field of Unit Factor (day under Unit & 500 under Rate). Scheduled Rate: Enter the value of Standard Rate for the resource (from any standard database like CPWD database or from any custom database)

Resource Type: Enter one of the following abbreviations for Resource Categories:L :- for Labour Resources M :- for Material Resources E :- for Equipment Resources C :- for Carriage Resources O :- for Others Resources T : - for Text Resources used for entering texts in rate analysis (in AOR Database Sheets). One or more of the abbreviations of resource types viz. L, M, E, C, O can be typed (separated by commas) in Apply Over field of Add Items Sheet to apply Global Markups over the resources of typed resource types. Apply Over field of Add Items Sheet also has the option of applying Global Markups over Sub-Items (by using code S), other Global Markups (by using Global Markup Code defined in Default markups Sheet) or over all resources, sub-items and other Global Markups (by using code All). [Sub Item is an item (in the existing database) which is being used for the rate analysis of present item (i.e. for which rate analysis is being done)] Search Box: Search the required resource either by typing resource no or resource description. Back to Home Navigation Button: takes user back to Home Sheet

3.0 Default Markups Sheet When you click Markup List link on Home sheet, Default Markups Sheet opens:

Concept of Markups:Markups are additional amounts, such as tax, overhead, and profit, you add to resource costs to calculate analyzed rate. With EasyRate, you can first calculate your resource costs & then apply different percentages/ amounts as markups. EasyRate offers you flexibility of applying four types of markups. These are: (i) Local Markups: These are applied on the specific resources in Add Item Sheet. Descriptions of all Local Markups (as entered in Default Markups Sheet) are displayed in drop down menu of Markup Description field of Add Item Sheet. On selection of a particular description of markup, its default values get automatically filled & calculations done accordingly. Default values can be overwritten by Markup Values entered in Add Item Sheet.

EasyRate offers you flexibility of applying different Markup Values for different resources. For example, you can apply 5% markup on Resource 1, -10% markup on Resource 2 & 25% markup on Resource 3 (ii) Global Markups: These Markups apply to resource types selected in Apply Over field of Add Items Sheet. One or more of the abbreviations of resource types viz. L, M, E, C, O can be typed (separated by commas) in Apply Over field of Add Items Sheet to apply Global Markups over the resources of typed resource types. Apply Over field of Add Items Sheet also has the option of applying Global Markups over Sub-Items (by using code S), other Global Markups (by using Global Markup Code defined in Default markups Sheet) or over all resources, sub-items and other Global Markups (by using code All). User can select the Global Markup to be applied by:a) Selecting Global Markup in the drop down menu under Category/Sub Item field of Add Item Sheet. b) Selecting the desired Global Markup Description from the drop down menu under Markup Description field of Add Item Sheet. Drop down menu displays various Global Markup descriptions (as entered in Default Markups Sheet). On selection of a particular description of Global Markup, its default values get automatically filled. Default values can be overwritten by Global Markup Values entered in Add Item Sheet. (iii) Database wise Markups: These are applied as percentages on items of individual databases (i.e. Chapters) of Standard Schedule of Rates. The values of Database wise Markups are entered in Database-wise Markups Sheet. Estimate Markups: These are applied as percentages over estimated cost. The values of Estimate Markups are entered in Database-wise Markups Sheet.

Types of Markups (viz. Local or Global), their descriptions, default values (as "Markup %" or Markup amount) and Markup Codes are entered in Default Markups sheet. The fields in this sheet are: Sl No: Enter the Serial Number of Mark up (optional) Markup Type: Enter either Local or Global Description: Enter the description of Markup Markup %: Enter the Default Markup Value in % age. Default values can be overwritten by Markup Values entered in Add Item Sheet

Markup amount: Enter the Default Markup amount. Default values can be overwritten by Markup Values entered in Add Item Sheet (Note: For a particular Markup Type, user should enter value either under Markup % or Markup amount field.) Markup Code: Enter the Markup Code for Global Markups. Markup Codes are user defined. Markup Codes are used when we want to apply one Global Markup over another Global Markup. For example: if you want to apply Global Markup Contractors profit & overhead to Labour, Material, Equipment resource types & Water Charges Global Markup (with WC as Markup Code), type L,M,E,WC in Apply Over field of Add Items Sheet to apply Global Markups over the resources of typed resource types. 4.0 Database-wise Markups Sheet When you click Database wise & Estimate Markup List link on Home sheet, Database-wise Markups Sheet opens. You can enter the values of database wise markups & Estimate Markups in this sheet.

Various fields in this sheet are: Sl No: Enter the Serial Number of AOR DB i.e. Analysis of Rates Database Mark up (optional) AOR DB Name: Enter the name of AOR DB i.e. Analysis of Rates Database Mark up. This name should be exactly same as the name of AOR DB sheet. User can copy & paste AOR DB Sheet name under this field. Markup %: Enter the Markup Value in % age. %age entered in this field is applied over individual items of that particular database (i.e. Chapter of Standard Schedule of Rates). For example if a value of 50% is entered against AOR DB- 3.0 MORTARS, all items of AOR DB Mortars in the estimate will have this percentage applied over them. Estimate Markup 1: Enter the name of Estimate Markup 1 & its value (in %). This % will get applied to estimated cost. Estimate Markup 2: Enter the name of Estimate Markup 2 & its value (in %). This % will get applied to (Estimated cost + Estimate Markup 1).

5.0 Add Item Sheet Click Add Item to Database button on Home Sheet to go to Add Item sheet where you can add Analysis of Rate (or Direct Rate) alongwith item details to the desired database

Various fields in this sheet are: Back to Home Navigation Button: takes the user back to Home Sheet Create New Database (AOR): Click this button to create new AOR Database (i.e. Chapter). Upon entering the name of AOR Database (maximum of 31 characters) in the pop-up, a new worksheet with the name of AOR Database (with prefix AOR DB -) will be created. Add Item to Database (AOR): Click this button after filling all the required details in this sheet for a particular item. This will add the analysis of rate to the database selected in Select Database (AOR) field Clear Sheet: Click this button to clear the sheet of all the data Item No: Enter the Item no for which Analysis of Rate (AOR) is being carried out Item Description (Full): Enter the complete Item description. If the Item Description (Brief) field is initially blank, the full description entered here will get copied to Item Description (Brief) field. Item Description (Brief): Enter the brief Item description. If the Item Description (Brief) field is kept blank, the full description entered in Item Description (Full) field will get copied here. User can then make the desired changes in brief description of the item. Rate Analysis done for: Enter the number of units & unit for which Analysis of Rate (AOR) is being carried out. If the Rate Required for field is blank, the value entered in this field will get copied in Rate Required for field. User can then make the desired change (if required) in Rate Required for field. Rate Required for: Enter the number of units & unit for which Rate is required for. If the Rate Required for field is initially blank, the value entered in Rate Analysis done for field will get copied here. User can then make the desired change (if required) in Rate Required for field. Select Database (AOR): Use the drop down menu to select the database (i.e. Chapter) in which you want to add the Analysis of Rate (AOR) Round to Nearest: Use the drop down menu to select the rounding off option. The default value is No rounding off. Add Rate Directly: Use the drop down menu to select Yes, if you want to add the rate directly without doing Analysis of Rate (AOR). The default value is No. Rate: Enter the rate here if you are adding the rate directly without doing Analysis of Rate (AOR) by selecting Yes in the drop down menu of Add Rate Directly field. Sort Items Automatically: Check this box if you want to sort the various resources in the rate analysis automatically. Default setting is Unchecked i.e. the resources will appear in the order in which they are entered in this sheet. Need Manual Intervention: Check this box if some manual intervention (in form of nonautomatic calculations) is required in rate analysis. Default setting is Unchecked.

Other Data fields: Category/Sub Item Select the name of one of the Resource Categories (Labour, Material, Equipment, Carriage, Others, Text) or Global Markup or Sub Item. [Sub Item is an item (in the existing database) which is being used for the rate analysis of present item (i.e. for which rate analysis is being done.)] Sub Category/ a) On selection of one of Database/ the Resource Categories Apply Over under Category/Sub Item field, corresponding Sub Categories are displayed in drop down box. b) On selection of Sub Item under Category/Sub Item field, various AOR Databases are displayed in drop down box. EasyRate can handle upto two sublayers for an item

c) After selecting Global Markup under Category/Sub Item field, type resource category codes & Global Markup Codes (separated by commas) over which Global Markup is to be applied

6.0 AOR DB Sheet Creating AOR DB Sheets: Click Create New Database (AOR) button on Add Item Sheet to create new AOR Database (i.e. Chapter). Upon entering the name of AOR Database (maximum of 31 characters) in the pop up window, a new worksheet with the name of AOR Database (with prefix AOR DB -) will be created. Deleting AOR DB Sheets: To delete a particular AOR Database, simply delete that sheet from the workbook. AOR DB Sheets store the analysis of rates for different databases/chapters. Clicking Add Item to Database (AOR) on Add Item Sheet (after filling all the required details in Add Item sheet for a particular item) will add the analysis of rate of that item to the database selected in Select Database (AOR) field of Add Item Sheet. Deleting a particular Analysis of Rate from AOR DB Sheet: Delete all the rows of item no to be deleted (i.e. from the Item No row to the bottom blue separator bar) Say field: Say field displays rounded off value of analyzed rate. Rounding off is done as per option chosen in Round to Nearest field. User can however also enter a value directly in Say field which overwrites rounded off value entered in this field.

Adding Text in Analysis of rates: To add the text in analysis of rates, follow these steps: a) Select Text resource in Add Item Sheet in the row you want to place the text:

b) After adding this item to AOR DB sheet, modify the text description to desired description:

Making Manual Interventions in rate analysis: If required user can make manual calculations in this sheet. User should however check the Manual Intervention Required checkbox for such items so that these items are separately identifiable. 7.0 Estimate-Rate Analysis Sheet

Estimate-Rate Analysis Sheet is the work place for:a) Selecting items (in AOR Databases) and preparing estimate after filling their quantities. b) Selecting items (in AOR Databases) and viewing their Standard Analysis of Rates. Standard Rate analysis of various sub-items in the rate analysis of the selected items are also displayed.

c) Selecting items (in AOR Databases) and preparing their user created rate analysis after filling user rates in Resource List-Selected Items Sheet. User Created Rate analysis of various sub-items in the rate analysis of the selected items are also displayed. Steps for preparing user created rate analysis: 1. Select the items (in AOR Databases) from drop down menus of Estimate-Rate Analysis Sheet:

2. Click View Resource List for Selected Items button. This will display all the basic resources viz. Labour, Material, Equipment, Carriage & Others (including those required for sub items) required for the selected items in Resource List-Selected Items sheet. Resource no 9999 (i.e. Sundries) & Text resources are not displayed in Resource List-Selected Items Sheet.

3. Fill in the user rates (i.e. market rates in your area) under User Rate field of Resource List-Selected Items Sheet:

4. Click View Justification Statement & User Created Rate Analysis based on User Rates button. 5. This will open Justification Statement Sheet. Items requiring manual intervention are marked Yes under Need manual intervention field

6. Click View User Created Rate Analysis to view User Created Rate analysis. User Created Rate analysis of various sub-items in the rate analysis of the selected items are also displayed d) Preparing Justification Statement Justification Statement tabulates the estimated rate/amount (as per Standard Schedule of Rates) for each item alongwith its Justified rate/amount (as per current Market Rates).

Steps for preparing Justification Statement: 1. Select the items (in AOR Databases) from drop down menus of Estimate-Rate Analysis Sheet:

2. Click View Resource List for Selected Items button. This will display all the basic resources (including those required for sub items) required for the selected items in Resource List-Selected Items sheet. Resource no 9999 (i.e. Sundries) & Text resources are not displayed in Resource List-Selected Items Sheet.

3. Fill in the user rates (i.e. market rates in your area) under User Rate field of Resource List-Selected Items Sheet:

4. Click View Justification Statement & User Created Rate Analysis based on User Rates button. 5. This will open Justification Statement Sheet. Items requiring manual intervention are marked Yes under Need manual intervention field

e) Creating Reports (for Estimates, Rate Analysis, Justification Statement & Resources): Select the required report from drop down menu of Select Report field of EstimateRate Analysis Sheet & then click Create Report button.
