BOX OFFICE AND ADMINISTRATIVE ASSISTANT


NORTHERN ARTS AND CULTURAL CENTRE The Box Office and Administrative Assistant is responsible for the operation of the Northern Arts and Cultural Centre front of house areas (lobby, auditorium and other public areas). This position is responsible for the bar/concession coordination, for assigned activities including performances, ceremonies, fundraisers and community productions. Assisting the implementation of the volunteer program is vital to the operation of the Northern Arts and Cultural Centre. Finally, this position includes a wide variety of administrative support services, all of which contribute to the efficient and professional operation of the office. RELATIONSHIPS: Reports to: Manager of Communications and Front of House. Other Internal Contacts: Executive Director, Financial Manager, Technical Director, Janitorial Staff, External Contacts: General Public, Community Users.

MAJOR RESPONSIBILITIES/DUTIES: 1. Box Office and Administrative Assistant and Volunteer Captain Coordinate and ensure the smooth operation of the Front of House, Ensure the safety of patrons and volunteers while being volunteer captain, Coordinate volunteers through and delegation of duties as necessary during performances, Prepares weekly reports to the Manager of Communications and Front of House including house counts, deposits, lost and found and patrons feedback, Assists the use of the lobby for receptions including set up, decoration, food preparation and clean up, Report and follow through on any malfunctions and safety concerns in the lobby and auditorium to the Manager of Communications and Front of House,

Ensure adequate advertising through display unit and the website, Assistant for special events such as art exhibitions, internal social events, fundraisers, Maintain lost and found for the Northern Arts and Cultural Centre, Selling tickets at the Box Office, Selling tickets over the phone, Processing payment by credit card, cheque, cash and debit, Running daily/weekly/monthly/annual reports from Vendini, Assist with loading in of show information, Responds to phone, email and in person enquiries providing general information and referring enquiries to appropriate sources, Completing accurate seating reservations, Recording tickets sold and names of the patrons, Photocopying, sending and receiving faxes, Maintain the archives updated and filed, Maintain an accurate office supplies inventory.

2. Bar/Concession Collect, count and deposit money after each performance and arrange for adequate float money 3 to 7 days a week, Coordinate volunteers to run the bar/concession while being volunteers captain, Maintain concession/bar inventory, purchasing and personally picking up and delivering certain supplies on a regular basis, Planning, purchasing and preparing food for concession during events, Maintaining the cleanliness of the concession area and arrange for returns to bottle depot, Ensure proper use of the ticket scanners. REQUIREMENTS/QUALIFICATIONS: Post-secondary education diploma or certificate, Experience with volunteers and practical knowledge of theatre environment is essential, First Aid training and CPR, Excellent interpersonal skills, even temperament, ability to supervise effectively, Strong organizational skills, Willing to work long hours and split shifts, Sustained physical activity through lifting up to 50lb. (canisters and water bottles), pushing carts, lobby set-up and remaining on feet for long periods of time, Ability to handle fast paced environment with many disruptions, Computer skills, Strong communication and marketing skills.
