1.0 Introduction
The purpose of the project execution plan prepared by ABC Limited for the proper and efficient execution of the various hospital projects is to help complete the proposed works to meet the projects objective of timeliness, cost effectiveness and quality. Our focus therefore, will be to manage people, processes and resources through; 1. Following processes and procedures, 2. Performing quality assurance, 3. Communicating effectively with stakeholders including holding progress meetings, and 4. Managing change requests. During this process the Project Manager and his team will constantly refer to the project management plan which will be the road map of the project.

2.0 Human Resources


The success of our project plan will depend largely on the team that executes it. To this end, ABC Ltd will ensure that a team with the right mix of skills and personalities is acquired and developed throughout the execution phase of the project.

2.1 Acquire Final Team


Having planned the project with a core team, ABC will acquire final project team to see to the implementation of the plan. In acquiring this final team, the following documents will be referred to as the primary guidance: 1. Roles and responsibility matrix, 2. Project organizational chart, and 3. Staffing pool description (availability,ability,experience, interest and cost).

2.2 Develop Project Team


To decrease employee turnover, improve individual skills and team work ABC will take the following actions: 1. Hold team building activities such as explaining what everyone will contribute, making it clear that team work is crucial to success, and keeping the team focus on completing the project. 2. Provision for training needs of the team members will be made to enhance their performance. 3. Ground rules will be set. 4. Team members performance will be appraised and group of teams that excel will be rewarded. 5. Team members assessment will be done by analysing how much team members skills have improved, how well the team has performed and is performing, general contribution to overall progress, contribution to improvements in quality and cost effectiveness, etc.

2.3 Resolve Issues and Problems


Team members are people, and all people come pre-loaded with personalities, biases, work ethics, abilities,etc. Therefore, issues or problems are bound to arise either amongst team members themselves or team members and Client representatives.

One of the cardinal values of ABC is being proactive. Therefore, management will operate an open-door policy that will allow individual team members to have easy access to voice out their concerns. Attempts will be made to deal with these individual concerns to their satisfaction by an Industrial Relations Officer of ABC. However, should this fail to work and the concern grow to become a conflict/issue/problem, management of ABC will then step in to resolve. Where it is a conflict between two or more of the team members thesemembers will be encouragedto resolve their own conflict as they arise. Whatever they are unable to resolve on their own it should be escalated to their immediate bosses. ABC will maintain an issue log that will contain the following data: 1. Issue number 2. Issue description 3. Issue raised by 4. Issue raised date 5. Issue priority 6. Issue resolution initiation date and 7. Issue resolution actual end date.

3.0 Perform Quality Assurance


As part of our project execution, ABC will perform quality assurance to ensure that the quality of the project meets the requirements. This process will involve the following steps: 1. All activities shall be assembled into a quality assurance plan. 2. Constant reference to the relevant standards and specification would be made. 3. Activity schedule shall be definedthat will ensure collection of data and comparison of results to the plan (see quality assurance metrics). 4. Resource requirements shall be established and provisions made as and when needed. 5. Responsibility levels shall be assignedto specific persons.

4.0 Communication
Project progress meetings will be held daily, weekly and monthly and the minutes or reports sent to the main contractor. The daily progress meetings will be arranged and overseen by the Construction Manager on site 30 minutes each day before the start of the days work. The minutes of the meeting will contain the following information, among others: 1. What works were completed the previous day 2. What is preventing members from completing their activities, if any 3. What works are plannedfor the day of the meeting 4. What resources are needed for the days work? At the end of the meeting the report will be sent to the team, senior management and the main contractor. The process will continue daily until the project is completed. Weekly meetings will be held and the report of the meeting will be submitted with: a. Milestones achieved for the week b. Milestones missed for the week c. Milestones planned for the following week d. Any issues identified/encountered/envisaged that require Main Contractors attention or intervention e. Results of any quality assurance test undertaken f. Materials on site and in transit g. Payments received from Main Contractor h. Claims/certificates raised but yet to be honoured by Main Contractor Monthly meetings will be held and the report will be similar to the above. In addition to these, ABCs senior management shall be available to attend any meeting called by the Client or Main Contractor, particularly Technical Meetings.

5.0 Change Control


Change is unavoidable on projects of this scale and extend.It is therefore, important for all players to be flexible and adaptive. To address changes as their need arise on the project, ABC has proposed the following change control process: 1. Project Manager will log and discuss the impact of the change with the team. 2. If the change will have major impact, ABC will look at alternatives and try to make proposals. 3. Changes will be documented on the original plan. 4. Approval will be sought or obtained from the Main Contractor. 5. Team members will be informed of the changes as soon as possible. To minimize impact on the project schedule and therefore cost,it is suggested that these approvals should be obtained within five days after the change request is submitted.
