Introduction
Using the BEx Broadcaster, we can precalculate and distribute BI Web templates, queries, query views, reports and workbooks. We can broadcast BI objects either as precalculated documents (in various formats like HTML, MHTML, MS Excel, ZIP and PDF) or online links. The distribution options include broadcasting by e-mail or broadcasting to the portal. In this article, I will explain how to broadcast BI reports to a directory on the file system of the Portal server. We will achieve this by first configuring a KM (Knowledge Management) folder on the Enterprise Portal as a File System Repository (which would in turn be pointing to the desired directory on the Portal file system). We will then broadcast the BI report to this KM folder. Other BI objects can be broadcasted to file system directory in a similar way.
Preconditions
The following are the preconditions that need to be fulfilled: Setting up SSO between EP and BI You should have the super_admin_role portal role
You will be able to see the already existing File System Repositories. Click on the New button.
Enter the following information: Name BI_Repository (or any name of your choice) Prefix /BI_Repository Root Directory This denotes the path to the root directory in the file system to which the repository manager is assigned. If you want to integrate documents from a Windows system, this can be a drive letter (followed by a colon) or directory path on the local server or a remote server share. If you are running your portal on UNIX, then this can be path on any directory mounted on the portal server. Since our portal is running on UNIX, I have set the Root Directory to /usr/sap/BJQ/SYS/src Leave all the other fields as they are. Click on the OK button.
Create an Entry Point from the File System Repository Entry points allow us to navigate to various KM folders that may be located in several repositories. They basically provide central access to multiple repositories. For more information, see Entry Points. We will now create an Entry Point in KM from the File System Repository configured above.
Enter the following information: Name BI_Entry_Point (or any name of your choice) Targets /BI_Repository (This should be same as what you filled for the Prefix while configuring the File System Repository) Leave all the other fields as they are. Click on the OK button.
Our File System Repository has now been configured as an Entry Point in the KM.
Broadcast a BI Report using the BEx Broadcaster Using the BEx Broadcaster, we can precalculate and distribute BI Web templates, queries, query views, reports and workbooks. We can broadcast BI objects either as precalculated documents (in various formats like HTML, MHTML, MS Excel, ZIP and PDF) or online links. The distribution options include broadcasting by e-mail or broadcasting to the portal. We can call the BEx Broadcaster from various areas of the Business Explorer to distribute BI objects. Here I will call the BEx Broadcaster from an executed BI Report as shown.
Right click on the report and choose Broadcast and Export Broadcast to Portal
The Broadcasting Wizard opens in a new window. Click on here to open the BEx Broadcaster.
The Distribution Type dropdown can be used to select whether you wish to broadcast to E-Mail or to Portal (and various other options depending on your authorizations). For our requirement, let the Broadcast to Portal option remain selected.
The Output Format dropdown can be used to select the type of format you wish the BI object to be broadcasted in. Set the dropdown to XML (MS Excel) option. This will generate the BI Report in MS Excel format.
By default, the Target in Portal radio button is set to Export Document to My Portfolio. Change it to Export Document to Other Folder. Using the Export Document to My Portfolio option, we can store the document in the personal portfolio of the selected users. Using the Export Document to Other Folder option, we can store the document in any other KM folder.
Click on
A new window to Select a folder opens up. Navigate to CM Repository View and click on BI_Repository. With CM Repository View, the system generates a link in the KM folder of your choice. Under Collaboration Room, the rooms assigned to the user are displayed. The system generates a link in Knowledge Management under the selected collaboration room. Click on the Transfer button.
Now click on the Execute button to broadcast the BI Report in MS Excel format to the directory /usr/sap/BJQ /SYS/src on the Portal server.
The Schedule button can be used to schedule broadcast settings for the BI objects. Broadcasting by e-mail or to the portal takes place at a specific date and time that you specify. For more information, see Scheduling Broadcasting Settings. Now you can check in the Portal server for the MS Excel file generated from the BI Report.
