Day one getting started


Contact details: Be sure to refer to the learning and knowledge available on the OneDesk (GCL5) CHS to get the most out of your upgrade. If you need further assistance, call your local service desk. Comprehensive knowledge is available on the Self Service Portal (https://ey.service-now.com/ey/). Go to Start > All Programs> E&Y Tools > Self Service Portal.

OneDesk (GCL5) represents a significant update to the software on your PC. This Quick Start Guide highlights important tasks you must complete after receiving your PC to finalize the upgrade process and help you become more comfortable with the new software. For a broad range of important OneDesk information and learning, consult the OneDesk (GCL5) CHS (chs.ey.net/GCL5). Network connections, including EYRC, are accessed via the Network and Sharing Center icon in the System Tray. See detailed instructions at the end of this guide. Note: As iPASS is no longer a firm-supported product, it is not part of OneDesk.

Before you start: Post-deployment checklist


How to add a new network Printer? Use the Add Printer tool (Self Service Portal > Get Help > Add a Printer). For instructions: read the Knowledge article Installing the Print Plus queues using Add a Printer tool.

Change your Network password (while you are in an EY Office). Change your Lotus Notes password.

Launch Lotus Notes and check that you can access your mail, calendar, contacts, mail archives and databases as usual. Re-create your Lotus Notes email signature. Check that your data has been migrated. Verify that your files and folders are in your My Documents folder and on your Desktop. Tip: Verify this using the desktop screenshot you took while preparing your computer for OneDesk. Confirm that you can access your network drive(s). GAMx users: Launch GAMx and make sure your GAMx workspaces have been migrated. Open a GAMx workspace to ensure correct functionality. Check that the non-core applications and key/specialist software have been re-installed on your machine. If relevant, check that your mobile broadband and all other peripherals work properly. Change your display settings if needed. Reinstall any necessary home printer software.

If you use GAMx you must ensure that you read the Day one - GAMx on OneDesk (GCL5) Guide. To do this navigate to the OneDesk (GCL5) CHS http://chs.ey.net/GCL5 and select GAMx from the Internal EY Tools Menu.

Legal Disclaimer
In accordance with security requirements, a legal disclaimer appears when you start your PC.

3. Go to File > Security > User Security. 4. Again enter your existing Notes password then select Change Password. Enter your existing Notes password then create a new password.

Create your Lotus Notes signature


After your PC has been upgraded to OneDesk, you may need to recreate your Lotus Notes email signature. Follow the instructions in the Branding Zone (Branding Zone > Templates > Correspondence > Email signatures) to re-create your signature, as necessary.

Logging On
The initial log on screen for OneDesk says Symantec PGP Desktop. The Domain field is new and should show your local network domain. If it is set to This Computer you will not be able to login, select your domain instead. Username is the same as before Passphrase is your network password Domain: This should be set to your country domain, (e.g., US). You must change this using the drop down menu if it is not set. Note: Remember your local Domain, because you will need it in other Windows screens where the user name is entered in the format

Access your Network drives


The Network drives you had mapped to your GCL4 system should also appear in Computer on OneDesk. You can find your mapped drives via the Start Menu. Simply click on the link titled Computer on the right side of the Start Menu.

User privileges
When making changes to Windows or installing a non-EY printer, you might see a dialog requesting an Administrator password. If entering your domain\user-id and password is not sufficient, you will need to elevate your access rights using the new Privilege Elevation Tool (PET). Launch PET via Start > All Programs > E&Y Tools > Privilege Elevation Tool. Enter the duration and reason for elevation and click ok. On the next screen you will have to enter 2 keys which are displayed. Users in certain countries will have to call the local helpdesk in order to receive the keys. Tip: Once the elevation time expires your computer will be forced to log off in 600 seconds (10 minutes). To prevent data loss, launch the PET tool, click the Stop Elevation button and log-off before your time has expired. Note: The tool may have been activated during the OneDesk installation process. You will be prompted to Continue Elevation or Stop Elevation. Clicking Stop Elevation will prompt you to save your open applications and LOG OFF. Detailed information is available in the PET User Guide in the Self Service Portal.

Change your Network Password


For security reasons, when you log into your PC you must change your Network Password (the password to log in to your PC & Windows). To do this you must be in an EY Office and connected to the office network (wired or wireless). Please follow your country guidelines on how to change the network password. Detailed information can be found in the Self Service Portal.

Change your Lotus Notes Password


You must change your Lotus Notes Password. Open Lotus Notes by: 1. Clicking the Windows 7 Start Button. 2. Go to All Programs > Lotus Applications > Lotus Notes with your existing Notes password.

Tip: When your privileges are elevated to an administrator, you may receive a dialog window asking for your user name and password because some administrative tasks will require you to enter your login credentials. Enter your User name and Password and click on Yes. In the user name field specify your domain, e.g. if your domain is US, user name will be as US\User Name. Please read this knowledge article for further information.

Access to commonly used applications


The Quick Launch toolbar has been incorporated into the Taskbar.

Pinning: You can pin applications to the Windows taskbar (right click > Pin to Taskbar).

Find programs and files using the Start Menu Show me my Desktop
The Show Desktop button has moved to the far right of the System Tray. Search Programs or files: Start typing the name in the Start Menu search box and you'll instantly see a list of relevant programs and files on your PC. Browse for Assurance Tools: Same as before: All Programs > Service Delivery Tools. Navigate to the Documents Library (includes My Documents) by clicking on Documents in the right section of the Start Menu. There you also see direct links to Computer and Network. Recently opened files are now displayed by Application only; hover over the right of the program name.

Wireless Connections and EY Remote Connect (EYRC)

Navigate your files and folders in Windows Explorer


1. Use the buttons to navigate folders. 2. Click to any folder in the navigation bar to navigate upwards. Click right to the folder structure to display the path in C:\ format. 3. Add file name to search for files. 4. For one click access, drag often used folders to the Favorites section in the left bar of Windows Explorer. 5. Similar documents are grouped together into libraries. Double-click on the Documents library and Windows will display all document files linked to that library, including the My Documents and Public Documents folders. 6. The Documents and Settings folder is now called Users. Mapped Network drives will appear under Computer. You also can find your mapped drives via the Start Menu. Simply click on the link titled Computer on the right side of the Start Menu or expand Computer in the left bar of Windows Explorer.

Symantec Endpoint Encryption (e.g. Encrypting USB-Keys)


Symantec Endpoint Encryption (SEE) is our new tool to encrypt files on removable media (flash disks, external drives, CDs and DVDs, memory cards etc.) that will be used to transport or share firm or client data. Once the files are encrypted, they can be accessed only by EY users or 3rd parties who have the

password.

SEE encrypts each file copied to the media from an EY device and does not impact any other files stored on the media. SEE does not encrypt the whole device as was done in GCL4. TIP: If you want to set a default password, then launch the Symantec Endpoint Encryption Client. By doing so, all files copied to a USB key will be encrypted by this default password. NEVER click Force Shut Down


When you shut down your PC, you may be prompted with a window that indicates that programs need to close e.g. Waiting for MED-V Host Agent. If you click Force Shutdown, the application (e.g. MED-V) may not close correctly, which can cause corruption. Therefore DO NOT choose this option. Always allow time for the automated shutdown to conclude.

Internet Explorer 9

1. Click the Home icon to go back to your home page. 2. Click the Star to locate Favorites. 3. Click the gear-wheel to find Internet Options. 4. Right click to re-activate Toolbars including the Menu bar.

Sametime Meetings
The link to the Sametime Meeting Center is not always visible in the new version of Lotus Notes. To access this functionality, you have two options: In Lotus Notes, click in the Sametime Search ("Type to find name"), then Click Tools > Meetings in the main Lotus Notes menu. Directly access the Sametime Meeting Center through Internet Explorer (http://sametime.ey.net).

TIP: Add this link to your IE favorites for future reference.

Get Software
Get Software is a tool that allows you to request and install applications that are not part of OneDesk loadset. This tool is available for OneDesk users only. You can find the link to the tool and the Get Software Quick Reference Guide in the Self Service Portal.

Printers
The Printers available in your GCL4 system should also appear in Devices & Printers on OneDesk. You can find your printers via the Start Menu. There is a link titled Devices & Printers on the right side of the Start Menu. The printers listed here will be available when printing from all applications. You also have the option to add a new printer: Use the Add Printer tool (Self Service Portal > Get Help > Add a Printer). For instructions: read the Knowledge article Installing the Print Plus queues using Add a Printer tool. If you use a home printer with your EY PC, please note that you will need to reinstall your printer software following your upgrade, using the new Privilege Elevation Tool (see description in this guide).

Check your Power Point templates


After your PC has been upgraded to OneDesk, you may need to reinstall your PowerPoint templates. The Branding Zone offers the latest EY PowerPoint themes and templates. The PowerPoint templates (.potx) files contained in this .ZIP file should be extracted to the designated Office user templates directory on your local machine. Follow the instruction described in this QRC to install the templates and themes on your PC.
