Subol Diliman - Proposed Organizational Plan

Disclaimer: This is an unofficial yet existing and conscious decision of the Executive Committee which will
take effect upon amendments in the Constitution and approval of the general body.

Introduction:
This year's UPSS Diliman will be characterized by bigger and bolder moves. For us to do that, we need
more flexibility and innovative ideas through the maximization of potentials and participation of EVERY
member. We want to consciously recognize our members as the biggest asset of this organization by
allowing them to lead and come up with their own initiatives. This proposed organizational plan does
that.
Member's Participation came in as top priority of the members polled in a recent survey we made. We
will not fail in delivering this. We will deliver a Passion-Driven Organization where members grow and
develop their potentials. Subol will be both your "home away from home" and your home that will hone
your talents and skills.
Our biggest amendment in the constitution is the generalization of the old functions of the Committee
Heads and Assistant Committee Heads. This time around, all we will have are Committee Functions
which will be delegated to specialized positions for every committee. The offices of the President and

Vice-President will now have officers working with them. The main objective of this reform is for EVERY
MEMBER to have a responsibility and position that he or she will enjoy doing and will grow in. Positions
are specialized such that there is a efficient way of delegating special tasks and self-initiative becomes a
culture. This time around, not a few will work but everyone will so that experience and learning is
spread throughout the organization. This time around, a task or function is assigned to a person based
on his qualifications or willingness and not because the Constitution mandated it. Listed below are the
positions we call "Committee-level officers" with their tentative functions.
SOCIO CULTURAL COMMITTEE - 7-8 members
+Project Coordinators - 5-6 members
-In-charge of initiating projects for the organization in several sectors (i.e., education, environment,
health)

+Academic Advancement Director
-Collect educational materials and digitize if possible for the members' benefit
-Facilitate academic discussions, reviews, for the members and Pangasinenses
-Come up with educational contents and materials for the members and Pangasinense students to
be published in our communication lines

+Cultural Advancement Director
Come up with educational contents and materials with regards to culture
Conduct activities that promote Pangasinan culture and language
Conduct research on

EXTERNALS COMMITTEE - 5 members
+Logistics Director
-In-charge of venue reservations
-Maintain a database of venue prices in UP and outside UP with pictures
-Maintain a database of contact persons in every venue with contact details

+Org Competitiveness and Recognition Director
-Work with the vice-president, coordinate recognition-related events, OSA contact person
-Will take charge of activities and initiatives related to the org's participation in award-giving bodies
(i.e., TAYO, Natatanging Samahan sa UP)

+External Communications Director
-In close liaison with media partners in radio, television and print to actively promote our organization
and its projects (i.e., Padunungan and more)
-Shall initiate tie-up projects with other organizations in UP and outside UP

+Alumni Relations Officer
-Create a database of alumni (marketing related database) with contact details and company
affiliations,
-Initiate projects and various for the alumni
-Inform the alumni of our projects


+Volunteer Corps Head
-Maintain a database of volunteers
-Coordinate events for volunteers which includes recruitment and training programs
-Communicate to the volunteers about the org's projects
INTERNALS COMMITTEE - 5 members
+Human Resource Director
-Assist in org recognition,
-Performance assessment/evaluation of the members
-Maintain database of members (schedules, birthday, skills, talents, designations)
-Welfare of members (i.e., birthday greetings, concerns, dorm problems)

+Recruitment Director
-In charge of the application process
-Preside over the application guidelines deliberations

+Trainings and Inspirations Director
-In-charge of training programs for members like CV-making, Photoshop Training, etc.
-Posting inspirational content for members

+Members' Career Director
-In charge of of posting job and internship opportunities,
-Liaison officer with CAP, CAPES, and UJF

-To collect CVs of members when CAP is near
-Partner with Trainings Director on CV making, mock interviews

+Fitness and Activities Officer
-Ensure physical health of the members,
-Take charge of physical activities like Sem Starter, Team Building Activities, Zumba, Flash Mob
SECRETARIAT COMMITTEE - 9 members
+Social Media Director
-In charge of online publicity using our SNS
-Upload pubmats
-Increase online presence through acquisition of new likes and followers

+Subol D' Channel Artist
-Create video content for the Subol YouTube Channel
-Come up with video contents for the organization every month to complement Selab and Website

+Selab EIC
-Create content for Selab and manage its activities

+Documentation Director
Take down minutes of the GA, pictures, maintain digitized files of Subol


+Web Developer
-Develop and update the Subol website

+Graphics Designer
-Come up with art-related initiatives
-To be with Selab for illustrations

+Publicity Directors
-Create publicity materials for the events and projects of Subol

+General Communications Director
-Make official letters and invites
-Text brigades
FINANCE COMMITTEE - 5 members
+Business Ventures Director 4x
-In charge of handling the different income generating projects of the organization

+Finances Director
-In charge of submitting financial statements

-Managing the bank account and petty cash fund
-In charge of disbursing cash to the members
PRESIDENT - 2 members

-In charge of proposing ideas and polling the members for new ideas

++Management Research Policy Director/Data Analysts - Maan
-In charge of evaluating events and organization sentiment through well-crafted surveys (ideally, Stat
major)
VICE-PRESIDENT - 4 members
++Brand Manager
-In charge of crafting the organization's brand
-Come up with activities that will communicate our brand

++Marketing and Partnerships Director 2x
-Find corporate and institutions partners for our events and projects

++Auditor/Transparency
-Will report to the general body the state of finances of the organization as scheduled
-Will check if procedures are followed


PER COMMITTEE PLANS
EXTERNALS COMMITTEE
Our Exte this year shall bring value to our organization through long-term partnerships with other
student organizations in UP and outside of UP. This year's Exte goal is Malacanang for the TAYO
Awards. Exte will also make sure that there will be a constant flow of activities for our alumni to
make sure of their further engagement with the org. They will achieve this through this projects:

+"Ang Naaalala ko sa Subol" blog
- a blog discussing the alumni's journeys, memories, experiences or just anything fun and quirky,
emotional things related to the organization during their times

+Making New Connections
- the organization will partner with different organizations inside and outside UP geared not only
towards development in education but also environmental awareness and such

+Ten Accomplished Youth Organizations (TAYO) Awards Foundation, Inc.
- the organization aims to join this award giving body to youth organizations for the increase of the
morale of the organization
- there is a grant of 50 000 pesos for the funding of new projects


+UP Subol Society's Subol Youth Volunteer Corps (SYVC)
- this will serve as youth empowerment program of the organization composed of student leaders
(high school level) from different schools in Pangasinan
- the volunteers will be the connections to the schools in Pangasinan whenever an organization
involving students will be organized
INTERNALS COMMITTEE
-Internals Committee's main goal this year is to make sure members are involved and well-bonded
and that the applicants we produce are of leadership-quality. They will inspire. How?

+Subol Salu-Salo
-acquaintance mini-party ng apps, mems, and alumni
-video presentations ng bawat committee at Subol as a whole
-distribution ng sigsheets at pasign sa alumni

+App Process
-internship experience for apps
-shuffling of apps to different committees every week depending on the time allocated for the app
process
-in every committee, the tasks given to the apps will be related to the committee
-after exposure to the different committees, there will be a "Choosing Ceremony" wherein apps will
choose the respective committees they want to be part of


+Career Preparedness
-CV-making trainings, interview tips, etc.

+Weekly/Monthly Physical Fitness Activities
-games like badminton, volleyball, etc (pwede ring paturo)

-movie date (projector sa Kamia kasi libre or pwede ring sa sinehan)

FINANCE COMMITTEE
-The Finance Committee this year is changing its approach in generating income for organization.
From having merchandise-based projects (i.e., brownies, tickets) to service-oriented income
generating projects believing that people and their talents are the greatest asset of this organization.
The Finance Committee shall also make sure to cover all of the expenses the organization incurs,
minimize our losses and create a culture of transparency and accountability.

SOCIO-CULTURAL COMMITTEE
-The Socio-Cultural Committee this year shall go beyond education and culture as the word service
is very broad. Socio will go bigger and bolder this year. We are blessed to have very talented
members. The potential that our members have is undeniable. The Socio-Cultural Committee plans
to invest on these potentials by pushing our members to bring out the best in them. This way, not
only can we help the organization grow but we are encouraging the growth of our members.

-GO for more ADVOCACY-BASED projects
-Focus on Pangasinan service

+LEADERSHIP CAMP Leap to Lead* (Third week of December)
A 3-day camp open to 3rd and 4th year high school students of Pangasinan. This aims to provide a
venue for student leaders where they can learn leadership skills from Subol leaders and other

promising leaders from the province and at the same time meet other student leaders whom they
can relate and share their thoughts.

There will also be talks regarding advocacies which the organization supports e.g. caring for the
environment, anti-bullying movement, anti-drugs movement, etc. This is to impinge on our young
leaders the importance of taking a stand on something, and to use their leadership opportunities to
impart the proper knowledge to their fellow students.

+Mangrove Tree Planting Project (1st week of June)

+PADUNUNGAN 2015* (Second week of January)
A 2-day event with series of competitions for elementary and high school students of Pangasinan i.e.
Essay writing, Quiz show, Debate and Poster-Making. This is to provide a venue for Pangasinan
students where they can showcase their talents and experience friendly competition with their fellow
students.

+OUTREACH PROGRAM (Last week of December)
We can again participate in the LOVE Project created by a Subol alumna and/or we can start
another program to provide help (of any kind) to some of our kababayans in need e.g. special
tutorial classes to children (5-10 years old) and/or out-of-school youth and come up with a long term
project for these orphanages.


+SUPPORT EXHIBIT/S SHOWCASING PANGASINAN CULTURE AND TALENT
We can participate in the promotion/help in the production of exhibit/s of painters or photographers
from Pangasinan.

+MATH/PHYSICS TUTORIALS FOR OUR MEMBERS

+RECOGNITION OF SUBOL ACHIEVERS

+News Updates thru Social Media for, but not limited to, our members about Pangasinan, UP and
the Philippines

+(Alternative to) ACLE
(still to look for alternative project/s for University recognition requirement)
SECRETARIAT COMMITTEE
This year, the Secretariat Committee of the UPSS Diliman Chapter will be bolder and more
informative. Its primary aims include updating the members about the current and future plans of the
organization and promoting the org and its activities.

+Social Networking Sites
-The following networking sites will be utilized to further promote the org :

Facebook [page and account] Publicity materials, documentations (e.g., pictures of events), and
updates (about the current projects) will be posted as to make the page more informative and
livelier.
Twitter Publicity materials and updates (about the current projects and the org) will be posted
frequently.
Blog - The blog will exhibit the happy, family-vibe of the org as to make it lighter and less serious.
Entries will include members output on the different events of the org, stories and past experiences
of the members and our alumni and alumnae.

+Official Publication - The official publication will be released every semester. It will be an avenue to
summarize the events of the org and to flaunt the talents and skills of Subolites. It will include a
section specifically for the works and entries depicting personal experiences of the members and the
alumni/nae.

+Subol Diliman Official Website
-The Subol Diliman official website will present the organization in a professional level. For the
basics, it will include information about the org, its history and aims. It will also be a site for
promotion of events and projects of the org. The contact details of Subol Diliman will be posted for
easier communication as to entertain questions or clarifications.

+YouTube Subol Diliman Channel

-Subol Diliman will launch its very own channel in YouTube where it will post videos promoting the
Pangasinan culture and Subol.

+Photoshop & Layout Training
-Photoshop and layout training will be conducted once every semester as to help the members
discover, practice, and polish their individual skills in editing and layout.

+Photoshoot for Subol Profile
-Sometime in the semester, a photoshoot will be conducted as to update the profiles of the
members.

+Text Brigade
-Twice a week, the members will receive a message from the Sec about the current situation of the
org. Also, it can contain some announcements. Members can also send their announcements but
these shall be accumulated and only be sent to the members on the days dedicated for text
brigading. However, announcements labelled as urgent may be sent any day.

+Logbook & Minutes
-A logbook will be provided for attendance during meetings and events. A separate logbook will be
for minutes of the meetings, which shall be posted on the FB group as soon as possible.
