Logging off Oracle
1 To log off click file from the menu bar and select EXIT ORACLE APPLICATIONS.
Use this method so that your user name is cleared from the system access.

Key Terms
Flexfield The flex field is indicated by [ ]
A flexfield is a flexible data field that allows customization for specific
business needs without programming.

Also known as the DFF (descriptive flex field)

Form

A logical collection of fields, regions, and blocks that appear on a single
screen. Forms allow users to view records or to enter data.

Inquiry Form

An inquiry form is a view only form that allows users to retrieve
information. Data cannot be entered into these forms.

Navigator

The main menu in the Oracle system that contains functions within a
specific responsibility.
Responsibility

A responsibility is a level of authority in Oracle Applications that allows
you to access only those functions and data appropriate to fulfill your role
in an organization. Each responsibility allows access to:
A specific application (or applications), such as Order
Management or Warehouse.
A restricted list of windows to which you can navigate.
A restricted list of functions you can perform.
Reports in a specific application.

Query

A search for information that you initiate using an Oracle Applications
window. This feature enables the user to search for records using specific
search criteria.

Record

One occurrence of data stored and retrieved as a unit.

Top Ten List

Provides easy access to frequently used forms (functions). This list can
contain a maximum of ten forms.

Expanding/collapsing the Navigation list

Choose one of the following methods to expand an expandable item to its next sublevel:
Double click on the item
Single click on the item and click on the Open button
Click on the plus button

Choose one of the following methods to collapse an expanded item:
Double click on the item
Click on the minus button

To expand or collapse several items at once:
Expand All Children - Choose the method below to expand all sublevels of the currently selected item.
Click on the expand all children button
Expand All - Choose the method below to expand all sublevels of all expandable items in the navigation
list. Click on the expand all button
Collapse All - Choose the method below to collapse all currently expanded items in the navigation list.

Opening a Form from the Navigator Window
1 From the Navigator Window, select form by clicking on it once.

2 Click the Open button or you can also either double click directly on the form of interest to
open it or type in the items number from the Top Ten list.

Form Terminology

Menu Bar Use pull-down menus from this menu bar to navigate or perform actions
within a form.
Window An area where the user interacts with an application (Many windows can
be open at one time and you can access these overlapping windows to
perform data entry or data search activities.)
Window Title Text in the title bar that indicates the name of the window, and usually,
context information pertinent to the information in the window.
Tool tips
Information bubble help that you can use to determine the function of a
button on the toolbar
Region Tab
Used to organize a set of regions that occupy the same space in a window
where only one region can be displayed at a time.
Field
An area in a window that displays data or enables you to enter data
Button
A graphic element that initiates a predefined action when you click it.
Scrolling Region
A region, containing a scroll bar, in which to view other fields.
Record or Row
A set of one or more related data items that are grouped for viewing or
processing.
Check Box
A box in which you can toggle between an on/off or yes/no state for a
particular value.
LOV icon
An icon that you can click to display a list of values (LOV) for the current
field
Poplist
A list that lets you choose a single value from a short list

Field Colors
What field colors indicate
Each block contains fields you use to enter, view, update, or delete information. A field prompt
describes each field by telling you what kind of information appears in the field or what kind of
information you should enter in the field. Fields are color coded to indicate their type as follows:
White Fields allow data entry
Yellow Fields require data entry
Tan Fields with Black text are display-only
(On some monitors this may look more gray than tan.)
Blue Fields indicate fields to use in Query-Enter mode

Maximizing your screen
It is a good idea to get into the habit of maximizing your screen by clicking on the maximize button in
the upper right hand corner of your display. Maximizing your screen will enable you to see all messages
that are displayed in the lower left hand corner of the Oracle window.

Caps Lock
Most Oracle forms are not case sensitive. But some forms are. If you encounter a form that is case
sensitive, you may want to put your Caps Lock Key on. By entering and searching for information with
the Caps Lock Key on, you dont have to worry about case sensitivity.

Toolbar Icons
New Creates a new record in the active form.
Find Displays the find window to retrieve records.
Show Navigator Displays the Navigator window.
Save Saves any pending changes in the active form.
Responsibility Changes responsibilities.
Print Prints the current screen that the cursor is in.
Close Form Closes all windows of the current form.
Cut Cuts the current selection to the clipboard.
Copy Copies current selection to the clipboard.
Paste Pastes from the clipboard into the current field.
Clear record Erases the current record (information) from the window.
Delete Deletes Records (Not always active).
Edit Field Displays the Editor window for the current field.
Attachments Opens the Attachments window. If one or more attachments already
exist, the icon changes to a paper clip holding a piece of paper.

The Modal Window
While using Oracle, you will, at times, encounter the Modal Window. This is a popup window that will
provide you with helpful information, cautions or warnings, or error messages. In many cases you will
be able to view the information in the Modal Window, close the window, and go on.
If the Modal Window appears due to an error, it will be shown with a red bell icon. The red bell
indicates that an error has occurred and you must correct the error before you can proceed.
In the example below, the user has entered a value that is not valid. In this case, a valid value must be
entered before Oracle will allow you to proceed.



The Modal Window may appear as a caution or when a decision is to be made. In these cases, the
window will inform you of the consequences if you continue to complete the transaction.

Find (Flashlight)
To search for records in your current block or window, use the Find (flashlight) option. Find displays a
window in which you can specify search criteria.

From any Form - Click on the Flashlight button from the menu bar.
Alternately, from the menu bar, select View Find.

Please note that if a Quote is open, not all tabs in the order will be displayed.
2 Click the clear button to take out any previous search criteria.


3 Enter search criteria into the appropriate fields.
4 Click the find button.
5 Select the record needed.


6 Click Open.

If a field does not provide a list of values for you to choose from, you can enter a wildcard in the search
phrase. Enter the characters you do know followed by a %, to perform a wildcard search.
Choose Clear to clear the current search criteria from the Find window for a new search.
The wildcard (%) can be used anywhere in the text.
Please avoid blind queries queries with just the wild card as this will slow down the system.

Lists of Values (LOV)


Auto Selection
A list of values offers a feature called Auto Selection that enables you to choose a valid value from the
list with a single keystroke. When you display the list window, you can type the first character of the
choice you want in the window. If only one choice begins with the character you enter, Auto Selection
selects the choice, closes the list window, and enters the value in the appropriate field.
List Search
You can use Auto Reduction to reduce a list when you know the first few characters of your choice. If
you do not know the initial characters of your choice, but do know that your choice contains a certain
word or set of characters, you can perform a list search to reduce a list.
In the list window, enter any group of characters as search criterion in the Find field and choose Find.
For your search criterion, you can use wildcard characters such as percent sign [%], which represents
any number of characters.
For example, to reduce a list to just those choices containing the phrase schedule, enter %schedule%
in the Find field and choose Find. A reduced list will appear, displaying just those choices containing the
word schedule.
Note: The phrase you enter for a list search may be case sensitive.
Long Lists
If a field has a long list, with more than 100 values, Oracle Applications displays the Enter Reduction
Criteria for Long-list window when you try to display the list of values.

Since it takes less time to display a reduced list than a complete long list, Oracle Applications prompts
you to enter the first few characters that occur in your value of interest to reduce the complete list. The
partial value you enter can also include wildcard characters.
To view the entire long list, enter a percent sign (%) at the prompt to display all the values. Caution: For
extremely long lists, this search may take a long time to complete.
Power list
The Power list feature provides an even faster method of data entry. If a field displays a List icon and
you know the value you want, simply enter the first few characters of the value in the field and press
[Tab]. Power List will complete the entry for you. You can also include wild card characters with your
entry. You do not need to display the list window. If more than one value matches the characters you
specify, a list window containing those vales is displayed. If no values match the characters you enter, a
list window containing all of the values appears.
