Student Societies and Sporting Clubs


General
L1001
(1) All Student Societies and Sporting Clubs (clubs and societies) operating at Curtin University shall
register with the Curtin Student Guild. All Guild registered Student Societies and Sporting Clubs may
apply for sponsorshipgrants from the Curtin Student Guild by meeting re!uirements as specified in
these rules.
(") #here shall be si$ classifications of Student Societies%
(a) Issues;
Refers to student societies that recruit members through dedication to an issue that is the
purpose of the club.
(b) Academic;
Refers to student societies that recruit members through dedication to school or divisional
activities or societies that promote the academic lives of Curtin students.
(c) Special Interest;
Refers to student societies that recruit members through dedication to events and functions
that promote a particular field of interest.
(d) International;
Refers to student societies that recruit members through dedication to students from an
overseas country.
(e) Religious;
Refers to student societies that recruit members through dedication to a religious faith or
belief.
(f) Social;
Refers to student societies that recruit members through dedication to activities designed to
enhance the social lives of Curtin students.
(&) A further classification of Sporting Clubs shall e$ist that refer to clubs of a sporting nature.
(') (inance and )lanning *oard shall ma+e ultimate determinations as to the classification of a Student
Society.
(,) #wo representatives from each Student Society receive membership to the Student Society Committee.
#wo representatives from each Sporting Club receive membership to the Sporting Club Committee.
-epresentatives are normally the )resident and .ice )resident of the Student Society or Sporting Club.
Registration

(1) Student Societies and Sporting Clubs shall have the following office bearers for Guild purposes%
(a) )resident/
(b) .ice )resident/
(c) Secretary/ and
(d) #reasurer.
(") All 0ffice *earers of a Student Society or Sporting Club shall sign an application form1 which shall
include%
(a) #hethe statement under -egulation -2,2".
(b) #he statement% 34 hereby ac+nowledge that 4 have read and understand the Guild5s e$pectations of
my 0ffice *earer role and will endeavour to carry out the responsibilities of my role in an
appropriate and accountable manner.6
Procedure

(1) Student Societies and Sporting Clubs shall submit a -egistration Application1 which shall include%
(a) 7ame of Club or Society/
(b) Classification of Club or Society under rule 81221/
(c) )urpose of Club or Society/
(d) 8ist of office bearers/
(e) Contact details of 0ffice *earers/
(f) #he signed application forms from each office bearer/
(g) *an+ account details (for depositing purposes only)/ and
(h) An accurate list of all members and their student numbers.
(") 4n order to become -egistered with the Guild1 Clubs must have a minimum of 12 currently enrolled
Curtin University student members.
(&) Student Societies and Sporting Clubs shall also be classified further into the following levels%
8evel 0ne 12 9 '2 members/
8evel #wo '1 9 :2 members/
8evel #hree :1 9 122 members/
8evel (our 121 9 1,2 members/
8evel (ive 1,1 9 ",2 members/ and
8evel Si$ ",1; members.
(') Student Societies and Sporting Clubs shall submit a 3-egistration Application6 which
shall state%
3<Student Society or Sporting Club name] hereby e$presses an interest to become registered with the
Curtin Student Guild. <Student Society or Sporting Club name] agrees to be bound by the Guild
-egulations and -ules and will comply with all re!uirements within.6
#he )resident and .ice )resident of the Student Society or Sporting Club shall sign the -egistration
Application.
(,) Any Student Society or Sporting Club that is suspected of misleading the Guild for purposes of obtaining
registration or sponsorship shall immediately be referred to the =iscipline Committee for resolution. A
Student Society or Sporting Club that is found guilty of misconduct shall be deregistered from the Guild
for the period of at least one year.
(>) #he Guild shall maintain records of registered Student Societies and Sporting Clubs. A current list of all
registered Guild clubs and societies shall be available at Guild -eception
(:) 4t is the ultimate responsibility of the relevant Student Society or Sporting Club to inform the Guild of
any changes to details. #his includes1 but is not limited to1 regularly updating the membership list.
(?) -egistered Student Societies and Sporting Clubs shall be noted at the (inance and )lanning *oard..
Student Societies and Sporting Clubs are re!uired to re@register with the Guild each year.
$ntitlements

-egistered Student Societies and Sporting Clubs shall receive the following%
(a) *lac+1 white or colour photocopying to the value of A1,2.22 through the Guild Copy B =esign
Centre annually/
(b) A listing on the Guild Ceb )age and a lin+ to the Student Society or Sporting Club home page/
(c) A listing on paper based promotional material available through Guild -eception/
(d) Access to free editorial space on the Clubs B Societies page of Gro+/
(e) Dire of (acility authorisation from the Guild (if deemed appropriate)/
(f) Access to redeem the 3clubs and societies6 voucher produced annually/
(g) Access to (ree Dire of Guild e!uipment
(h) Use of the Club5s meeting room
(i) Authorisation to place promotional material in the Guild )recinct/
(E) A mailbo$ through Guild -eception/
(+) #wo non@voting members on the Guild Student Society or Sporting Club Committee (where
appropriate)/ and
(l) A stall on 0rientation =ay and any other day designated a Special (unction by the Guild.
Conditions

-egistered Student Societies and Sporting Clubs shall only receive entitlements on condition of the following%
(a) #he Guild is recognised through a reasonably siFed logo in the bottom right hand corner of any
promotional material produced by the Student Society or Sporting Club throughout the year/
(b) #he Student Society or Sporting Club actively promotes the benefit of Guild membership to its
members and potential students throughout the year/ and
(c) -egistration shall e$pire on the first day of Garch each year.
(d) 4t is the ultimate responsibility of the relevant Student Society or Sporting Club to inform the
Guild of any changes to details. #his includes1 but is not limited to1 regularly updating the
membership list.
Sponsors'ip( Grants
Procedure
L100)
(1) 0nly those Student Societies and Sporting Clubs initially registered with the Guild are eligible to apply
for sponsorship from the Guild.
(") -egistered Guild Student Societies and Sporting Clubs may apply to the Guild for sponsorship of events
and activities prior to the event or activity. #he (inance and )lanning *oard shall determine the level of
sponsorship by the following criteria%
(a) Classification of Student Society (or Sporting Club)/
(b) 8evel of Club/
(c) *enefit of activity or function to the name of the Curtin Student Guild/
(d) *enefit of activity or function to Guild Gembers/
(e) *enefit of activity or function to the wider student community/
(f) -elevance of activity to classification and purpose of Student Society or Sporting Club/
(g) #he event is 3on@campus6 or held 3off@campus6/
(h) )revious activities or functions held/
(i) H$pected participation and type of students e$pected to attend/ and
(E) 8evel of Hvidence and supporting documentation.
(&) An updated list of Student Society or Sporting Club members and their student numbers shall be
provided at the time of application for sponsorship.
(') Any Student Society or Sporting Club that is suspected of misleading the Guild for the purposes of

Conditions

(1) Student Societies are only eligible for sponsorshipgrants on condition of the following%
(a) 7ew clubs shall have been registered with the Guild for at least two months/
(b) -e@registering clubs shall have been registered with the Guild for at least one month/
(c) Shall have at least twenty ("2) currently enrolled Curtin University student members/
(d) Shall have at least ,1I of its members as Guild members/
(e) 0ffice *earers shall be Guild Gembers/
(f) Applications for sponsorship must be received prior to the event or activity.
(g) Shall attend student society committee meetings/
(h) #he Guild shall be recognised through a reasonably siFed logo in the upper right hand corner
of any promotional material produced by the Student Society/
(i) Actively promotes the benefit of Guild membership to its members and potential members of
the Student Society/
(E) Shall offer a discount to Guild members at all events and activities run by the Student Society
of at least ten percent (12I)/
(+) 4f the Student Society has received sponsorship from the Student Guild1 a report shall be
submitted to the Guild )resident outlining the results of the activity or function/ and
(l) Application for sponsorships must be submitted before the end of the calendar year of the year
of registration.
(") Sporting Clubs are only eligible to apply for sponsorshipgrants on condition of the following%
(a) 7ew clubs shall have been registered with the Guild for at least two months/
(b) -e@registering clubs shall have been registered with the Guild for at least one month/
(c) At least ,1I of the membership of the club shall be enrolled students at Curtin University/ and
at least ,1I of the student members shall be Guild members. 0-

Gembers)
(d) 0ffice *earers shall be Guild Gembers/
(e) Shall attend sporting club committee meetings/
(f) #he Guild shall be recognised through a reasonably siFed logo in the upper right hand corner
of any promotional material produced by the Sporting Club/
(g) Actively promotes the benefit of Guild membership to its members and potential members of
the Sporting Club/
(i) Shall offer a discount to Guild members at all events and activities run by the Student Society
of at least ten percent (12I)/
(E) 4f the Sporting Club has received sponsorship from the Guild1 a report shall be submitted to the
Guild )resident outlining the results of the activity or function/ and
(+) Application for sponsorship shall be received by the end of the calendar year of the year of
registration.
Grants

#here shall be the following grants annually to registered Guild Student Societies and Sporting Clubs%
<aJ 0rientation Grant (0G)% +&, of t'e cost up to a ma-imum of .100/00
The Orientation Grant shall only be applied to reasonable costs associated to the day
designated as Orientation Day each year.
<bJ Special (unction Grant (S)G)% +&, of t'e cost up to a ma-imum of .100/00
The S!G shall only be applied to reasonable costs associated "ith events and activities that
are deemed a Special !unction by the Guild.
<cJ Guild #avern Catering Grant% 100, of t'e cost up to a ma-imum of
.#00/00.100/00
The Tavern Grant or Catering Grant shall only be applied to reasonable costs associated "ith
e#pense incurred at the Guild Tavern at an event that has been made "idely $no"n to the
Student Society or Sporting Club members.
<dJ Copy Centre Grant (CCG)% 100, of t'e costs up to .1&0/00
The Copy Centre Grant shall only be applied to reasonable costs associated "ith services
provided by the Guild Copy Centre. % copy of the design shall be maintained at the Guild
Copy Centre for record $eeping purposes.
