IMPORTANT REMINDERS FOR PHILIPPINE WEDDING SUMMIT EXHIBITORS

1. PLEASE REVIEW YOUR E- EXHIBIT KIT CAREFULLY. Your e-Exhibit Kit was sent to
you via email. It contains all the information pertinent to The Philippine Wedding Summit
(Year 9).
2. Themes & Motifs Head Office will be closed beginning 3:00 p.m. , Thursday, June
26. Office operations will resume on Wednesday, July 2.
3. Themes & Motifs Resource Center at the Makati Shangri-la Hotel will be closed
beginningSaturday, June 28. Store operations will resume on Tuesday, July 1.

5. In the event of a BIR inspection, please have a the following documents with you/ in
your exhibit area at all times:
a. Copy of your BIR Pasay special registration for SMX
b. Official receipt/Sales Invoice (with stamped SMX address) together with the Letter
of approval from your respective BIR Regional District Office (RDO).
Note: Exhibitors that had their BIR Pasay special registration processed c/o Themes &
Motifs may get their registration papers from the Exhibitors Help Desk at Hall 2 during
Ingress, June 27, from 3:00 to 8:00 p.m.

INGRESS : FRIDAY, June 27
1. No signed Letter of Undertaking, NO INGRESS.
2. No Gate Pass (bring 4 copies during Ingress), NO INGRESS. Please have
your Gate Pass signed by the T&M Reception Personnel at the Delivery Bay
Area.
Note: A blank copy of the Gate Pass was included in your e-Exhibit Kit (last page). You
may also download a copy of the gate pass

3. Exhibitor IDs will be distributed during Ingress. Contractor passes will be issued to
your workers during Ingress. Remind your workers / contractors that they will be
required to present an ID.
4. Deadline for request for free additional IDs was last June 9. Additional ID requests
received after the deadline will be charged P20.00 per ID, including requests for
replacement of lost IDs.
5. Ingress schedule: June 27 (Friday): 1:00 pm 9:00 pm. Bridal Cars (and their
secondary supplier) Ingress : 8:00 p.m. Last entry is at 8:00 pm. Steel roll-up
doors will be closed at 8:00 p.m.
6. Exhibitors may bring packed meals during Ingress.
7. Complimentary water stations will be provided only during Ingress. Water stations
are located at the T&M Registration Area at the Loading Bays.
8. All exhibit displays must be pre-fabricated. Major construction work and painting
will NOT be allowed.
9. For safety reasons, the SMX Convention Center Manila requires all exhibitors
(owners, staff, workers and contractors) to wear the appropriate clothing and
footwear during Ingress and Egress.
a. Wearing of shorts and short skirts shall NOT be allowed.
b. Wearing of sando, sleeveless shirts / blouse shall NOT be allowed (No exposed
shoulders)
c. Wearing of flip flops/ slippers, open-toe shoes and footwear that exposes any
part of the foot shall NOT be allowed. Exhibitors, contractors, owners of businesses
wearing footwear that exposes any part fo the foot shall not be allowed to enter the
building.
EXHIBIT PROPER : June 28 & 29

1. NO ID, NO ENTRY
2. Saturday, June 28 Ingress is from 8:00 to 9:45 a.m. Exhibitors may enter the
exhibit hall at 8:00 am through the back door of SMX Hall 2 (Delivery Bay
2). Exhibitor IDs and Contractor passes will be issued by T&M personnel.

3. Sunday, June 29 Exhibitors that will come at 8:00 am may enter the exhibit hall
through the back door of SMX Hall 2. No ID, No Entry. Exhibitors without ID will
be directed to go the Registration Counter which opens at 10:00 a.m.

4. No early entry and delivery of materials will be allowed through the main lobby
entrance. The main lobby serves as entrance for the visitors during official event
hours.

5. Caterers and Hotels that intend to do food sampling must inform Themes &
Motifs so that we can facilitate delivery of your food items. SMX will not allow
delivery of food items through the main entrance / lobby.

6. Exhibit spaces must be properly manned at all times beginning 9:45 am until
8:00 p.m.

6. Proper dress code shall be observed during exhibit proper. Exhibitors wearing
shorts, sando, sleeveless shirts, flip flops, rubber slippers, wooden clogs (bakya) and
the like SHALL NOT BE ALLOWED to enter the exhibit
hall.
7. No bringing in of food and eating in Main Exhibit Hall. Food may be bought and
taken at any of the SMX Food Concessionaires located inside the Convention
Center (Exhibit hall: Hizons Catering, SMX Lobby: Caf France, Caffe Bene,
Mezzanine: Executive Dining Lounge)
8. Security shall be provided during the event. However, exhibitors are solely
responsible for the security of their goods at all times.
9. The Philippine Wedding Summit (Yr. 9)will open its doors to the public at
exactly 10:00 a.m.
10. Look for the RED ID TAGS (soon-to-weds). Spend your resources time, effort, &
giveaways, only on the soon-to-weds.
11. Absolutely NO merchandising (i.e. leafleting, leaving of calling cards, etc.) of
unofficial exhibitors and events. This is most unfair especially to you, our paying
exhibitors, who shelled out hard-earned money just to be part of The
Philippine Wedding Summit.
12. On-site bookings:
Encourage soon-to-wed couples to book onsite. Offer your very own Philippine
Wedding Summit (PWS)Special.
Remind couples that every P1,000.00 they book onsite entitles them to a raffle
coupon for the Themes & Motifs Honeymoon and Diamonds Promo.
There will be four (4) prizes to be won:
a. March 9 First Draw - 3 days 2 nights accommodation for two in a 3 star hotel in
Boracay
b. June 29 Second Draw - 3 days 2 nights accommodation for two in a 3 star hotel
in Boracay
c. September 14 Grand Draw -
Paris Trip: 3-days 2-nights hotel accommodations in a 3-star hotel
including airfare for two
Diamonds Prize - Pair of princess cut diamond weddings rings channel
set with 10 pieces .91 carat princess cut diamonds in 14 karat white gold.
Raffle coupons may be claimed only by the CLIENT at the Honeymoon Promo
Booth located at Halls 1, 2 & 3. Deadline for submission of entries for the
second draw is on Sunday, June 29 at 7:00 p.m. Raffle draw is at 7:30 p.m.
Exhibitors are NOT allowed to claim the raffle coupon on behalf of
their client.
The following documents will be honored as proof of purchase:
- Official Receipt
- Provisional Receipt
- Sales Invoice
Bearers of unofficial and/or generic (without company logo) proofs of purchase
will not be given coupons. Signed Contracts are NOT considered proofs of
purchase.
13. Hourly Raffle Draw: Participating exhibitors are reminded to bring and safe
keep their gift item/tokendonations with them. The winning soon-to-wed/couple
will claim the prizes directly from you.
14. To protect the interest of the official participants of The Philippine Wedding Summit
2014, all marketing collaterals, brochures, signage, calling cards, etc. that have
names, logos, websites & contact details of companies, products and services NOT
PART of the official list of exhibitors WILL BE CONFISCATED. Secondary exhibitors
that were not officially declared (even if same owners) will not be
allowed. Deadline for submission of secondary suppliers was last June 9.
EGRESS, June 29
1. Egress on June 29, Sunday shall be allowed only at 8:30 pm onwards.
2. Exhibitors with hired Contractors / Workers must get the Contractor Passes from
the Exhibitors Help Desk onSunday, June 29, from 6:00 to 8:00 p.m. Contractor
passes will be valid only until 12 midnight.
3. Please have your copy of the signed Gate Pass ready (the 2 copies that were left
with you during ingress) It will be collected by the SMX Security upon egress.
4. For safety reasons, the SMX Convention Center Manila requires all exhibitors
(owners, staff, workers and contractors) to wear the appropriate clothing and

APPLICATION FOR T&M SHOWS
1. Wedding suppliers may get application forms for Wedding Expo Philippines and
The Philippine Wedding Summit from the Exhibitor Help Desk (located at Hall 2)
beginning 11:00 am of Saturday, June 28.
2. Acceptance of application is from 1:00 to 7:00 pm only.
3. Acceptance of application is on a first-come, first-serve basis.
4. Exhibitors must submit the a copy of their DTI/SEC Registration and BIR
COR together with their application forms.
5. Exhibit space rental: P22,500.00 (this includes VAT) for a 2 x 3 m raw/bare exhibit
space.
6. Reservation fee is P 3,000.00 per exhibit space per event. Reservation fee is NON-
REFUNDABLE & NON-TRANSFERRABLE.
7. Themes & Motifs will start accepting applications for The Philippine Wedding
Summit (Year 10) beginningSaturday, June 28. Photographer applications will
be accepted from June 28 to August 15, 2014 only.
