Responsibilities* The University of Michigan, School of Nursing (UMSN) Office of Student, Academic and Multicultural Services (OSAMS) is looking for an Administrative Assistant Intermediate who will provide a variety of administrative duties in support of the day-to-day operations of the School. CHARACTERISTIC DUTIES AND RESPONSIBILITIES Provide administrative support for tasks related to clinical placements, compliance, and course scheduling while serving as liaison with faculty and staff. Support communications with sites/preceptors (60%) *Send syllabus and letter to follow-up after contract has been signed. *Data entry of preceptor information into database system. *Complete individual compliance packets for all master's students (send form letter). *Submit ACE (state-wide system) requests for placements (data entry of placement requests). *Ensure clinical site evaluations are completed and documented. *Send thank you notes and Continuing Education Unit (CEU credits) verification information to preceptors. *Verify NP credentials are accurate in database, update as needed. Compliance (20%) *Track compliance requirements for all students in all programs. *Communicate compliance deadlines to new and current students. *Answer questions from students regarding compliance requirements. *Serve as main point of contact for compliance requirement vendor. Student placements (20%) *Maintain accurate working documents as placements are secured. *Ensure preceptor information is in the database and matched with students (proofread and data entry of updated information). *Work closely with other academic staff to ensure clinical placements are accurately reflected in schedule. *Ensure appropriate stakeholders have accurate information about clinical placements. *Facilitate Level 2 access and other required access and/or training for students and faculty based on clinical placements. Required Qualifications* NECESSARY QUALIFICATIONS Education and Experience: *Bachelor's degree is preferred. *Five (5) or more years? experience in a busy, fast-paced, customer service oriented environment is required; experience in an academic environment in higher education is preferred. Attributes: *Demonstrated Microsoft Office software intermediate or advanced competency. *Demonstrated organizational skills and the ability to multi-task and anticipate needs. *Demonstrated interpersonal skills and the ability to build successful relationships with a wide variety of people at all levels (faculty, staff, students, etc.). *A flexible, can-do attitude and a willingness to work successfully in a team environment. *Superior oral and written communication skills, demonstrated knowledge of proper grammar and punctuation usage. *Proven ability to perform highly responsible, sensitive, and confidential administrative duties using independent judgment and professionalism. *Demonstrated initiative and the ability to establish priorities, show initiative in day-to- day activities, and solve problems appropriately. *Knowledge of complex administrative/office procedures. *Familiarity with M-Pathways Procurement systems and CTools systems preferred. *Working knowledge of applicable University policies and procedures is preferred. Work Schedule Shift/Hours/Days: Monday-Friday, 8:00 am - 5:00 pm. Some evenings and/or weekends may occasionally be required.
