Request for Design Proposal
1. Background about Metro Shoes
Metro Shoes Ltd is a fast growing fashion footwear and accessories company. There are 3 brands the
company promotes: Metro, Mochi and MSL. The company also retails via an online channel. Currently
there are 275 number of employees working at the company with plans to expand that number to
54(approx) within a year. The company currently has 281 number of stores which will increase to
281+50 within a year. The company is presently housed in 2

floors of Metro House on Colaba
Causeway. The current organization structure is attached in Annexure 1.
2. Project Vision and Objectives
To create a world class office that promotes efficiency between departments and has state of the art
technology to streamline office processes, keeping in mind the Metro culture, values and beliefs, within
stipulated TIME FRAME.
To keep the area for common functions between the three brands in a common area and brand-specific
departments in an area specific for each brand

Function of Department: Strategic management of the Company
Current Issues: Lack of space
Future Needs: Modernisation in terms of technology infrastructure

4..1.2. Finance(Accounts) Department Kaushal/Mahesh
Function of Department: Currently Finance is taking care of PAN India Operations related to Accounts
and Finance and have divided the Department Team wise as per Showrooms. Currently they have 5
teams which include 7-8 members per team.

Function of Department: Stock Department looks after the Purchase, Sales and Repair of inventory at
Pan India Level.

Function of Department: We have an Internal Audit Department that checks all the Processes and
Procedures of bills and payments.

Function of Department: The IT Department is responsible for hardware maintenance, procurement,
software maintenance and support, report and analysis wing.

Function of Department: Admin Department is currently taking care of Showroom Coordination (AC,
Electricity), Statutory Compliances, HO Repairs and Maintenance, Courier (Inward and Outward

functions.

6. Additional Submission Materials:
Additional materials may be presented in order to provide better understanding and insight into the
Architects ideas. These may consist of photographs of study models, related sources of inspiration,
documents of historical continuity, use of materials, etc. This should be part of the design proposal and
should be composed on the standard sheet. Additionally, the following may be submitted:
6..1.1. Model(s):
Physical models are not expected at this stage, although the Architect may choose to present study
models or photographs thereof as a complement to the presentation portfolio.
6..1.2. Written Materials:
Written text such as captions or annotation or brief explanations may be incorporated with the
sketches and drawings to further explain the design thought and approach.
7. Design Proposal Submission Format:

There are no limitations or restrictions regarding the style and technique for the submission of the
design proposal portfolio. However, in order to achieve uniformity of presentations, all sketches,
drawings and additional materials (except models) should be presented as follows:
One set of European A1 format boards, in a horizontal orientation, with a sheet size of 841
mm x 594 mm or 33.1 in x 23.4 in.
One set of spiral bound A3 format portfolio in loose-leaf form size 420 mm x 297 mm or
16.5 in x 23.4 in.
One soft copy of the presentation
Additionally, please note the following:
The portfolio paper shall be firm, opaque drawing paper; transparent overlays may be used.
All data should be submitted using recognized metric scales
All text on the drawings and documents should be in English, which will be the official language
for the proposal and in all future correspondence.
The Architect should keep in mind that copies of the presentation may be made for study by
consultants identified by the Client. Since copies may be reduced by as much as 70% from the
originals, the Architects may wish to consider this when determining line weights and text sizes.
It is highly likely that the design proposal portfolio will be shared with senior management or Board
members for review without the presence of the Architect. Thus, the submitted proposal should be
composed with extreme clarity of thought and intent. The presentation should be self-explanatory,
legible and formatted and presented in a manner that is easy to follow.
8. Presentation by the Architect
Following the submission of the design materials and upon fulfillment of the conditions described
herein, the Architect may be invited to present their design proposal to the Client team in Mumbai or
another location, the date, time and details of which shall be communicated later. Logistical expenses
involved in attending such a presentation will be borne by the Client on a limited basis for firms that
may be traveling from outside of Mumbai.
9. Terms and Conditions:
Metro Shoes Ltd. or any of its Agencies, the Client et al shall have no obligations to select or
accept the submission by the Architect or to assign any reasons for such rejection or for not
proceeding with the design or building of the project.
The services requested through this RFP are for conceptual design ideas and will end with the
submission and presentation of the design proposal. If the Client so desires, any additional
services will be contracted separately based on mutual discussions between the Client and the
Architect.

The sketch portfolios and the ideas presented therein will become the property of the Client
indefinitely for purposes of consultation or dissemination.
The Architect shall keep confidential and will cause his employees, agents, sub-consultants and
representatives to keep confidential all information, documents, material and data of any kind
acquired in the course of submitting his sketch portfolio under this invitation.
The Architect is highly encouraged to visit Kanakia Zillion site in BKC Kurla, Mumbai.

1. Selection of the Architect
6.1 Selection Process
The final selection of an architectural firm to design the project will be made by the Client. In reaching
this decision, the Client will take into account their own understanding and response to the submitted
ideas, and where appropriate the report of any external specialist consultants.
Once the Architect has been selected, the firm will be commissioned for the project in accordance with
normal rules of good practice. The scope of services for which the Architect is commissioned will be
discussed once a final selection has been made. It is expected that the ultimate design for the project
will draw strongly, but not exclusively upon the ideas presented in the portfolio by the architect.
It is also expected that the process and subsequent dialogue with the Architect will bring new ideas to
the surface which will need to be addressed in the ultimate design of the project. The Client shall
remain free to consult any other outside specialists or advisors in reviewing the project submissions. If
consulted, they will meet once the Architect's proposal has been submitted in order to understand and
comment upon the ways in which the ideas expressed in the portfolio addresses the requirements of
this architectural brief, but will not make any recommendations as to the selection of the Architect for
the project.
The Client will be under no obligation to commission the Architect for partial or full design and
construction administration services.

2. Submission Requirements Regarding the Firm:
As part of the Conceptual Design submission, the Architect is also requested to submit the following
information in a separate package. Detailed information regarding the following is requested:

7.3.2 List of the personnel that will be part of the project team(s); please provide the role of each
member of the team with resume and other relevant details
7.3.3 Indicate the manner in which the firm would oversee the design intent is fulfilled during
construction
7.3.4 List of MEP and Structural engineers and other consultants that would become part of the
design team; provide profile of engineering firms that will be commissioned and the list and
profile of members of their project team(s)
