57th JCRC, King Edward VII Hall Annual General Meeting Report Annual Report from Alumni Relations Committee 2013/2014 Alumni Relations Committee (ARC), previously known as Alumni Committee served to foster a better relationship with hall residents and alumni. This year, ARC tried to reach out to more alumni and invite them to join various hall activities. With the increase in participation of the alumni, we hope to form stronger bonding between current residents and alumni.
Major Events Starting from Semester 1, ARC had updated the alumni database from 2008 to 2013, as the current hall alumni database was not completed and outdated. Many of the email address were their NUS email, which had already expired. With the updated database, we managed to contact more alumni to join hall annual events such as Inter Cultural Night and Graduation & Alumni Appreciation Night, thereby building stronger bonds between current hall residents and alumni.
Our newsletters were sent out every other week, with the aim of updating exciting events happening in hall and keeping alumni always informed. On 17 April 2014, we organized a Graduation & Alumni Appreciation Night for the graduating hall residents. This year, we had changed the timing from the usual Friday night to a Thursday night so as to avoid Good Friday. Every graduating senior received an exclusive KEVII bear sponsored by SCRC and a booklet filled with wishes from fellow hall residents as farewell gifts. Sponsored graduation gifts from NUS Office of Alumni are presented at the same time.
Recommendations for Future For the alumni database, there were still quite a number of alumni within the recent 5 batches that we did not manage to contact, as their email addresses and phone numbers had changed. To prevent this problem in the future, it should start from the graduating seniors, whereby their personal email addresses were taken down instead. Afterwhich, the committee could reach out to more senior batches of alumni. Class champions are chosen for Class of 2014 and with their help, we can reach more alumni and keep in touch with them.

57th JCRC, King Edward VII Hall Annual General Meeting Report Annual Report from Election Committee 2013/2014
The Elections Committee (EC) serves to facilitate a fair and transparent electoral process for the Junior Common Room Committee (JCRC) President and Vice President posts. This year, we had a total of seven officers to handle election related matters. However, the 56 th JCRC assisted when we were lack of manpower, without which the election would not have been made possible. Initially, we received nomination from Mr. Naresh Rajoogopal and Ms. Ethanyn Lim. However, due to some reasons, the nomination was not accepted. Eventually, we had Mr Sritam Patnaik and Ms Jessica Tan Mei Yu on a joint ticket as 58 th JCRC presidential candidates. Both of them had sought approval from the 57 th JCRC to run for elections, in compliance with Articles 16 and 17. The whole process was carried out within a very short notice and a period of three days. Mr. Sritam Patnaik and Ms. Jessica Tan were successfully named the 58 th JCRC President and Vice President respectively. SCRC involvement was evident when the electoral processes were approved in a meeting and the Hall Master oversaw the vote counting process.
Problems encountered Problems Recommendations for the future Nomination were received on the Monday of week13 Week13 is a blackout period for hall CCAs so that hall residents can prepare and focus on upcoming final examinations, hence make sure that the official close date for nomination is by week11.

57th JCRC, King Edward VII Hall Annual General Meeting Report Annual Report from King Edward VII Welcoming and Orientation Committee (KEWOC) 2014/2015 General Comments All safety measures were kept in place and there were no major incidents. Achieved our KEWOC Vision of building a strong Hall spirit by first forging a close-knit community within OGs and House. Freshmen-seniors interaction still maintained after KEWOC. Total sign-ups: 172, Day 0 (Welcome Dinner): 140, Day B (Block Day): 100 Flag : Bronze Award, raised $13,348.35 Block Day (13 th August) : 120 sign-ups Night Cycling (22 nd August) : 117 riders Factors Leading to Success Sign-ups for KEWOC increased as compared to previous years because of the emphasis on publicity of KEWOC using Social Media platforms such as Facebook. OSA allocated dates did not clash with matriculation fair and other faculty camps; attendance throughout the camp was good. Agreement between RAG and KEWOC on timings for RAG practices maximised attendance throughout KEWOC. Initiatives Brought back the tradition of hand-painted banner from years ago as a decoration for the Dining Hall, this created a good first impression for the incoming freshmen as the banner was grand. Window Decals as part of Hall decorations throughout the year to make the Dining Hall more suited to our medieval orientation theme as we welcome the freshmen. Hall merchandise o Kept Hoodie and Lunch box as part of Orientation Goodie bag o Changed the usual ceramic mug to tumbler mugs o Included thumbdrives o Bandanas as part of House identity o All goodie bags are given out to all incoming freshmen Introduced Showcase during Welcoming Dinner to introduce SCRC and Hall Leaders. Stage plays between different segments of the programme to tie in with the storyline. Introduced King Edward Kindness Event (KEKE) which consists of random acts of kindness which KEWOC has planned for freshmen and seniors throughout the camp. o Birthday celebration: Celebrate KEVIIANs birthdays which are not during school term o Milo Giveaway after wet games o Movie Screening
57th JCRC, King Edward VII Hall Annual General Meeting Report o Room Spruce: Decoration of door with House sticker and KE7 Balloons after the camp for freshmen and seniors who participated in KEWOC for appreciation Planned for more OG time during the camp so that the freshmen and seniors can have more bonding sessions. Introduced Harry Potter style Block Initiation and Block Pledges which were came up by respective Block Heads.
Areas for Improvement and Suggestions for next KEWOC 4 Orientation House Leaders (OHLs) to be part of KEWOC, playing specialised roles for their respective houses. Ie. Plan for House Activity or programmes to bond 2 OGs together, come up with House Cheers, House Identities. With OHLs in KEWOC Main Committee and playing only their OHL roles, they would not be overtaxed with planning of the programmes as well. At the same time, they would be familiar with the programme and activities and help facilitate the activities. Dissemination of information between KEWOC and OGLs can be enhanced by having morning briefing and night debrief sessions. Re-introduce Amazing Race outside of campus to familiarise freshmen with nearby areas. Re-introduce Mass War Game, but take note of safety as well. Have a balance between OG night bonding time and programmes at night. Can introduce 1 or 2 more programme in the night. Start recruitment of KEWOC Main Committee and OHLs early so that OGL recruitment can start earlier as well. Propose to have 2 persons to have dual roles of Treasurer and Secretary so that they can share their workload at different points of time. Suggestion: Introduce a new department, Media and Marketing Department which is in charge of design, publicity, and marketing sponsors as publicity was mainly taken charge by programmes which was not in their job scope. Good to have all Block Heads to be in the KEWOC Main Committee as well so that they can plan for Block Day/ orientation within KEWOC period. Suggested new structure: Programmes, Logistics, Media and Marketing, Flag. If possible, we should have an individual Flag Committee to concentrate on getting freshmen to sign up and work on gathering donations. Flag and Carnival Flag Day was well-organised and participants got to experience flagging as a freshmen NUSSU Carnival in conjunction with Rag was well received by many people and KE7s booth was one of the most popular booths selling Chewy Junior. If NUSSU is going to adopt same system for Carnival, initial selling of carnival tickets before the carnival needs to be improved so that the capital for actual carnival can be higher. Suggestion: Sell food during carnivals if NUSSU is going to continue to have carnival the following years.
57th JCRC, King Edward VII Hall Annual General Meeting Report Block Day Laser Tag was well received as expected and we were not able to accommodate more players due to the limited number of equipment. Introduced Archery Tag which most people enjoyed as well. Negotiate with Laser Tag Company to allow more participants. Night Cycling Initial recce and final recce was sufficient for safety riders to be familiarised with the route and lead their respective groups on the actual night cycling. Route was safe and no major incidents. Should order 10% less bikes from sign ups as we would expect people to pull out last minute. 57th JCRC, King Edward VII Hall Annual General Meeting Report Annual Report from Merit Awards Board (MAB) 2013/2014 General comments The Merit Awards Boards function last year was to serve as the JCRC and SCRCs adjutant in the creation and processing of the KE Merit Awards, a set of awards meant to recognise and celebrate the contributions of KEVIIans to the Hall. The Merit Awards Boards aims were to publicise and market the awards to the hall, and also to supervise and facilitate the judging and award process. Overall, as MAB Head, I feel that the MAB has not been successful in accomplishing its objectives for the year, in a satisfactory manner. Several factors were crucial to the MAB not being as successful as last year; these include the lack of serious publicity for the awards during the nomination and voting phases, the lack of interest generated, and the lack of a large suitable pool of candidates for the awards. Furthermore the MAB failed to implement its post publicity plans due largely to a lack of time resources, for which I as MAB Head take full responsibility. Improvements and new initiatives and problems The MAB attempted first to streamline the process of judging and voting by reducing the nomination and voting phase into a single phase. However this created confusion as people were unaware of the changes and were confused as to whether to follow the previous format or the new format. There was also a greater attempt at transparency by publishing the requirements and judging criteria of the Awards before the nomination and judging process. This move was suitably well received, but the confusion caused by the unclear process overshadowed and made this improvement and adjustment go unnoticed. Another change to the MAB process was the movement of the award ceremony to the KEVIIans day ceremony. This move was intended to bring up the profile of the KEVIIans day supper, as per the plans of the 57 th JCRC. However, instead this devalued the ceremonys importance and significance and should not be repeated. Recommendations for the future Of utmost importance is the relocation of the Awards ceremony back to its proper place in Dinner and Dance, or at least to a more semi-formal setting. This would re-strengthen and establish the importance of the MAB back into the mind-set of the residents. Another suggestion would be to further formalise the procedure, either by clarifying the previous years system, or to go back to the AY 12/13 system. Acknowledgements I would like to acknowledge Hall Masters patience and guidance in the process, as well as the active support rendered onto the MAB by the SCRC. I would also like to thank my team for doing yeomans work despite the problems inherent with the leadership, as well as the 57 th JCRCs tacit and moral support for the MABs endeavours. 57th JCRC, King Edward VII Hall Annual General Meeting Report Annual Report from RAG 2014/2015 General Comments The RAG performance this year earned the silver award. Collaborating with Raffles Hall once again, we put up a spectacular performance with the theme Carnival of Dreams. We received a lot of praises from the audience for our floats, performers and performance. Overall, the performance was successful because the different departments worked very hard for their individual goals and complemented each other closely. Areas for Improvement/Problems Encountered and Solution/Suggestion The RAG head position is not an easy position to hold, which explains the substitutions in this position when the project was ongoing. The main committee has put in a lot of effort in making this project a success, and they deserve more than what they are being rewarded. This also applies to the dancers, who had very intensive dance practices. Attendance and participation of the members (non-main committee raggers) were not very good. Lack of manpower was one of our main concerns. This issue resolved with much help from JCRC and KEWOC, trying their best to encourage more freshmen to join RAG and create opportunities for the RAG team to publicize RAG. Minor injuries were encountered when the project was ongoing. The team should have at least one first-aid certified member or equivalent to deal with injuries. Cutting of sharp objects like tin cans and CDs should be minimized. Members should always wear personal protective equipment when operating hot glue gun and other machinery, and have enough rest. Use of spray paints, adhesives and Styrofoam should be minimized as these have negative impacts on the environment and may be harmful towards the members health. Homecoming Transport was being provided from King Edward VII Hall to Raffles Hall. However, no transport had been provided from Raffles Hall to Kent Ridge MRT station and King Edward VII Hall. This may discourage some KEVIIans and alumni to attend Homecoming for the upcoming year. We received a lot of feedback on our performance, which gave us an opportunity to make necessary changes and improve on our overall performance. Due to limited resources, the lighting was not ideal for the audience to watch the whole performance. The light sources also caused some discomfort for some of the members, especially the dancers. Due to time constraint, pre-judging has been cancelled. Pre-judging is an important part and the pre-judging I/C plays a significant role. Rehearsal during homecoming is strongly advised to gather feedback on the I/Cs performance.
