Pool Asset Management

You can use the Pool Asset Management (PAM) component to manage physical assets such
as vehicles, LCD projectors, cell phones, and similar objects that you have grouped into a
pool !hese pool assets can be used jointly and removed "rom the pool "or a certain period o"
time You can control and monitor the use o" your pool assets "rom the re#uirement coverage
re#uest, through issue, to return and settlement o" the service

(PM/0M1L)% Requirements (Objects to be Scheduled) (technical name% PAM&/211D) and
Splits (Objects to be Scheduled) (technical name% PAM&/&PL)!)
Overview of Functions

Pool Asset Management allo.s you to plan pool assets "rom the point at .hich they are
re#uested right up to the point at .hich the service is settled Demand noti"ications can be
entered in the system directly by the re#uester or by the planner !he graphical planning
board allo.s the planner to display and plan all demands !he planning board sho.s the
individual demands as a series o" bars !he planner can then use drag and drop to assign these
demands to the available pool assets, .hich are also displayed graphically !he current status
o" each demand noti"ication is indicated by various bar colors, .hich means that the planner
can instantly see ho. each o" the pool assets is being used and .hat the utili3ation and status
o" the entire pool is
Integration
!he "unctions in Pool Asset Management and the graphical planning board are implemented
.ith standard &AP objects, thus providing a ma4imum level o" integration .ith the &AP
system .ith minimum training re#uirements
!he demand noti"ication is stored in the system as a maintenance noti"ication .ith
noti"ication type M- !he noti"ication collects all o" the data relating to the operation )t
documents the individual planning steps and their status changes !he individual pool assets
are modeled in the "orm o" e#uipment master records -unctional locations are used to
combine individual assets in a pool (.hereby the "unctional location must allo. the
installation o" multiple items o" e#uipment) &ervice orders are used to collect the costs "or
using a pool asset

integrated "unctions in Plant Maintenance and Customer &ervice
Features
!he process "lo. "rom the demand noti"ication to the .ithdra.al and return o" a pool asset is

!he employee enters a demand in the system in the "orm o" a maintenance noti"ication !he
planner "or the pool can see all the demands and available pool assets in the graphical
planning board 5hen the planner assigns a demand to an available pool asset, the asset is
reserved and the employee automatically receives an e(mail con"irming the reservation
5hen the employee retrieves the pool asset, the data that is used later "or settlement is
recorded
)" the asset is a pool vehicle, "or e4ample, the employee receives the 6eys to the vehicle along
.ith the registration documents, and the planner records the current mileage76ilometer

Status of the Demand otification
5hen the demand noti"ication is entered, it has the status 8not planned8 5hen the planner

5hen the re#uester pic6s up the pool asset, the noti"ication status changes to 8retrieved8

Demand Creation

noti"ication in the system using transaction )5;: !he planner can create the demand directly
"rom the graphical planning board by choosing "reate e, Demand otification *n the
initial screen "or creating the maintenance noti"ication, enter the noti"ication type MF (pool
re#uest) !he "ollo.ing data is necessary% Descriptive short te4t that is displayed to indicate
the relevant bar on the planning board= user (in the case o" vehicles, the driver) and re#uester=

!o call the planning board, the planner enters the selection period, the display variant, and the
pool that is to be planned on the initial screen !he system displays every demand "or a pool
as a bar on the graphical planning board !he demands yet to be planned are displayed in the
lo.er hal", and the demands already assigned to a pool asset are displayed in the top hal"

As long as no reservation has been created "or a planned demand, a demand can be
rescheduled !o do this, drag the relevant bar to the bottom hal" o" the planning board !he

reservation in 8Planned8 status
!o reserve a planned demand, choose Reserve on the detail screen 5hen the demand is
reserved, the status changes "rom 8Planned8 to 8'eserved8 *nce this status has been set, you
cannot move the demand on the planning board and assign it to a di""erent asset 5hen the
reservation is created, the system sends an e(mail to the re#uester in"orming him or her about

<y using the "ilter "unctions, you can "ilter the display according to certain demand

Issue !eturn and "ettlement

the planner calls the detailed data o" the reserved demand and changes the status "rom

pic6up, the pool asset cannot be issued !he demand must be canceled and created again
!o post the pic6up, choose Save Pic.up Slip !he actual data is entered in the system as a

Return Pool Asset
As soon as the re#uester has returned the pool asset, the planner enters the return data on the
demand detail screen by choosing Return )n the Return Data dialog bo4, he or she enters the
current data You post the return by choosing Save Pic.up Slip, and another measurement
document is created "or the e#uipment !he demand noti"ication is assigned the status
8'eturned8
Settlement
You settle the demand on the detailed data screen by choosing Settlement )n the settlement
detail dialog bo4, the system displays ho. the costs to be calculated are composed on the
basis o" the assigned cost element !he system determines the cost element using the pool
category Any "lat rates are ta6en into account during the settlement 5hen you save the
settlement by choosing Settlement, the system creates a service order in the bac6ground that
collects the usage costs o" the pool asset !he service order is lin6ed to the demand
noti"ication 5hen the settlement is posted, the bar(chart colors o" the demand are adjusted
on the planning board !he demand noti"ication is assigned the status 8&ettled8
!epair Measures

Maintenance and repair .or6 carried out on a pool asset can also be represented and
monitored using the graphical planning board !he system automatically creates a reservation
"or the asset in #uestion "or the period in .hich it is not available (because it is in the
.or6shop) so that it cannot be assigned to a demand during this time A separate bar color is
