The most important task in maintenance planning is to ensure the long-term, continued
availability of the production plant. Effective SUHYHQWLYH maintenance planning will not only
prevent system breakdown, but will also reduce unnecessary costs arising from repairs or system
replacement and production loss.

To evaluate where preventive maintenance measures are required in your production plant, you
must consider the following points:

The quality of a product is greatly influenced by the condition of the production plant
in which it is manufactured.

3DVWHYLGHQFH
What do the past records for your technical system show? Does it have a history of
breakdowns which could be prevented by using regular maintenance? Using past
evidence you can determine where preventive maintenance measures are required.

%UHDNGRZQFDXVH
What caused the breakdown in the technical system? Was the failure caused by the
equipment itself, or by its installation location? By determining major recurrent
causes of breakdown, you can better evaluate where preventive maintenance
measures are required.

However, it is not only these company-specific factors which should be taken into account when
planning your preventive maintenance tasks. There are also external factors which influence
where preventive maintenance is required. For example:

To assist you in effectively planning and preparing your preventive maintenance tasks, the 3ODQW
0DLQWHQDQFH(PM) application component offers you the following tools:

Maintenance strategies

Maintenance plans

Maintenance orders

6SOLW/HYHO0DLQWHQDQFH
Within the maintenance sequence, one of the most important features offered by the PM
application component is its capacity for split-level maintenance. You can create maintenance
plans, and consequently maintenance orders, for:

Assemblies

Pieces of equipment

Functional locations

Materials

Material and serial numbers

The possibility of split-level maintenance allows you to plan and perform maintenance tasks for
the following objects:

An DVVHPEO\ within a piece of equipment (for example, a pump motor)

An LQGLYLGXDOSLHFHRIHTXLSPHQW which operates independently of other equipment


(for example, a vehicle)

)XQFWLRQDOORFDWLRQV (for example, a production line) which may be made up of


several pieces of equipment.

In the case of the latter, you can maintain the whole functional location, rather than the
independent technical objects it comprises.

The maintenance plan type defines the type of maintenance plan used. The PDLQWHQDQFH
SODQQLQJ component supports both performance-based (= counter-based) maintenance planning
and time-based maintenance planning.

A single cycle plan is the simplest form of maintenance planning. You create a single cycle plan
(ZLWKRXW a maintenance strategy) and define exactly RQH time-based or performance-based
maintenance cycle, in which you specify the intervals at which the maintenance plan should be
performed, for example, annually or every 100,000 km. You define the maintenance tasks to be
performed by allocating a maintenance task list to the maintenance task list item of the single
cycle plan.

With time-based maintenance plans, maintenance occurs at specific intervals, for example every
two months, every six months, and so on.
You create a strategy for time-based maintenance by maintaining maintenance packages and
scheduling indicators.

You define the planned intervals in maintenance packages and in task lists, you define which
maintenance tasks should be performed. For this, you assign the task list operations to the
strategy packages.

3HUIRUPDQFH%DVHG6WUDWHJ\3ODQV
Performance-based strategy plans allow you to plan regular maintenance on the basis of counter
readings maintained for measuring points assigned to pieces of equipment and functional
locations.
With performance-based/counter-based maintenance plans, maintenance occurs when the
technical objects counter has reached a certain reading, for example every 100 operating hours.
This may occur after two weeks or four weeks, depending on the counter reading at the time of
scheduling, and the annual estimate that has been defined for the counter.
You create a maintenance strategy in the same way as you would for a time-based maintenance
plan by entering a single GLPHQVLRQ (for example, tonnes produced, operating hours) and
maintaining the scheduling indicator and maintenance packages. All the maintenance packages
in the strategy share the VDPHGLPHQVLRQ.
You define which maintenance tasks are to be performed and the frequency with which they are
performed by allocating task list operations to the strategy packages. You then create a
performance-based maintenance plan on the basis of the maintenance strategy.

You create a multiple counter plan ZLWKRXWaPDLQWHQDQFHVWUDWHJ\. You have the following
options:

You can delete unnecessary maintenance packages or add extra ones from the
multiple counter plan.

Creating without a F\FOHVHW


If you have created the multiple counter plan without a cycle set, create maintenance
cycles in the maintenance plan. You can assign counters with different dimensions to
these cycles. You can also enter RQH time-based cycle in this maintenance plan.

You define which maintenance tasks are to be performed by allocating a task list for regular
maintenance to the maintenance task list item of the multiple counter plan.

There are different categories of maintenance plans in maintenance planning. The category
determines what type of call object the system creates for a due maintenance call, for example, a
maintenance order or a service entry sheet. Here you can also define number ranges, the view of
the reference object (for example, equipment, functional location, serial number) and so on.
The following maintenance plan categories are delivered as standard:

3ODQW0DLQWHQDQFH 30
PM Order is defined as the call object. The system creates a PM order for a due
maintenance call.

0DWHULDOV0DQDJHPHQW 00
Service entry sheet is defined as the call object. The system creates a service entry
sheet for a due maintenance call.
You can use the maintenance plan category for service procurement in Purchasing
(MM) for the SURFHVVLQJRIUHJXODUVHUYLFHVfor example, the monthly maintenance
of a lift or photocopier.

The system automatically creates a service entry sheet for a service purchase order with runtime
(the document type for this is )2 in the standard system) from the maintenance plan. Therefore,
the manual creation of service entry sheets for the services offered by the service provider does
not apply. The service entry sheets created automatically must still be printed.

,QWHJUDWLRQ
The maintenance plan category for service procurement in Purchasing combines the functions
from the PM and MM application components.

3UHUHTXLVLWHV
The following prerequisites must be fulfilled if you want to create a maintenance plan for service
procurement in Purchasing:

You have created a service purchase order in Materials Management which satisfies
the following conditions:

The standard document type is )2.

The runtime is specified in the header.

The purchase order item



Cannot be flagged for deletion

Has the account assignment category 8(unaccounted) or )(settlement on order)

Has a goods receipt indicator

Allows for a goods receipt-related invoice verificiation

Is not finally settled or delivered

If the service purchase order has the account assignment category XQDFFRXQWHG, you
must also specify the following in the maintenance plan:

A G/L account

A settlement order (standing order) with object reference, for example, a


maintenance order

If the service purchase order has the account assignment category 6HWWOHPHQWRQ
RUGHU, you can nevertheless enter the G/L account and the settlement order. In
this case, the system overrides the information on the service purchase order.

You can shorten the process for the purchase order of a service using the maintenance plan
category for MM.
You create a maintenance plan with maintenance plan category MM and assign the following
data to it:

An external service order

A G/L account

A settlement order (for example, maintenance order)

Service specifications with detailed service descriptions and/or value limits

Using the shortened process, the system creates a service entry sheet for a due maintenance
call, which contains the planned services. You can supplement the service entry sheet with
further unplanned services manually as required. Finally, it must still be printed manually.
Previously, a maintenance order had to be generated before a service entry sheet was created,
from which a purchase order request and a purchase order had to be created.
The system can display an object history using the settlement order assigned (standing order)
with object reference.

many technical objects as required to one maintenance item. The maintenance operations

groups of similar or related technical objects. These groups are then linked to a library of
maintenance operations. When you include the maintenance item in a maintenance plan and
schedule it, a maintenance order will be created for the maintenance operations to be performed
on the technical objects contained in the object list.

every two months, every 5,000 km, every 500 operating hours).

Other data which influences scheduling.

From Release 4.0, maintenance strategies are optional. You can also create simple maintenance
plans without maintenance strategies. These are called single cycle plans [Page 87].
A special type of strategy is the F\FOHVHW. It also contains maintenance packages but is used for
creating multiple counter plans as a copy model for maintenance cycles. The cycle set contains
no other scheduling data.

There are two types of maintenance strategy in Plant Maintenance:

If you want to use time-based or performance-based maintenance plans, you will need to
implement strategy-based maintenance in your company. When planning strategy-based
preventive maintenance in your company, you must first specify:

Where regular, preventative maintenance is required (maintenance item)

Which maintenance tasks are going to be used (maintenance task list)

The frequency of these maintenance tasks in terms of performance or time


(preventive maintenance packages)

To determine how often regular maintenance is required, you should consider the legal
requirements, manufacturer recommendations and preventative maintenance costs versus the
costs of a breakdown. Furthermore, you should consider how you can set up the maintenance
tasks in a maintenance plan, so that scheduling and maintenance work is carried out most
efficiently.
Once you have determined the optimum frequency for preventive maintenance, you can define
the appropriate maintenance strategy. Using the PM application component, you can create
maintenance strategies to represent the scheduling rules for all the preventive maintenance tasks
within your company. As these strategies contain general scheduling information, they can be
assigned to as many different maintenance plans as required. By using maintenance strategies
containing general scheduling information you can:

If you create a maintenance strategy with the scheduling indicator &\FOHVHW, you also assign
maintenance cycles in which you define possible times or perfomance statuses for preventive
maintenance to the cycle set. A cycle set is therefore a compilation of possible cycles.
When creating multiple counter plans, you can accelerate the creation process by specifying the
cycle sets as a copy model. You can delete cycles which are not required and add cycles which
are missing.
You can create additional scheduling information for each maintenance plan. For more
information, see Scheduling [Page 116].

You may need to change your maintenance strategy for one reason or another. For example,
when you initially plan your maintenance tasks you may not be sure what the optimum frequency
should be, and it may take some time before you find an adequate solution. In this case, and if
you have the necessary authorization, you can change the frequency of a package in the
maintenance strategy.
As the maintenance strategy forms a central part of maintenance planning, it can be used in
several maintenance plans simultaneously. This means that when you make changes to a
maintenance strategy, these changes will be incorporated in all the maintenance plans to which
this strategy has been assigned. You can find out to which maintenance plans the strategy has
been assigned in the where-used list (see Where-Used List for Maintenance Strategies [Page
51]). The maintenance tasks contained in the maintenance plan will be performed at the new
frequency you enter.
The activities contained in the maintenance plan are performed in the new maintenance cycle
which you enter.

If you change a package from a 1 month cycle to a 2 month cycle in the strategy,
all the maintenance tasks assigned to the package from then on will be scheduled
at 2 month intervals.

If you have the necessary authorization, you can delete a maintenance strategy. When you
delete a maintenance strategy, the system performs a series of checks to ensure that the
strategy is not being used in a maintenance plan or maintenance task list.
If the maintenance strategy you want to delete is being used in a maintenance plan or
maintenance task list, you will not be able to delete it. The system will issue a message
informing you that it is in use.
If you delete a maintenance strategy and then realize that you did not want to delete it, it is
possible to retrieve it. For more information, see Retrieving Deleted Maintenance Strategies
[Page 47].

You can only retrieve deleted maintenance strategies if you have QRWVDYHGDQG

technical objects. A maintenance item could, for example, be perform safety test. You then
assign to a maintenance item exactly the objects (for example, equipment, functional locations or
assemblies) on which you want to perform the maintenance task safety test.
You can describe the necessary activities using a task list which you assign to the maintenance
item.

You have the following options:

You create a maintenance plan. When creating, you reach the item data
screen directly, this means that a maintenance plan always automatically
contains at least one maintenance item.

You create a maintenance item independently of a maintenance plan and


subsequently assign it to a maintenance plan.

You can assign one or more maintenance items to a maintenance plan. In the PM System,
maintenance items can be object-specific or object-independent.

You can combine several technical objects in an object list. The system copies the order llist

You can also create maintenance items that do not refer to a technical object. You can maintain
both location data and account assignment data individually for such maintenance items. This
data will then be copied into the maintenance order on order creation and is then valid for that
maintenance order.
This allows you to define regular preventive maintenance tasks without having to specify in
advance the technical objects for which the maintenance tasks are to be carried out. This is
useful, for example, for minor maintenance tasks such as cleaning, lubricating, changing light
bulbs and so on, as you can define a single receiver cost center to which the maintenance order

in the case of minor maintenance tasks.
This also allows you to use the settlement rule to define multiple account assignment. This is

When the order is created, the system automatically copies the object list into the maintenance
order. You can then enhance it, as required.
By using an object list, you can create logical groups of similar or interlinked technical objects
which can then be linked with a group of maintenance activities. This has the advantage that the
data entry requirement is reduced and the order processing is facilitated considerably. Another
advantage is the reduction in paper used as a result.
These advantages are particularly clear when planning a small preventive maintenance task for a
technical system, for example, a general view control. Instead of creating a maintenance order
for each object at which the view control should be performed, you create one common
maintenance order for all objects listed in the object list.

It is possible to specify the sequence in which the maintenance operations should be performed
on the objects contained in the object list.
In the object list, there is a sort field above each technical object. By entering an appropriate
number or alphanumeric key in this field, you can specify in what sequence the technical objects
should be maintained.

On the shop floor in Hall A of your company, you have six milling machines and
eight lathes. These are arranged so that they cover the entire shop floor space. In
the sort field you can enter an appropriate sequence to plan an
optimuminspection route through the machines. In this way, you can save
personnel time and energy.
Once the inspection has been completed on all the machines, the completion
confirmation you enter for the maintenance order will be valid for all the technical
objects contained in the object list.

detail is required, operations can be sub-divided into sub-operations.
Operations can be performed sequentially, in parallel or overlapping with one another. Their
chronological sequence is defined by relationships. Operations and sub-operations can be
processed internally or externally. The activities defined for an external operation are requested
using orders. Spares materials and resources that are required for the maintenance work can be
planned in the operation.

tools required for the job and to state the necessary completion time.
By allocating a maintenance task list to your maintenance item you are including all this
information in the item. The operations described in the maintenance task list will be performed
on all the technical objects assigned to the maintenance item.

Service entry sheet is defined as the call object. The system creates a service entry

A performance-based maintenance plan is used in counter-based maintenance. This type of
maintenance plan allows you to plan regular maintenance on the basis of counter readings
maintained for measuring points assigned to pieces of equipment and functional locations.
With a performance-based maintenance plan, maintenance occurs when the technical objects
counter has reached a certain reading, for example every 100 operating hours, every 500
molding cycles, and so on. This may occur after two weeks or four weeks, depending on the
counter reading at the time of scheduling, and the annual estimate that has been defined for the
counter.
You can use a performance-based maintenance plan to ensure that the operations contained in
the maintenance task list are carried out as near as possible to the time that the technical object
actually requires maintenance.

A pump requires a maintenance task to be performed every 100 operating hours.


The call date generated when the maintenance plan was scheduled is almost
due, but the pumps counter reading indicates that it has only been in operation
for 50 hours (due to a temporary shutdown, for example). To avoid a
maintenance order being created before it is needed, you maintain the new total
counter reading in the system. You then schedule the maintenance plan again,
and the call date is recalculated on the basis of the updated counter reading. In
this case, the call date would be later.

A multiple counter plan is used in counter-based maintenance. This type of maintenance plan is
QRW based on a maintenance strategy. In the maintenance schedule, you create maintenance
cycles to which you assign equipment or functional location counters of GLIIHUHQWGLPHQVLRQV,
for example, weight or length. A time-based cycle can also be included in the maintenance plan
(note that these do not have counters). Alternatively, you can also create a multiple counter plan
with a cycle set as a copy model for maintenance cycles.
You define which maintenance tasks are to be performed by assigning a maintenance task list to
the maintenance item of the multiple counter plan.

In the case of a multiple counter plan, DOOthe operations in the task list are copied
into the maintenance order when maintenance is due. You should take this into
consideration when planning and preparing your preventive maintenance tasks.
When you schedule the multiple counter plan, the system calculates the planned dates for each
of the maintenance cycles on the basis of the current total counter reading and estimated annual
counter activity (or on the basis of the unit of time and cycle length in the case of a time-based
cycle).
The cycles of a multiple counter plan are linked with either an OR operation or an AND operation.
In the case of an 25RSHUDWLRQ(with maintenance due, for example, every 100 tons produced or
every 50 operating hours or every two weeks, whichever occurs first), a maintenance order will
be generated for the HDUOLHVW of the planned dates.
In the case of an $1'RSHUDWLRQ (with maintenance due, for example, after every 100 tons
produced and every 50 operating hours and every two weeks, whichever occurs last), a
maintenance order will be created for the ODVW of the planned dates.
Multiple counter maintenance plans are best suited to either single activities or single groups of
activities, for example, an oil change.

from that of performance- and counter-based maintenance plans. In performance- and counterbased maintenance plans, you define maintenance cycles using the maintenance packages that
you create in the maintenance strategy. However, since no maintenance strategy is assigned to
a multiple counter plan, you must create the maintenance cycles directly in the multiple counter
plan. You have the following options:

specifications you made.

If the system can only find a single maintenance item that corresponds to your
selection criteria, it will automatically copy the item into the maintenance plan.
6. From this selection list, you can select the maintenance items you want to allocate to
your maintenance plan by positioning your cursor on the maintenance item you
require and choose (GLW&KRRVH.

By displaying maintenance plan costs you are able to determine H[SHFWHGFRVWV from one or
more maintenance plans. You can specify the length of the analysis period for which costs are to
be displayed.
The result of a calculation shows the WRWDORIDOOTXDQWLWLHV (for example, internal activities,
external activities, necessary materials) and FRVWV of one or more maintenance plans during the
VSHFLILHGDQDO\VLVSHULRG.

First, the deadlines that occur during the analysis period are simulated. It is
established for each of these deadlines which maintenance packages are to be
carried out (for example, small inspection, large inspection).

The activities that are to be carried out during the specified analysis period together
with the corresponding quantities (for example, internal activities, external activities,
necessary materials) result from the task list that is assigned to the maintenance plan
item.

Note the following restrictions when displaying maintenance plan costings:

Overhead costs are not determined.

The system only calculates maintenance plans that have already been
scheduled. This means that maintenance plans that have not yet been
started are not taken into consideration by the analysis.

Locked maintenance plans are not calculated.

Multiple counter plans are not currently calculated.

The scheduling is based on simulated deadlines. Deadlines that are


already saved as scheduling records are not taken into consideration.

4. In the next screen, enter a printer in case you later want to print a costing display and

The system then informs you that it has scheduled the job.

6. After the system has carried out the batch job, you can display calculations that have
been performed for multiple maintenance plans. To do this, choose 'LVSOD\

The maintenance plan costings are displayed.

When you schedule a maintenance plan in the 3ODQW0DLQWHQDQFH application component, the
system creates call dates in the maintenance plan. Maintenance call objects, for example,
maintenance orders or service entry sheets, are subsequently created for these call dates. You
can control special scheduling requirements using the maintenance of scheduling parameters
[Page 117].
The system calculates the intervals at which maintenance call objects should be created, based
on the scheduling parameters from the maintenance plan. The following data is also considered:

For performance-based or time-based maintenance plans: the maintenance strategy

For single cycle plans: the maintenance cycles defined in the maintenance plan

For multiple counter plans: the maintenance cycles defined in the maintenance plan
and the counter reading

You may schedule a maintenance plan which contains a 2-month and a 6-month
package. The first due package will be the 2-month package. After four months,
the 2-month package will be due again, and after six months the 6-month
package and the 2-month package will be due.

The call horizon specifies as a percentage when an order is to be created for a calculated
maintenance date, that is, the time interval between the confirmation date or start date and the
next planned date of a maintenance plan until the maintenance order is created.
You can define a call horizon for a time-based or performance-based maintenance plan by
entering a percentage of the total maintenance cycle. When you schedule a maintenance plan,
the system calculates the next planned date.

The total maintenance cycle is 250 days. If you call a call horizon of 0%, 80% or
100%, the system opens the PM order according to the following number of days:

component. These are shift factors in the case of:

You can define the shift factor specifically for your maintenance plan by specifying the shift
percentage to be taken into account when calculating the next due date.
The shift factor only applies once a maintenance plan has already been scheduled and when the
difference between the target and actual date lies outside the tolerance range.

The planned date for your maintenance order was August 01 1995, but it was
confirmed 15 days late on the August 16 1995. The next planned date could vary
depending on the shift factor specified. Three possible shift factors are shown in
the table below.

There are two tolerance ranges for the scheduling parameters in the PDLQWHQDQFH SODQQLQJ
component:

+ Tolerance
In the case of ODWH completion confirmation, this determines the time span in which a
SRVLWLYH variance between the target and actual date does not influence any
subsequent scheduling.

Tolerance
In the case of HDUO\ completion confirmation, this determines the time span in which a
QHJDWLYH variance between the target and actual date does not influence any
subsequent scheduling.

You can define the tolerance as a percentage of the smallest step in the maintenance strategy
allocated to your maintenance plan.

The smallest step in the maintenance strategy allocated to your maintenance plan
is 30 days. You have defined a tolerance of 10% in the case of HDUO\ completion
confirmation. This makes a tolerance of 3 days.
If completion is confirmed no more than 3 days EHIRUH the planned date, the
variance will not be taken into account when determining the next date.

You can define a scheduling period for a WLPHEDVHG maintenance plan. The scheduling period is
defined in days and specifies the length of time for which maintenance calls are to be generated

scheduled for the entire year, and therefore have a queue of maintenance calls generated for the
entire year, you must enter 365 days as the scheduling period.

If you work with a scheduling period, you should use date monitoring [Page 145]
to carry out further scheduling.

Using the cycle modification factor you can individually define the execution time for a
maintenance plan. You can do this by modifying the cycle in the maintenance schedule to meet

maintenance plan. A cycle modification factor greater than one increases the cycle, whereas a
factor less than one decreases the cycle.

Your maintenance plan contains a maintenance strategy with a total cycle


duration of 60 days. You want to modify this for a specific maintenance plan and
enter the cycle modification factor .

create report variants that can be started by the system services on a cyclical basis. For
example, date monitoring in the case of a weekly maintenance strategy should ideally occur

The monitoring function provides two options:

You can call up and monitor all maintenance plan dates that are due.

You can automatically schedule maintenance plans. This function is optional.

This requires you to have already scheduled a maintenance plan once. It is advisable to
reschedule if parameters, such as the call horizon, have changed.

In exceptional cases, for example, when you need to carry out special scheduling
functions [Page 147], you can perform scheduling using the scheduling function
[Page 140].
When you use the monitoring function, the system converts all the scheduling records on hold
with a due date that satisfies the call horizon into maintenance orders.
The system also performs a complete rescheduling of the maintenance plan and ensures that
scheduling records always exist for the period you have defined as the scheduling period. For

directly), you can switch to the simulation mode by choosing (QYLURQPHQW

- Date shift [Page 175]


- Status change [Page 176]

The simulated changes are not be saved.

The original calls are restored, and the colored blocks reassigned their original color.

The simulated changes are saved immediately. For example, if you have shifted a call date, the
new (shifted) date will become the new call date when you save and be indicated as such in the

1. In the maintenance plan simulation graphic, choose (GLW0RYH
2. Select the colored block representing the date you want to shift and move it to the
required date using your with the left mouse button.
3. Release your mouse button.
A dialog box appears asking you whether you want to shift the date selected and all
subsequent dates, or whether you just want to shift the selected date.
4. Choose the date shift type you require. You return to the maintenance plan simulation
graphic where you will see that the date has been moved and the color of the block
changed to indicate that it is simulated.

3. Choose the status you want to assign to your selected call.

- Released
- On hold
- Skipped
You can assign the following statuses to maintenance plans:

- Active/inactive
- Deletion flag
The color of the block you selected changes to indicate that a status change has
been simulated.

You can click on each symbol to display it in detail. The system displays the detail screen for the
selected object. For example, you see the task list operation, order operation, order header,
maintenance packages (if you do not display any task lists).
To leave the detail screen, choose *UDSKLFV%DFN

&DSDFLW\/RDG
1. To display the capacity load, choose one of the following options:

The status management for maintenance plans provides information about the status of a
maintenance plan.

framework of the general SAP R/3 Status Management. For example, the system sets the status
&UHDWHG if you create a maintenance plan, or it sets the status 'HOHWLRQIODJ if you mark a
maintenance plan for archiving.

The maintenance plan is created.

Changes to the maintenance plan, the assignment of a maintenance item and
maintenance task list as well as the scheduling of the maintenance plan are possible.

From Relase 4.0A, the status ,QDFWLYHwill replace the field %ORFNIRUFDOOV
which you could set in the maintenance plan using *RWR )XUWKHUGDWD.
