Case Study: Express Elevators Ltd

Alex Wilkinson, QHSE Manager from Express Elevators:

Certification to 14001 and 18001 standards helps us demonstrate our commitment to
the values and objectives contained in them to our employees and customers and also
helps improve processes and procedures. As more and more companies carry out due
diligence before awarding contracts these standards are universally accepted as
good/best practice.

Not having implemented a system before I have found it very reassuring to have an
experienced consultant to assist and support with all aspects of certification.

Activ is a central point to manage and organise all the documentation with traceability,
giving me confidence that the administrative side of the standards is accurate and user
friendly.
Company Background
Express Elevators Ltd is an independent lift company, operating nationally across the
whole of the UK, specialising in the maintenance and repair of all makes and types of lift
equipment, installation of new lifts and the modernisation and refurbishment of existing
lifts.
Their team of highly trained engineers currently maintains over 10,000 lifts across the
UK, providing 24-hour emergency cover, 365 days a year.
Express Elevators has been a member of LEIA for a number of years and is recognised by
a growing list of organisations for meeting exacting standards including certification to
ISO 9001:2008, Safer Contractor and CHAS.
The Challenge
From 1 January 2015, with the backing of its members, LEIA will introduce an additional
requirement for members to be certified by a UKAS accredited organisation to OHSAS
18001 as well as ISO 9001.

With a view to retaining their LEIA membership and to realise the business benefits of
having a robust management system that can meet the challenges of today and
tomorrow Express Elevators decided to embark on an !"# %& ' ()*+ project to
implement OHSAS 18001 and ISO 14001 across the business.

Methodology
!"# %& ' ()*+ consultant, Jo Holden, was assigned the project and began to work
closely with the QHSE Manager, Alex Wilkinson, to understand the business and
implement a system that incorporated existing as well as enhanced procedures and
processes. It soon became apparent that a fully integrated management system was
required, not only to meet the requirements of the new standards but to complement
the existing ISO 9001 system. The company also wanted a central, easily accessible
document storage solution that would automate the strict document controls demanded
by ISO and OHSAS standards.

Hence Activ ONLINE MANAGEMENT SYSTEM was introduced to Express Elevators as the
platform to create their integrated management system and as a mechanism to
complement company objectives to ensure engineers have the latest safety information
available onsite.

Equas and Express together generated and populated the required processes, procedures
and templates, management reviews have been conducted with company directors.
Legal registers and emergency plans have been created and a systematic training
briefing plan has been rolled out across the organisation.

Express Elevators gained certification for ISO 14001 and OHSAS 18001 in June 2014. The
auditors commented on the ease of use of the Activ system.

Outcome
As well as passing its certification Express Elevators is already benefiting from the
introduction of the new processes.

The innovative Improvement Log approach not only guides users through the essential
elements of root cause analysis and corrective and preventive actions, but also collates
the resulting data in to easy-to-read graphs and reports, which in turn highlights the
priorities to be addressed in the coming months, ensuring planning and management is
easier to follow.

The QHSE Manager is already thinking about how Activ can be used to communicate
LEIA Safety bulletins as part of the move towards equipping onsite engineers with mobile
tablets and ensuring notifications are received when new documents and forms are
introduced.
