1.0 Purpose
This document outlines the general handling and definitions for the Prestige electronic back-up function.
The intention of this document is to provide a general outline and guide for the ensuring adequate back-
ups, restores and storage of electronic data.

This document pertains solely to electronic data stored on the company computer netork or netork
enabled devices.

document.

8.1.2 Servers/GFS Sets:

primary backup server for Prestige.

(onsequently the grandfather set consists of telve )1/* media devices, the father set
consists of five )7* media devices and the %on set consists of four )A* media devices on each
server. Tenty-one )/1* tapes are employed in the schema on each backup server.
8.1.3 Media Rotation

)$riday* and a +,T from the #randfather set is used on the first business day on or after the
last business day of every month. " #randfather back-up supercedes and replaces either a

59ampleB The last day of the month falls on a %aturday. The grandfather tape
is run on the ne9t business day, 8onday. The usually 8onday +,T, a selection
from the %on set, is skipped for that eek.

8.1.! Media "a#e$in%
8edia is labeled ith the identified assigned in section @.1.; as ell as the e9piration
date as assigned by the retirement schedule as established in section @.1.-.
8.1.& 'a()up Monitorin%
.ack-up logging is enabled on all back-up servers. These back-up logs are revieed
daily for pertinent information and recorded in the Prestige .ack-2p ,og. Pertinent
information related to back-ups is recorded in the Prestige .ack-2p ,og. 'n the event of
a failure the 'T department head or a designee ill be notified of the failure to ensure
comprehensive disaster recovery measures.

The Prestige back-up log provides a ay to both track errors over long periods of time
and a quick ay to locate a back-up tape to be used in a restore procedure. .elo is an

$ield definitions are kept ith the back-up log. The Prestige back-up log is stored in a
fire-proof filing cabinet overnight.
8.1.8 Media Stora%e
8edia from the $ather and #randfather sets are stored at an off-site location. The media
is stored in secured, fire resistant locations and transported back to the company
facilities as needed. 8edia from the daily set reside on a fault tolerant %"! as ./+ files
and the current media )ne9t in line for use* from the $ather and #randfather sets are
stored in a $ire Resistant (ontainer at the (ompany facilities.
8.1., Media Retirement
8edia is retired after a specific term of use to preserve a high level of integrity and
quality in the devices. The retirement schedule is based on recommended usage of the
media devices by the 4riginal 5quipment 8anufacturer. The schedule is outlined here?

'T maintains a schedule of media employed in the electronic back-up effort to maintain a
record of media device term of service. $ield definitions are maintained ith the
schedule.
8.1.1- Standard 'a()up se$etions
.ack-up selections consist of data volumes stored on company computer servers. The
selections are determined by the 'T department head or designee, published and made
available for vieing to all Prestige employees. The 'T department assumes
responsibility for maintaining a revision controlled document detailing the selections.
Prestige employees may request additions to the %tandard back-up selections list at any
time. The revision controlled selection outline document is an 'T internal document and
selections may be modified at anytime at the discretion of the 'T department head or
designee. %tandard selections include enterprise databases including payroll, e-mail and
5RP data.
8.1.11 .on)standard 'a()/p se$etions
!on-standard back-up selections include any data included in the electronic back-up
system that is not stored on a company computer server. The folloing criteria is used
to evaluate the appropriateness and inclusion criteria for non-standard back-up
selections?

The selections are determined by the 'T department head, published and made available
for vieing to all Prestige employees. The 'T department assumes responsibility for
maintaining a revision controlled document detailing the selections. Prestige employees
may request additions to the non-standard back-up selections list at any time by
completing a non-standard backup selection form and returning it to the 'T +epartment

personnel. The appropriateness of the inclusion ill be determined by the 'T
department. The requesting department head assumes the responsibility of ensuring that
their department personnel include the appropriate data in the non-standard back-up
selection area. The revision controlled selection outline document is an 'T internal
document and selections may be modified at anytime at the discretion of the 'T
department head.

8.2.1 Genera$
"ny data oner may request a restore of data from the electronic back-up system at any
time. The 'T department does not maintain logs of restore activity.
8.2.2.1 Genera$
The 'T department is required to perform periodic test restores of the system to
ensure proper functioning. The ma9imum interval beteen test restores is
quarterly. 'n addition, each test restore must contain records related to mission
critical data. Test restores must include at least one selection from each back-
up server.
8.2.3 Enterprise 0isaster Reover1
'n the event of complete loss of any backed-up device or server due to a hardare
failure, softare corruption or a large scale disaster )e.g.B destruction of the building*
the folloing steps should be folloed. Repair or replace the equipment involved,
reinstall all applications from the original installation media and then locate the last
usable backup for that back up selection and restore the data.
