I would love to have an app at my next event, but I dont know where
to start.
Ive heard this comment countless times over the past three years.
In recent years the number of companies offering event mobile
apps has soared.
As someone who has followed event technology since 2007 with the
Event Manager Blog, I can remember only two other pieces of tech-
nology so innovative to the industry: event management software
and online registration.
In both cases, the number of providers grew immensely in a rela-
tively short timeframe.
Ease of entry into the market (creating the technology is not par-
ticularly difficult) and the high profit margins makes for quite an
attractive combination.
Mobile apps are destined to become one of the most popular pieces
of technology for the event industry as they are fuelled by the as-
tounding growth in smartphones adoption.
In this scenario an unprecedented number of players started to
populate an increasingly desirable market.
The event professional approaching the world of mobile event apps
can surely benefit from the variety of such a large market offering.
Nevertheless, a number of concerns arise in regards to the types of
options that are available.
A similar example can be found in the insurance or mortgage in-
dustries when a similar large online offering sparked the growth
of comparison sites to help the consumers make better decisions
according to their needs.

While there is no such site (yet) to compare mobile event apps, the
team at Event Manager Blog decided to create this report to help
you with your event app decision.
This report will not rank apps, nor will it tell you the top providers
to choose. It is an objective overview of the market offering. This
in-depth overview shows the results from extensive research of
more than 300 apps.
While researching the project, we were astounded to find very lit-
tle data to support the effectiveness of mobile apps for the event
industry.
Nevertheless, success stories and personal experiences are grow-
ing substantially, hinting at a positive effect of mobile apps on the
event ecosystem.
Another interesting element is the growth of app providers. Such
growth is almost unprecedented in the industry. By observing this
phenomenon we may assume that a number of event professionals
are gaining some form of value out of mobile event apps.
The most substantial piece of research on the topic was a survey
conducted by Expo Magazine in which 21% of event professionals

interviewed stated that smartphone apps were a top priority in-
vestment for 2012. That number is up by 18% when compared to
2011.
It is not clear whether one report alone is sufficient reason to jus-
tify an app investment.
One thing for sure is that the demand of mobile apps appears to
be soaring. While there are immediate tangible benefits such as
reduced environmental impact and new marketing channels acti-
vation, other advertised benefits such as higher engagement and
improved event perception are still to be supported by evidence.
The value of mobile event apps is still dependent on implementing
and designing a wise event app program. In fact, results to prove
their value tend to vary case by case.
Elements like attendee research, organization, tech friendliness, ef-
fective measurement framework, and organization buy-in, seem to
usually predict a successful app program, pretty much mimicking
the social media and wider technology environment.
In essence, the absence of evidence to support the positive impact of
mobile event apps suggests designing and implementing a precise
and effective mobile strategy seems to be the safest way to approach
this ecosystem.
A proper mobile strategy looks at apps as the tools, or tactics, in the
wider event framework of business objectives, making success a
relatively easy element to measure.

The objective of this report is to help you make a better event app
decision. We have reviewed approximately 300 apps, shortlisted
the best, and organized them in a structure that makes sense for
the end user.
The aim is to give you a quick reference to understand which app
does what and if it is a good fit with your event.
We have created easy to read tables that compare the features of
all apps reviewed together with additional information such as
geographic location, native or web apps, and price.
We researched the Internet to create a comprehensive list of the
app ecosystem.
This report analyzes the two most prominent categories of event
apps - Event Guides and Event Networking Apps.
The actual research took place over 3 months. Data collection has
been quite a challenge. In fact, we frequently faced websites with
limited information.
Therefore, we decided to make a public call for submission on Event
Manager Blog to obtain as much precise information as possible,
directly from the source.
By asking app providers we avoided any misrepresentation of data
or incorrect information.
Not all the providers of apps reviewed submitted answers to our
questionnaire. In some instances we sent emails asking them to
participate but received no answer. In such cases the data collect-
ed is limited to only the information displayed on the website.

Where too little information was available we decided not to list
the app in our research. Should this report be updated in the fu-
ture, we are willing to include additional information received, and
to list any of the apps we didnt include at all in this report due to
too little information.
One of the most recurring issues with technology adoption is that
choices are sometimes influenced by fashion and peer pressure
rather than being the result of thoughtful analysis.
The results of such approach are usually disappointing. Disappoint-
ing results and low ROI usually spark a vicious cycle of distrust in
the real value of technology.

The end result of this vicious cycle poses substantial threats to the fu-
ture of your events. Attendees are, in fact, becoming quite demand-
ing of technology at events.
As we spend more time on social networks, and with our smart-
phones, we expect events to cater to our need for technology.
Technology is just a medium to reach and engage our attendees. If
the premises are wrong the results will usually be disappointing.
That said, not all attendees are created equal. Some audiences do
not use technology outside of their personal sphere and are not
interested in doing so. Therefore, running a technology program for
such audiences would represent an unsuccessful tactic to begin with.

Instead of telling you how you should decide whether you need an
app or not, we asked event mobile app providers supporting this
report to share successful stories from their customers.
We believe this is the best approach to help you correctly assess
your needs. Hearing it from fellow event professionals is not the
same as listening to the pundit of the moment telling you what you
ought to do.
In deciding why it may be appropriate to feature an event app a
careful analysis of the target audience for the event in relation to
the event objectives seems to be the norm.
Nicole Palmisano of the Illinois Homecare and Hospice Council, cli-

There is an obvious educational benefit in that attend-
ees have theability to access handouts, interact with speakers and
get questions answered through the app. When done right a con-
ference app can really enhance the learning experience. Outside
of the purely education, there is also an impressive social benefit.
How often do you go to a restaurant or a meeting and see people
completely immersed in their phones? A year or so ago I attended a
conference with no mobile app. During breaks, meals and even ses-
sions, I noticed everyone (myself included) was returning e-mails,
sending texts, hanging out on Facebook, etc. We werent interact-
ing with one another. We werent discussing the event. We were
engrossed in the world outside of the conference. The mobile app
encourages attendees to stay focused on the event while still get-
ting to use their phones. People loved being able to share photos,
comment, check-in and make their voices heard. To that end, the
social aspect of the app was an amazing tool for our exhibitors. It
fostered discussion and allowed them to reach out and dialogue
with those who were especially interested in their firm.

HOW TO DECIDE IF
YOU NEED AN APP

The above experience highlights two objectives of the event in rela-


tion to the audience, Education and Focus.
Nicole looked at her audience and decided that she wanted to
keep the focus on the event and augment the learning experience.
These were two great reasons to adopt an app and, thanks to a cor-
rect implementation of the app program, results were outstanding:
Our attendees loved the app. There was a buzz around the
event from start to finish. People were always checking-in, posting
photos, looking up classes, and rating speakers.
As Paul McDonnell of WebSummit, client of Bizzabo points out:

We needed a complete solution for networking at our events
that wouldnt require much effort from our end. Networking is our
number one priority at events so the app enhanced the potential for
our attendees to make valuable connections at the Web Summit.
The audience of WebSummit is clearly expert with technology
and already uses social networking tools to create valuable busi-
ness connections. Therefore, the choice of a social networking app
for WebSummit makes a lot of sense. Results confirmed that ap-
proach:
Around 40-50% of our attendees downloaded the app and al-
most 80% of those who downloaded actually connected their Linked-
In account. These numbers showed a very high level of engagement.
Another important aspect of the statement above is that Paul was
well aware of what success looked like and had clear engagement
figures in mind to decide whether the app program had been suc-
cessful or not.
Who should be involved in making the decision is oftentimes a cru-
cial element of a successful app program.
Deanna Rhode, Manager of Experiential and Digital Marketing of
the Washington Examiner - client of DoubleDutch - explains that:

Sometimes starting small with a free app is a viable option to then

Other important elements that define your app strategy and selec-
tion process are the number of events you run each year, if you
pursue financial gain from the app, and the tech friendliness of
your venue.

Once you established the need for an event app by closely looking
at your objectives, your audience, and your measurement of suc-
cess, you need to make an actual decision on what app to choose.
This is usually where confusion kicks in. In fact, the offerings are
so numerous and diverse that it is just too much to bear. Even
researching the whole ecosystem is an overwhelming and time-
consuming task.
Consequently, there is a need for this report. The aim is to give you
a one-stop shop to make an educated decision about your event
app.
After learning about hundreds of event professionals experiences
with selecting apps, we came to the conclusion that 4 factors usu-
ally influence decision.
Therefore, we thought that highlighting the following 4 selection
criteria would help in simplifying your decision-making process.
For event companies starting out in the event app ecosystem, price
is a major factor influencing the decision. In fact, a good practice
is to start with a small investment and then build into larger app
programs.
We cannot emphasize enough the difference between the app price
and actual cost to your organization. The latter, in fact, includes
the price of the app plus the time needed to roll the app out.
Therefore, while price usually drives overall costs, its also a good
practice to look at the time needed to set up the app and what sup-
port is available from the app provider.
This report includes pricing (at least of those apps that disclose

such information), yet, it is still difficult to offer an objective over-
view of the actual cost to your company. That cost usually depends
on the structure, size, and skills of your team.
Therefore, looking at pricing is an excellent start but we encourage
you to look at the full picture before making a decision.
Low cost, or free apps, are usually a good place to start. In some
instances, freemium models offer a good path to keep investing
in if your app program is successful.
The second factor influencing app program decision-making is
geographic location and the support network of the app provider.
This criterion is usually pursued by both those starting out as well
as those who invest substantial budget amounts in app programs.
In fact, in both instances, the availability of the app provider in the
country where your event is held may be key for a successful app
program.
If this is the first time you are featuring an app for your event, you
would want the app provider to be readily available in your time
zone to contact for troubleshooting should anything go wrong.
The same is true if you run a very complex app. The risks associ-
ated with organic app architectures are usually high. Having the
provider at hand may help in making sure that everything goes to
plan.
While the country of origin of the app is a good indication of the
time zone where the provider operates, sometimes large app pro-
viders feature wider support programs, custom set up, and dedicat-
ed event teams. Therefore we strongly suggest to give considera-
tion to geographic location and to refer to individual app providers

to find out more about their support network.
The third element in deciding which app fits your event best is
whether the app is web-based or native. This means whether the
app needs to be downloaded and installed, or can be viewed via
mobile web browser.
For event professionals running an advanced app program this is
a very important element of decision when given an assessment of
the tech friendliness of the audience and venue.
In some instances a relatively inexpert audience would prefer a
web app (easier to use, no need to install), while more technical
audiences would be more comfortable with a native app (they are
used to download and install). Alas, venues with no wifi connectiv-
ity may force the organizer to opt for a native app as a web-based
alternative, with due exceptions for some HTML5 apps, may be
inaccessible.
Sometimes native apps tend to be developed ad-hoc, hence allowing
more room for custom needs, while web apps, with due exceptions,
offer a one size fits all solution.
A general assumption is also that native apps may require more ef-
fort to be developed while web-based solutions are easier to roll out.
As you can see, there are pros and cons in both solutions. An inter-

Features usually are the strongest decision-making factor in the
app selection process. By matching features to pricing most con-
sumers usually have a clear idea of what they are getting.
It is also important to carefully assess the features offered. In fact,
there are often different levels of complexity found for the same
feature.
Saying that you should check which features are offered is a very
easy-to-make statement. Looking at how these features are imple-
mented is another story.
Therefore, this section will help you to quickly assess whether or
not an app has a feature you are particularly interested in having.
We suggest you further investigate the implementation of such a
feature before you make your final decision.
The final decision is a mixture of the above 4 factors, your team
skills, time available, the size of your event, your budget, your
mobile program objectives, and, by no means the least - your gut
feeling.
Request for Proposal (RFP) is traditionally a good way to purchase
services. In the event and meeting industry this is especially true.
The online RFP process is one of the most significant benefits that
technology brought to the industry. An online RFP is currently one
of the preferred ways of sourcing venues and suppliers at large.
Should you consider sending RFPs to make a more educated deci-
sion about your app?
As much as we would love to give you a yes or no answer it really
depends on several factors.

As a rule of thumb, organizations running large or multiple events
should consider RFPs. On the other hand, smaller events can some-
times avoid the RFP process.
RFP may be needed if:
- The event is large
- Several stakeholders make decisions
- The app requirements are complex
- The app budget is large
- The app should serve different events with different requirements
- There is plenty of time to make the decision
RFP may not be needed:
- Small events with straightforward requirements
- Limited budget
- One person makes decisions
- There is little time available
Some industry pundits feel that RFP cause more confusion than
clarity. We do not agree.
RFP is a very healthy process. It helps to organize ideas and re-
quirements and forces suppliers to make an effort to win business.
It also helps to cut out the middleman.
We like to think of this report as a smart ally that will help you
in navigating through high volumes of proposals, or to skip the
process altogether, if your conditions do not necessarily require a
lengthy RFP process.
Some event and meeting professionals give substantial weight to

the credentials of the app provider. Oftentimes this is one of the
most detailed sections of the app RFP.
We believe that checking app providers credentials is extremely
important. We invite you to use this report as a starting point to
visit app websites, ask for client references, and search social net-
works for opinions. This is especially true if you are looking for a
highly supported app.
The reputation of the company providing the app is instrumental
- especially for large event providers looking for top class support
and customized apps.
It is also true that with such a large market offering apps there is
a lot of hype by providers to emphasize their own credibility. We
believe that the technology of the app should be carefully reviewed
in conjunction with the reputation of the company.
If, in fact, the technology provided is exactly the same, huge price
discrepancies are not justified by reputation alone.
