Full JCR Meeting, Wednesday 15

1. Presidents Welcome

Welcome back and well done for freshers week (particularly the ents
team). Pub quiz was excellent- congrats to Rob.

2. Apologies

As above.

3. Plans for the term

Ethical: Kiana and Annika are doing a bake sale for Breast Cancer
research in Week 2. Table talkers info about ethical affairs have been
placed on the tables in buttery.
Ents: 130 is left in the budget- focussing on decorations for Halloween
and Fitzmas, working on the handover for next years team. They will also
be planning bonfire night in conjunction with the Boat Club.
Ashwin: Ashwin will be working on events for this term.
Welfare: Eleanor plans to keep on top of the condom thieves by
replenishing the welfare pigeonhole. Speed mating went well and she
would like to plan this for the whole college in a few weeks.
Rob: has a few things to fix in the library, such as dissertation binders.
Study skills sessions will be held for everyone in college in a few weeks.
Hell be seeing the Senior Tutor to catch up on how the freshers ones
went. Will be talking to Paul about bursaries for those who have access
problems that are non-financial. Robs response to the colleges 5-year
plan was very well received by the SCR.
Annie: We have sold out all the gowns- profit of +1000. She has placed
the cash in the JMA accountant.
Emma: project for the term is psychological education testing and she
will be emailing the Senior Tutor about this. The underlying theme of this
is to make people aware of the testing available for dyspraxia, dyslexia
etc.
Jake: is planning an LGBT+ brunch which he willadvertise on the mailing
list. Stretton Room- will book with Lorraine Evans. K11 will be free and is
a possibility if the Streeton Room is unavailable. He will be encouraging
Fitz students to attend events happening with the other hill colleges.
Possibly planning a film night in the Gordon Cameron.
Paul: Fitz food sourcing is his job for this term as its slightly problematic
currently. Switch-off campaign is coming back (perhaps in the new JCR
year) and will hopefully be more successful this time.
Will: will be working on handover, maintaining the website and adding
Development Office (Careers) links to the sidebar.
Nick: will be requesting feedback on the freshers guide through the
termly survey and compiling housing ballot guide for successor. There
will be a meeting at a later date to discuss the future conduct of the
housing ballot.
Anna: Hustings preparation, including posting of job descriptions for the
prospective committee. The Goat Post will be coming out in week 4/5.
Target & Access: Carl has forwarded his plans for the term to Phil.

4. JCR Report

Phil asks that everyone send him a list of their achievements during
their term for the annual report.

5. JCR Refurbishment/Walter Grave Room

There have been teething issues: the refreshments stand will have a
backdrop and a fridge. The SCR want a bean-to-cup coffee machine that
they are willing to give us. Do we want an honesty box for coffees/teas?
Perhaps on a trial basis. We need to leave jugs of water next to the kettle
in future.
Projector: well be using the gown money to buy a projector. The Walter
Grave Room, for clarification, is also the JCR. Or, so it seems, the Pink
Room.
Annie requests that the executive send in their budget for the term.
Phil is also welcoming ideas for decoration of the JCR. Aran proposes a
barbeque for the Oxford Road playing fields.

6. JCR Rotas

The current system means that at Halfway Hall the 1
st
and 3
rd
years do
everything re: bop setup and set-down, and the 2
nd
and 3
rd
years do
everything at Marriage Formal. It is expected that if you attend a bop you
will be present at set-down. Kiana points out that you cant apply the
same logic to Fitz Up. Phil says Fitz Up is a different case.

Do people want to change this? General consensus is that we do not. If a
rota is produced beforehand and people swap then that is okay, with a
decent amount of notice given to the Ents team and Phil. The texting
system will be made more efficient so that time is not wasted.

7. Constitutional changes to committee members (welfare in
particular)

At the open meeting the introduction of a male and female welfare officer
was proposed, and everyone was in favour. Phil says that the female
welfare officer, by definition, would have more responsibility than the
male.

The above system would be applicable to people requesting welfare
supplies if they are uncomfortable asking for things from an officer of the
other sex. (All welfare supplies can still be requested anonymously.) We
would be able to introduce a drop-down male/female request for
condoms.

Consent workshops: Jake attended the training for the consent workshops
that Alice was going to run- can the welfare team please take hold of this.

Is there an argument for combining ethnic minorities and international
offciers? Title would be International and Ethnic Minorities Officer.
Committee in favour.

All the above-proposed changes would have to be presented as a
referendum online. Phil will present this idea to the JMA executive
trustees. Everyone needs to start thinking about handover documents to
make life as easy as possible for next years committee.

8. Termly Survey

A draft is requested from each exec for the next meeting. This will include
a feedback section on Freshers Week.

9. Leaflets (Eleanor)

Eleanor wants to put up Linkline leaflets in the loos. She would appreciate
volunteers for this. Each JCR member is allocated a staircase:

10. Chlamydia Testing

Eleanor says the MP has stopped chlamydia testing in Cambridge, so she
will be running testing after Fitzmas. Thoughts about holding it after
Halloween superhall instead as its more fitting. If Halloween proves too
soon to get this organised then Eleanor will hold it after Fitzmas.

11. AOB

Fitz Sessions- the music society
The new Director of Music is keen to hold late night music events in the
bar in Lent term. This is a possibility but the lateness might be an issue.

JMA Ensembles fund
Annie will investigate the whereabouts of this.

Michaelmas Bills
Phil proposes that the large yearly charges placed on Michaelmas bills be
spread out throughout the year. Matt points out that EPOS charges can be
paid at any time to make payment more manageable. A link is available on
the JCR website and attention will be drawn to this.

12. Date of next meeting

A new doodle poll asking for general availability will be circulated.
