Closing Instructions
PO 01: Check Receiving Transactions
The first step in the Purchasing period close process is to determine if there are any
unprocessed receiving transactions.
Navigation (Purchasing Manager): (N) Receiving > Transaction Status Summary
The Find Transactions Statuses window will appear, along with the Transaction
Statuses window. Click on (B) Find and observe the results in the Transaction
Statuses window.
There should not be any entries in this form. If there are entries, there may be a
problem with the Receiving Transaction Processor request. Please review the
output of the last times it has run.
Navigation (Purchasing Manager): (M) View > Requests > Choose Specific
Requests and provide Receiving Transaction Processor as the Name > (B) Find

Closing Instructions
Note: Invoices, Prepayments, Expense Reports and Invoice imports. Ensure that all
expense reports are imported and audit trail is reviewed.
AP 01: Run the Payables approval process
This step will insure that the Invoices pending validation are validated

The output of this request informs you of all invoices on hold and specifies whether
accounting is allowed for each type of hold. All invoices on hold need to be
addressed, especially those where accounting is not allowed (the period cannot be
closed if unaccounted transactions exist).
AP 03: Close all the Payment Batches
Payable doesnt allow the period to be closed unless all the open payment batches
within that period have been closed or confirmed.
All the Open Batches can be identified using the Payment Batch Query Screen

The Posting Manager processes transactions for Smith International and Smith
Confind. To confirm which transactions caused the errors, check the Unposted
Items report.

Where any corrections have been made to Invoices or the Invoices/Payments have

In case, where it is required to Sweep the Unaccounted Transaction to Next Period
choose Sweep Button on the Exception Window. This will change the accounting
period for all the unaccounted Invoice Lines to the Next Accounting Period.

Oracle shall give a Warning Message, that Sweep Action is irreversible. To continue
with sweep click (B) OK. This should submit a concurrent request Unaccounted
Transactions Report, that shall run in sweep mode to change GL Dates for all
unaccounted invoices to the next period.
Review the Concurrent report output for Invoices Swept to Next Period.

AR 01: Transfer of AR Transactions to Oracle General Ledger
B. Post Transactions
Run the posting manger program to transfer Receivables transaction accounting
distributions to the general ledger interface table (GL_INTERFACE). Receivables
help create unposted journal entries in the General ledger when General Ledger
Interface is run. Transfer the transactions to the general ledger as often as desired
within an accounting period.

The AR Reconciliation report obtains a quick update on the status of your
receivables by comparing transactional data against accounting data. This report is
used to see if the balances on the various registers match with those on the journal
reports. You can also see which items affect aging, and which items affect GL
account balances. This helps you to more easily reconcile your accounts receivable
activities, before you post to Oracle General Ledger.
The Potential Reconciling Items report suggests journal items that might
potentially post to GL accounts with unexpected account types, thus creating
reconciliation issues in Oracle General Ledger. An unexpected account type refers
to GL account types that are not normally associated with an item's GL category.
For example, a receivable item might be expected to post to an asset account; if
the item posts to a non-asset account, then it will display on the Potential
Reconciling Items report.
Click (B) View Output of the Potential Reconciling Items program to review
journal items that may cause reconciliation issues.
Run the AR Reconciliation report as the first step in the reconciliation process. This
report displays transactional data in an Activity column, and accounting data in a

Overview
Period Status in General Ledger
The status of an Accounting Period (General Ledger Period) controls the processing
of various transactions in the books of accounts. The accounting Periods can have
one of the following statuses.

Closed
Permanently Closed
Never Opened

2) Choose Open Next Period. General Ledger calculates the ending account
balances for the current period, and launches a concurrent process to open
the next period. The current period remains Open.
Note: Although you can have several open accounting periods, to maximize
the efficiency of the General Ledger posting process, as well as to minimize
the possibility of user error, not more than 2 periods should be of open
status at any given point of time.
3) Whenever the first period of a new fiscal year is opened, General Ledger
automatically updates the Retained Earnings account by the difference
between Income Account balances and Expense Account Balances.
4) Save the work.
To close an accounting period:
1) Navigate to the Open and Close Periods window. General Ledger displays all
accounting periods defined for the calendar with the period type of the set
of books.
Navigation (GL Manager): (N) Maintenance > Open/Close
2) Select the open period that you want to close.
3) Enter a new status for the period. Enter Closed to prevent entering or
posting journals to that period. You can reopen a closed period at any time.
Enter Permanently Closed to prevent entering or posting journals to that
period. You cannot reopen a permanently closed period. However, a period
should be marked as Permanently Closed only after the Statutory Financial
audit of the set of books for the given financial Year and after adaptation of
the audited results by the Board of Directors.
4) Save the work.

Closing Instructions
In Oracle Applications, there is no difference in process between closing of an
Accounting period and closing of an accounting year. When all the periods in a
financial year are closed, the year is considered to be closed. When the first period
of the next financial year is opened, the system automatically rolls forward all
Assets, Liability and Owner's Equity account balances. The Income and Expenses
account balances are netted off and Retained Earnings account is affected with the
net differential amount.
The various modules of Oracle Applications have their own view of the Accounting
Calendar, so different periods can be opened or closed in different modules at the
same time. A brief overview of General Ledger transactions from each of the
modules and Pre-Closing activities for each of them are given below for ease of
understanding. Detailed explanations of the Period closing process have been
discussed in the Operating Procedures document for the respective modules.
These modules are organized in the same order in which they should be closed.
This will be the Last and final Module to be closed amongst all modules. Before
closing a period in General Ledger ensure the followingGL 01: Process Manual Journals in PSOB and RSOB
Enter Manual Journal entries for e.g. Provisions, Adjustments, Accrued Liability for
Uninvoiced Receipts and Allocations.

B. Resolving issues
In some cases it may be desirable to solve issues immediately. In case of minor
issues (e.g. unbalanced journals due to small differences between minor and
major), journals can be corrected manually.

Post all pending journals for the concerned Period. Post all journals irrespective of
their balance type.
Navigation (GL Manager): (N) Journals > Post > Enter the period to be closed > (B)
Find > Select the Batches > (B) Post
Review the output.
Navigation (GL Manager): (M) View > Requests > (B) Find > (B) View Output
GL 20: Run Fiscal Revaluations in the Fiscal Set of Books
Navigation (GL Manager Fiscal): (N) Currency > Revaluation (press F8 to get
screen below)
Click (B) Revalue, provide the parameters, click (B) OK, click (B) Submit and
when the program finishes click (B) View Output to review the results.
