his document discusses in detail the process of Monthly Closing of Period in

Oracle Applications. It covers in detail the closing and reconciliations of sub-ledgers


to be carried out during the period closing process.

The Sequence of the Subledgers to be closed during the month-end closure process
will be as and activities carried out are as follows:

Closing Instructions
PO 01: Check Receiving Transactions
The first step in the Purchasing period close process is to determine if there are any
unprocessed receiving transactions.
Navigation (Purchasing Manager): (N) Receiving > Transaction Status Summary
The Find Transactions Statuses window will appear, along with the Transaction
Statuses window. Click on (B) Find and observe the results in the Transaction
Statuses window.

There should not be any entries in this form. If there are entries, there may be a
problem with the Receiving Transaction Processor request. Please review the
output of the last times it has run.
Navigation (Purchasing Manager): (M) View > Requests > Choose Specific
Requests and provide Receiving Transaction Processor as the Name > (B) Find

PO 03: Close the Purchasing Period


The Purchasing period can now be closed.
Purchasing periods have statuses of Future, Open, Closed, and Never Opened.
To close the Purchasing Period for a particular month select the status of closed
and save the record.

Open the next Purchasing period in the same form.
PO 05: Open Inventory Periods
Open the next Inventory period for all the Inventory Orgs (SRO for Smith Services
and SRB for Smith Bits)

Change the Period Status to Open using the Change Status Button

Review the Transaction Status Summary form for all the


Inventory Organizations.

PO 06: Reconcile the Goods Clearing Account between FMS and GL


This process will help in insuring that all the Purchase Orders and Inventory
Receipts created and accounted in FMS have been successfully interfaced to Oracle
Purchasing. As an Accounting Process, FMS Interface generates the following
entries for Inventory Receipts that are interfaces to Oracle General Ledger
Inventory Account Dr (major 1231)
To FMS AP Accrual Account (major 2092)
When these inventory receipts are interfaced to Oracle Purchasing, it generates
accounting for these receipts that is then transferred to Oracle General Ledger
FMS AP Accrual Account (major 2092)
To Receiving Clearing Account (major 1238)
Receiving Clearing Account (major 1238)
To AP Accrual Account (major 2091)

The 2092 and 1238 should be Zero at the month-end. A balance on 2091 means
that goods have been received, but not yet invoiced.
The 2091 account can also contain Exchange Rate Variance and Invoice Price
Variance that are generated during the actual invoice processing which shall be
required to be re-classified using a Journal Entry in accordance with organizational
policies.
Attention :

It has to be ensured that this account is reconciled for both


Primary and Reporting Set of Books.

Closing Instructions
Note: Invoices, Prepayments, Expense Reports and Invoice imports. Ensure that all
expense reports are imported and audit trail is reviewed.
AP 01: Run the Payables approval process
This step will insure that the Invoices pending validation are validated
Navigation (Payables Manager): (M) View > Requests > (B) Submit Concurrent
Request > Single Request (B) OK > Payables Approval
Parameters

Click (B) Submit and when the program finishes click (B) View Output.
The output of this request will inform you of any holds that were placed or
released. For details on invoices on hold, refer to step AP 02.
AP 02: Run the Invoices on Hold Concurrent
This step will show all the invoices On-Hold.
Note: Make sure the previous concurrent Payables Approval concurrent is
completed.

The output of this request informs you of all invoices on hold and specifies whether
accounting is allowed for each type of hold. All invoices on hold need to be
addressed, especially those where accounting is not allowed (the period cannot be
closed if unaccounted transactions exist).
AP 03: Close all the Payment Batches
Payable doesnt allow the period to be closed unless all the open payment batches
within that period have been closed or confirmed.
All the Open Batches can be identified using the Payment Batch Query Screen

Click (B) Find and verify that all the payment batches during the period have been
closed or confirmed. In case there are open batches these need to be Confirmed
or Cancelled.
Expected results

Attention :

Oracle Payables prevents the closing of a period in which all


payment batches have not been confirmed.

AP 04: Account and Post Payables Transactions


Payables Posting Manager generates the Invoice Accounting Entries corresponding
to all the accounting events that happen in Payables in a batch mode.

Options have Detail as Line Type.

The application ID for AX Payables is 200

B. Resolving issues
In some cases, the Posting Manager output may contain Errors. Details are listed
under a heading of untranslated events, meaning the errors are due to an
incomplete Global to Fiscal account mapping.
The Posting Manager processes transactions for Smith International and Smith
Confind. To confirm which transactions caused the errors, check the Unposted
Items report.

mapped is straightforward. In most cases it can be done by examining the
accounting on the invoices, or the payment if applicable.

Once the account for which the mapping is missing has been identified, add the
correct mapping to the Consolidation.

Once the mapping has been updated start from the beginning of step A.

An alternative is to run the FINR320 report to identify all Global accounts for which
a mapping to the Fiscal account is missing.

Attention :

This output will contain unmapped accounts for all sources,


not just Payables.

If the report contains payables accounts that are not mapped, the consolidation

Once the mapping has been updated start from the beginning of step A.

C. Post Payables Transactions in General Ledger


Post all the Accounting Entries in General Ledger with Source AX Payables in
Primary, Reporting and Fiscal Set of Books
Navigation (GL Manager): (N) Journals > Post > Enter the period to be closed > (B)
Find > Select the Batches > (B) Post
Attention :

Repeat the process for RSOB and Fiscal.

AP 05: Perform Transaction Sweep (if required) and Payables Period Closing
Close the Payables Period in Control Payables Period Screen in Oracle.
Navigation (Payables Manager): (N) > Accounting > Control Payables Period

Select Status of the Period to be closed and press Save.

A. Period Close Exceptions


In case of any exception while payables period closing, Oracle will not allow the
period to be marked as closed and will give an Error Note APP-SQL-10304

Press OK, this will activate the Exception Button on the Payables Period Control
Window and the status of the Period will change to Open.

Press Exception Button and Decision Form will be shown with options to Review,
Cancel or Sweep Exceptions to Next Period

Review the Unaccounted Transaction Report, it will then show only transactions
that had problems that prevented accounting. You can then correct the problems
and resubmit the accounting process.

Attention:

Invoice Amount doesnt match the Invoice


Distribution Amount Totals. Open the Invoice
on Invoice Workbench and correctly re-enter
the same. After the Invoices have been
reprocessed.
This can happen in case the Invoice Distribution
Accounts have been end-dated after the Invoice
has been entered in Oracle Payables but before
transferring the same to GL.
To Correct the same, requery the Invoice on
Invoice WB and correct the Distribution
Account entered there on.

Unaccounted Transaction Report doesnt include invoice that


dont have any distributions.

Where any corrections have been made to Invoices or the Invoices/Payments have
been re-accounted, resubmit the Payables Accounting Process as specified in Step
AP 04. This will ensure all the accounting effects relating to Invoice and Payments
are being properly recorded in General Ledgers.
Review the Exception Records by Pressing Review Button
This step shall submit a Period Closing Exception Report. That can be reviewed
from Monitor Concurrent Request Screens

2) Transfer to GL interface In Details


Choose the Period Name intended to be closed
from LOV

Where any corrections have been to Invoices or the


Invoices/Payments have been re-accounted, resubmit the
Payables Accounting Process as specified in Step AP 04
above. This will ensure all the accounting effects relating to
Invoice and Payments being properly recorded in General
Ledgers.

B. Invoice Sweep
In case, where it is required to Sweep the Unaccounted Transaction to Next Period
choose Sweep Button on the Exception Window. This will change the accounting
period for all the unaccounted Invoice Lines to the Next Accounting Period.
Attention :

You can only sweep only unaccounted transactions to the next


period. All other Exceptions are required to be resolved before
proceeding with Invoice Sweep.

Click (B) Sweep

Choose the Next period to which the Unaccounted Exceptions are required to be
swept to and click (B) Submit.

Oracle shall give a Warning Message, that Sweep Action is irreversible. To continue
with sweep click (B) OK. This should submit a concurrent request Unaccounted
Transactions Report, that shall run in sweep mode to change GL Dates for all
unaccounted invoices to the next period.

Review the Concurrent report output for Invoices Swept to Next Period.

C. Close the Payables Period from Payables Period Control Window


Attention :

In case you still have any exceptions, you will again have to
follow the steps from AP 05(B) again.

AP 06: Reconciliation Oracle Payables Activity for the Period


Oracle Payables Activity needs to be reconciled using the following reports.

The Potential Reconciling Items report suggests journal items that might

For example, a receivable item might be expected to post to an asset account; if

Overview
Period Status in General Ledger
The status of an Accounting Period (General Ledger Period) controls the processing
of various transactions in the books of accounts. The accounting Periods can have
one of the following statuses.
Open
Closed

Permanently Closed

Never Opened

Future-Entry

Journal entry and posting is allowed a period with


Open status.
Journal entry and posting activities are not allowed.
However, a closed period can be re-opened to
process any further transactions. Reporting and
inquiry allowed.
Journal entry and posting activities are not allowed.
A Permanently Closed period cannot be re-opened.
Reporting and inquiry allowed. A period should be
permanently closed only after the Final Statutory
audit for the financial year is completed.
Journal entry and posting are not allowed. General
Ledger assigns this status to any period preceding
the first period ever opened in the calendar, or to
any period that has been defined, but is not yet
future-enterable. This period status cannot be
changed manually.
In a Future Entry period, Journal entry is allowed,
but posting is not allowed. This period is not yet
open, but falls within the range of future-enterable
periods designated in the Set of Books window.
This period status cannot be changed manually
without using the concurrent process to open the
period.

To open a new accounting period:


1) Navigate to the Open and Close Periods window. General Ledger displays
the Latest Open accounting period. Note that while a period may be the
most recently opened accounting period, this period may have a current
status of closed.

2) Choose Open Next Period. General Ledger calculates the ending account
balances for the current period, and launches a concurrent process to open
the next period. The current period remains Open.
Note: Although you can have several open accounting periods, to maximize
the efficiency of the General Ledger posting process, as well as to minimize
the possibility of user error, not more than 2 periods should be of open
status at any given point of time.
3) Whenever the first period of a new fiscal year is opened, General Ledger
automatically updates the Retained Earnings account by the difference
between Income Account balances and Expense Account Balances.
4) Save the work.
To close an accounting period:
1) Navigate to the Open and Close Periods window. General Ledger displays all
accounting periods defined for the calendar with the period type of the set
of books.
Navigation (GL Manager): (N) Maintenance > Open/Close
2) Select the open period that you want to close.
3) Enter a new status for the period. Enter Closed to prevent entering or
posting journals to that period. You can reopen a closed period at any time.
Enter Permanently Closed to prevent entering or posting journals to that
period. You cannot reopen a permanently closed period. However, a period
should be marked as Permanently Closed only after the Statutory Financial
audit of the set of books for the given financial Year and after adaptation of
the audited results by the Board of Directors.
4) Save the work.

Closing Instructions
In Oracle Applications, there is no difference in process between closing of an
Accounting period and closing of an accounting year. When all the periods in a
financial year are closed, the year is considered to be closed. When the first period
of the next financial year is opened, the system automatically rolls forward all
Assets, Liability and Owner's Equity account balances. The Income and Expenses
account balances are netted off and Retained Earnings account is affected with the
net differential amount.
The various modules of Oracle Applications have their own view of the Accounting
Calendar, so different periods can be opened or closed in different modules at the
same time. A brief overview of General Ledger transactions from each of the
modules and Pre-Closing activities for each of them are given below for ease of
understanding. Detailed explanations of the Period closing process have been
discussed in the Operating Procedures document for the respective modules.
These modules are organized in the same order in which they should be closed.
This will be the Last and final Module to be closed amongst all modules. Before
closing a period in General Ledger ensure the followingGL 01: Process Manual Journals in PSOB and RSOB
Enter Manual Journal entries for e.g. Provisions, Adjustments, Accrued Liability for
Uninvoiced Receipts and Allocations.
