Thesis Prototype Property and Recycling SOP


The following is the policy and procedure of the Mechatronics Department with regard to the prototype that is fabricated as part of the students thesis. The purpose of this policy is to clarify property rights, proper handover of thesis
prototype equipment, ensure facility cleanliness, maximize storage space, and opportunities to save cost for future
projects.

Thesis prototype that is funded by the student(s) will be the property of the respective student(s). Upon finishing their thesis defense, the student(s) has the option to either:
a. Claim the property and transport it to the students own place,
b. Donate the prototype to the thesis advisor to be their personal property,
c. Donate the prototype to SGU for future projects,
d. Sell the prototype to another student who is interested to continue the work.
Thesis prototype that is funded by SGU Mechatronics department will be the property of SGU will be stored in
one of the laboratory rooms.
Thesis prototype that is funded by external funding will be regulated by the cooperation agreements between
SGU and the respective entity.

In the case of 1a and 1b, the claim and transporting of the prototype in the case of 1b should be done within 2
weeks of thesis defense date. The person responsible for transporting the prototype will be the students
him/herself (1a) or the advisor (1b). If the prototype is neither claimed nor transported after 1 month, then SGU
Mechatronics department has the rights to claim the property and decide the handling of this property.
Thesis prototype recycling SOP:
The head of department, together with the thesis advisor and the lab supervisor will evaluate the prototype for the
next action steps with the following guideline:
If the prototype is useful for showcase or marketing purposes, then the department will work together with
the Facility Management to determine the appropriate storage space in the facility.
If the value of its components is determined to be valuable for future projects, the prototype will be disassembled and salvaged so that its components and material can be used for future projects. However, several factors
should be taken into consideration in this process:
o Value of the component
o Size of the component relative to the currently available storage space
o Versatility to be used in future projects,
o Usability for classroom demo, labs or teaching aid
If the prototype will not be salvaged for its components or materials, then the prototype will be trashed.

The action steps mentioned above should be decided within 2 weeks after the claimed prototypes are all transported
outside campus. The team will also appoint the PIC for the salvaging process.
