1 Background of the study

Nowadays, private companies provide modern services for property development,
high class business property companies to spend their leisure time to compete with other
companies. It helps to perform tasks in an easy way with less time consumed. Other company
engaging to web-based promotions and with the pressure of tough of competition. Design Integra
Construction Incorporated is in great need of improvements, not just in terms of broadening their
range of audiences but also providing their client a fast and better property development.
Design Integra Construction Incorporated (DICI), was founded in 1996 as an
architectural Design and Construction Company with the aim to provide high quality and value
for ones investment plus excellent service to support it. Design Integra Construction Inc, started
in the business doing mostly design and project management for Subway Restaurant franchises.
Design Integra Construction Inc. expanded its business from purely design, into a small
construction company. Having 80 personnel varying from architects, engineers, project managers
and skilled people from foreman, mason, carpenters, painters and labourers. Also around 30
contractual personnel who work on project basis. Offers services from architectural and interior
design and consultation to general constructions.
There the handling of projects from residences, commercial stores and condominium
units in Metro Manila and Calabarzon. Design Integra Construction Inc. has embroidered on
build and sells to address opportunities to fast move in and easy acquisition of affordable homes.
Design Integra Construction Inc. is privately managed. The manual monitoring of these activities
is a hassle to the Administrator especially when that it deals with a large amount of disbursement,
petty cash vouchers and computations. This information needs to be formulated accurately so as
to compare if the company gained from the project or lost money from it. The Administrator

cannot fully forecast the costs, compare expenses and other disbursement since the application
has limited features. The estimation of the number of materials needed for the execution per job
category cannot be predicted before the operation because the Administrator cannot fully
estimate the materials needed. Then, the Costing management system will be chosen by the
developers. Management system is basically the inventory and estimation of materials in each
project they developed. The developer develops a system to ensure that the company can
effectively monitor and manage material costs with real time visibility. Into all materials and
business, in this way they will get immediate access to comprehensive reporting and analytics
that deliver the latest audit information about the business.

1.2 Project Description Rules

which is the manual process as we all know manual process now a day is not applicable
because it may encountered many problems such as data duplication, slow process,inefficient to
use in term of under pressure and other related process that affects the data integrity anad
consistency.
1.3 Statement of the problem
Design Integra Construction Inc. offers and provides better residential household and
properties for their clients but they have several problems regarding in their costing estimation
and inventory of their materials. They have technical problems in terms of listing and monitoring
the availability of materials needed in the project; because they do not have actual database.
When the costing estimation occurs, it is done manually; Employees are having a hard time to
specify how much costs of materials needed in a project. They use to encode the list of materials
and its prices one by one through the use of Microsoft Excel. Because they do not have
computerized list of materials, they are just using logbooks to locate the list of materials they
need. Several data inconsistencies occur because the computed price done by the Employee does
not match to the expected budget for the said Project. After approving the blue print and signing
the contract with Client and Project manager, the company starts the project; in the time of
development, the company are having problems in the inventory of materials in the warehouse. It
will cause project delays because they still need to wait the delivery of materials from the
supplier. The company aims to provide good quality of property facilities, but they are only using the
traditional process which is the manual process

as we all know manual process now a days is not

applicable because it may encountered many problems such as data duplication, slow process, inefficient
to use in terms of under pressure and other related process that affects the data integrity and consistency .

After the developer conducted series of data gathering include observations and interviews, the
developers were able to come up with the general problem stated below.
1.3.1 General Problem
The company needs help to improve and speed up the costing estimation,
inventory by use of Material Costing with inventory system.
Design Integra Construction Inc. uses a manual system to their business transactions.
There are trouble problems in Costing and inventory .Although they use logbook, Microsoft
application such as Microsoft excel and Microsoft word. This application software has limited
features it not fully caters to their needs.
1.3.2 Specific Problems

The company have the problem regarding to estimation of cost of materials in the project.

On the current process of the company, the estimation is done manually.

They encoded the list of material and its price through the Microsoft Excel one
by one. And it will put a formula to compute the total sum of the price. Because
they do not have computerized list of materials, they just locate it in the logbook
where the lists contains. It takes a lot of time to search the information. The
problem encountered by company is the waste of time of putting the all data in
the computer one by one. It will slow the process of the company and sometimes
it is prone in human errors.

The company have the problem in the inventory of materials.

On the current process, there are having problems in the availability of

materials in the warehouse especially when the project starts. They are not aware
about the inventory of the materials in the warehouse. It will cause project delay
because they need to wait the delivery of materials from the supplier. The
problem encountered by the company is the inventory of materials it will cause
project delay and it will cause unrelated expense because they have already
manpower and they need to pay them per hour.
1.4 Statement of Objectives
Our objective is to know the existing process of Design Integra Construction Inc. in
terms of costing and inventory for us to be able to come up to a system, that will solve their
problems. After gathering all information we needed by use of interviews, observation and
research. We would identify all the requirements for the system to run smoothly, fast, effective
and accurate to meet and solve their requirements, and then estimate the total budget for the
propose system. After identifying all the requirements, we will develop a system that contains
modules to meet their problems by using different techniques in object oriented programming. To
record all the costs made with the clients in a secure database in able to have a report to be
submitted to the authorized personnel if needed. And lastly to replace their existing system and
implement computerized system to their company that will beneficial to them. Our objectives
are not only relying in the company but also in the part of the developers. This study will be
useful to the developer to use our knowledge and to develop our analysis and logical skills.
1.4.1 General Objectives

The main objective of this study is to develop a Construction Costing and inventory
system for Design Integra construction incorporated that would provide accurate costing
estimation and to speed up the process of monitoring of inventory of materials.
1.4.2 Specific Objectives

The developers solve the problem regarding to estimation of cost materials in the project.

They encoded the list of material and its price through the Microsoft
Excel one by one. And because they do not have computerized list of materials,
they just locate it in the logbook where the lists contains.

With this objective the developers design a module that will compute the total
costs of the materials in a short period of time. In just providing the
computerized list of materials and its price and it will compute the total cost.

The developers solve the problem in the inventory of materials.

delay because they need to wait the delivery of materials from the supplier.
One of the objective of the developed system is to design a module that
monitors the critical level of materials without the use of manual counting .In
addition, the system can monitor the in and out of the materials in the
warehouse.

1.5 Significance of the study

The Project is developed to accommodate various issues and intended to be
beneficial to the following:

Company
The developed system would benefit the company because it will provide faster
and efficient transaction; the developed system would be helpful in monitoring and
managing the general operations of the company, to achieve strategic advantage over its
competitors which can be used to gain advantage over other companies of similar nature.
The company office will be adapting the new innovation of technology through
computerization that will make their work with optimum performance. The developed
system will compensate the problems that the company is encountering.

Project Manager/Admin
The benefit of the system to the project managers and user, the system is fast and
accurate in terms of executing specific task like checking the cost of the materials. It also
reduces time and paper works. It has a secured database that only administrative levels
can only access the database of the system.

Client

The client shall have the opportunity to experience the costing estimation system
by using through computer. They will benefit by means of having an easily computing
and retrieval of information and minimized the time and effort they exert in consultation.

To the Developers
The benefit of the system to the developer, this study challenged the developers
to push their selves to do their best in developing the Material costing with inventory
system. The system will serve as a basic to further enhance their skills and expand more
knowledge in areas of research and software design and development.

To Future Researchers
This study will serve as a reference for the future researchers. It will provide
information and knowledge on how to develop a system on a certain institution or
company in accordance to its transactions and data processing. This study will be a good
basis for them to further to conduct study.

1.6 Scope and limitation

After conducting interviews, research and observation the developers come up with the
decision. The cover of our study is costing estimation and inventory of materials in their business
process. The developers identify the problems and develop a solution. To accomplish the
objectives, the developers decided to in the system the following scope and limitations.
Scopes:
The system can compute the total cost of materials made by the administrator. The
clients will have an improvised estimation process effectively in terms of the liable
Material costing with inventory system. The system will have efficient data storage with
the help of a secured database.
In inventory system, the system can monitor the availability of materials in the
warehouse, Includes materials, material line, material unit, material quantity and supplier.
It can show the lists of materials and price lists, list of materials per category and list of
critical level materials. It can also monitor the in and out of the materials in the
warehouse.

Limitations:
The system does not cover the purchase orders to supplier.
The system does not cover the computation of employees salary.
